# Otter.ai for Sales Teams: CRM Sync, Call Caps and Team Cost

Otter.ai covers a sales team's recorded calls on every plan, but the sales-specific pieces sit high on the price list. Summaries, action items and AI Chat work from free Basic, while synced notes to Salesforce or HubSpot start on Pro, for one user only.[1] Business raises that to five users and removes the monthly cap on meeting minutes. Enterprise, sold through sales with no published price, adds unlimited CRM users, field mapping, the Sales Notetaker and Live Assist coaching. For most teams the deciding number is that CRM limit: **a full 25-rep Business workspace syncs notes for only five reps.** Call volume settles the rest.

**5 users** — Cap on reps with synced Salesforce or HubSpot notes on Otter.ai Business, even in a 25-seat workspace; Enterprise removes it.

- **1 / 5 / unlimited** — CRM synced-notes users on Pro / Business / Enterprise
- **1,200 min** — Pro minutes per user a month, shared with imports
- **2 / 3** — Concurrent Notetakers on Pro / Business and Enterprise

## Before the call: the Notetaker, the buyer and consent

Once a rep connects a Google or Microsoft calendar, Otter Notetaker (formerly OtterPilot) joins every event with a Zoom, Microsoft Teams or Google Meet link by default. The buyer sees it. The bot joins as a visible guest named after the rep, posts a chat link to the live transcript soon after arriving, and posts a summary with action items just before the meeting ends; reps can switch both messages off while transcription continues. When an account executive and a sales engineer share a call, deduplication sends one Notetaker per workspace, and the organizer's takes priority.

Auto-share needs the same attention. Recordings from calendar events can go to all event guests, same-domain guests, workspace members or nobody, and guests get a summary email within two hours. Mailing internal notes about budget and objections to the buyer is an easy mistake to repeat on every call. Set the default audience to same-domain guests before the first external meeting, and remember that per-event settings override the account default.

> 💡 **Keep internal notes away from buyers:** Before the first prospect call, set Otter's default auto-share audience to same-domain guests so buyers do not get your notes by email; per-event settings still override it.

Consent stays with the seller. Otter's Terms leave the user solely responsible for recording notices and consent, and Otter's guide lists California, Florida and Illinois among places requiring every party's permission, so Otter advises all-party practices on every call. The visible Notetaker helps, but bot-free recording from the Mac or Windows desktop app shows the buyer nothing. On Enterprise, admins can enforce pre-recording emails that warn every calendar guest 5 to 10 minutes ahead, with disclaimer text that cannot be customized.

## Discovery calls and demos against the minute caps

Minutes decide the plan first. Basic gives 300 transcription minutes per user a month and shows only the first 30 minutes of any conversation, so one discovery call can outrun it. Pro gives 1,200 minutes per user a month, about 4.6 hours of calls a week, and caps each conversation at 90 minutes. Picture a rep running ten 30-minute discovery calls and four one-hour demos a week. That is 9 hours a week, about 2,340 minutes a month by our arithmetic, nearly double Pro's pool. Any rep recording more than roughly 4.6 hours a week outgrows Pro.

| Plan | Transcription minutes per user a month | Length per conversation | Concurrent Notetakers | Users with synced CRM notes |
|---|---|---|---|---|
| Basic | 300 | 30 minutes viewable | 1 | Not included |
| Pro | 1,200 | 90 minutes | 2 | 1 |
| Business | No cap on meeting minutes; imports 6,000 | 4 hours | 3 | 5 |
| Enterprise | No cap on meeting minutes; imports 6,000 | 4 hours | 3 | Unlimited |

On Basic and Pro the pool is shared across meetings, in-app recordings and imports, so dialer calls pulled in later drain it too. Minutes do not roll over, extra minutes cannot be bought, and deleting a conversation gives nothing back. Business removes the monthly cap on meeting and in-app recording minutes, though each conversation is still capped at 4 hours and imported files at 6,000 minutes per user a month. For a full-time closer, Pro works as a pilot. Business is the working floor.

Concurrency is the other limit, counting auto-joined and manually added Notetakers together. Back-to-back calls do not overlap, so a single rep rarely hits it. Managers do. A sales leader invited to several reps' overlapping calls, or a rep whose demo runs into the next slot, needs Business's three simultaneous meetings rather than Pro's two.

> ⚠ **Sync skips unknown contacts:** Otter auto-syncs a call to Salesforce or HubSpot only when it came from a calendar event with an external guest already in the CRM; manually exporting other calls is an Enterprise feature.

## After the call: summaries, follow-ups and the CRM

Every plan produces a summary, action items and an outline; for a 30-minute Notetaker recording the AI summary arrives 2.5 to 6 minutes after the meeting ends. Follow-up emails come from Otter AI Chat, which drafts them from the transcript, within a quota of 20 queries per user a month on Basic, 50 on Pro and 200 on Business and Enterprise. On Enterprise, the Sales Insights panel adds a button that opens Chat with a draft. Otter says it launched Work Mode in October 2026, and its sales page says Work Mode drafts personalized follow-ups.

Synced notes are where plans split hardest. Sync is automatic only for conversations recorded from a calendar event with at least one external guest whose contact already exists in the CRM.[2] Ad hoc calls and brand-new leads do not sync on their own. In Salesforce the note lands as a Task on the Contact, Opportunity or Lead, with participants, insights and a link; Otter needs Sales Cloud Enterprise, Unlimited or Developer Edition and does not support Sandbox orgs. In HubSpot, a conversation shows in a Deal's feed only if the Contact is linked to that Deal.

Enterprise changes how the CRM is run. An admin who is also a CRM admin can connect Salesforce or HubSpot once for the whole workspace, after which members cannot connect their own. Admins can map Otter Insights to custom text fields on Salesforce Opportunities or HubSpot Deals, choosing overwrite, write if empty, or append. Reps can export any conversation by hand from web or desktop, covering the ad hoc and phone calls that automatic sync skips. AI Chat with the Salesforce connector is Enterprise too. Our [Otter.ai integrations guide](/articles/otter-ai-integrations) covers the rest.

## Phone and dialer calls

Otter cannot record a phone call directly on a mobile phone, because Apple and Google restrict third-party apps, and a live Otter recording pauses when a call starts.[3] The workaround is to record with the phone's own recorder and import the file. Imports are capped, though: Basic allows 3 files per user for the account's lifetime, Pro 10 a month, and Business and Enterprise unlimited files within 6,000 imported minutes per user a month. Otter also says speaker identification on phone dial-ins currently defaults to generic labels.

Zoom Phone is cleaner. Each rep connects it individually, it imports only that rep's own recorded calls, and it needs a Zoom Phone licence with call recording on; Otter checks once a day, so a call can take up to 24 hours to appear, and recording announcements stay in Zoom Phone. Outreach works at team level: a workspace admin connects it, and every member's future Outreach calls flow into Otter. Otter's directory lists Zoom Phone, Salesloft and RingCentral with a Contact sales button. For softphones, the desktop app detects dialers such as Dialpad, Aircall and Talkdesk and can record without a bot.

> 💡 **Watch Pro's import cap:** Calls recorded on a handset reach Otter as imports, and Pro allows 10 imports per user a month, all drawing on its 1,200-minute monthly pool; Business allows unlimited files within 6,000 imported minutes per user a month.

## What only Enterprise adds: Sales Notetaker, Live Assist, SDR Agent

The Otter Sales Notetaker sits on the Enterprise card of the pricing page. It pulls budget, authority, need and timeline (BANT), MEDDIC signals, competitor mentions, objections and next steps out of calls, and Otter's sales page says reps can ask it questions mid-call with Hey Otter. Live Assist gives private, real-time coaching tips during Zoom, Meet, Teams or desktop-app calls, built with Agent Builder from a team's own playbooks. It is an Enterprise feature. The SDR Agent is a separate purchase through Otter sales: it runs live demos for website visitors, scores them against custom criteria and books meetings through Chili Piper or Calendly.

Otter's case study says MRI Software's 26-person sales engineering team saved $150,000 a year and 20 minutes per meeting, with ROI 2.5 weeks after a pilot that began on a free Business trial.[4] Aiden Technologies' VP of Sales estimates the team got 33% of its time back, the customer's own conservative estimate. Asset Panda, Otter's case study says, captured over 1,000 calls and queries them through AI Chat. Treat all three as vendor-published claims, not benchmarks.

## What 5 and 25 reps pay

Pro costs $16.99 per user a month billed monthly or $8.33 per user a month billed annually, and stops at five billed users. Five reps on Pro come to $41.65 a month billed annually ($499.80 a year) or $84.95 a month billed monthly, all by our arithmetic. Only one gets CRM sync. Business costs $19.99 per user a month billed annually or $30 per user a month billed monthly; first-time subscribers on monthly billing pay $24 a month for the first three months. Five reps on Business come to $99.95 a month billed annually ($1,199.40 a year) or $150 a month billed monthly.

At 25 reps, the Business ceiling, the bill is $499.75 a month billed annually ($5,997 a year) or $750 a month billed monthly ($9,000 a year, $8,550 in a first-time subscriber's first year). Only five of those reps get synced CRM notes, so a team that wants every call in Salesforce lands on Enterprise and a quote. On Business, annual billing wins from 8 months of use at the list rate, or 9 months for a first-time subscriber. The 7-day Business trial needs a card and converts automatically at the Business monthly rate for every seat unless an admin cancels. Under Otter's Terms, subscriptions are non-refundable; Otter documents narrow exceptions elsewhere; see our [Otter.ai pricing guide](/articles/otter-ai-pricing).

## FAQ

**Can Otter transcribe sales calls in languages other than English?**

Otter transcribes English, Spanish, French, German, Japanese and Chinese (Simplified), with German and Chinese in beta, one language per recording chosen beforehand. French can switch to English automatically; no other pair can.

**What happens to a rep's own Pro subscription when they join the team workspace?**

Otter says an invited member's own Pro subscription ends immediately when they join a paid workspace, with no automatic refund of the unused time.

**Does Otter record video of sales demos?**

No. Otter does not record video itself; Enterprise teams can attach Zoom or Google Meet recordings, but playback is not synced to the transcript and clips are not offered.

**How are reps added mid-cycle billed?**

Business seats are bought one per user; members added mid-cycle are charged pro rata, and removing a user may give a prorated credit with no cash value, depending on plan and contract, rather than a refund.

## The bottom line

Otter.ai suits a sales team that mainly wants every call captured, summarized and drafted into a follow-up, with CRM logging for a handful of reps. Business is the realistic plan for anyone with a full calendar, because Pro's pool runs dry at roughly 4.6 hours of calls a week and syncs one user. The sales layer itself, from BANT and MEDDIC fields to Live Assist and workspace-wide Salesforce mapping, sits on Enterprise. Get that quote before the trial converts.
