**$10** — Basic per user a month billed annually, enough for most solo podcast hosts.

- **$10/user/mo** — Basic, billed annually
- **1 booking** — then a single-use link archives itself
- **Email only** — reminders; no native SMS

## Why booking guests is its own scheduling problem

A podcast host books people who owe them nothing. Guests are busy, often senior, sometimes in another country, and they are doing the show a favor. That changes what a scheduling tool has to do. It has to make the first reply easy, collect the details the episode needs, open the right recording room and get the guest there on time, all without a dozen emails. SavvyCal pitches its podcasting page on exactly that promise: automate guest scheduling while the host stays in control of the calendar. **The tool fits this job better than most**, and the reasons sit in a few specific features.

This guide follows the host's process in order: inviting a guest, collecting their details, choosing the recording room, reminding them, adding co-hosts, and handling time zones. Then it covers what SavvyCal does not do and which plan to buy. Everything here comes from SavvyCal's pricing page, help center, changelog and blog, which we read and compared in October 2026. One social proof point is worth noting up front. Jay Clouse, host of Creative Elements, appears on the podcasting page saying he relied on Calendly for years before he switched. That is a testimonial, not a test, but it shows who SavvyCal is courting.

## Inviting guests without the back-and-forth

### The overlay answers the first question

The first friction in any guest booking is the guest's own calendar. Most booking pages show a list of open slots and leave the guest to cross-check them in another tab. SavvyCal's booking page uses a week view, and the guest can **overlay their own calendar on top of yours** to see where the two of you are both free. The guest does not need a paid account to do it; overlaying and being a guest are free. For a busy executive or author, that removes the step where they say they will check and get back to you. Hosts can also present ranked availability, which puts your preferred recording windows first while leaving other open times bookable.

### Personalized and single-use links

Two link features matter most for outreach. A **personalized link** lets you customize every property of a link for one recipient and prefill their name and email, so the guest lands on a page that already knows who they are. The query string can also prefill a phone number, a starting date, a time zone and answers to your custom questions [43]. A **single-use link** can be booked only once and archives itself after use. That suits a high-profile guest whose invitation should not be forwarded to a publicist's whole team. One link can also offer several durations, so a guest can pick a short interview or a long one.

### What SavvyCal's own advice says about outreach

SavvyCal publishes a guide to booking podcast guests. It is a guest post dated December 2021 by Craig Hewitt of Castos, and it walks through account setup, link settings, the SquadCast connection and outreach emails. Treat its pricing details as outdated; the pricing page has changed since. SavvyCal's Chrome extension page adds a shorter piece of advice for podcasters: make sure guests have recording instructions ahead of time, then follow up with publishing information after the episode. That advice maps neatly onto the workflows covered below. The extension itself, which works in Chrome, Edge and Brave, lets you copy or insert a link or a snippet of proposed times straight into Gmail or any web page.

> 💡 **Personalize every guest invitation:** Prefill the guest's name and email and make the link single-use, so a high-profile guest lands on a page that knows them and the invite cannot be passed around.

## Collecting guest details with booking questions

By default SavvyCal asks the guest for only a name and an email. For a show, that is not enough. You probably want a short bio, the correct pronunciation of a name, a website, social handles and the topic the guest wants to cover. **Custom questions** handle this. They come in long text, short text, checkboxes, radio buttons, select menus, URL fields and a hidden type that is filled only through prefill. A phone field can be shown as optional or always required, which helps when a backup line matters for a remote recording.

The answers do not get lost in an inbox. SavvyCal shows them on the event page, in the calendar invite and in the confirmation email, so the bio is right there when you open the event before recording. Event names can also be built from a template that pulls in the guest's name and their answers, which makes a busy recording calendar easier to scan. When you plan a season, you can export upcoming, past and canceled events to CSV, including the guest's email, phone and every custom answer. That export is a simple way to build a guest list for show notes or a production spreadsheet.

If you take pitches from strangers, two more settings help. A link can require your approval before an event is confirmed; the slot is held as tentative and nothing lands on your calendar until you approve. Declining notifies the person who booked. Frequency limits cap recordings per day, week or month, either on one link or across all your links, so a burst of bookings cannot fill a whole week of recording time.

## Sending guests to the recording room

### SquadCast, built in

SquadCast is the one podcasting integration SavvyCal lists. When a guest books, the integration **creates a unique recording session** and attaches it to the calendar invite [69]. The changelog announced it in late 2021. For a host who records on SquadCast, this removes a manual step from every booking: no copying a room link into an email, no risk of sending last week's session to this week's guest. The integration directory places SquadCast in its own podcasting category, which says something about how few specialist tools SavvyCal connects to. We found no other dedicated podcast recording platform in its integration lists.

### Zoom, Google Meet, Teams and Whereby

Many shows record on general video tools, and SavvyCal covers the common ones. With Zoom as the location, each booking gets a scheduled meeting with its own ID; SavvyCal's help center advises turning off the personal meeting ID setting in Zoom so that this works, and explains how waiting rooms interact with auto-generated passcodes. Google Meet adds a Meet link through Google Calendar, which requires that the link creates events on a Google Calendar with Meet enabled. Microsoft Teams and Whereby are also native, and a Whereby room URL stays private until someone books. A link can offer more than one location, so a guest who cannot install anything can pick a browser-based option.

## Reminders and prep: email workflows only

Guests forget. SavvyCal's answer is **Workflows**, which send emails at set times around an event. A rule can fire when an event is created, when it starts or when it ends, offset before or after by minutes, hours or days. Actions either send a custom email or trigger an automation. Emails use templates with dynamic fields, so a single prep email can greet each guest by name, show the time in their own time zone and include the recording link. Workflow emails can also go to extra addresses, which lets a producer or editor get a copy, and a finished workflow can be duplicated for a second show.

A practical sequence for a podcast follows SavvyCal's own advice. Send recording instructions shortly after booking, a reminder the day before, and a thank-you with publishing details after the episode ends. There is one more reason to send at least one reminder. Since Google's anti-spam changes in 2023, Google adds an invite to an attendee's calendar automatically only when the sender has communicated with them before, and that affects every scheduling tool [23]. Guests are often strangers, so **a reminder email is the safety net**, and SavvyCal recommends one for that reason.

> ⚠ **Guest invites may not auto-appear:** Google only auto-adds invites from senders the guest has talked to before, so set at least one reminder email in Workflows; there is no native text reminder.

The limit is the channel. Workflows send email only. There are no native text reminders, and SavvyCal's own suggestion for texting is to route it through Zapier, which is a separate tool and a separate setup. You can still require a phone number on every booking, so the data is there. The texting is not. Hosts who rely on a text the morning of a recording will need that extra piece, and someone has to maintain it.

## Co-hosts, producers and time zones

### Booking with a co-host

A show with two hosts needs a time that works for both, plus the guest. A **collective link** offers only the slots where you and every included person are free, and adds them to the invite automatically. Since March 2023 a collective link can include people outside your team, who are invited to share their availability; external people can share availability and join as guests without a paid account. A producer who must be on the invite but should not block times can be marked optional, which invites them while ignoring their busy calendar. If a co-host is also a SavvyCal user, each person's default availability is factored into the combined view.

### Guests in other time zones

Time zones come up often with remote interviews. Booking pages detect the visitor's language, but only English, French and Dutch are supported, which matters little for an English-language show and more for a multilingual one. For a traveling host, SavvyCal can schedule a future time zone change so that your availability shifts automatically when you move. Reminder emails can render the time in the guest's zone through template filters. When a group of guests must agree, such as a panel episode, **meeting polls** let several people vote on proposed times in their own zones, and polls are free to create.

Late changes are the other time problem. A per-link lock added in May 2026 stops guests from rescheduling or canceling inside a window from 15 minutes to a week before the event. That protects a recording slot your co-host or editor has already planned around. The lock binds only the guest. The host can still move the recording at any time, or send a reschedule request asking the guest to choose a new slot.

## Where SavvyCal falls short for a show

The gaps are clear, and a podcaster should weigh them before buying. **There is no native mobile app** for iOS or Android, so managing bookings on the road happens in a phone browser. There are no SMS reminders. There are no AI features, such as automatic guest research or prep notes. Booking pages speak only three languages. Beyond SquadCast, we found no built-in link to podcast hosting or recording platforms, so anything else runs through Zapier or webhooks.

The company is small. It is an indie business from Minneapolis led by Derrick Reimer, with a company page that lists him and two support staff. Support is by email, Monday to Friday from 9am to 5pm US Central, with replies within 24 hours. The public changelog has slowed from dozens of entries a year in 2021 to a handful in 2025 and 2026. Public reviews are also too few to judge it by. None of that breaks a guest booking workflow, but it matters if you need help fast on a recording day.

> 💡 **Lock last-minute guest changes:** A per-link setting stops guests from rescheduling or canceling from 15 minutes up to a week before the recording, while you can still move it.

## Which plan a podcaster needs, and what it costs

SavvyCal has no free scheduling plan. You can create an account and run meeting polls for free, and guests never pay, but **your own booking links need a paid plan**. **Basic** costs $12 per user a month billed monthly or $10 billed annually, which is $120 per user a year [1]. It includes everything in this guide except paid bookings: unlimited links, collective links, personalized and single-use links, custom questions, ranked availability, the browser extension, email workflows and the conferencing integrations. **Premium** costs $20 billed monthly or $17 billed annually, which is $204 per user a year.

Premium is worth it for a show in three cases. It adds sender profiles, which send SavvyCal's emails from your own domain instead of SavvyCal's address; a guest who sees your show's domain is more likely to trust the message. It adds delegated access, so a producer or assistant can manage your links and availability. And it adds paid bookings through Stripe, for shows that charge for a slot, plus custom domains and the removal of SavvyCal branding. Two co-hosts who both need links on Basic pay $240 a year on annual billing, by our arithmetic. A co-host who only shares availability on your collective link does not need a seat.

There is a 30-day money-back guarantee, and students, educators and non-profits can ask support for 25% off. Cancel later and your links are deactivated, but your data stays. Start small. A solo host rarely needs more than Basic, and you can upgrade when a producer joins. For a full breakdown of both plans see our [SavvyCal pricing guide](/articles/savvycal-pricing), and for setup from scratch see [how to use SavvyCal](/articles/how-to-use-savvycal).

**Do podcast guests need a SavvyCal account?**

No. Guests book for free and can overlay their own calendar on your link; only the host who owns the links needs a paid plan.

**Can SavvyCal send text reminders to guests?**

Not natively. Workflows send email only, and SavvyCal suggests texting through Zapier instead.

**Can I book a guest with a co-host?**

Yes. A collective link shows only times that work for everyone included, and people outside your team can be invited to share their availability without a paid account.

**Which SavvyCal plan does a podcaster need?**

Basic covers guest booking, custom questions, workflows and SquadCast. Premium adds sending emails from your own domain, delegated access for an assistant, paid bookings through Stripe and custom domains.

**Is there a SavvyCal mobile app?**

No. There is no native iOS or Android app; there is a browser extension for Chrome, Edge and Brave.

## The bottom line

SavvyCal is a strong fit for a podcast host who books outside guests by email and records on SquadCast, Zoom or Google Meet. The overlay, personalized and single-use links, and custom questions solve the real friction of guest booking, and Basic covers almost all of it at $10 per user a month billed annually. Shows that need text reminders, a phone app or deep links into podcast hosting tools should look elsewhere. Buy Premium only if your guests should see emails from your own domain or a producer runs your calendar.
