# Knowledge Base Software: How Help Desks Solve Self-Service

> What knowledge base software must do: capture answers from tickets, publish them, track failed searches and feed AI, and which help desk fits which team.

Knowledge base software publishes your support answers as a searchable help center, so customers solve common problems without opening a ticket, and your agents and AI bot draw on the same articles. A complete solution does five jobs, not one: it captures answers from solved tickets, publishes them, puts them in the customer's path before a ticket is sent, shows which searches found nothing, and feeds the same articles to an AI agent. Most small teams get all five from the help desk they already use for tickets. The plan you pick decides whether the help center is public, multilingual or measured.

**4 practices** — Capture, structure, reuse, improve: the Knowledge-Centered Service loop

- **6 of 7** — Help desks we compared with a customer-facing help center
- **10 articles** — Cap on Help Scout's Free Docs site
- **3 of 7** — Help desks we compared with a Free plan

## What a knowledge base system has to cover

A help center that only stores articles goes stale fast. The method many support teams follow, Knowledge-Centered Service, runs its Solve Loop as four practices: capture the answer while solving the request, structure it in a simple template, reuse it by searching first, and improve whatever you touch [1]. Software matters because it can make each step part of the daily work instead of a side project. Judge any tool by these five parts.

1. **Capture from the inbox.** An agent turns a good reply into a draft article without copying and pasting.
2. **Publish and organize.** Categories, sections and articles, your branding, ideally your own domain.
3. **Put answers in the customer's path.** A widget or contact form suggests articles before the ticket is sent.
4. **Measure the gaps.** Reports show searches that returned nothing and articles readers rated poorly.
5. **Feed the AI.** The same articles become the source an AI agent answers from.

Visibility is the other question, and it is what people mean by internal knowledge base software. Most help desks let you keep some articles for agents only, next to the public ones. A company-wide wiki for HR or engineering is a different tool class. This guide covers the knowledge your support team shares with customers and with each other.

> 💡 **Title articles in customer words:** Customers search for their problem, not your feature name. Copy the phrasing from real tickets into article titles.

## Starting free: a first help center for a small team

Three of the seven help desks we compared have a Free plan. Each gives a small team a different first step. The right one depends on who reads your first articles: customers, or your own agents.

Help Scout puts Docs on every plan, including Free: one public Docs site with up to 10 articles, keyword search, revision history and a sitemap. The Beacon widget suggests articles based on the page a visitor is on, so the answer shows up before the contact form does. Custom branding starts on Standard. Our [Help Scout Docs setup guide](/articles/help-scout-docs) walks through each plan.

### Help Scout — solves this

Docs publishes a searchable help site on every plan, and the Beacon widget suggests articles for the page a visitor is on before they reach the contact form.

- Where it stops: Free allows one Docs site with up to 10 articles; no community forums; the standard data import does not move knowledge-base articles.
- Plan: Free to start; Standard for custom branding
- How Help Scout does it: [Docs setup, plan by plan](https://professionalstoolkit.com/articles/help-scout-docs)

Zoho Desk Free is the opposite case. It keeps the knowledge base private, for agents only, which suits a team that first wants consistent answers inside the inbox. Express lets agents save a ticket resolution as an article. A public knowledge base, community forums and the ASAP widget start on Standard.

### Zoho Desk — solves this

Starts as a private knowledge base for agents on Free; Express saves ticket resolutions as articles, and Standard opens a public help center. Article reports show which searches returned nothing.

- Where it stops: No public help center on Free or Express.
- Plan: Standard for a public knowledge base; Professional for multilingual

Tidio's Help Center builder publishes on its own domain or yours, with articles in several language versions. The same articles become knowledge for its Lyro AI agent. The catch is migration. Existing content can't be imported yet, so every article starts from scratch.

### Tidio — partly solves this

The Help Center builder publishes articles on your own domain in several languages, and the same articles become knowledge for the Lyro AI agent.

- Where it stops: Existing content cannot be imported yet; articles are created from scratch.

## Online stores: a help center beside the order inbox

Store support repeats itself. Where is my order, how do returns work, does this size run small. Gorgias includes a Help Center on every plan, though not during the trial. You can map a custom domain, and the contact form turns submissions into email tickets in the same inbox where agents see Shopify order data. Moving from another tool? It imports articles from Zendesk, HelpDocs, Re:amaze, Intercom or a CSV file.

Its AI Library reads your ticket data and suggests articles to write, which covers the capture part from your own tickets. Search measurement is the weak spot. Help Center searches are tracked only through a Google Analytics or Tag Manager workaround, and articles cannot be exported directly.

### Gorgias — solves this

A Help Center with a custom domain sits beside the order inbox; its contact form creates tickets, and AI Library suggests new articles from ticket data.

- Where it stops: Not available during the trial; search tracking only through a Google Analytics workaround; no direct article export.
- Plan: Every plan, from Starter

## Growing teams: articles that come out of tickets

Once several agents answer the same questions, the knowledge base should grow from their replies. This is where capture tools pay off.

In Freshdesk, an agent adds the knowledge base address in BCC and the reply becomes a draft article, on every plan. Suggested Solutions sit beside each ticket, so agents insert an existing article instead of retyping it. On Growth, the customer portal runs on your own domain and suggests articles while the customer types the ticket form. Pro adds multilingual articles, versioning and knowledge base reports, so measurement starts there. Our [Freshdesk knowledge base guide](/articles/freshdesk-knowledge-base) covers the portal setup.

### Freshdesk — solves this

Agents BCC the knowledge base address to turn a reply into a draft article, and the customer portal suggests articles while customers fill in the ticket form.

- Where it stops: Knowledge base reports and translations need Pro; article writers need agent access.
- Plan: Growth for the customer portal; Pro for multilingual and reports
- How Freshdesk does it: [Portal setup and plan gates](https://professionalstoolkit.com/articles/freshdesk-knowledge-base)
- More: [Freshdesk](https://professionalstoolkit.com/tools/freshdesk)

Zoho Desk at Standard and higher fits the same team. Article templates and a tree of categories, sections and sub-sections keep the structure consistent as the library grows. Article reports show failed searches and how often agents reference each article in tickets. One tells you what is missing. The other tells you what earns its keep. Professional adds a multilingual help center.

## AI knowledge base: when articles become the bot's answers

An AI knowledge base is not a separate product. It is your help center, read by an AI agent. That changes how you write. A clear article with one answer per question is what the bot quotes, and a missing article is a question it cannot answer. The tools differ in which articles the AI reads and who else can see them.

Zendesk ties the two most closely. Its Knowledge builder drafts articles from historical tickets for an admin to review, and the Knowledge dashboard tracks searches with no result or no click, plus the tickets created afterward. An AI agent can be created from existing help center content, billed per automated resolution. The help center itself needs a Suite plan, not Support Team. Our [Zendesk Help Center guide](/articles/zendesk-help-center) explains what each plan allows.

### Zendesk — solves this

Knowledge builder drafts articles from past tickets for review, the Knowledge dashboard shows searches with no result, and an AI agent can be built from the help center.

- Where it stops: No help center on Support Team; Suite Team has one language and no custom user segments.
- Plan: Suite Team; Suite Professional for multilingual and community
- How Zendesk does it: [Help center plan limits](https://professionalstoolkit.com/articles/zendesk-help-center)
- More: [Zendesk](https://professionalstoolkit.com/tools/zendesk)

Other AI-powered knowledge base software splits the same job differently:

- **Freshdesk:** the Email AI Agent on Growth and higher answers from published articles visible to all users or bots. Private or restricted articles stay out.
- **Help Scout:** Scout answers from Docs sites, public web pages, files and snippets, and private collections can still feed it. It is billed through the Envoy add-on.
- **Zoho Desk:** the Answer Bot, from Standard, answers customers from articles. Zia-generated content is English only.
- **Tidio:** Lyro answers only from the knowledge you supply, shows its sources, and hands off or opens a ticket when unsure.
- **Gorgias:** Help Center articles can be connected as AI Agent knowledge.

LiveChat (now sold as Text) works the other way around. Its Knowledge hub feeds the AI only and does not publish a customer-facing help center.

> ⚠ **Private articles can hide from AI:** Some AI agents read only articles visible to everyone; Freshdesk's Email AI Agent skips private or restricted ones. Check what your bot reads before you lock an article to agents.

## Pairing a help center with an FAQ page or a chat bot

Two pairings cover what a single help desk misses in the first months.

**A free FAQ page first, a help desk later.** A handful of repeated questions fits on a single page, and our guide to [building an FAQ page for free](/articles/faq-page) shows the steps. Move to knowledge base software when the page outgrows one screen or you need to know which searches failed.

**Tidio for chat, a public Zendesk help center for the articles.** Lyro can use a public Zendesk Help Center as a knowledge source. A team that already publishes in Zendesk keeps writing there, while the Tidio widget answers chats from the same articles. One library, two jobs.

> 💡 **Read failed searches every week:** Each search that found nothing is either a missing article or a title in the wrong words. Fix the top few before writing anything new.

## How to choose knowledge base software for your team

Start from who reads your first articles and where your tickets come from.

- **Solo founder who needs public answers now:** Help Scout Free, minding the 10-article cap.
- **Small team that wants answers for agents first:** Zoho Desk Free, then Standard when customers need to read them.
- **Online store:** Gorgias, if order data in the same inbox matters to you.
- **Team turning tickets into articles:** Freshdesk or Zoho Desk Standard, with Freshdesk Pro once you need the reports.
- **Several languages:** Zendesk Suite Professional, Freshdesk Pro or Zoho Desk Professional.
- **AI-first plan:** any help desk whose AI agent reads your public articles, such as Zendesk, Freshdesk from Growth or Zoho Desk from Standard.

Before you commit, write your ten most-asked answers in a plain document. Load them into a trial where the plan allows it (Gorgias keeps its Help Center off during the trial), then run the searches your customers actually type. If the right article does not come up, fix the tool or the wording before launch. The full writing method, from the first article to a reviewed library, is in our guide on [how to build a knowledge base](/articles/how-to-build-a-knowledge-base).

## FAQ

**What is internal knowledge base software?**

It holds articles only your team can see, such as troubleshooting notes and policies. In help desks this is usually a visibility setting: Zoho Desk Free keeps the whole knowledge base private, Zendesk can restrict a section to agents, and Freshdesk sets visibility per folder.

**Can I move articles from one knowledge base system to another?**

It depends on the tool. Gorgias imports from Zendesk, HelpDocs, Re:amaze, Intercom or CSV; Help Scout's standard data import does not move knowledge-base articles; Tidio cannot import yet. Keep a copy of every article outside the tool.

**Is an AI knowledge base worth it for a small team?**

Only once the articles exist. The AI answers from what you publish, so a thin library gives thin answers. Write your most-asked questions first, then switch the AI on and review what it says.

## The bottom line

Knowledge base software earns its place when it closes the loop: answers move from solved tickets into articles, articles reach customers before they write in, failed searches show what to write next, and the AI answers from the same library. Every help desk we compared except LiveChat offers a customer-facing help center on at least one plan, so the real choice is about plan gates. Check which plan makes your help center public, which one measures searches, and which articles your AI agent can read. Then write the first ten answers and test them with real searches.
