**90 days** — How often an Instagram profile connected through Meta must be reauthorized in Sprout Social.

- **10 items** — carousel cap set by the Instagram API
- **30 hashtags** — per Business Profile every 7 days in Listening
- **$79/seat/mo** — Essentials, billed annually; no inbox

## What Sprout does with Instagram, and where it stops

Sprout Social handles the whole Instagram routine for a business account in one place. You can schedule feed posts, carousels, Reels and Stories, answer comments and DMs from the Smart Inbox, plan the look of your grid, boost posts with a Meta ad account and report on everything afterward. It works only with **Instagram Business or Creator profiles**, never personal ones, and almost every limit you will meet comes from Meta's API rather than from Sprout itself. That is worth knowing before you start. When something is missing, the help center usually blames the API, and the fix, if there is one, sits on Meta's side.

This guide walks through the setup in the order a new team meets it: connecting the account, publishing each format, planning the grid, working the inbox, reading the numbers, boosting and listening. It closes with the plan question, because several Instagram features are gated. The Grid Planner needs Professional, liking needs Standard, and chatbots need Advanced. Everything here comes from Sprout's own help pages and release notes as of October 2026. Where two pages disagree, we say so and follow the newer one.

## Step one: connect the right kind of account

Before anything else, check the account type in the Instagram app. Sprout's connection guide says personal profiles cannot be connected at all, because since October 2024 Meta's API supports nothing for them; only Creator or professional Business accounts work. If your brand still runs on a personal profile, switch it first. Business profiles also get more out of Sprout later: impressions and most profile reporting, mentions and media tags, and Instagram Listening all need a Business profile rather than a Creator one. **Pick Business unless you have a reason not to.**

### Connect via Meta, or with Instagram credentials

There are now two ways in. The older one, Connect via Meta, runs through Meta Business Suite and needs a linked Facebook Page. You need admin rights on that Page; editor or analyst roles cannot connect it. After the Meta login, Sprout offers three methods: Business Manager admin credentials, a Business Manager System User, or Page Admin Access, which is the legacy option. As of August 2026, Sprout recommends System User connections for Instagram.

The newer route, released as a beta on August 31, 2026, lets a Business or Creator profile connect with Instagram credentials alone, with no Facebook Page and no three-month refresh cycle [1]. There is a catch. A Meta issue has been making about 15 percent of these Instagram-only connection attempts fail, with a fix expected in mid-October 2026. If yours fails, use the Meta route for now. Sprout also tells agencies and large teams that need granular multi-user access control to stay with Connect via Meta.

### The 90-day clock

Profiles connected through Meta must be **reauthorized every 90 days**. Treat it as a recurring calendar task, not a surprise. If the token lapses, Listening stops collecting Instagram data, and Sprout says it cannot backfill Instagram data for the time a profile was disconnected. The gap stays a gap. Profiles connected with Instagram credentials avoid the cycle, which is the main reason to try that route once Meta's bug is fixed.

> 💡 **Put reauthorization on the calendar:** Meta-connected profiles expire every 90 days, and Sprout cannot backfill Instagram data for the gap. A recurring reminder a week before the deadline costs nothing.

## Publishing feed posts, carousels and Reels

Everything starts in Compose. Pick the profile, add media, write a caption of up to 2,200 characters and choose a time. Instagram does not support clickable links in posts, so Sprout pairs publishing with SproutLink, a link-in-bio page that turns your grid into clickable posts, one link per post, on its own sprout.link address. Setting it up needs Full Publishing permission on the profile.

**Carousels** take up to 10 items, and since December 2025 they can mix images and videos in any order. Sprout's help center says the cap comes from the Instagram Graph API, while the native app allows 20. Videos inside a carousel must run 60 seconds or less, images are capped at 8 MB each, and every item is cropped to the aspect ratio of the first one, 1:1 by default. Order your media with that in mind.

**Reels** publish directly from Compose and can run from 3 seconds to 15 minutes, with a 300 MB file limit (650 MB through a Mobile Publisher). You can upload a custom thumbnail, add trending audio on desktop only, and post Trial Reels that are shown only to non-followers, with an option to publish them to everyone automatically after 72 hours. Audio always plays from the start; you cannot choose an entry point. A Reel can go to Facebook and Instagram at the same time.

A few extras apply across formats. You can tag up to 20 users on a post or Reel, add a location, as long as that place has its own Facebook Page, write alt text up to 1,000 characters, and **schedule a first comment**, which arrived for Instagram before Facebook and LinkedIn. Link tracking rules now apply to the first-comment field automatically. Advanced customers can also save common hashtag sets to the Asset Library for first comments. Instagram polls are not supported.

### Product tags

Product tagging needs a Business account and an Instagram Shop, and since an API change Meta made on August 10, 2023, the Shop must have checkout enabled or tagging fails. Tags apply to one profile at a time, Reels take up to 20 product tags without x,y positions, and Sprout advises searching by SKU when products have several variants. Check the Shop first.

## Stories and collab posts, where the rules get fiddly

Stories have published directly from Sprout since May 2023, without a Mobile Publisher, but only in their simplest form. **Direct publishing takes a single photo or video.** A Story with more than one frame, or with text, links or stickers, still goes through the Mobile Publishing workflow: you assign one person as the Mobile Publisher, Sprout sends a push notification at the scheduled time, and that person finishes the post in the Instagram app. Story videos also need that route when they are over 100 MB, shorter than 3 seconds or longer than 60 seconds. Stories inside an approval workflow need an assigned Mobile Publisher too.

So test before you commit. One older Creator FAQ says Story publishing is unavailable for Creator profiles, which is another reason to run a Business profile. The publisher can be changed before the scheduled time, but only one person can hold the role for a given Story, so pick someone who will actually be near a phone. Stories can also be scheduled from the iOS and Android apps, which helps when the publisher is the one composing.

Collab posts are supported from Compose, on the web app only. You add Instagram collaborators, and Sprout sends the invitation when the post publishes, not when you save or schedule it. A sent invitation cannot be cancelled from Sprout. Private and age-restricted accounts cannot be invited, and since September 2026 Sprout validates handles first so the post does not fail at publish time. Collaborator status shows on the calendar and can take up to 24 hours to update. Comments on a collab post reach the Smart Inbox only for the profile that authored it.

> ⚠ **Collab invites go out at publish:** The collaborator invitation is sent only when the post publishes, and a sent invitation cannot be cancelled from Sprout. Check every handle before you schedule.

## Planning the grid and choosing when to post

The **Instagram Grid Planner** shows how scheduled, draft and pending posts will sit next to what you have already published, and it is available on the Professional and Advanced plans. It pulls sent posts, Reels included, from the last 90 days. Two quirks follow from the API. Pinned posts do not appear in the preview, and Reels show only if they were shared to the profile feed. One help page still says the planner crops non-square images to a 1:1 preview, but Sprout's September 2025 release notes moved grid and SproutLink previews to Instagram's native 3:4 ratio, so expect the newer behavior.

For timing, Sprout's Queue can use ViralPost, which applies its Optimal Times algorithm to queued posts automatically. In Compose, Professional and Advanced users can pick from up to seven automatically generated optimal send times. On Professional and Advanced, teams with a heavy calendar can bulk schedule from a file; bulk scheduling supports Instagram and has its own column for the first comment, but not videos, so Reels go through Compose. Published posts are a different story. **You cannot edit a published post in Sprout**, and you cannot delete an Instagram post from Sprout either, because the Instagram API does not allow it. Edit it natively in Instagram, or duplicate it and republish. Scheduled posts, by contrast, can be changed any time before they go out.

## Working the Smart Inbox

The Smart Inbox, available from Standard up, gathers Instagram comments, DMs, story replies, mentions and media tags into one stream. To receive DMs and Story Mentions, turn on access to messages under Connected Tools in the Instagram app, then manually reauthorize the profile in Sprout. DMs arrive in near real time, within about 60 seconds, and Sprout backfills the last 30 days after each reauthorization. Comments are backfilled up to 10,000 per post. Ad comments need a connected Meta ad account.

The DM side has real limits. Primary, general and request messages all land together and cannot be split; tags or custom inbox views are the workaround. Stickers, GIFs, audio and back-to-back images show as unsupported attachments. You can send text and images or GIFs, but not video, stickers or audio. **Reading a DM in Sprout does not mark it read in Instagram**, so a team that also works in the native app will see stale unread counts. Sprout cannot reply to a DM after seven days. Liking, added in August 2026, works on comments, replies, feed posts and Reels on your own content, but not on mentions or other people's posts.

Two more notes for busy accounts. Instagram's anti-spam measures can block replies from posting, and the fix is a request to Meta support, not to Sprout. On Advanced, chatbots built in Bot Builder can answer Instagram DMs, with up to 4 Ice Breakers per bot. A keyword search in the Smart Inbox covers every Instagram message since the profile was connected. That helps when a customer writes back weeks later.

## Reading Instagram analytics after Meta's metric changes

Instagram reporting fills fast once a Business profile is connected. Profile metrics backfill two years, but no earlier than the date the account became a Business profile, and update daily. Post metrics backfill your last 10,000 posts and refresh every 15 minutes. Story metrics have no backfill and update hourly, and Reels metrics go back to January 1, 2021 [2]. Story data is organic only, and Instagram supplies it only for Stories that reach at least 5 unique users. Age and gender data appear only once the profile has at least 100 followers.

The numbers themselves changed under Meta's API. Meta deprecated several Instagram metrics on January 8, 2025, and Sprout kept them visible for historical reporting only until it removed them from reports in the second quarter of 2025. **Views replaced impressions.** Views reach back to January 1, 2025, and the Sprout API now returns Views when you ask for Instagram impressions. Video Views now exist only for Reels; other videos and carousels no longer have them. In March 2026, reposts started counting toward shares and total engagements, and five new Reels metrics arrived on all plans, including skip rate, with history from January 1, 2026. Charts that jump may just reflect these dates.

Collab posts have their own reporting rules. Sprout collects collab data only when at least one participant is a connected profile, treats any paid activity on a collab post as organic, and shows only authored collab posts on the calendar. The collaboration breakdown in Post Analysis needs the Premium Analytics add-on [3]. Posts where your brand was only media-tagged cannot be tracked at all. One more trap: tags you add while composing an Instagram post are lost on publish, so reapply them in the Post Performance Report if you rely on tag reporting. Competitor reports for Instagram start at Professional. For deeper reporting across networks, our [Sprout Social analytics guide](/articles/sprout-social-analytics) covers the reports in detail.

## Boosting posts and listening for hashtags

With a Meta ad account connected, you can boost Instagram posts from Compose and the Publishing Calendar, and paid promotion is limited to users with publishing permission for the profile and the ad account. **What you can boost is unclear.** Most of Sprout's pages, including its promotion guide, say Instagram boosting supports only single-image posts, not carousels, videos or Reels. Yet the platform section of Sprout's own boosting troubleshooting page says image and video posts can be boosted [4]. Plan on single images, and treat anything more as a pleasant surprise. Note also that boosted posts show paid impressions at profile level but only organic views at post level.

Listening is a paid add-on for Standard and up, and Instagram is its most constrained source. Instagram allows only **30 unique hashtags per Business Profile every 7 days**, so tracking more means connecting another Instagram profile for 30 more slots. Archiving a topic frees a hashtag slot only after a 7-day decay. For public hashtag tracking there is no historical Instagram data, posts are found by hashtag rather than caption keyword, and collection stops when the token expires. Since February 2026 you can also add your own connected Instagram profiles as a Listening source, for their comments and mentions, with 30 days of backfill when the topic is created. Our [Sprout Social Listening guide](/articles/sprout-social-listening) explains the add-on as a whole.

## Which plan you need for Instagram

Prices are per seat, and Sprout has no free plan. Every plan can be tried for 30 days without a card, though Listening is not in trials, so the trial is a fair place to test publishing and the inbox but not hashtag tracking. All annual plans renew automatically. An annual plan paid upfront in the app is cancelled from the billing page before the renewal date, while annual plans paid monthly and invoiced plans need 30 days' notice by email, and there are no refunds on cancellation or downgrade. Read that clause twice. The table lists what each tier adds for Instagram specifically; the full breakdown lives in our [Sprout Social pricing guide](/articles/sprout-social-pricing).

| Plan | Billed annually | Billed monthly | What it adds for Instagram |
| --- | --- | --- | --- |
| Essentials | $79 per seat a month | $99 per seat a month | Publishing, optimal send times, profile and post reports; no Smart Inbox |
| Standard | $199 per seat a month | $249 per seat a month | Smart Inbox, liking, add-ons such as Listening |
| Professional | $299 per seat a month | $399 per seat a month | Grid Planner, competitor reports, seven send-time options, approvals, bulk scheduling (no videos) |
| Advanced | $399 per seat a month | $499 per seat a month | Chatbots for DMs, saved first-comment hashtags, the API |

> 💡 **Buy Standard if you answer DMs:** Essentials publishes and reports but has no Smart Inbox. Any team that replies to comments or DMs from Sprout needs Standard or higher.

In practice, a brand that only schedules posts can live on Essentials, but anyone answering DMs and comments needs Standard, because Essentials has no Smart Inbox. Teams that care about the look of the grid or about competitor benchmarks land on Professional. Seats multiply the bill. Count them first. Three seats on Professional billed annually come to $897 a month, by our arithmetic. Premium Analytics, needed for the collab breakdown, and Listening have no published price, so ask sales before you budget. Do not guess.

## FAQ

**Can I connect a personal Instagram account to Sprout Social?**

No. Since October 2024 Meta's API supports nothing for personal profiles, so Sprout connects only Business or Creator accounts. Switch the account type in Instagram first.

**Do I need a Facebook Page to connect Instagram?**

Not if you use the Instagram credentials route released as a beta on August 31, 2026, though a Meta issue was making about 15 percent of these connection attempts fail, with a fix expected in mid-October 2026. The older Connect via Meta route still needs a Facebook Page and reauthorization every 90 days, and Sprout points agencies and large teams that need granular multi-user access to it.

**Can Sprout Social publish Instagram Stories automatically?**

Yes, for a single photo or a single video of 3 to 60 seconds and up to 100 MB, outside an approval workflow. Stories with several frames, text, links or stickers, longer or larger videos, and Stories sent for approval go through a Mobile Publisher who finishes them in the Instagram app.

**Can I edit an Instagram post after Sprout publishes it?**

No. Published posts cannot be edited in Sprout, and Instagram posts cannot be deleted from it either. Edit natively in Instagram or duplicate and republish.

**Which Sprout Social plan includes the Instagram Grid Planner?**

Professional and Advanced. Professional costs $299 per seat a month billed annually, or $399 billed monthly.

**Why did my Instagram impressions disappear from Sprout reports?**

Meta deprecated several Instagram metrics in January 2025, and Views replaced impressions. Sprout shows Views back to January 1, 2025.

## The bottom line

Sprout Social is a capable home for a business Instagram account, with direct publishing for feed posts, carousels, Reels and simple Stories, a shared inbox for comments and DMs, and post metrics that refresh every 15 minutes. Most of its gaps belong to Meta: the 10-item carousel cap, no deleting of published posts, DMs that never sync read status, and hashtag listening capped at 30 tags per Business Profile every 7 days. Sprout itself cannot edit any published post. Connect a Business profile, keep an eye on the 90-day reauthorization, and pick Standard as the floor if you engage, Professional if you plan the grid.
