**$0** — What a single user pays to set up Cal.com, with unlimited Links, calendars and bookings.

- **750 credits** — per Teams member a month for SMS
- **14 days** — free trial of the Teams plan
- **$6.12** — Cal Pay fees on a $55.00 booking

## What you are setting up, and what it costs

Cal.com is a scheduling tool: you publish a booking page, people pick a free time, and the meeting lands on your calendar with a video link attached. This guide walks through the setup in the order Cal.com itself suggests, from the first sign-in to a working team page. **Everything a single person needs is on the free plan**, which has no time limit and covers unlimited booking pages, connected calendars and bookings [1]. Two things are held back for paying teams: custom reminder workflows and the shared scheduling features such as round robin. You can still set the whole thing up for free and decide later.

One naming change will save you some confusion. Cal.com has renamed event types to **Links**, so the meeting templates you create (a 30-minute intro call, a one-hour consultation) now appear under that name. A Cal Event is now something else: a one-time happening on a fixed date that guests register for, like a webinar. Older guides and some help pages still say event types. They mean the same thing as Links. Most of this tutorial is about Links, because that is where the booking rules live.

## Step 1: Create the account and claim your username

Sign-up takes a minute. You can register with an email address and a password, with a Google account, or through SAML single sign-on if your company already runs one [133]. The onboarding then asks how you plan to use the product, with three paths: personal use, which is free, use with a team, or an organization that wants more control, privacy and security. Pick personal if you are unsure. You can add a team later, and Cal.com now offers personal team trials with guided onboarding for exactly that move.

Your username becomes the address of your booking page, so choose it with care. Short or common names count as premium usernames and carry a monthly fee, and the help page does not state the amount. A plain version of your full name usually avoids the charge. Upload a profile picture while you are there; Cal.com recommends a square image of 64 by 64 pixels, up to 5 MB. Under the appearance settings you can force the booking page into light or dark mode, or let it follow the visitor's system, and set separate brand colors for each theme.

### Coming from Calendly

If you already run your bookings on Calendly, do not rebuild them by hand. **The free plan includes a one-click import of your Calendly event types**, so your existing meeting templates arrive as Links that you then adjust. Then check each imported Link by hand. The limits, questions and reminders in the steps below deserve a second look, because they are the settings most worth tuning after a move. Treat the import as a first draft.

## Step 2: Connect your calendars and video tools

Cal.com suggests one order here, and it is the right one: connect a calendar first, then a video conferencing tool, then anything else. The calendar matters most, because Cal.com reads your busy times from it to keep people from booking over your existing meetings. The calendar apps include Google Calendar, Outlook, Apple Calendar, Zoho Calendar, Lark Calendar, Microsoft Exchange, CalDav, which is marked as beta, and an ICS feed import. For Google, Cal.com says it uses the free/busy service and does not read or store your event titles, locations or other details.

Apple Calendar takes one extra step. You sign in with your Apple ID email and an app-specific password, which you generate on Apple's account site rather than using your normal password. Microsoft 365 and Teams require a work or school Microsoft account. Once two or more calendars are connected, choose a default destination calendar for new bookings; each Link can also write to a different one. You can even choose, Link by Link, which calendars are checked for conflicts, although that per-Link option is not available on team Links.

Video comes next. Cal Video is built in and needs no setup. Zoom, Google Meet, Microsoft Teams and messaging apps such as WhatsApp have to be installed from the app store before they appear as a location option. For Zoom, you install the Zoom app and then select Zoom Video on the Link. The app store holds far more than conferencing tools. Our [guide to the Cal.com apps](/articles/cal-com-app) covers the mobile Companion, the browser extensions and the integration categories.

## Step 3: Build your first Link

A Link is a template for one kind of meeting, and you can create as many as you need. Each has its own name, URL, duration, availability and location. Since a mid-2026 redesign the settings page shows a live preview of the booking page as you edit, which makes the work much faster. Start small. Build a single Link for your most common meeting, get it right, then create the others.

### Durations and locations

One Link can offer several durations, say 15, 30 and 60 minutes, and the booker picks one; you set which is the default. Locations work the same way. The options are in person, a link, the attendee's phone, your phone, Cal Video, and third-party conferencing such as Google Meet, Zoom or Microsoft Teams. A Link can carry several locations at once and keep the address hidden until the booking is confirmed, which helps for in-person meetings at a home office.

### Booking questions and confirmation

Keep the form short. Beyond the standard fields, you can add your own questions, each required or optional. A phone-only setup lets people book with just a phone number. The email question can also accept or refuse specific domains, for example to turn away free addresses like gmail.com. If you want to vet bookings first, switch on the confirmation requirement. Bookings then stay pending until you accept them, either always or only when the slot is booked at short notice. **Confirmation can also apply only to people using free email providers**, while company addresses are confirmed automatically.

### Limits, buffers and notice

This is the tab that keeps a calendar sane. Minimum notice stops last-minute bookings: with 120 minutes of notice, a 5 PM slot must be booked by 3 PM. Buffers before and after a meeting count as busy time, and the buffers of both meetings apply, so more time may be blocked than a single value suggests. You can cap bookings per day, week, month or year, by number or by total minutes, and limit how far into the future people can book. One more control caps how many upcoming bookings a single person can hold on one Link.

> 💡 **Import from Calendly first:** The one-click Calendly import is on the free plan, so bring your event types over and edit them instead of rebuilding each Link by hand.

## Step 4: Set your availability, overrides and time off

Every new availability schedule starts as Monday to Friday, 9:00am to 5:00pm, and the Default schedule applies to any Link without its own. Edit it first. You can split a day into several blocks to keep lunch free, and you can create extra schedules for different Links, such as a short evening window for one kind of call. Each schedule has its own time zone, which is handy when you travel. By default the booking page shows slots starting on the hour only, so set a 15- or 30-minute interval if you want more start times.

Date overrides handle the exceptions. An override can block a few hours or whole days, or set different hours on a single date, and it archives itself once the date passes. For public holidays there is a faster route. Select a country in the Holidays tab and Cal.com blocks bookings on its public holidays automatically. Individual holidays can be switched back on, so a shop could stay open on Black Friday while closing for Thanksgiving. Bookings already on a newly blocked day are not cancelled; a warning lists them instead.

Out of office entries block bookings for a stretch of days. You can add a note, private by default, and the reason shows as a small emoji on the booking page. **Forwarding bookings to a teammate while you are away requires a Teams plan**, and, as with holidays, bookings already made in that period are not cancelled automatically. Team admins and owners can add or edit out of office entries for their members.

## Step 5: Turn on reminders and workflows

Reminders are where the free plan and the paid plans differ most. On Free, workflows are limited to the default reminder email, with no customization; Teams, Organizations and Enterprise get full custom workflows [145]. A custom workflow pairs a trigger, such as a new booking, a cancellation, a reschedule or a set time before the meeting starts, with actions. Those actions can email the host, the attendees or any address, send an SMS or WhatsApp message, or have the Cal.ai voice agent call the attendee. Since September 2026 workflows are built on a visual canvas instead of a form.

Texts cost extra. They are not free on any plan. SMS, WhatsApp and Cal.ai calls draw on credits, where one credit is $0.01. Free users get no credits but can buy them; the Teams plan includes 750 credits per member each month. When credits run out, messages stop and Cal.com falls back to email. WhatsApp messages cannot be customized on any plan, so they always send a fixed default text. One detail catches people out. You can only switch off the default confirmation emails on a Link if a workflow is already set to email on booking.

## Step 6: Take payments with Stripe, PayPal or Cal Pay

You have three ways to charge for a booking. Stripe and PayPal are apps you install, and both are available on the free plan; with either one you set which Links charge, how much, and the refund policy for each Link. Cal Pay is Cal.com's own option, switched on for every account by default and processed by Whop. It needs no Stripe or PayPal account at all, and the checkout runs inside the booking page without sending the booker to an outside payment site.

Cal Pay is easy, but it is not cheap. Fees come out of the payment and again out of the withdrawal, so the booker pays exactly your price and you absorb the cost. In Cal.com's own worked example a $55.00 booking incurs $6.12 in fees and leaves $48.88 in the bank [57]. Identity verification happens at your first withdrawal, not at setup. The refund policy can be always, never, or only when the booker cancels a set number of days ahead. If you sell tickets to a Cal Event rather than a Link, Cal Pay is the only option.

> ⚠ **Cal Pay is on by default:** Cal Pay fees come out of both the payment and the withdrawal. Compare them with your Stripe or PayPal costs before you take your first paid booking.

## Step 7: Share and embed your booking page

The simplest move is to share the link to your profile page or to a single Link. For a page you want to keep off your public profile, create a hidden Link, reachable only through its own address. Private links go further: each is an unguessable address with its own usage limit or expiry date, and it shows an error page once it expires. Booking form fields, including name, email and custom questions, can be filled in ahead of time through parameters in the URL, and UTM tags on incoming links are captured on each booking without any setup.

To put booking on your own website, Cal.com offers three embed styles: inline on the page, a pop-up when someone clicks an element, or a floating button. You can embed a single Link, your whole profile page or a routing form. A snippet generator writes the React or HTML code and lets you set size, theme, brand color and layout. An Email Embed drops a few open time slots into an email you are writing. Our [Cal.com embed guide](/articles/cal-com-embed) covers the options in detail, including WordPress.

## Step 8: Move to a team with round robin, collective Links and routing forms

When a second person starts taking meetings, the Teams plan adds shared scheduling. It costs $16 per user a month billed monthly, or $12 billed yearly, with a 14-day free trial. Even on Free, one shortcut exists: dynamic group links join usernames with a plus sign, such as cal.com/john+jane, so a booker can meet two people at a time both are free. For anything recurring, though, you want proper team Links.

Round robin spreads bookings across a group. Cal.com picks an available host by weights, priorities or whoever was booked least recently. Every host starts at medium priority. You can also mix fixed hosts, who attend every meeting, with rotating ones, and later reassign a booking to another member without cancelling it. Collective Links work the other way, booking several chosen members into the same meeting using everyone's availability, or a common schedule you set for the Link.

Routing forms ask a few questions before the calendar appears and send the visitor to the right place. Each route ends in one of three ways: a Link, an outside URL or a custom message on the page. On Teams, routing works from the answers alone. Routing by member attributes, such as country, language or seniority, needs the Organizations or Enterprise plan. Managed Links let an admin build one template with locked fields and push it to every assigned member.

## When slots go missing: use the troubleshooter

Sooner or later someone will tell you your page shows no times. Do not guess. The availability troubleshooter checks your schedule, connected calendars, existing bookings and Link settings, then explains why each blocked time cannot be booked. Cal.com rebuilt it in August 2026, and it is now the fastest way to find the setting that is quietly eating your week. The culprit is rarely a bug. It is usually a buffer, a minimum notice or a limit you forgot.

The opposite problem has its own usual cause. Some calendar providers, Google Calendar among them, mark all-day events as free by default, so a day you thought was blocked can still look open to bookers. Mark those all-day entries as busy, or add a date override. If you see too few slots rather than too many, check the start-time interval, since slots on the hour only can make a busy day look nearly full. When you reschedule your own bookings, free slots show a green dot and conflicts a red one, and you can still choose a busy slot.

> 💡 **Run the troubleshooter before guessing:** When your page shows no times, the availability troubleshooter explains why each slot is blocked. A forgotten buffer or minimum notice is the usual cause.

## FAQ

**Is Cal.com free to set up?**

Yes for one person. The free plan has no time limit and includes unlimited Links, connected calendars and bookings, Stripe and PayPal payments and a one-click Calendly import.

**What are Links in Cal.com?**

Links is the new name for event types: the templates for each kind of meeting, with their own duration, location, questions and limits. A Cal Event is now a one-time happening on a fixed date that guests register for.

**Can I send SMS reminders on the free plan?**

Free workflows are limited to the default reminder email. SMS and WhatsApp messages use credits at $0.01 each, and free users get none included but can buy them.

**Which calendars can I connect to Cal.com?**

Google Calendar, Outlook, Apple Calendar, Zoho Calendar, Lark Calendar, Microsoft Exchange, CalDav (in beta) and an ICS feed. Apple Calendar needs an app-specific password.

**Do I need a paid plan for round robin?**

Yes. Round robin, collective and managed Links and routing forms come with Teams, at $16 per user a month billed monthly or $12 billed yearly, with a 14-day free trial.

**Why does my Cal.com page show no available times?**

Open the availability troubleshooter. It checks your schedule, calendars, existing bookings and Link settings and explains why each time is blocked.

## The bottom line

Setting up Cal.com is quick if you follow its order: account and username, calendar, video, one well-built Link, then availability and time off. A solo user can do all of it on the free plan, including Stripe or PayPal payments and the Calendly import. The two walls you will meet are custom reminders and shared team scheduling, and both sit on the Teams plan at $12 per user a month billed yearly. Start free, build one Link properly, and run the troubleshooter before blaming the software.
