Fathom fits a customer success team, but the fit starts at the Team plan. That is where the pieces a CSM uses every week live: Customer view, one page with a customer's meetings, summaries and highlights; Trackers that flag risk language or feature requests on future calls; and Ask Fathom across team calls, still a beta. Team costs $15 per user per month billed annually or $19 billed monthly, with a 2-user minimum [1]. Business, at $25 per user per month billed annually or $34 billed monthly, also with a 2-user minimum, matters to CS mainly because CRM sync below it is capped at 3 users per email domain. Account health scores come from partner tools.

**Team** — Lowest Fathom plan with Customer view, Trackers and Ask Fathom across team calls (beta; 2-user minimum).

- **$15** — Per user per month, Fathom Team billed annually (2-user minimum)
- **3 users** — Per email domain: Fathom's CRM sync cap on Free, Premium and Team
- **Future calls** — Fathom Trackers scan only calls recorded after the Tracker is created

## Kickoffs, check-ins and QBRs: getting the calls in

Most CS meetings are scheduled with someone outside the company, which suits Fathom's auto-record setting: all meetings, external only, internal only, or none. On team plans, admins set capture to On, Off or Optional separately for external, internal and unscheduled meetings, so a whole CS org follows **one recording policy**. The Fathom Notetaker bot joins Zoom, Google Meet and Microsoft Teams calls and records video, audio and a transcript. It stays visible, and any attendee can remove it. Big group sessions are out. The bot cannot join Zoom Webinars, registration meetings or Zoom calls over 250 attendees.

On a Mac, Fathom 3.0 adds a choice per meeting: Capture Off, Transcript Only, Audio Only, or Audio and Video through the bot. Transcript Only gives the transcript and AI summary with no recording saved, which suits a tense escalation, though nothing is left to replay or clip. Bot-free capture is a beta for macOS 14.2 or newer in a phased rollout; Windows users and Microsoft Teams calls still use the bot. Consent sits with you. Fathom's Terms make the user responsible for getting every participant's consent before the call.

Fathom's consent emails go out only in narrow cases. With the bot, one is sent 24 hours ahead only for an external meeting you host with exactly one guest. With bot-free capture, it needs a scheduled external meeting, the Auto Request Recording Consent setting and host privileges. With the bot, a QBR with three people from the customer gets no email. Say it out loud either way.

Summaries can match the meeting. Fathom says CS teams can build custom templates for onboarding calls, QBRs, escalations and renewals (November 2026), and its help lists a Customer Success REACH template among those for team users. Customization works only in the web app. On Team and Business, Meeting Types detect the kind of call and apply its template, on new calls only. Free covers advanced summaries on the first 5 calls each month, so a CSM with a full calendar passes that limit in the first week.

> ⚠ **Scratch pad mentions grant access:** In Fathom's new desktop app, tagging an external person by email in the Scratch pad gives that person access to the call.

## Taking over an account you did not sell

Fathom pitches the handoff as the moment success criteria and timelines from the sales cycle carry into kickoff, giving one record of the customer's history (November 2026) [2]. The mechanics are sharing tools. A recording link can open to anyone with the link, anyone on your domain, or only the people added, and recipients need no Fathom account. Folders of full calls, team playlists of clips, and comments with mentions need Team. Folders start private and take calls one at a time, so the account executive builds the handoff folder before kickoff.

CRM sync does the quieter part. After each call, Fathom logs the AI summary on the matched HubSpot contact, company or deal, or as a logged-call task on the Salesforce contact, account and open opportunity, matching external attendees by email. It works going forward only; older calls need a manual sync each. **Below Business, sync covers at most 3 users per email domain**, and sales and CS usually share a domain. Our [Fathom for sales teams](/articles/fathom-for-sales-teams) guide covers the deal-side features.

Turnover needs a plan. Once someone joins a Team account, their content belongs to that account. Deactivating a departing CSM keeps their recordings available to the team, while removing the user takes their shared recordings away from everyone else. Recordings cannot be moved or merged between accounts, so customer calls a new hire recorded on a personal Free account stay there.

> 💡 **Deactivate departing CSMs, never remove:** On a Fathom team account, deactivating a user keeps their recordings available to the team. Removing the user takes their shared recordings away from everyone else.

## Renewal prep: Customer view, Ask Fathom and Trackers

Before a renewal call, Customer view puts one customer's meetings, summaries and highlights in a single place to review and discuss. Account-wide Ask Fathom, still in beta, then answers questions across calls, with citations to transcript moments. On Team, a user picks My Calls, Team Calls or All Calls as the scope; Free and Premium search only your own calls. Results stay inside what you may view. Paid plans look back without limit across your own calls, while the team-calls window depends on the tier, and Fathom does not publish it per tier. Ask Fathom ignores deal data and Tracker results, and it keeps no chat history.

Trackers are the early-warning piece. Fathom says that for renewals they flag risk language automatically across every call (November 2026). A Tracker finds moments by meaning rather than exact words, and the pricing page names feature requests among typical uses. Timing is the catch: **Trackers scan only calls recorded after you create them** [3]. Alerts go out by email in real time, daily or weekly, or into Slack. Users need view access to at least one team to see Trackers, and the weekly digest reaches only subscribed team admins.

> ⚠ **Slack alerts land in public channels:** Fathom sends Tracker alerts and highlights only to public Slack channels, so a churn-risk Tracker routed to Slack is visible to anyone who can open that channel.

## Missions that hand calls to ChatGPT or Claude

Fathom's Launchpad has a customer success category of missions, which are published recipes, not product features. They read calls through the MCP connection to ChatGPT and Claude, which every plan includes, as does the public API. The churn risk mission pairs Fathom with Pylon and Attive, whose Fathom integrations put health scores and alerts on each account inside those tools. The customer 360 mission drafts a status update and saves it; you review, edit and send it, and nothing reaches the client automatically [4].

The voice of customer mission ranks the problems customers describe from most heard to least, then runs a second pass on requested features. Its starter prompt covers external sales and customer calls from the last three months, run quarterly or monthly, with product still deciding what gets built. In Claude, an organization owner must enable the Fathom connector first, and it reads only meetings that user may view. A team-wide churn sweep through the connector needs Team or Business, and it still sees only the calls shared with you. Our [Fathom AI playbook](/articles/fathom-ai-playbook) covers the setup.

## What to settle with IT and legal first

Customer calls carry customer data, so read the plan gates before the marketing page. Fathom's CS page lists SSO and custom data retention (November 2026), but both are Enterprise only, as are admin access to any meeting and the switches that block downloads or deletion. Fathom says it complies with HIPAA; its pricing lists a standard BAA on Team and Business and eligibility for a custom BAA on Enterprise. All data sits in the United States, with no regional hosting. On team plans Fathom acts as processor and your company as controller.

Training and deletion need one decision each. Fathom may use de-identified meeting data to improve its own models unless you opt out; its AI providers may not train on your content. Deleting a call removes its notes and cannot be undone. Team members cannot delete their own accounts, so the admin handles that, and Fathom says it uses commercially reasonable efforts to delete data within 30 days of a request. Write that into your offboarding checklist.

> 💡 **Opt out of AI training team-wide:** Fathom may use de-identified meeting data to improve its own models unless you opt out. A Team organization can opt out all of its users in one setting.

## Team or Business, per CSM per year

| What a CS team needs | Lowest Fathom plan |
|---|---|
| Recording, transcripts, own-call search, MCP with ChatGPT and Claude | Free |
| AI action items and follow-up email drafts | Premium |
| Customer view, Trackers, team-wide Ask Fathom (beta), folders, Meeting Types | Team |
| CRM sync for more than 3 users per domain, CRM field sync, Deal view, AI Scorecards | Business |
| SSO, SCIM, custom retention | Enterprise |

By our arithmetic, Team costs $180 per user a year billed annually or $228 per user a year billed monthly, and Business $300 or $408 per user a year on the same terms. By our arithmetic the step is $120 per user a year on annual billing and $180 per user a year on monthly billing. For five CSMs, five users, by our arithmetic, Team is $900 a year against $1,500 for Business billed annually, a $600 gap, or $1,140 against $2,040 billed monthly, a $900 gap. Business pays off once more than three people on your domain need calls logged to the CRM automatically. Below that, stay on Team.

A lone CSM faces a different sum. Premium costs $16 per user per month billed annually, or $192 a year for that one user by our arithmetic, but lacks Customer view and Trackers. Getting them means Team's 2-user minimum, $360 a year for two users billed annually by our arithmetic. Monthly billing beats annual only if you cancel within 9 months on Team or 8 on Business. Fathom advertises a 90-day money-back guarantee on paid plans but does not publish its conditions; its Terms say fees are non-refundable. Our [Fathom pricing](/articles/fathom-pricing) breakdown covers the rest.

## FAQ

**Can a CSM record an in-person QBR with Fathom?**

Yes, with the iPhone app, which records in-person meetings from the phone's microphone on every plan. Fathom has no Android app and does not record phone calls.

**Does Fathom handle customer calls in other languages?**

Fathom transcribes 38 languages on every plan. Its overview page says summaries come natively in seven languages on Premium and Team plans.

**Does Fathom work with Webex or uploaded call recordings?**

No. Fathom records live Zoom, Google Meet, Microsoft Teams and Slack Huddle calls plus in-person iPhone recordings, and it does not accept uploaded files.

**How does a CS team cancel a Fathom Team plan?**

Team cancellation is not self-serve; Fathom's help says to email its success team. Once cancelled, the Team account becomes inactive and Team Calls are disabled for all users until the team reactivates.

## The bottom line

Fathom suits a CS team that wants every customer call captured, searchable and shareable at handoff, and Team is the plan that delivers it, at $15 per user per month billed annually with a 2-user minimum. Set Trackers up well ahead of renewals and use Ask Fathom across team calls, still a beta, for QBR prep. Move to Business once more than three colleagues on your domain need automatic CRM logging. Plan health scoring around partner tools or AI missions, and keep consent and Slack routing deliberate.
