---

Read AI and Otter.ai both send a visible bot into Zoom, Microsoft Teams and Google Meet, and both offer bot-free desktop apps, so the real split is what each one meters. Read AI counts **meeting reports**: its Free plan covers 5 a month, reports shared with you included, in meetings up to 1 hour, and every paid plan is unlimited. Otter counts **minutes**: its free Basic plan gives 300 a month and Pro gives 1,200. At the same billing term, Otter Pro at $8.33 undercuts Read AI Pro at $15 per user per month billed annually, while the next tier up sits within a few dollars. Pick Otter for light transcription with audio replay. Pick Read AI for heavy meeting loads.

**1,200 min** — Otter Pro's monthly cap per user; above it, Read AI Pro costs less than Otter Business on both billing terms.

- **5 vs 300** — Free: Read AI reports (shared ones count, meetings up to 1 h) vs Otter minutes a month
- **$15 vs $8.33** — Read AI Pro vs Otter Pro, per user a month billed annually
- **Free vs Enterprise** — Lowest plan with API access (Read AI's in open beta): Read AI vs Otter

## How each one gets into your meetings

Read AI's assistant joins as a participant named read.ai meeting notes and posts a chat notice naming the inviter. Anyone in the call can type Read stop, which ends recording but keeps a report, or Opt out, which deletes everything. Once you connect a calendar, the default is to join **every event** on it, including during the trial, and to send the recap to everyone with access. Zoom is the exception since November 2026: Read joins only if you have connected your Zoom account and are in the meeting. On Teams and Meet it can join without you.

Otter's Notetaker starts the same way. It auto-joins Zoom, Teams and Meet from a connected calendar by default and sits in the call as a visible participant. Anyone can remove it, and a stop otter message in the chat removes every Otter Notetaker at once. Off the bot, Read AI's desktop app for Windows and macOS records computer audio from any platform, but audio only: no video, no coaching, no speaker labels. Otter's desktop app runs on macOS 12.3 or later and Windows 10 or later, and both vendors ship iPhone and Android apps. Read AI's desktop and mobile capture is invisible to others: no chat notice, and the chat commands do not work there. You collect consent yourself.

> ⚠ **Otter's trial needs a card:** Otter's 7-day Business trial asks for a card and converts to Business at the monthly rate; Read AI's 7-day Enterprise trial, once per account, needs no card and falls back to Free.

## Reports versus minutes: what each plan covers

Read AI Free gives 5 meeting reports a month, and reports other people share with you count toward those five. Meetings can run up to 1 hour, and from the sixth report you get an Out of quota entry with no transcript. Otter Basic gives 300 transcription minutes per user a month in one pool across meetings, recordings and imports, but only the first 30 minutes of each conversation are viewable until you upgrade. Basic also stops at 20 AI Chat queries a month and the 25 most recent conversations, while Read AI's Ask Read search stays unlimited on Free.

| Allowance | Read AI | Otter.ai |
|---|---|---|
| Free plan meter | 5 meeting reports a month, shared ones included, meetings up to 1 h | 300 minutes per user a month |
| Per-meeting / per-conversation cap | Free 1 h · Pro and Enterprise 4 h · Enterprise+ (5+ licenses) 8 h | Pro 90 min · Business 4 h per conversation |
| Paid allowance | Unlimited reports on every paid plan | Pro 1,200 min a month · Business unlimited meeting minutes |
| Files you upload | Pro 100 · Enterprise 200 · Enterprise+ 300 min a month; Free includes no upload minutes | Basic 3 imports lifetime · Pro 10 a month · Business 6,000 min a month |

Meeting length decides the free tier. With 30-minute calls, 300 minutes cover 10 meetings a month in full, twice the free report count on the other side. With 1-hour calls, both free plans land at 5 meetings, but Otter shows only the first half of each while Read AI's reports cover the whole hour. On paid plans the gap flips. Otter Pro caps usage at 1,200 minutes a month and each conversation at 90 minutes, so a 2-hour workshop already needs Business. Every Read AI paid plan has unlimited reports, and Pro allows 4-hour meetings.

## Prices at the same billing term

> **About these prices:** Prices shown are what Read AI lists for visitors in the United States, in US dollars. Your price can differ by country, currency and local taxes such as VAT. Check your current price — Read AI: https://api.colosus.site/go/read-ai?to=pricing

Both vendors charge per user per month and discount annual billing, so compare like with like. Billed annually, Read AI Pro costs $15 per user per month [1] against $8.33 for Otter Pro, a gap of $6.67 a month, or $180 against $99.96 a year by our arithmetic. Billed monthly, the pair is $19.75 against $16.99 per user per month, or $237 against $203.88 a year by our arithmetic. One step up, Read AI Enterprise at $22.50 per user per month billed annually faces Otter Business at $19.99. Billed monthly, Read AI Enterprise at $29.75 per user per month sits $0.25 below Otter Business at its $30 list price.

For five people billed annually, the totals by our arithmetic are $900 a year for Read AI Pro versus $499.80 for Otter Pro, and $1,350 for Read AI Enterprise versus $1,199.40 for Otter Business. Team size changes the picture. Otter Pro stops at 5 billed users and Business at 25. Read AI requires a license for every Workspace member, all on the same plan, and keeps Free users out of Workspaces, while Otter Basic allows a workspace of up to 5 members.

The fair comparison is the cheapest plan that fits your volume. Anyone recording more than 1,200 minutes a month, or running meetings over 90 minutes, has outgrown Otter Pro and needs Business. Against that, Read AI Pro costs $4.99 less per user per month billed annually ($15 versus $19.99) and $10.25 less billed monthly ($19.75 versus $30). Below that volume, Otter Pro stays cheaper on both terms. One catch remains. Read AI Pro has no audio replay, which Otter includes on every plan.

Read AI gives every new account 7 days of Enterprise, once per account, with no card, then moves it to Free automatically. Otter's 7-day Business trial needs a card and converts to Business at the monthly rate. First-time subscribers on monthly Otter Business are offered $24 per user per month for the first 3 months, an offer rather than the price. Read AI does not offer refunds, and access runs to the end of the billing period [2]. Otter's Terms make subscriptions non-refundable, and you must cancel at least 24 hours before renewal.

> 💡 **Price the plan your hours need:** If you record more than 1,200 minutes a month or run meetings over 90 minutes, compare Read AI Pro with Otter Business, not with Otter Pro.

## Playback, exports and languages

Otter's cheaper tiers do more here. Otter plays back recorded audio on every plan, at 1x speed on Basic and at full speeds from Pro. Read AI keeps audio and video playback, highlights and .mp4 downloads for Enterprise and Enterprise+, while Pro gets reports and transcripts as .txt files [3]. Otter exports mp3 and txt on Basic, adds pdf, docx and srt from Pro, and bulk export on Business. Video runs the other way: Otter does not record video itself and replays Zoom and Meet video only on Enterprise.

Read AI's reports are built for structure. Chapters, action items, key questions and talk-time, sentiment and engagement metrics come on every plan, plus a private Meeting Coach for each attendee who has a Read account. Languages split the two further. Otter transcribes English, Spanish, French, German, Japanese and Simplified Chinese, with German and Chinese in beta, one language per conversation. Read AI covers more than 20 languages, and its help center lists 35, though it detects the main spoken language and does not fully support meetings that mix languages.

> 💡 **Watch reports shared with you:** On Read AI Free, reports colleagues share with you count toward the 5 a month, and meetings stop at 1 hour, so a busy team can use up your quota before you record.

## Integrations, API and the compliance gates

Builders get more from Read AI's free plan. Its REST API and MCP server, both in open beta, work on every plan including Free, and Slack works on Free too, while Notion, Salesforce, HubSpot, Jira, [Confluence](https://api.colosus.site/m/confluence), Zapier and webhooks need Pro. Otter puts Slack, the Chrome extension and its MCP server on every plan, Zapier from Pro, and Salesforce or HubSpot for 1 user on Pro or 5 on Business. Otter's Public API and webhooks are Enterprise only. Both offer an MCP server on every plan, but the API is free on one side and a sales call on the other.

Regulated teams face very different thresholds. Read AI signs a HIPAA BAA only on Enterprise+ billed annually, which requires at least 5 licenses and needs SAML and domain capture set up first [4]. Otter offers HIPAA only as an Enterprise add-on with a BAA, priced by quote. Single sign-on differs too: Read AI puts SAML SSO and SCIM on Enterprise+, which requires 5+ licenses, while Otter's SSO and SCIM need Enterprise with a 100-user minimum licence. For a 10-person practice, that matters.

## Which one should you pick

Pick Otter if you are one person, or up to five, transcribing under 1,200 minutes a month in meetings shorter than 90 minutes, and you want audio replay or docx and srt files. Its limits show at scale: no API below Enterprise, SSO only from 100 users, six languages. Our [Otter.ai review](/articles/otter-ai-review) and [Otter.ai pricing guide](/articles/otter-ai-pricing) cover that side plan by plan, and [Fireflies vs Otter.ai](/articles/fireflies-vs-otter-ai) adds a third option.

Pick Read AI if meetings are your heavy load: unlimited reports on every paid plan, 4-hour meetings on Pro, coaching metrics and more languages. It also suits builders, since the API works on Free in open beta, and regulated teams of five or more that want a BAA at a published price rather than Otter's quote-only Enterprise add-on, or SSO without Otter's 100-user minimum. Budget for Enterprise if replay matters. Then narrow Auto-Join Preferences to meetings you host or internal ones only, because the all-events default is behind the uninvited-assistant complaints.

Read AI's mobile apps rate well in the stores, but its Trustpilot page works as a complaint map rather than a trend: an assistant that shows up uninvited, invitations that feel like spam, accounts that are hard to delete, login trouble, support and billing. The uninvited-assistant and spam themes trace back to default auto-join and recap sharing. Turning Read off for yourself does not stop other attendees from bringing their own Read assistant. Otter's Notetaker also joins by default, so set its calendar options on day one.

> ⚠ **Both bots auto-join by default:** Read AI joins every event on a connected calendar and sends recaps to everyone with access; Otter's Notetaker also auto-joins from a connected calendar. Change Read's Auto-Join Preferences and Otter's calendar options before your first busy week; in a call, Read stop or Opt out in the chat ends Read's recording, though other attendees may still bring their own Read.

## FAQ

**Does either one use my meetings to train AI?**

Read AI says meeting content is not used to train its models unless you opt in to its Customer Experience Program, which is off by default. Otter trains its own models on de-identified data, with Enterprise opted out by default.

**Is there a student discount on either?**

Read AI sells EDU at $60 a year and EDU + Video at $100 a year per license, billed annually only, to .edu users, without Workspaces or premium integrations. Otter gives .edu students and teachers 20% off Pro: $6.67 a month billed $79.99 annually, or $13.59 a month billed monthly.

**What happens when a meeting runs past Read AI's length limit?**

Read leaves the meeting at the plan's maximum (1 hour on Free, 4 hours on Pro and Enterprise, 8 hours on Enterprise+, which requires 5+ licenses) and builds the report from what it recorded up to then.

**Does cancelling a paid Read AI plan stop the assistant joining?**

No. Cancelling only moves you to Free; to stop it, change Auto-Join Preferences, type Read stop or Opt out in the meeting chat, disconnect your calendars or delete the account. Other attendees may still bring their own Read.

## The bottom line

Otter is the cheaper choice for light transcription, and it keeps audio replay and richer exports on its low tiers. Read AI costs more per seat at the entry level but stops metering once you pay, handles longer meetings, opens its API on Free and offers HIPAA from five annual Enterprise+ licenses. Decide by your monthly recording volume. Under 1,200 minutes of short calls, Otter Pro wins on price. Above that, or with meetings longer than 90 minutes, Read AI Pro undercuts Otter Business on both billing terms.
