# How to Remove Fireflies.ai From Zoom, Teams and Google Meet

> Remove the Fireflies.ai Notetaker from a live call, stop it auto-joining, block it for a team or delete the account. Cancelling the plan does not stop it.

If the Fireflies.ai Notetaker keeps showing up in your calls, there are two fixes, and most people need both. Inside a live meeting, remove the participant named Fireflies.ai Notetaker from the participant list in Zoom, Google Meet or Microsoft Teams, or type /ff leave in the meeting chat; it will not rejoin unless the meeting restarts. To stop future visits, the account owner turns off Auto-record meetings in Settings > Recording & Privacy. **Cancelling the subscription does not stop the bot.** The account simply drops to Free and keeps joining. If you never invited it, someone on the invite did, and only their settings end it for good.

**3 minutes** — Remove the notetaker within its first 3 minutes and Fireflies creates no transcript or notes for that meeting.

- **/ff leave** — Chat command that makes the notetaker exit the meeting right away
- **30 days** — Grace period before a deleted account's data is permanently erased
- **7 days** — How far ahead Home > Upcoming lists meetings you can switch off one by one

## Remove the notetaker from a meeting that is running

Any host or participant can remove the bot through the participant list in Zoom, Google Meet or Microsoft Teams, which Fireflies documents as the standard exit [1]. Find Fireflies.ai Notetaker in the participants panel, choose Remove, and confirm the prompt. In Webex the path is Participants, then the notetaker, then More and Remove. GoTo Meeting and Lifesize treat it like any other attendee. The display name usually carries the inviter's name after it, which tells you whose account sent it.

Three shortcuts skip the participant list. Typing /ff leave in the meeting chat makes the notetaker exit right away. The account owner can also click the Stop icon on the Live meeting banner of the Fireflies Home dashboard. And the host sees a Stop button in the Live Assist pane, pinned in the chat about 30 seconds after the bot joins, which ends the meeting and removes it. Pick whichever is closest to your hand.

Timing decides what survives. Remove the bot within its first 3 minutes and Fireflies creates no transcript or notes at all. Remove it later and the owner still gets notes for the part it heard. Either way, the exit sticks. **It will not rejoin unless the meeting is restarted**, so one removal covers the rest of that call. Its next scheduled meeting is a separate matter.

## Stop it from joining your future meetings

This part is for the person whose account sends the bot. Right after sign-up, auto-join is set to all meetings with a web-conferencing link, whether or not you host them. That default explains most surprise appearances. To switch it off, open Settings > Recording & Privacy on the Personal tab and toggle off Auto-record meetings; the change saves automatically [2]. If you still want Fireflies sometimes, set Auto-join calendar meetings to Only when I invite fred@fireflies.ai instead. The other two options, only meetings I own and only meetings with teammates, narrow the bot's reach without ending it.

Check one more screen before you relax. **Recording Rules override auto-join**, so a rule that matches a title keyword, email or domain can still pull the bot into a meeting after auto-record is off. Delete those rules. Restriction Rules do the opposite: they make Fireflies skip any meeting whose invite contains chosen keywords, emails or domains, even when auto-record covers every meeting. They suit a client's domain or a recurring board call you never want recorded.

> 💡 **Clear your Recording Rules too:** Recording Rules override auto-join, so a matching keyword or domain can still bring the bot in after you switch auto-record off. Delete them in Recording & Privacy.

For a single meeting, toggle it off under Home > Upcoming, which lists the next 7 days, or remove fred@fireflies.ai from the calendar event. Side entrances need their own switches. The Fireflies Surface App inside Zoom has an Auto-join future meetings toggle. The Chrome extension starts capturing Google Meet calls on its own while its Auto-capture toggle is on; turn that off and nothing records until you click Record with extension. GoTo Meeting has no separate app connection to disconnect, so the calendar setting is the whole fix there.

One trade-off applies to Free accounts created in or after September 2026. On those accounts, auto-join is what makes transcription unlimited. Turn it off, or set it to invite-only, and each meeting you invite the bot to uses one of a few transcription credits (3, 5 or 10) instead. Free also caps storage at 400 minutes per team, a running total rather than a monthly allowance. Inviting fred@fireflies.ai by hand still transcribes that one meeting, but it does not unlock unlimited transcription. Our [guide to the Free plan](/articles/is-fireflies-ai-free) covers those credits.

## When someone else's Fireflies is in your call

Here's the uncomfortable part for hosts and guests. If you have no Fireflies account, no setting of yours can stop it, because the bot arrives through another invitee's account. Fireflies' own troubleshooting page names an invitee with an active account as a common reason it keeps appearing [3]. The lasting fix is a conversation. Ask that person to change their auto-join setting, or to add your domain to their Restriction Rules.

Until then, the meeting platforms give you a door. The bot asks to be admitted wherever there is a waiting room or lobby, and a host can simply deny entry. On Zoom, if anyone declines the recording consent pop-up, the notetaker does not join. Google Meet may flag it as a potential risk in the waiting room, and Teams may list it under Suspected threats. Some owners also send a compliance email to participants 1 hour before the meeting with a decline link, and a single opt-out keeps the bot away. That email is off by default. Don't count on it.

The notes travel further than the call. By default the recap email goes to everyone on the calendar invite, and recaps open for anyone holding the link. A non-user who received one can unsubscribe through the email link or ask the organizer to switch recaps to Only me. Deletion is not yours to do: under Fireflies' privacy policy, a participant without an account must ask the meeting host to delete the recording. Only the meeting owner can delete a meeting, and that deletion is permanent and cannot be recovered.

## Blocking it across a whole team

Admins hold a stronger lever than any single user. Under Team > Recording and Privacy > Auto-record meetings, a workspace admin sets the team auto-record policy. The default is Allow teammates to choose, which leaves each member's own setting in charge; a stricter option applies to everyone, and changes save automatically. On Business and Enterprise, user-group settings let you set auto-record per group, for example invite-only for legal and every linked meeting for sales. Enterprise admins also get the Rules Engine for privacy and auto-delete rules.

| Route | Who can use it | Where |
|---|---|---|
| Remove from the participant list | Host or participant | Zoom, Meet, Teams, Webex, GoTo, Lifesize |
| /ff leave | Participant, by chat command | Meeting chat |
| Deny admission | Host | Waiting room or lobby |
| Auto-record off or invite-only | Account owner | Settings > Recording & Privacy |
| Restriction Rules | Account owner | Recording & Privacy |
| Team auto-record policy | Workspace admin | Team > Recording and Privacy |
| Account deletion | Account owner | Settings > Account Settings |

An organization that does not use Fireflies at all has to work through platform settings. Fireflies lists the Zoom settings that keep its notetaker out: a waiting room, end-to-end encryption and web-client authentication. On Teams, the bot needs guest access and a lobby bypass for guests, so keeping guests in the lobby means someone must admit it. Google Meet lets it in only if the host's Workspace allows users who are not signed in. These switches affect every external guest, not only the bot, so weigh them before changing anything.

> 💡 **Keep notes without a bot:** The Fireflies desktop app for Windows and macOS records system audio with no bot in the call. Getting every participant's consent is still your job under Fireflies' Terms.

## Disconnecting the calendar, deleting meetings and the account

Fireflies offers one way to revoke its access to your Google account and calendar completely: delete the Fireflies account under Settings > Account Settings > Delete my account [4]. The alternative it gives is keeping the account and changing the auto-record settings. The calendar sync belongs to the account itself, since you sign in with Google or Microsoft. Deletion deactivates the account immediately, and the data is permanently erased after a 30-day grace period in which support can still recover it.

Decide what to keep before you delete. Removing a single meeting is permanent, only its owner can do it, and it returns that meeting's minutes to your storage; bulk delete starts on Pro. Pro and higher plans can download transcripts and summaries first, and any user can request a full account export through a data request form. Integrations need their own cleanup. Disconnecting one stops new syncing, but notes already pushed to HubSpot, Slack, Notion or similar tools stay where they landed.

## Why cancelling the plan does not stop the bot

Cancelling is a billing action, not a privacy one. A cancelled paid plan keeps its features to the end of the billing cycle, then the account switches to Free with your meetings intact within Free limits. Free still auto-joins. A cancelled trial moves to Free at once and keeps automatic transcription running. Fireflies' troubleshooting page says that when the bot appears after a supposed deletion, one possible reason is that only the paid subscription was cancelled, not the account. So the order matters: change auto-join or delete the account, then cancel. Billing rules, including that the AI Credits subscription is cancelled separately, sit in our [Fireflies.ai pricing guide](/articles/fireflies-ai-pricing).

> ⚠ **Cancelling is not removing:** A cancelled subscription moves the account to the Free plan, which keeps auto-joining calendar meetings. Change auto-join or delete the account as well.

## FAQ

**Can I hide the Fireflies bot instead of removing it?**

No. The Fireflies.ai Notetaker is always visible in the participant list. Workspace admins can change the display name it uses, but not hide it.

**Will Fireflies join a meeting that has no video link?**

Auto-record does not start for a calendar meeting without a web-conferencing link, and inviting fred@fireflies.ai to such an event does not bring the bot in either. In-person recording happens only when a user starts it, for example with the Fireflies mobile app, the web recorder or the desktop app's Take Notes mode.

**Who is responsible for consent when Fireflies records a call?**

Under Fireflies' Terms, the customer using it must make sure every participant consents, with the bot or with bot-free capture. Fireflies follows each platform's rules, asking first where the platform requires it (Zoom, Teams and the Google Meet SDK integration); elsewhere participants can opt out once the bot joins.

**Does deleting a meeting free up storage?**

Yes. Deleting a meeting returns its minutes to your storage. Only the meeting owner can delete it, and the deletion is permanent.

## The bottom line

Removing Fireflies is quick once you know which side you are on. In the meeting, anyone can take the notetaker out through the participant list or /ff leave, and it stays out for that call. For good, the owner switches Auto-record meetings off or to invite-only, clears any Recording Rules, and checks the Zoom app and Chrome extension toggles; admins can set the policy for the whole team. Guests without an account depend on the inviter, the lobby and the consent prompts. Cancelling the plan alone changes nothing about who joins your calls.
