## The short answer: the AI is on every plan, the quotas are not

Otter.ai gives every plan, free Basic included, the same core AI. The Otter Notetaker (formerly OtterPilot) joins Zoom, Microsoft Teams and Google Meet calls from your calendar, then writes a summary with action items and an outline, and Otter AI Chat answers questions across your meetings. What changes by plan is how much you can ask and how far you can shape the notes. AI Chat allows 20 queries per user a month on Basic, 50 on Pro and 200 on Business and Enterprise.[1] **Pro is the practical floor** for anyone who leans on the AI weekly. Pro costs $16.99 per user a month billed monthly, or $8.33 per user a month billed annually.

**50** — AI Chat queries per user a month on Otter.ai Pro (Basic 20, Business and Enterprise 200)

- **20 / 50 / 200** — AI Chat queries per user a month: Basic / Pro / Business and Enterprise
- **5 / 15 / 30** — Custom template meetings per user: Basic / Pro / Business (Enterprise unlimited)
- **Every plan** — Otter MCP server for Claude and ChatGPT, free Basic included

The quotas look generous until you divide them. Pro's 1,200 monthly minutes cover about twenty 1-hour meetings, and 50 queries spread over twenty meetings is 2.5 questions per meeting, by our arithmetic. Basic is tighter than its 20 suggests: with a ceiling of 3 queries per conversation, the allowance runs out after six fully used conversations and two questions in a seventh. Business, at 200, works out to ten questions per working day across a 20-day month. The minute pool, the per-conversation caps and the billing terms sit in our [Otter.ai pricing guide](/articles/otter-ai-pricing); this playbook covers the output.

| Plan | AI Chat queries per user a month | Custom template usage per user | Template types | Concurrent Notetaker meetings |
|---|---|---|---|---|
| Basic | 20 (max 3 per conversation) | 5 meetings | Standard | 1 |
| Pro | 50 | 15 meetings | Standard and Advanced | 2 |
| Business | 200 | 30 meetings | Standard and Advanced | 3 |
| Enterprise | 200 | Unlimited | Standard and Advanced | 3 |

The template column matters more than it looks. The pricing matrix states no period for template usage, so treat 5, 15 or 30 meetings as a budget for the calls that genuinely need a custom format, not for every stand-up. Advanced templates start on Pro. Business costs $19.99 per user a month billed annually, or $30 per user a month billed monthly; first-time subscribers on monthly billing pay $24 a month for the first three months. That step buys four times Pro's chat quota and double its template budget.

## Get the Notetaker into the right meetings first

Every AI output depends on what the Notetaker captures, so settings come before prompts. Connect a Google or Microsoft calendar and the Notetaker auto-joins every event that carries a valid Zoom, Google Meet or Teams link. That is the default. You can narrow it to meetings you host, external meetings, internal meetings (business-domain workspaces only) or meetings you select by hand. Make calendar changes at least 30 minutes before a meeting so they take effect. For ad hoc calls, paste the meeting URL on the Otter home page.

Inside the call, the Notetaker is a visible guest named after you. Soon after joining it posts a chat message linking to the live transcript, and right before the end it posts another with a summary and action items; two toggles switch those messages off while transcription continues. For a 30-minute meeting, Otter's help center puts the AI summary at 2.5 to 6 minutes after the call ends. When auto-share is on, owner and guests get a summary email within 2 hours. A conversation of 500 words or fewer gets no summary at all.

> ⚠ **Set sharing before the first meeting:** Once a calendar is connected, the Notetaker auto-joins every meeting with a Zoom, Meet or Teams link by default and the summary email is on by default; choose who gets notes first.

Consent stays with you. Otter's Terms leave the user solely responsible for recording notice and consent, and Otter advises applying all-party consent practices everywhere. The bot-free desktop app for Mac and Windows records supported meetings from your device without a Notetaker, but nobody else sees anything, so tell people. Platform quirks such as Zoom recording permissions and the Teams lobby are covered in our [Zoom, Teams and Meet guide](/articles/otter-ai-zoom-teams-meet).

## Templates decide whether the summary is usable

A default summary is generic by design. Meeting Types templates fix that, and they are available on all plans within the usage limits above. A template holds sections for an overview, action items, insights, an outline and one custom prompt; each insight line is capped at 128 characters. Within that limit, ask for the decision, the owner and the date, not for a narrative.

Templates apply automatically by rules: Otter's AI classification of the meeting (such as Sales or Recruiting), the meeting title, the host's email, a participant's email or the host's department. There is no default template for all conversations, so unmatched meetings get the standard summary. Workspace templates can be created only by admins; personal templates stay private, although the content they generate is visible in a shared conversation. On mobile you can apply a template but not create or edit one. A workable setup takes three steps:

- Pick the two or three recurring meetings where a generic summary fails you, such as client check-ins or interviews.
- Build one template per meeting type with a single custom prompt and insights under 128 characters.
- Attach each template by participant email or title keyword, so it fires before the meeting starts.

> 💡 **Spend templates on recurring meetings:** Template usage is capped at 5, 15 or 30 meetings per user on Basic, Pro and Business, so attach templates by rule to the recurring calls where a generic summary fails.

Action items need their own routine. Otter creates them automatically and can assign them to team members; AI-generated items link back to the moment in the transcript, while manual ones do not. My Action Items gathers your tasks from every meeting and sends a weekly digest of open ones. One gap: the outline and action items cannot be exported as files, so copy them by hand or let the Slack app, available on all plans, message assignees their items.

## Ask AI Chat narrow questions, then check the source

AI Chat reads all your conversations plus those shared with you, during a live meeting, after it and on imported files. Sessions are private unless you copy an answer out. It is on by default, and only a workspace admin can opt the whole workspace out, through a form. The new AI Chat, with separate Chat and Work modes, runs on web and desktop. The mobile app still uses the older AI Chat 1.0, you cannot switch modes inside an existing chat, and 1.0 history was not migrated.

Otter is candid about errors. It says it cannot guarantee zero hallucinations and attaches source references to answers so you can check them.[2] Its help pages add that answers may be outdated or factually wrong, and its Terms tell you not to rely on AI output without a human check. Treat every answer as a draft. Open the reference before a name, figure or deadline leaves your desk, especially in a follow-up email to a client.

> 💡 **Ask one combined question:** Basic allows 20 AI Chat queries per user a month and at most 3 per conversation, so request the summary, risks and a draft reply in a single prompt.

Two habits stretch a small quota. Ask for one combined deliverable per conversation (summary, risks and a draft reply in a single prompt) rather than three separate questions. Use questions across meetings for patterns, such as every objection raised this quarter, which the per-meeting summary cannot show. AI Chat can also translate a transcript and answer questions asked in other languages. In a single conversation on the web, it can read captured screenshots and added images in PNG, JPG or GIF, each 5 MB or less.

## Take meetings into Claude or ChatGPT, or let Otter do the work

The Otter MCP server is on every plan, Basic included, so even a free account can put its meeting history in front of a general assistant.[3] Otter lists a verified connector in Claude since May 2026 and approval in the ChatGPT App Store since April 2026; setup steps also cover Cursor and Perplexity. The server offers three tools: Get user info, Search, and Fetch, which pulls a full transcript. Sign-in is OAuth with your own permissions, so it reaches the meetings you captured plus those shared with you. No API key is involved. Google's Gemini app is not supported, and ChatGPT must be connected on the web before its desktop app picks the connection up. The Public API and webhooks remain Enterprise only.

Work Mode is the other direction. Otter says it launched Work Mode in October 2026, and its help center describes Work handling tasks such as Jira tickets, Notion pages, Google Drive files, Gmail drafts and PowerPoint or Word files, asking you to allow or deny some actions first. The help center lists AI Chat connectors for Google Drive, Gmail, Jira and Notion, managed on web or desktop only, and the pricing page lists AI Chat with those apps on the Enterprise card. The Salesforce connector is Enterprise.

The named agents sit higher. The Otter Sales Notetaker, which pulls BANT and MEDDIC details, competitor mentions and objections into CRM-ready notes, is an Enterprise feature, as are custom Insights. Live Assist gives private real-time coaching tips on Zoom, Meet, Teams or desktop-app calls, built with Agent Builder from a team's playbooks and SOPs. It is an Enterprise feature. Otter also announced a voice-activated Meeting Agent in March 2025. Enterprise admins can switch AI features off while recording and transcription continue.

## What Otter does with your conversations

Otter's privacy policy lists training its own AI on de-identified audio recordings and on transcriptions, which may contain personal information, and its privacy pages name no opt-out from that de-identified training. A separate Help improve Otter setting under Account Settings and Meetings decides whether Otter and third-party providers may access your conversations for training, including human review; choosing not to allow sharing removes access to past conversations as well. Enterprise workspaces are opted out of AI model training by default.[4]

When you ask AI Chat a question, the prompt and transcript go to third-party AI providers only then, and Otter says those providers neither store the data nor train on it. Its subprocessor list names Anthropic for AI features and OpenAI for evaluating Otter's models. Regulated data is a separate matter. HIPAA support exists only on Enterprise, as an add-on with a signed Business Associate Agreement, so Basic, Pro and Business are not for patient information.

## FAQ

**Does Otter's AI work in languages other than English?**

Otter transcribes English, Spanish, French, German, Japanese and Chinese (Simplified), with German and Chinese in beta, one language per recording chosen beforehand. The language setting also applies to the summary and Otter Chat, while the interface stays in English.

**Can Otter summarize a recording I already have?**

Yes. Imported audio and video files get an AI summary, action items and an outline automatically, and a template can be applied. Imports are capped at 3 files per user for the account's lifetime on Basic, 10 a month on Pro, and 6,000 imported minutes per user a month on Business and Enterprise.

**How long after an upload does the summary appear?**

Otter's help center says a 30-minute imported file has a transcript in about 4.5 to 6 minutes and an AI summary in about 5.5 to 7 minutes after upload.

**Does Otter's AI see what was shown on screen?**

Otter captures slides automatically in virtual meetings, and AI Chat can answer questions about captured screenshots. Otter does not record video itself; video replay for Zoom and Google Meet is an Enterprise feature.

## The bottom line

Otter.ai puts real AI on the free plan, but the quotas decide how far it goes: 20 chat queries and 5 template meetings per user on Basic will not carry a weekly meeting load. Pro raises chat to 50 queries a month and unlocks Advanced templates, which is where the summaries start matching how your team works. Business suits heavy askers at 200 queries a month. Whatever the plan, set auto-join and sharing before the first meeting, check every answer against its source, and use the MCP server to query transcripts from Claude or ChatGPT.
