Fireflies.ai transcribes every meeting its bot, desktop app, Chrome extension or mobile app captures, plus the files you upload, and the transcript usually arrives 5 to 10 minutes after the call. Fireflies says accuracy is 99% in English and 95% in other languages, across 100+ languages. The limits sit around the transcript, not inside it. Pro, Business and Enterprise transcribe without a cap, while new Free accounts get only a few transcription credits unless calendar auto-join is on. Downloads start on Pro. Uploads stop at 150 minutes per file on every plan. **Multi-language Mode**, a beta for calls that switch languages, needs Business.

**100+** — Transcription languages, Fireflies says; Multi-language Mode (beta) covers 60+ on Business and Enterprise

- **150 min** — Maximum length per uploaded file, on every plan
- **3,000 min** — Monthly upload limit per user per source on paid plans
- **$0.01/min** — Uploads and imports above the monthly limit on paid plans

## From the call to a searchable transcript

Fireflies has several ways to get audio into a transcript. The visible bot, Fireflies.ai Notetaker, joins Zoom, Google Meet, Microsoft Teams, Webex and other platforms as a named participant. The desktop app for macOS and Windows records system audio with no bot, and the Chrome extension does the same for Google Meet in Chrome. The Google Meet SDK integration records Meet audio and video without a visible bot once a Google Workspace admin authorizes it.

The mobile app records in-person meetings, and the web recorder captures audio in the browser. Files arrive as uploads, as pulls from Dropbox, Box, Google Drive and OneDrive, from dialers or as Zoom cloud recordings. Each route ends in the same Notepad, with time-stamped text, in-meeting and global search and an AI summary. Playback runs from 1x to 3x. Desktop Take Notes is the exception. It saves no recording.

Paid plans transcribe without limits. Free works differently. Accounts created since September 2026 get 3 transcription credits when they sign up on the web, 5 through the Chrome extension or 10 as a new mobile user, and each meeting or uploaded file uses one credit.[1] Turning on calendar auto-join for all meetings, only meetings you own or only meetings with teammates makes Free transcription unlimited; the invite-only option does not count. Older accounts keep unlimited free meetings. Those unlimited transcripts are raw text, because summaries and other AI features still draw on AI credits, and Free storage stops at 400 minutes per team. Our [guide to the Free plan](/articles/is-fireflies-ai-free) covers the rest.

Auto-join has a cost of its own. Right after sign-up the bot joins every calendar meeting with a video link by default, so check that setting before a busy week; our [guide to removing Fireflies.ai](/articles/how-to-remove-fireflies-ai) walks through each switch. Recording consent is your responsibility under Fireflies' Terms, with the bot or without it. Meetings shorter than 3 minutes produce no recap. Each live meeting also has a recording limit that depends on the plan, and once it passes the bot leaves. Re-adding the bot works, but the meeting then shows up as two separate parts.

> 💡 **Auto-join only meetings you own:** For Free accounts created since September 2026, this auto-join option still makes transcription unlimited and keeps the bot out of calls other people host; Free storage still stops at 400 minutes per team, and summaries use AI credits.

## 100+ languages, and the calls that mix them

Fireflies transcribes in 100+ languages, Fireflies says, and Auto-Detect picks the dominant language of each meeting. That is the catch. Auto-Detect writes down only the dominant language, so a call that switches between English and Spanish loses the minority half. You can set a default language, change it for one upcoming meeting you own, or choose a language before each upload. The pricing FAQ calls English the primary language and lists Spanish, French, Portuguese, Italian and the others as beta. Treat the accuracy numbers as Fireflies' claims, and check a few transcripts with your own speakers and accents before rolling it out.

**Multi-language Mode** is the fix for mixed calls, and it is a beta on Business and Enterprise only. It detects languages word by word, including switches mid-sentence, for 60+ languages, and it works on uploads as well as live meetings. The summary still comes out in the dominant language, and its language cannot yet be set apart from the transcript. Business costs $19 per seat per month billed annually or $29 per seat per month billed monthly. The step up from the cheaper paid tier adds $9 per seat per month on annual billing, or $108 a year per seat by our arithmetic, and it also brings unlimited storage.

A wrong language can be fixed after the fact. You can re-transcribe a meeting in another language at most 3 times, and changing the language after processing reprocesses both the transcript and the summary. Edits you made to the transcript are lost when you do. Re-transcribing only changes the language Fireflies listens for, so it is no way to translate a call, and Fireflies does not publish a translation feature. Pick the language before the call whenever you can. It saves a reprocessing cycle and keeps your edits intact.

## Speaker labels and edits

Speaker names come from the meeting platform. When the bot joins a video meeting, or the Chrome extension records Google Meet, the transcript shows participants by name. Uploads without speaker metadata, mobile recordings and the desktop app's bot-free Take Notes mode get generic labels such as Speaker 1 and Speaker 2. The meeting owner can rename those labels and then regenerate the notes, so the summary and action items carry real names. On Zoom, participants who dial in by phone are not recorded at all, so their words never reach the transcript.

Editing is limited to meetings you own or hosted. You correct text in the Notepad, use find and replace for a name or term the transcript keeps getting wrong, and changes save automatically. On a team, admins can also edit, regenerate and download the transcripts of meetings they can access, though only the owner can delete a meeting. From Pro, the same transcript feeds speaker talk time, sentiment, question detection and topic trackers. Conversation metrics are not tracked for Chrome extension meetings, and other unsupported platforms need speaker labels added by hand.

> 💡 **Rename speakers, then regenerate notes:** Uploads and mobile recordings get labels such as Speaker 1; the meeting owner can rename them and regenerate the notes so the summary uses real names.

## Uploading recordings: formats, sizes and the monthly limit

The web app accepts MP3, M4A, WAV, MP4 and WEBM files, and every plan caps a file at 150 minutes, so a longer recording has to be split before upload.[2] Fireflies writes recaps only for uploads longer than 3 minutes. The mobile app uploads MP3, MP4, M4A and WAV and can record offline, then upload later. Uploads through the API need Pro or higher and take a public HTTPS link rather than a local file. Size and storage limits by plan:

| Plan | Video file | Audio file | Length per file | Live recording limit | Storage (running total) |
|---|---|---|---|---|---|
| Free | 100 MB | 500 MB | 150 minutes | 2 hours | 400 minutes per team |
| Pro | 2 GB | 500 MB | 150 minutes | 2 hours | 8,000 minutes per seat, pooled |
| Business | 2 GB | 500 MB | 150 minutes | 3 hours | Unlimited |
| Enterprise | 2 GB | 500 MB | 150 minutes | 4 hours | Unlimited |

Storage is a running total, not a monthly allowance, and uploads count toward it just as live recordings and imports do. Free's 400 minutes come to about 6.67 hours for the whole team. Pro's 8,000 minutes per seat equal about 133 hours, so one seat with five hours of meetings a week fills up in about 27 weeks, by our arithmetic. At the limit new meetings are still captured, but older ones must be deleted before the new ones open. Deleting a meeting gives its minutes back.

Paid plans add a separate monthly rate limit on uploads and imports: 3,000 minutes per user per source, about 50 one-hour files, pooled across a team and reset each calendar month with no rollover. Sources include dashboard uploads, API and Zapier files, Dropbox, Box and OneDrive pulls, dialer imports and transcribing past meetings the bot never joined. Bot meetings, Chrome extension and mobile recordings never count. Above the limit, processing continues and uploads cost $0.01 per minute, billed in the next cycle, so every 100 extra minutes adds $1 by our arithmetic.

> ⚠ **Re-transcribing erases your edits:** A Fireflies.ai meeting can be re-transcribed in another language at most 3 times, and transcript edits are lost each time, so set the language before the call.

## Downloads, video and exports by plan

Downloads start on Pro, which costs $10 per seat per month billed annually or $18 per seat per month billed monthly.[3] Transcripts export as PDF, DOCX, SRT, CSV, JSON or MD, with optional timestamps and speaker labels; summaries as DOCX, PDF, JSON or MD; audio as MP3; video as MP4.[4] Downloaded transcripts carry Fireflies branding by default, and paid plans can remove it. Free users cannot download single meetings. Any user can still request a full account export through Fireflies' data request form, delivered as MP3, MP4, TXT and JSON through a link that stays valid for 7 days.

Video capture through the bot starts on Pro at 720p and reaches 1080p on Enterprise, and it applies only to future meetings. The Google Meet SDK integration also records Meet video without a visible bot, while the Chrome extension records audio only and the desktop app's Take Notes mode saves no audio or video file at all. Admins can switch video on for the whole team. If you push recordings to Google Drive, Box or SharePoint, video files go there only on Business and Enterprise, while on Pro those integrations receive audio. Most integrations start on Pro, but a few (Redtail, WhatsApp, Amazon S3, Snowflake and Affinity) need Business, and the pricing page lists none on Free. The API and the MCP server are on every plan.

## Who can read a transcript, and how it gets deleted

By default a meeting is open to teammates and anyone with the link, so a forwarded recap opens the transcript, and recap emails go to everyone on the calendar invite. You can narrow access down to Only Owner. On Free and Pro, guests without a login see the transcript and audio playback, while the summary, video and speaker labels need a sign-in; public meeting access, which opens those too, is a Business feature. Sharing with people outside the workspace uses no seats and no credits.

Only the meeting owner can delete a meeting, and deletion is permanent. Bulk delete starts on Pro. Automatic deletion after a set period, from 1 week to 1 year, is an Enterprise feature, as are custom data retention and recording modes that keep the transcript and summary while dropping the audio or video. Deleting the whole account deactivates it at once, and the data is erased after a 30-day grace period. Fireflies' Terms say it will not use customer content to train generative AI models, though the DPA lets it use deidentified data to improve products.

Meeting content sent to AI vendors falls under zero data retention on every plan, and by default it is stored and processed in the United States. HIPAA applies only on Enterprise, with Private Storage switched on and a signed BAA. Private Storage keeps data in a region or bucket you choose, but processing still happens in the US. For what each tier costs at your team size, see our [Fireflies.ai pricing breakdown](/articles/fireflies-ai-pricing).

## FAQ

**Can I bring transcripts over from another notetaker into Fireflies.ai?**

Yes. Fireflies offers free, read-only migrations from Otter, Fathom, Gong, Grain, Granola, Chorus and Read.ai, and the Import Data setting may need support to switch it on.

**Can I pull Fireflies.ai transcripts through the API?**

Yes. The GraphQL API is on every plan, with rate limits by plan (Free 30 requests a minute and 500 a day). Uploading files through the API needs Pro or higher.

**Can I transcribe a meeting the Fireflies.ai bot missed?**

After upgrading to a paid plan you can transcribe past meetings the bot did not join; they count toward the monthly upload limit, with $0.01 per minute above it.

**Does the Fireflies.ai mobile app need a connection to record?**

No. The mobile app can record an in-person meeting offline and upload it later for transcription.

## The bottom line

Fireflies.ai's transcription is broad rather than deep in controls: 100+ languages, capture with or without a bot, and Pro unlocks the parts most buyers expect, from unlimited transcription to downloads and 720p video. Three limits shape the decision. Free accounts created since September 2026 need auto-join on to transcribe freely, files stop at 150 minutes each, and mixed-language calls need Business for Multi-language Mode, still a beta. Teams that upload heavily should watch the monthly rate limit and the per-minute overage, not the storage line alone.
