# SavvyCal Team Scheduling: Round Robin, Collective Links and Seats

> How SavvyCal handles teams: seat billing, collective links with optional attendees, round robin modes and priorities, group mode, delegation and the limits.

**$600** — A year for five Basic seats on annual billing, round robin included, by our arithmetic.

- **3 modes** — Collective, round robin and group
- **2 strategies** — Round robin by availability or evenness
- **$0** — For outside colleagues sharing availability

## How teams and organizations fit together

SavvyCal's team model has two layers. An **organization** is the billing subscription, and it is created automatically the moment someone starts a paid plan. Teams live inside it. A team gives a group of people shared links under a team address, such as savvycal.com/my-company, with the team's own branding settings, and an index page where visitors pick the link they need. Creating teams costs nothing extra in itself [47]. What costs money is people. Every teammate you invite is charged as a seat to the organization that owns the team, and billing adjusts on its own as members join.

Teammates inherit the paid account's permissions, so they can build and use links on the team without a separate subscription. To create teams of their own, though, they need their own paid plan. Usernames follow the same logic. When someone joins an organization, their username becomes tied to it, and the owner and admins can manage the links under it and see their event history. That is reasonable for employees. For a freelancer joining a client's team, it is worth a conversation first. Moving a username to a different company later requires consenting to give that company the same administrative access.

## Who needs a seat and who does not

The seat rules decide your bill, so read them before inviting anyone. A paid account is needed to create links, to be the organizer on someone else's link and to take part in a round robin pool. **People outside your organization can share their availability and be invited as guests for free.** A delegate who manages your account, covered below, needs a SavvyCal account but not a paid one. The same person in several teams owned by one organization is charged once, not once per team. When someone leaves a team, their seat is removed. Cancelling does not delete anything. Links are deactivated at the end of the period, while data is kept.

This makes the cost model easy to reason about. Count the people who must own links, host meetings or receive round robin bookings, and you have your seat count. Colleagues who only need to be on the invite of a collective meeting, or outside partners whose calendars you want to factor in, can stay unpaid as long as they are not organizers. Both plans include unlimited teams, collective, round robin and group modes, and availability sharing [1], so the plan choice is about other features, which we come to at the end.

## Collective links: one slot that works for everyone

A collective link shows only the times when you and every included teammate are free, and adds all of them to the invite automatically. Each person's default availability preset counts, and the preview shows teammates' busy blocks. Two settings loosen the rule for specific people. An attendee can be set to allow booking when busy, or to ignore their working-hours preferences. An attendee can also be marked **optional**, in the Availability section, which invites them without counting their free or busy time. That suits a manager who wants to be copied but should never block a slot. If you would rather not show who is involved, the attendee list can be hidden on the booking page.

Since March 2023, collective links are not limited to teammates. External contacts can be added and invited to share their availability, so a joint call with a partner's staff can still respect everyone's calendars. Adding teammates to links on the fly is one of the features SavvyCal recommends to customer success teams. A link owner can also make a teammate the organizer and drop themselves from the attendees, which helps when you build links for colleagues. Link overrides can apply to everyone on a link or to one attendee, so you can open a special day for one person without touching the rest.

## Round robin: random, even or by priority

A round robin link shows the combined availability of a pool and gives each booking to one person as organizer. There are two modes. **Optimize for availability** assigns the next eligible available organizer, which the older pages describe as random. **Optimize for evenness** cycles through the pool so meetings spread equally [62]. SavvyCal recommends round robin for sales calls and product demos spread across a group. Team members can set custom availability for a round robin link or simply use their default work hours. The vendor claims a link can be set up in 15 minutes or less, with as many members as you like.

### Priorities and excluded people

Priorities let a subset of the pool go first. They work only in the availability mode, and everyone starts at priority 1. SavvyCal's own example is a demo link that goes to salespeople first and falls back to a support team member when no salesperson is free. Exclusion solves the opposite problem. An attendee excluded from the pool is never the assigned organizer but is always on the invite, and their availability still counts. A sales engineer who must join every demo, whoever the rep is, fits that pattern. Our [sales guide](/articles/savvycal-for-sales) shows how these settings fit a sales team's week.

> 💡 **Exclude the person who always joins:** Exclude a sales engineer from the round robin pool and they are invited to every demo, with their availability counted, but never assigned as organizer.

## Group mode for sessions with many bookers

Group scheduling mode works differently from the other two. Instead of combining several hosts, it lets more than one person book the same time slot. SavvyCal pitches it for group coaching, webinars and office hours. The mode has its own Zapier triggers for new attendees. For group events the general New Event trigger arrives with empty scheduler data, so the vendor recommends the New Event Attendee trigger instead. Get this right from the start, or group bookings reach your spreadsheet or CRM without names. Group mode is on both plans. Meeting polls are a separate, free tool for one-off group decisions: you can add teammates to a poll so that times when they are likely free are suggested.

## Managing team events after they are booked

Plans change once meetings are on calendars. An event can be **reassigned** to a different organizer. SavvyCal deletes the original calendar event, creates one for the new organizer and notifies the attendees. Attendees can be removed from an event, and they are told the event is canceled for them. Hosts can send a reschedule request asking the booker to pick a new time, and buffers can be edited on a single event. Since November 2025, admins and assistants have a dedicated booking screen for creating meetings on a colleague's behalf. They can choose any slot, even one not shown publicly, add guests, and use a Book again button for a follow-up.

Workflows belong to one person or one team, so a team can keep its own reminder and follow-up emails. A workflow can be duplicated with all its rules and actions and assigned to another person or team, which saves rebuilding the same sequence for every group. Integrations follow the same pattern. The HubSpot connection can be personal or shared with teammates for the links they create, and Zapier triggers can fire for every link you can access or only for a chosen set. Each link also shows how often it was used, with a filtered history of its events.

> ⚠ **No routing forms or Salesforce:** SavvyCal cannot qualify a prospect and route them to a rep, and its CRM integrations are HubSpot and Close only.

## Assistants and delegated access

Booking on someone's behalf is open to admins and assistants. Full delegation goes further, and it needs Premium [58]. A delegate can manage the account's settings, availability, billing and links, which is what an executive assistant running a calendar actually needs. The delegate must have a SavvyCal account, but it does not have to be paid. On Basic the pricing page marks delegated access as not included. Lighter needs fit Basic. An admin who only books meetings for colleagues can use the booking screen described above, and a link owner can hand the organizer role to a teammate. Choose Premium when the assistant has to change availability, links or billing on the executive's behalf.

## What team scheduling does not cover

The limits matter more for teams than for individuals. **There are no routing forms**, so SavvyCal cannot ask a prospect a few questions and send them to the right rep or team. There is no Salesforce integration; the CRMs are HubSpot and Close, and SavvyCal meetings do not show in HubSpot's Meetings tool. There is no SSO or SAML for central sign-in, no native mobile app and no SMS reminders. Booking pages come in English, French and Dutch only. For comparison, Calendly includes routing forms in its Teams plan, and Cal.com includes them in its Teams plan too.

If your process starts with qualification, those gaps decide the choice. A team that books demos from a single page, shares calls across a small group and lives in HubSpot or Close will not miss them. A team routing inbound leads by territory or company size, or one standardized on Salesforce, will. The changelog lists link analytics, a traffic report with conversion rate and an event activity report, as Premium; the current pricing grid does not mention them, so confirm with support. Plan your seat count with these limits in mind rather than discovering them after the invitations go out.

## Which plan a team needs, with a worked example

Basic covers almost everything in this guide. Collective, round robin and group modes, priorities, reassignment, team workflows, HubSpot, Close, Zapier and the API are all included. Premium is for teams that need delegated access, paid bookings through Stripe, custom domains, sender profiles on their own domain, or no SavvyCal branding. Basic is $10 per user a month billed annually and $12 billed monthly; Premium is $17 annually and $20 monthly. Both carry a 30-day money-back guarantee. On a custom domain, only one individual or team can sit at the root, and the original savvycal.com addresses keep working.

Take a five-person sales team on round robin. By our arithmetic, Basic costs $600 a year on annual billing (5 × $10 × 12), or $720 a year if paid monthly (5 × $12 × 12). Premium for all five would be $1,020 a year on annual billing, $420 more than Basic. For a rough market check, five seats on Calendly's Teams plan, which is where its round robin sits, cost $960 a year billed annually, against $600 for SavvyCal Basic. The cheaper option lacks routing forms and Salesforce, though.

> 💡 **Make managers optional attendees:** Optional attendees get the invite without their free or busy time blocking slots on a collective link.

## FAQ

**Does SavvyCal have round robin scheduling?**

Yes, on both plans. A round robin link can optimize for availability or for even distribution, and pool members can get priorities or be excluded from the pool.

**How does SavvyCal charge for teams?**

Per user. Creating teams is free, invited teammates are added as seats automatically, and a person in several teams of one organization is charged once.

**Do people outside my company need a paid SavvyCal account?**

No. External people can share their availability and be invited as guests for free; a paid account is needed only to create links, organize someone else's link or join a round robin pool.

**Can I reassign a SavvyCal meeting to another teammate?**

Yes. Reassigning deletes the original calendar event, creates one for the new organizer and notifies the attendees.

**Does SavvyCal have routing forms?**

No. There are no routing forms and no Salesforce integration; the CRM integrations are HubSpot and Close.

**Which SavvyCal plan do I need for an assistant?**

Delegated access, where an assistant manages settings, availability, billing and links, needs Premium. The assistant needs a SavvyCal account but not a paid one.

## The bottom line

SavvyCal's team scheduling is simple and fairly priced. Collective links with optional attendees, round robin with evenness, priorities and exclusions, group mode and reassignment all come on Basic, and outside colleagues can share availability without paying. The bill is easy to predict, because only organizers and round robin members need seats. It suits small sales, customer success and consulting teams that book straightforward calls. It does not suit teams that qualify and route inbound leads, run on Salesforce or need SSO. For setting up the individual links first, start with our [setup guide](/articles/how-to-use-savvycal).
