Fathom suits a sales team that wants call notes written for it and pushed into HubSpot, Salesforce or Close, but the plan depends on headcount. CRM sync works on every plan, Free included, yet below Business it is capped at 3 users per email domain [1]. Up to three syncing reps can live on Team; a fourth rep who must log calls pushes the whole team to Business. **Business also holds the sales layer**: CRM field sync, Deal view, coaching metrics and AI Scorecards. Trackers for competitor mentions start on Team. Teams that need forecasting should read the Gong section first.

**3 users** — Per email domain: the CRM sync cap on Free, Premium and Team; Business and Enterprise have no cap.

- **$25** — Business per user per month billed annually, 2-user minimum
- **Business** — Lowest plan with Deal view, CRM field sync, coaching metrics and AI Scorecards
- **7 days** — A call auto-links to an open deal only if held at most 7 days before the deal was created

## Discovery and demo calls, summarized in your methodology

A rep's day starts with the calendar. Auto-record can cover all, external, internal or no meetings, which keeps internal pipeline chats off the record if you choose external only. For the calls it records, the Fathom Notetaker joins Zoom, Google Meet or Microsoft Teams from the invite and sits visibly in the participant list, because it cannot record silently. Prospects see it. Fathom's Terms put consent on the user, so reps should say the call is being captured. Microsoft Teams calls are recorded by the Notetaker bot.

For the summary itself, Fathom ships more than 15 pre-built templates, BANT and Sandler among them, fully on paid plans; Free gets advanced summaries on its first 5 calls each month. **Meeting Types**, on Team and Business, recognize a discovery or demo call and apply the matching template automatically, though only to new calls. Fathom's partner pages for Sandler and SPICED describe summaries organized by those stages and mapped to custom CRM fields. Read them as vendor material: as read in November 2026, the Sandler page lists methodology-based coaching as coming soon. Customizing a template works in the web app, not the new desktop app.

> 💡 **Set Meeting Types before rollout:** On Team and Business, Meeting Types apply a template such as BANT or SPICED automatically, but only to new calls, so configure them before reps start recording.

## After the call: what lands in HubSpot, Salesforce or Close

When a call ends, Fathom logs the AI summary into the one CRM each rep has connected. In HubSpot it lands on the matched contact, company and deal. In Salesforce it becomes a logged-call Task on the matched Contact, Account and open Opportunity. Matching runs on the primary email of external attendees, and sync only works going forward, so older calls need a manual Sync to CRM one at a time. Close connects with an API key and syncs completed calls automatically. Each rep's to-do list comes from AI action items, plus a follow-up email draft to copy into the mail client; both start at Premium.

Salesforce brings extra conditions. Leads, closed Opportunities, internal-only meetings, sub-calendars and impromptu calls are excluded, so a demo with someone who exists only as a Lead does not sync. The org needs the REST API enabled, which is standard on Enterprise, Performance, Unlimited and Developer editions [2], and the connecting user needs edit rights on Contact, Account, Opportunity and Task. A missing API Enabled permission is the most common cause of privilege errors, Fathom's admin guide notes. Check your edition first.

A note on a record is not an updated deal field. **Field-level sync is a Business feature** on both CRMs. HubSpot deal-field sync writes summary sections into text properties and needs a Fathom Account Admin who is also a HubSpot Super Admin [3]. Salesforce field mapping needs one team-level connection set up by an admin, writing into Long Text Area or single-line Text fields of up to 32,000 characters by default. Only H3 and H4 template headings can be mapped, and each sync overwrites the field with the latest summary. For Salesforce, Fathom's own Launchpad says updating deal stage, next steps and objections takes a ChatGPT or Claude mission or a Zap; automation limits per plan are in the [Fathom AI playbook](/articles/fathom-ai-playbook).

> ⚠ **The fourth rep changes the plan:** Below Business, Fathom's CRM sync is capped at 3 users per email domain, so a team with four or more reps who all log calls to HubSpot, Salesforce or Close needs Business.

> ⚠ **Salesforce Leads do not sync:** Fathom's Salesforce sync skips Leads, closed Opportunities, internal-only meetings and impromptu calls, and the Salesforce edition must have the REST API enabled.

## Pipeline review with Deal view

Deal view is the screen a manager opens before the weekly pipeline meeting. It pulls every Fathom call linked to a HubSpot deal or Salesforce opportunity into one timeline, adds an AI deal summary and lets you question the deal with Ask Fathom. It needs a team on Business, a connected HubSpot or Salesforce, and at least one open deal [4]. Deal summaries follow templates such as Sales, SPICED, MEDDPICC and BANT. On Business, with HubSpot connected at the organization level, a Fathom card inside HubSpot shows the five most recent calls with recording link and summary.

Linking is where a pipeline view goes wrong. A call attaches to a deal automatically only if the deal is still open and the call took place no more than 7 days before the deal was created. A discovery call held two weeks before the rep opens the deal will not attach by itself. Since July 2026, team-plan users can add or remove deals on a call in the web and desktop apps, but only deals tied to the call's recognized attendees; impromptu calls cannot be linked. Removing a call regenerates the deal summary and the Key People summary, then refreshes the mapped CRM properties. Account-wide Ask Fathom (a beta) also leaves deal data, scorecards and Trackers out of its answers.

## Coaching reps with metrics, Scorecards and Trackers

Trackers arrive first, on Team. They tag moments by meaning rather than exact keywords, such as a named competitor or a pricing objection, and alert by email in real time, as a daily or weekly digest, or in a public Slack channel. They scan only calls recorded after the Tracker exists. Set them up early. A user also needs view access to at least one team to see the Trackers tab, so reps restricted to their own meetings will not see matches.

Coaching metrics, which count calls, talk time, questions asked and monologue length, sit on Business according to the pricing page. **AI Scorecards**, also Business, grade internal hosts on calls of one Meeting Type against criteria the manager writes; SPICED and MEDDPICC examples exist to copy rather than as built-in options. A new Scorecard backfills up to five calls from the past seven days, and only at creation. Admins see Top Performers (the top 25% of users) and Lower Performers and decide which hosts see their own grades. Prospects are never scored. Live cues, such as the monologue alert after 90 seconds of talking, exist only in the previous app experience, not the bot-free one.

> 💡 **Publish AI Scorecards early:** On Business, a new AI Scorecard backfills at most five calls from the past seven days, and only when it is created, so publish it before the coaching cycle you want to measure.

## Handoffs, customer stories and the Gong offer

When a deal closes, an account manager or CSM inherits the history. Customer view, from Team, groups calls by company, attributing each call by attendee email domain with no manual override. Recordings can be shared with people who have no Fathom account, while team folders and playlists need a team plan. Bluleadz, in its case study, used deal and account views for exactly this sales-to-service step. The post-sale side of the workflow is covered in [Fathom for customer success](/articles/fathom-for-customer-success).

Fathom's customer stories are marketing. A Fathom-published case study (June 2026) says Bluleadz, a HubSpot implementation agency with a 6-person sales team, saved 7.5 hours per rep each week on note-taking and CRM updates and saw forecast accuracy rise 30%. Another Fathom case study (June 2026) says Blackthorn, which runs events and payments inside Salesforce, saved more than 1,400 hours a quarter across 35 active users. The NCSi study, as read in November 2026, claims 12 hours saved per project manager each week. None of these figures comes from an independent source.

For teams leaving Gong, there is a dated offer. As listed in November 2026, Fathom offers Business free through the rest of a Gong (or similar) contract, plus data migration. Gong publishes no list price; it sells per-user licenses plus a platform fee tied to user count, quoted through a form, so any savings estimate starts with your own quote. Weigh coverage as well as cost. Fathom itself says it does not build forecasting models the way Gong does.

## Team or Business: the per-rep arithmetic

Team costs $15 per user per month billed annually or $19 per user per month billed monthly, with a 2-user minimum; Business costs $25 per user per month billed annually or $34 per user per month billed monthly, also with a 2-user minimum. By our arithmetic, billed annually, Team comes to $180 per user a year and Business to $300 per user a year, a step of $120 per user a year. Billed monthly, by our arithmetic, it is $228 per user a year on Team against $408 per user a year on Business, a step of $180 per user a year. Premium is an individual plan, so it rarely fits a sales floor.

The CRM cap matters more than the sticker. With two or three reps who all sync, Team covers logging, Trackers and the shared workspace. For five reps billed annually, the yearly bill by our arithmetic is $900 on Team against $1,500 on Business, $600 more for the five users, yet Team would leave two of those reps without CRM sync. For ten reps billed annually, the gap is $1,200 a year for the ten users by our arithmetic: $1,800 on Team against $3,000 on Business. Monthly Business stays cheaper than annual only if you leave within 8 months. Fathom advertises a 90-day money-back guarantee on paid plans but does not publish its conditions; its Terms of Service say fees are non-refundable. Full plan math is in [Fathom pricing](/articles/fathom-pricing).

## FAQ

**Does Fathom integrate natively with Pipedrive or other CRMs?**

Fathom's native CRM integrations are HubSpot, Salesforce and Close. Pipedrive appears only in a Fathom Launchpad recipe that works through MCP or n8n with the public API, not as a built-in sync.

**Can Fathom record sales calls from a phone dialer?**

No. Fathom records live Zoom, Google Meet, Microsoft Teams and Slack Huddle calls plus in-person meetings on its iPhone app; it does not record phone calls, including Zoom phone calls.

**Will the Fathom bot join a Zoom webinar or a large demo?**

The Fathom bot does not join Zoom Webinars, meetings that require registration or Zoom meetings with more than 250 attendees, and it can join only one meeting at a time.

## The bottom line

For a small team whose main pain is writing up calls, Team logs summaries into HubSpot, Salesforce or Close for up to three reps per domain and adds Trackers for competitor and objection mentions. Once a fourth rep needs sync, or managers want Deal view, field-level updates and Scorecards, Business is the plan, at $120 more per user a year billed annually by our arithmetic. Check the Salesforce edition and the 7-day deal-linking rule before rollout, and treat the case-study numbers as Fathom's own.
