Otter.ai connects to more tools than its plan names suggest, but each integration sits behind its own gate. The **MCP server runs on every plan, including free Basic**, so Claude, ChatGPT, Cursor and Perplexity can search your transcripts without any key. Slack and calendar connections are on every plan too. Zapier and synced Salesforce or HubSpot notes start on Pro, which costs $16.99 per user a month billed monthly or $8.33 per user a month billed annually. Dropbox auto-sync starts on Business, and the Public API and workspace webhooks are Enterprise only, sold through sales with no published price.[1] Want meeting data inside an AI assistant? Start free. Want to write code against it? Budget for Enterprise.

**$0** — Lowest plan for the Otter MCP server: free Basic, so AI-assistant access needs no upgrade.

- **Every plan** — Otter MCP server, Basic included
- **10 a second** — Public API rate limit, Enterprise only
- **1 / 5 / unlimited** — CRM-sync users on Pro / Business / Enterprise

## Which Otter.ai integration needs which plan

| Integration | Lowest plan | What to know |
|---|---|---|
| MCP server (Claude, ChatGPT, Cursor, Perplexity) | Basic | OAuth sign-in, no API key |
| Slack app | Basic | Summaries, link unfurls, notifications |
| Google, Outlook online and iOS calendars | Basic | Notetaker auto-joins once connected |
| Zapier | Pro | API key under Developer, shown once |
| Salesforce or HubSpot synced notes | Pro | 1 user Pro, 5 Business, unlimited Enterprise |
| Dropbox auto-sync | Business | Files in Apps/Otter transcribe automatically |
| AI Chat connectors (Gmail, Google Drive, Notion, Jira) | Listed with Enterprise on the pricing page | Managed on web and desktop only |
| Public API and workspace webhooks | Enterprise | 10 requests a second |
| Workspace-wide CRM connection, field mapping | Enterprise | Admin-only setup |

The calendar is the first integration almost everyone connects, and it changes behavior immediately. Once a Google Calendar or Microsoft 365 Outlook calendar is linked (iOS Calendar works only in the iOS app), Otter Notetaker (formerly OtterPilot) auto-joins every event that carries a Zoom, Google Meet or Microsoft Teams link, and it can share notes with guests automatically. Only the primary calendar of each account syncs, and on-premises Exchange cannot connect. Set auto-join and auto-share before you link anything. Recording consent stays your responsibility under Otter's Terms.

Otter's own integrations directory marks most entries Contact sales, while Calendar, Google Meet, Teams, Outlook and Zoom carry a Start for free button. Read that label as a prompt to ask, not as the gate; the per-feature gates in the table come from Otter's pricing page and help center. One rule runs under every import route below: on Basic (300 minutes) and Pro (1,200 minutes), imported audio draws from the same monthly minute pool as your meetings, with no rollover and no extra minutes for sale, as our [Otter.ai pricing guide](/articles/otter-ai-pricing) explains.

> ⚠ **Otter API keys show once:** The Zapier key and the Enterprise Public API keys are displayed only when created; a lost key must be deleted and regenerated.

## Bring meetings into Claude, ChatGPT or Cursor through MCP

The MCP server is what most people searching for an Otter API actually want, and it is the most generous integration Otter offers.[2] It turns your Otter account into a source an AI assistant can query. Three tools are exposed: Get user info, Search, and Fetch, which retrieves a full meeting transcript. The assistant reaches the meetings you captured plus those shared with you in your workspace, and nothing outside your own permissions, because sign-in is OAuth scoped to each user. No API key exists for MCP.

Setup depends on the client:

- **Claude:** Otter is a verified connector in Claude since May 2026; you add it and sign in with OAuth.
- **ChatGPT:** Otter has been an approved app in the ChatGPT App Store since April 2026. Connect it in the web version; the desktop app cannot connect directly yet, but the connection carries over once it is made on the web.
- **Cursor and Perplexity:** Otter's help article walks through both.
- **Any other MCP client:** a generic JSON config pointing at the Otter server URL given in the same help article.

> 💡 **Connect ChatGPT on the web:** Otter's MCP connection to ChatGPT must be made in the web version; it then carries over to the ChatGPT desktop app.

Two details matter for teams. Otter says access is logged and transcripts are not copied into Claude, and Enterprise IT gets permission settings plus an audit log of data requests. The server also reads only what Otter holds, and Basic holds less: 300 minutes a month, 30 viewable minutes per conversation and the 25 most recent conversations in view. Heavy users will feel that. A Pro or Business archive gives the assistant far more to search.

## Automate on Pro with Zapier

Zapier is the automation route below Enterprise, available on every Pro, Business and Enterprise account.[3] You create an API key under Account Settings, then Developer, and paste it into Zapier. **The key is shown only once.** Lose it and you delete it and generate a new one. Otter supports two Zapier events: a New Recording trigger and an Import New Recordings action. Otter's help says Trello, ClickUp and Greenhouse connect this way, and Asana works through Zapier on Pro and above while the native Asana integration is reserved for Enterprise and configured by Otter's team.

The import action has a cost you will not see on an invoice. Files imported through Zapier must be under 5 GB, and they count against the monthly minute pool and the plan's recording limits. On Pro, ten imported one-hour recordings use 600 of the 1,200 monthly minutes, by our arithmetic, leaving 600 for every meeting that month. Otter also says building and fixing Zaps is the user's job, and support may not help with a specific setup. Treat Zapier as a dependable pipe, not a supported product.

> ⚠ **Imports drain the minute pool:** On Basic (300) and Pro (1,200 minutes per user a month), files imported through Zapier or Zoom Phone count against the same monthly pool as meetings, with no extra minutes for sale.

## Sync notes to Salesforce or HubSpot

Synced CRM notes are sold by headcount: 1 user on Pro, 5 on Business, unlimited on Enterprise. Auto-sync covers only conversations recorded from a calendar event that has at least one external guest whose contact already exists in the CRM; internal calls never sync on their own. In Salesforce, Otter creates a Task on the Contact, Opportunity or Lead with the conversation name, owner, date, participants, insights and a link. Salesforce needs Sales Cloud in Enterprise, Unlimited or Developer Edition, and Sandbox orgs are not supported. In HubSpot, a conversation appears in a Deal's feed only when the Contact is linked to that Deal.

Enterprise adds the admin layer. A workspace admin who is also a CRM admin can connect Salesforce or HubSpot for the whole workspace, after which members cannot connect their own accounts. Enterprise also allows manual export of any conversation, ad hoc recordings and phone calls included, from web and desktop only. Insights can be mapped to custom text fields on Salesforce Opportunities or HubSpot Deals, with write-if-empty, overwrite or append behavior. Disconnecting a CRM keeps everything already synced.

The plan math is simple. One rep fits on Pro. Two to five reps need Business, and moving a user from Pro to Business costs $11.66 more per user a month billed annually ($139.92 a year by our arithmetic), or $13.01 more per user a month billed monthly. Five users on Business billed annually come to $1,199.40 a year by our arithmetic. A sixth syncing rep means Enterprise, at a quoted price. Our [Otter.ai for sales teams](/articles/otter-ai-for-sales-teams) guide covers the Enterprise sales features.

## Slack, storage, phone and search connections

The Slack app works on every plan. A Post to Slack button sends a meeting summary to a channel (private channels need the Otter app added first), and recurring meetings can post automatically before and after each instance. Pasted Otter links unfurl with title, duration and summary for people who have access, and Slack carries notifications for access requests, assigned action items and comment mentions.

Storage connections split into one import route and several export routes. Dropbox, on Business and Enterprise only, transcribes any file dropped into the Apps/Otter folder, under 5 GB each, and exports TXT, DOCX, PDF or SRT back one conversation at a time. Google Drive (Google Docs or .txt), OneDrive (.docx, .txt or .md) and [Notion](/articles/notion-review) exports are manual by default, connected per member, web and desktop only, with no bulk export and no images; automatic export is switched on through the Otter account manager. SharePoint connects one site per workspace, also through the account manager. Edits made after an export need a manual Update.

The rest is narrower. Jira turns action items into issues with assignees, due dates and a link back. Outreach is connected by a workspace admin and then sends every member's future Outreach calls to Otter. Zoom Phone is connected per user, needs a Zoom Phone licence with call recording on, imports only calls recorded after connecting, can take up to 24 hours, and counts toward plan minutes. Otter says it is a native connector in Glean. The AI Chat connectors run the other way, letting Otter's own chat reach into your apps. Gmail, Google Drive, Notion and Jira are listed with Enterprise on the pricing page, Salesforce is an AI Chat connector for Enterprise users, and all of them are managed on web or desktop only.

## The Public API and webhooks on Enterprise

The Public API is open to every Enterprise workspace and to no other plan.[4] It covers channels and channel members, conversations, transcripts, audio, action items, insights, outlines, workspace details and usage analytics, which returns transcribed minutes, conversation counts, licence counts and per-member usage to workspace admins only. Requests authenticate with a Bearer key created under Integrations, then Developer. Each user can hold at most 2 keys, each shown once. **The rate limit is 10 requests a second**, with a 429 response beyond it, and list endpoints page through results 20 items at a time.

Workspace webhooks are set up by workspace admins under Manage Workspace, then Developer. They fire on two events, `conversation.completed` and `conversation.shared`, for the whole workspace or chosen channels, and the payload carries the summary, action items, insights, outline, transcript, calendar guests, owner and sharing details. A webhook cannot be edited; you recreate it. Failed deliveries are retried 2 more times. Only meetings shared to the workspace or the right channel before the meeting ends are sent. Otter recommends webhooks over polling for CRM or project-tool syncs.

> 💡 **Share before the meeting ends:** Otter's workspace webhooks (Enterprise) send a meeting only if it was shared to the workspace or the chosen channel before the meeting ended, so set auto-share first.

Super Admin APIs go further: approved Enterprise customers only, enabled by Otter on request, they list every conversation in a workspace, including ones never shared with the Super Admin. The organization must tell its users that this access exists. For buyers comparing developer access, Granola, which is outside our catalog, offers its API and webhooks from its Business plan.

## FAQ

**Does the Otter MCP server work with Google Gemini?**

Not the Gemini app: Otter says Gemini lacks MCP tool support. Otter notes that the Gemini CLI can connect to MCP servers.

**Can a Microsoft 365 admin approve Otter for the whole company?**

Yes. A Microsoft Entra Global Administrator or Application Administrator can grant tenant-wide consent; granting only sign-in permissions blocks calendar connections, and revoking permissions later can break existing calendar links.

**Does Otter integrate with Microsoft Dynamics?**

Otter lists a Dynamics integration, marked Contact sales in its directory, that syncs summaries with links back to the conversation into existing Dynamics records only; it does not create new records.

**Can Enterprise admins stop integrations from exporting data?**

Yes. Enterprise admins can block all conversation exports, which also blocks exports through connected integrations, and can disable file importing on web and desktop, including from Dropbox.

## The bottom line

Pick the integration by the job, then the plan follows. Getting transcripts into Claude or ChatGPT costs nothing extra, since the MCP server is on free Basic. Zapier pipes and one rep's CRM sync are the reasons to pay for Pro. Five synced reps and Dropbox auto-sync are the reasons for Business. Code against the Public API and webhooks only makes sense once Enterprise is already on the table. Check the minute pool before routing imports through any of them.
