**$600** — A year for five reps on Basic billed annually, by our arithmetic (5 x $10 x 12).

- **$10/user/mo** — Basic billed annually, round robin included
- **2 CRMs** — HubSpot and Close; no Salesforce
- **Email only** — Workflow reminders and follow-ups, no SMS

## What SavvyCal offers a sales team, and where it stops

SavvyCal pitches its sales page at three jobs: booking more demos, following up with prospects and automating the sales process. The tools behind that pitch are round robin links, two CRM integrations (HubSpot and Close), Zapier, and email workflows. Everything a rep needs for that work sits on the Basic plan, which costs $12 per user a month billed monthly, or $10 per user a month billed annually [1]. There is no free scheduling plan. A free account can be set up and can run meeting polls, but links only go live for prospects once you pay.

The product was built around the person receiving the link, so its best features soften the moment when a rep asks a stranger for a meeting. That makes it strong for outbound and warm follow-up. It is weaker at the inbound side that larger revenue teams care about, because it has no routing forms, no Salesforce connection and no SMS reminders. This guide follows a rep's day, then covers plan choice, cost and SavvyCal's own rival comparisons.

## Outreach links that feel personal

Cold and warm outreach is where SavvyCal does its best work. A standard link is shared and reused, but a **personalized link** lets a rep customize every property of a link for one recipient, including the title, description and availability, and prefill that person's name and email. The query string can carry the same details, plus phone, a starting date, a time zone and answers to custom questions. A prospect who clicks lands on a page that already knows who they are. That small courtesy matters when the first message is unsolicited.

### The overlay and ranked times

The second feature is the calendar overlay. Recipients can overlay their own calendar on the booking page and see their events next to the rep's open times, instead of flipping between tabs. Overlaying is free for the recipient, so a prospect never needs an account. SavvyCal's sales article frames it as a way to find mutual availability quickly. On the rep's side, ranked availability presents preferred windows in order of preference, and optimized availability can encourage bookings at preferred times of day or clustered near other meetings. Reps who protect focus blocks for prospecting will like that.

### Proposed times and the Chrome extension

Some prospects will not click a scheduling link at all. For them, SavvyCal can generate a text snippet of proposed times from a link's availability, which the recipient can act on in two clicks. The Chrome extension brings this into the inbox. It gives one-click access to links from any page and can copy or insert a link, or a proposed-times snippet, inside Gmail. It also works in Edge and Brave. By default it has no access to page contents and only runs code when you click Insert. Security reviewers will ask about that.

## Demo round robin: evenness, availability and priority

Round robin is the feature most sales managers will evaluate first. A round robin link shows the combined availability of a pool and assigns one person as organizer, and the help center recommends it for sales calls and product demos spread across a group [62]. SavvyCal claims setup takes 15 minutes or less, with as many team members as you like. Each member can set custom availability for a given round robin link or fall back to their default work hours. Every pool member needs a paid seat.

### Two distribution modes

There are two ways to assign the meeting. **Optimize for availability** picks the next eligible organizer who is free, which the vendor's pages describe as random selection. **Optimize for evenness** cycles through the pool so meetings are spread equally. SavvyCal's sales article says the evenness option keeps any single salesperson from being swamped with back-to-back calls. Older marketing pages still describe round robin as purely random, so read the settings rather than the copy. For a team paid on booked demos, evenness is usually the fairer default.

### Priority and fallbacks

Priority adds a layer on top. Pool members can be given a priority so a subset is preferred ahead of the rest, and everyone starts at priority 1. The help center gives the sales use case directly: send demo bookings to salespeople first and fall back to a support team member when no rep is free. One catch applies. Priority works only in the optimize-for-availability mode, not in the evenness mode, so you choose between strict fairness and a ranked pool. Specific attendees can also be excluded from the pool and always invited, which suits a sales engineer who joins every demo.

> 💡 **Use evenness for commission fairness:** Optimize for evenness cycles demos through the pool equally. Switch to optimize for availability only if you need priority, because priority works only in that mode.

## HubSpot and Close: what syncs and what does not

SavvyCal connects to two CRMs, and the integrations directory lists no others. The HubSpot integration creates contacts and records meeting activities whenever someone books, on the links you choose, and it can be personal or shared with teammates [29]. Bookings can be tied to a specific HubSpot meeting type for custom reports. That covers the basics. The limits are worth reading before you rely on the sync for pipeline reporting, because several of them affect ownership and duplicates.

### The HubSpot limits

For contacts that already exist in HubSpot, SavvyCal does not update contact properties or the contact owner. If a rep's SavvyCal email differs from their HubSpot user email, new contacts land with the owner set to unassigned. SavvyCal meetings do not appear in HubSpot's own Meetings tool. Canceled meetings get a Canceled prefix, and activities are never deleted. Duplicate events can appear when HubSpot's calendar sync is also switched on; one fix the help center offers is turning off meeting activity recording in SavvyCal. **Match every rep's email in both systems** before launch.

### Close

The Close integration creates a lead or contact and a custom SavvyCal activity for each booking, on links where it is enabled. The changelog describes it as tracking lead activity when someone books. The custom activity only shows on Close plans that allow Custom Activities, which the help center places at Close's Basic plan or higher. Teams on a lower Close plan should check that first. Beyond these two, SavvyCal relies on Zapier, with triggers for new, rescheduled and canceled events, plus webhooks and the API. See our [SavvyCal integrations guide](/articles/savvycal-integrations) for the full list.

> 💡 **Match rep emails in HubSpot:** If a rep's SavvyCal email differs from their HubSpot user email, new contacts get an unassigned owner, so align both before launch.

## Follow-up workflows, by email only

Workflows are SavvyCal's automation layer. They fire at five points in a meeting's life: after it is scheduled, before it starts, after it starts, before it ends and after it ends. Each workflow can hold several actions, can be attached to many links and can be set to attach itself to new links automatically. Emails use Liquid templates with filters for dates and time zones, so a reminder can name the prospect, the meeting and the local time. Workflow emails can also go to extra addresses, which lets a rep copy a manager or a sales engineer on each booking.

The important limit is the channel. **Workflows send email only.** The workflow documentation describes reminders and follow-ups by email and never mentions SMS, and the changelog suggests texting through Zapier rather than a native feature. For sales, that means no text nudge an hour before a demo. SavvyCal also recommends at least one reminder email to cut no-shows, because Google only auto-adds an invite to an attendee's calendar if the sender has emailed that person before, a rule that affects every scheduling tool. Since July 2026, workflows can be duplicated with their rules and actions and reassigned to another person or team.

## Single-use links, limits and booking for others

Single-use links suit a specific sales moment. A single-use link can be booked once and is archived automatically afterward, so a link sent to one prospect cannot be forwarded around their company and booked twice. Pair it with a personalized link for a high-value account and the invitation becomes a one-off. Links can also be paused, archived or deleted as campaigns end, and each link shows how many times it was used and a filtered history of its events.

Several controls protect a rep's calendar. Frequency limits cap meetings per day, week or month, and SavvyCal's sales article recommends a minimum notice of 3 to 12 hours before a new meeting can be booked. A link can require host approval, holding the slot as tentative until the rep accepts. Since May 2026, a per-link lock stops prospects from rescheduling or canceling inside a window from 15 minutes up to a week before the call, while the host can still change it. Admins and assistants can book on a rep's behalf, and a Book again button on an event page books the follow-up without hunting for the original link.

> ⚠ **No routing forms or Salesforce:** Round robin cannot qualify a lead before assigning it, and the CRM list stops at HubSpot and Close.

## Putting a demo page on your website

Inbound demos usually start on a pricing or contact page. SavvyCal's JavaScript embed renders a link inline or opens it as a pop-up from a hyperlink, a floating button or your own code, and website embedding is included on both plans. Embeds can prefill the visitor's email, name, phone and custom question answers, which helps when the visitor has just filled in a form. When someone books through an embedded page, the embed dispatches a window event your analytics can record as a conversion.

Attribution carries through the booking. UTM parameters appended to a scheduling link are stored in the event's metadata and exposed through webhooks, the REST API and Zapier, so marketing can tie a demo back to a campaign. A link can also redirect to a custom confirmation page, appending details such as the email, start time and event URL. What the embed cannot do is qualify the visitor first. There is no form that asks company size and then picks the right rep, which leads to the gaps below.

## What is missing for sales teams

Three gaps matter most. First, **there are no routing forms**. A round robin link spreads demos across a pool, but it cannot read a form answer and send an enterprise lead to one rep and a small account to another. Second, there is no Salesforce integration; the directory lists only HubSpot and Close under CRM. Third, reminders go by email only, with no native SMS. SavvyCal also has no native iOS or Android app, no AI features and no SSO or SAML, which larger sales organizations often require.

The rivals in our dataset handle these differently. Calendly lists routing forms and Salesforce sync on its Teams plan, with Salesforce lookup routing on Enterprise. Cal.com lists two-way Salesforce and HubSpot sync even on its free plan, routing forms on Teams, and SMS in its workflows. TidyCal, like SavvyCal, has no routing forms and no built-in Salesforce. If your inbound process depends on qualifying and routing leads before they book, SavvyCal is the wrong tool. If reps mostly send links, it fits.

## Plan choice and a five-rep cost example

Most sales teams will land on Basic. It includes round robin, collective and group modes, the CRM integrations, workflows, the Chrome extension, website embedding, Zapier, the API and webhooks, and ranked availability. Premium costs $20 per user a month billed monthly, or $17 billed annually, and adds custom domains, custom sending domains, removal of SavvyCal branding, delegated access for assistants and paid bookings through Stripe. A sales team rarely needs paid bookings. A custom domain or sending domain is the usual reason to upgrade.

Take a team of five reps in one round robin pool. By our arithmetic, Basic costs 5 × $10 × 12 = $600 a year billed annually, or 5 × $12 × 12 = $720 a year billed monthly. Premium costs 5 × $17 × 12 = $1,020 a year billed annually. Teammates invited to a team are added as seats automatically and removed when they leave, and the same person in several teams of one organization is not charged twice. A support teammate used as a priority fallback also needs a seat, because joining a round robin pool requires a paid account. For team setup details, see our [SavvyCal team scheduling guide](/articles/savvycal-team-scheduling).

| Seats on annual billing | Basic | Premium |
|---|---|---|
| Per user, per month | $10 | $17 |
| Five reps, per year | $600 | $1,020 |

## How SavvyCal compares itself with Chili Piper and HubSpot

SavvyCal publishes its own comparison pages, and both are undated, so treat them as the vendor's view rather than a current audit. The Chili Piper page argues that Chili Piper works closely in tandem with Salesforce, leaving teams outside Salesforce with little reason to adopt it [374]. It also says SavvyCal has no minimum license requirement, so a team of any size can buy seats one at a time. It points to adding attendees so proposed slots avoid their conflicts.

The HubSpot page targets HubSpot's built-in scheduler. SavvyCal claims HubSpot's reminder emails cannot be edited and are capped at three, and that suggested times need a new scheduling link each time and do not work in plain-text emails. SavvyCal contrasts that with reminders sent from your own email address on custom schedules. These are a competitor's claims, so verify them against HubSpot's current documentation. The honest reading is narrow: SavvyCal is a cheaper, friendlier link tool, not a lead-routing platform.

## FAQ

**Is SavvyCal good for sales teams?**

It suits outbound teams that send links: personalized and single-use links, the calendar overlay, ranked times and round robin are all on Basic. It lacks routing forms, Salesforce and SMS reminders.

**Does SavvyCal integrate with Salesforce?**

No. The integrations directory lists only HubSpot and Close under CRM; other systems need Zapier, webhooks or the API.

**How does SavvyCal round robin distribute demos?**

You choose between optimizing for availability, which picks the next eligible free organizer, and optimizing for evenness, which cycles through the pool equally. Priority ordering works only in the availability mode.

**What does the SavvyCal HubSpot integration sync?**

It creates contacts and logs meeting activities when someone books on links you choose. It does not update existing contact properties or owners, and the meetings do not appear in HubSpot's Meetings tool.

**Can SavvyCal send SMS reminders to prospects?**

No. Workflows send email only; SavvyCal suggests texting through Zapier instead.

**How much does SavvyCal cost for a sales team of five?**

On Basic, $600 a year billed annually or $720 billed monthly, by our arithmetic. Premium billed annually comes to $1,020 a year.

## The bottom line

SavvyCal suits sales teams whose day is built on outreach: reps who send links in cold and warm emails, want prospects to see their own calendar on the booking page, and need demos spread evenly across a small pool. Personalized and single-use links, ranked times, the Chrome extension and evenness-based round robin all serve that well, and Basic covers them. The gaps are clear. There are no routing forms, no Salesforce, no SMS reminders, and the HubSpot sync leaves owners and existing contacts alone. Teams that qualify and route inbound leads should look elsewhere; link-sending teams will find it fair value.
