---

Avoma fits a B2B sales team that sells over video calls and runs its pipeline in Salesforce or HubSpot, especially when only some of the team coaches or forecasts. The base plans cover the rep's day: recording, AI notes saved to the CRM, follow-up drafts and 1:1 scheduling links. Paid plans start at $19 per recorder seat per month, billed annually (Startup). Coaching and pipeline work live in two add-ons you assign person by person. By our arithmetic, ten Organization recorder seats with the Conversation Intelligence add-on on five of them cost $5,220 a year, billed annually. Managers who only watch calls cost nothing.

The fit weakens in three places. Forecasting, part of the Revenue Intelligence add-on, runs on Salesforce and HubSpot only. Startup stops at 25 recorder seats, so larger floors begin on Organization. And the Lead Router qualifies inbound forms from HubSpot and Marketo alone, even when Salesforce is your CRM. **Check those three first.** Everything else below is about who on the team needs which seat.

**$5,220** — A year for 10 Organization recorder seats with the Conversation Intelligence add-on on 5 of them, billed annually, by our arithmetic

- **$0** — Viewers who only watch calls, read notes and comment
- **25 / 100** — Recorder-seat caps on Startup / Organization
- **$29 / $35** — Conversation or Revenue Intelligence, per seat per month, billed annually / monthly

## A rep's day, from calendar invite to CRM note

The day starts with the calendar. Once a rep connects Google or Outlook, Avoma records by the rules set at onboarding: every meeting, only external ones, or none by default. Google Meet can be recorded natively once a Workspace admin enables Meet recording and each rep connects Google Meet, and Microsoft Teams through cloud recording when the company has a Microsoft cloud-recording license and a tenant admin's approval, and Webex through cloud recording when the rep hosts on a paid Webex license; elsewhere, the Avoma Assistant bot joins. Prospects often host, which matters on Zoom. Since October 2026 Avoma records Zoom meetings only when Zoom is connected. On Zoom meetings your company hosts, Avoma records directly through Zoom; on another company's Zoom call the Assistant joins only if someone from your organization with Zoom connected attends. Field reps record in-person meetings on mobile.

Notes arrive within about two minutes of a bot-recorded call. External calls get Key Takeaways with next steps, organized by Smart Topics. Ten-plus default templates include Demo, MEDDIC, SPICED and SPIN, and Avoma picks one from the purpose it reads in the meeting title. Custom templates and Smart Topics start on Organization, and only admins build them. A rep can regenerate a note twice per meeting on Startup and four times on Organization.

> 💡 **Name meetings by their purpose:** Avoma picks the note template from the purpose it reads in the meeting title, so calendar names like Demo or Discovery get the right note layout without a rep choosing it.

**The CRM step needs no clicks.** On every plan, notes save automatically to the Account, Opportunity or Contact record. Private meetings never sync on their own, and edits made inside Salesforce do not flow back. The follow-up email is drafted from the call, sent through the rep's own Gmail or Outlook and logged to the CRM. Avoma's Directus case study (read November 2026) says an Enterprise AE there cut follow-up writing from 45 minutes to 5 [1]. Our [CRM integration guide](/articles/avoma-crm-integration) covers field mapping.

Booking the next step stays in the same tool. Every paid plan includes unlimited 1:1 scheduling links, and attendees get reminders with a reschedule link, which Avoma's scheduler page (read November 2026) says reduces no-shows. Before a second call, a rep can jump through the last transcript by speaker, topic or keyword. No full replay needed.

> ⚠ **Zoom must be connected:** Since October 2026 Avoma records Zoom meetings only when Zoom is connected; on a prospect's Zoom call the bot joins only if someone from your organization with Zoom connected attends.

## The manager's coaching week

Coaching is where the Conversation Intelligence add-on earns its seat. With it, Avoma scores calls against pre-built scorecards for MEDDIC, MEDDPICC, BANT, SPICED and Sandler, plus SDR prospecting, demo and customer success templates, or against a custom card with weighted criteria. The add-on's auto-scoring rules choose calls by purpose, outcome, duration, team, member and call direction, so dialer calls count too. Every score links to its timestamped moment. Managers see individual and team trends.

The rest of the manager's toolkit sits in the same add-on. AI coaching recommendations can land in Slack. Global Ask Avoma searches every conversation at once, and Avoma's coaching page describes asking for a one-page brief before a one-on-one, built from a rep's recent calls, deal risks and open actions. Smart Playlists of top reps' best moments help ramp new hires; they come from Organization, or with this add-on.

The Live Answer Assistant works during the call itself. Admins write Answer Cards with three to five trigger phrases or exact keywords, and an approved response appears to the rep for 20 seconds in the desktop or web app. The buyer never sees it. It needs a live transcript, which comes from bot recordings (or Zoom Cloud recording with Zoom Custom Live Streaming), and the add-on must sit on the rep's own seat. Avoma says, on its pricing page in November 2026, that Conversation Intelligence lifts win rates by 40%. Treat that as marketing.

## The forecast call: deal risk, methodology and win-loss

The leader's view comes from the Revenue Intelligence add-on. Its Dealboard replaces the spreadsheet pipeline review, and each deal carries a Deal Health score from 0 to 100, labeled Low, Medium or High risk and re-scored automatically as meetings, emails and CRM data change. One detail changes the seat count: **the score needs the deal owner to hold Revenue Intelligence**. So AEs need it, not only the VP. Deal-risk and forecast-risk alerts can post to Slack.

The add-on's forecasting covers submission, roll-ups, targets by team and period, and a history of who changed which committed number. Pipeline Walk compares two snapshots and shows deals added, pulled in, pushed, won, lost or changed in value. It all requires Salesforce or HubSpot. Two more pieces sit behind this add-on: 2-way CRM field updates and native Gmail or Outlook email sync, logged to Salesforce or HubSpot.

Methodology tracking in Revenue Intelligence ships with MEDDICC, BANT and SPICED defaults that admins can copy into a custom framework; in HubSpot, each pipeline uses one methodology. It needs a connected CRM and backfills only 90 days. A Live Methodology Mentor prompts reps about topics not yet covered, and the desktop app's Zen Mode hides those prompts while screen sharing. When a deal ends, win-loss analysis writes why it was won or lost to the CRM. It only covers deals with recorded calls, transcripts or tracked email.

## From the SDR's call to the AE's calendar

SDR hand-offs run through the Lead Router add-on. Its Outbound Handoff Router lets an SDR book the right AE while the prospect is still on the line. Routing rules run top to bottom, the first match wins, and a fallback route catches the rest. Rules can route by CRM owner on HubSpot or Salesforce Account records, and the router writes booking source, status and outcome back once admins create those custom fields. Avoma positions it for B2B, not B2C [2].

Anyone who manages the router or receives its bookings needs a Lead Router seat. Plain round-robin, group and embedded scheduling come with Organization, or on Startup only through this add-on. By our arithmetic, adding it on Startup beats the step to Organization, which costs $10 more per recorder seat per month at either billing term, only while fewer than about half your recorders take router bookings on annual billing, or 40% on monthly billing. It also buys none of Organization's other gates. Before the hand-off meeting, AEs can search the SDR's earlier calls for context.

> ⚠ **Inbound forms: HubSpot and Marketo only:** The Lead Router qualifies HubSpot and Marketo forms only, even when Salesforce is your CRM; other form tools cannot feed it.

## Pricing a sales floor where not everyone needs everything

| Item | Billed annually | Billed monthly | Who on a sales team needs it |
|---|---|---|---|
| Startup | $19 per recorder seat per month, billed annually | $29 per recorder seat per month, billed monthly | Reps on teams up to 25 recorders |
| Organization | $29 per recorder seat per month, billed annually | $39 per recorder seat per month, billed monthly | Teams wanting custom templates, the API, or round robin without the Lead Router add-on, up to 100 recorders |
| Enterprise | $39 per recorder seat per month, billed annually only, minimum 10 recorder seats | Not offered | Orgs that need SSO, SCIM or custom retention |
| Conversation Intelligence add-on | $29 per seat per month, billed annually | $35 per seat per month, billed monthly | Reps being coached, managers who coach |
| Revenue Intelligence add-on | $29 per seat per month, billed annually | $35 per seat per month, billed monthly | Deal owners, leaders, RevOps |
| Lead Router add-on | $19 per seat per month, billed annually | $25 per seat per month, billed monthly | SDRs and AEs on routed bookings |

Only people who record pay a base seat; anyone who just watches, reads notes and comments is free [3]. Every recorder must be on the same plan, while add-ons go to individual people on top of a paid base license and follow the base plan's billing cycle. A coaching manager who never records still needs a recorder seat to hold the add-on. Directus, in Avoma's case study, calls the ability to offer different licenses depending on team needs huge, which here means recorder seats versus free viewers and add-ons assigned per user, not different plans.

Take a ten-recorder team with Conversation Intelligence on five people. By our arithmetic, ten recorder seats plus five Conversation Intelligence seats cost $4,020 a year on Startup billed annually or $5,580 billed monthly, and $5,220 on Organization billed annually or $6,780 billed monthly. Also by our arithmetic, each Revenue Intelligence seat adds $348 a year billed annually or $420 a year billed monthly, and each Lead Router seat adds $228 a year billed annually or $300 a year billed monthly. Avoma's help center says bundling two add-ons takes 10% off the add-on fees [4], so both intelligence add-ons on one seat come to $52.20 per seat per month billed annually, by our arithmetic.

> 💡 **Give Revenue Intelligence to deal owners:** The Deal Health score needs the deal owner to hold the Revenue Intelligence add-on, so seats for the leader alone leave the board without scores.

Monthly billing wins only for a short pilot. On the base plans, monthly billing costs less only if you stop within 7 months (Startup) or 8 months (Organization). Startup's onboarding with an Avoma expert is an optional $1,000 one-time fee. Seat removals take effect at the next billing cycle, and Avoma typically gives no mid-subscription refunds; our [Avoma pricing breakdown](/articles/avoma-pricing) covers the rest.

## When a revenue team should look past Avoma

The CRM decides more than anything else. Avoma connects one CRM at a time, and forecasting works only with Salesforce or HubSpot. A team on Pipedrive, Zoho or Copper still gets notes saved to the CRM, but no forecast board. Teams above 25 recorders start on Organization, and above 100 on Enterprise. Avoma's own post on Chorus alternatives (read November 2026) says it is not built for the largest, most complex enterprise forecasting hierarchies.

Teams weighing Gong face a different pricing shape. Gong publishes no prices; its pricing page says licenses are priced per user plus a platform fee based on the number of users, quoted on request. Avoma publishes the prices of its three plans and its three main add-ons. A sales leader can model the bill before any demo. Our [Avoma vs Gong comparison](/articles/avoma-vs-gong) sets the two side by side.

## FAQ

**Can a sales team try Avoma before buying seats?**

Yes. Avoma offers a 14-day free trial of the Organization plan with all add-ons and no credit card, and you can invite the whole team; it has no free recording plan, so afterwards the account becomes a viewer that keeps past recordings but cannot record.

**Which sales dialers does Avoma record?**

Avoma's help lists HubSpot Sales Dialer, Outreach, Zoom Phone, Salesloft, Aircall, RingCentral, Copper and Kixie, plus Dialpad, GoTo Connect and Vonage. Each rep whose dialer calls should be analyzed needs a paid recorder seat, and Outreach calls are pulled in without data synced back.

**Can we bring our Gong call history with us?**

For eligible migrations, Avoma says it migrates the previous 12 months of Gong recordings and transcripts at no additional cost; Gong notes and scorecards are not transferred.

**Which plan does a sales org need for single sign-on?**

Enterprise. SSO (SAML or OIDC) and SCIM provisioning are on Enterprise only, which costs $39 per recorder seat per month, billed annually only, with a minimum of 10 recorder seats.

## The bottom line

Avoma suits a sales org that wants one tool for the rep's notes, the manager's coaching and the leader's forecast, priced so each layer goes only to the people who use it. Give every seller a recorder seat, put Conversation Intelligence on the reps you coach, and put Revenue Intelligence on deal owners, not just the leader. Run the trial against a live pipeline before buying. Confirm the CRM first. Forecasting needs Salesforce or HubSpot. Without one, the forecasting part of the leader's layer is missing.
