A B2B marketing team gets most of its daily Wistia work done on Business, at $79 a month billed annually or $99 billed monthly for the whole account, not per seat. That plan unlocks in-video forms and CTAs, A/B tests, per-viewer heatmaps and CSV export, none of which exist on Free. **Signals changes the price.** Engagement data on HubSpot, Marketo or Pardot contact records, lead scoring and sales alerts all sit in the Signals tier. Business + Signals costs $329 a month billed annually or $412 billed monthly. Teams that also run webinars should look at the Webinars plan, which bundles Signals. Our verdict: start on Business, and add Signals only when sales actually works the scores.

**$329/mo** — Business + Signals, billed annually: the plan that syncs video engagement to your marketing platform.

- **$79/mo** — Business, billed annually, per account
- **3 users** — Included on Business; extra users $25 a month each on annual billing
- **500** — Attendees per event on the Webinars plan; overage billed, not cut off

## Capturing leads without leaving the player

Lead capture starts with three tools that sit on the video itself: a Wistia Form, a call to action and annotation links. A form can appear before the video, at the end or at a chosen second, and by default the viewer cannot skip it. An overlay mode shows the form on hover without pausing playback. Each video holds one form and one CTA but unlimited annotation links, and they cannot overlap. CTAs come as text, image or HTML, though Wistia strips JavaScript from HTML CTAs and records no action analytics for them. Use text or image CTAs when the click must count.

A few limits shape the campaign plan. Forms attach to individual videos, not to a Channel or playlist, and none of the lead tools work on audio files. Forms also stay hidden from viewers logged into Wistia, because their email is already known. Test from a private window. The tools live in the player, so a downloaded file or a video published natively to social networks loses them. Which email tools a form can send addresses to depends on the plan, and the documented list runs from Mailchimp and Kit to Klaviyo and ActiveCampaign.

Email campaigns use a separate embed. Because most inboxes cannot play video, Wistia's email embed is a clickable thumbnail, 450 pixels wide by default and up to 1920, that opens the video page. Merge tags for 18 email providers pass each recipient's address into Wistia analytics on click-through, so a viewer who arrives from a newsletter is already identified when the heatmap starts recording. Tagging alone sends nothing to a marketing platform, though; the link must point to a page that carries that platform's tracking, and the viewer still matches through a form.

## A/B tests and heatmaps: the daily analytics loop

A/B testing is a paid-plan feature that only Account Owners and Managers can set up[1]. It places two video embeds in the same spot and splits visitors at random. A cookie keeps each visitor on version A or B, the one exception to Wistia's otherwise cookie-free player. Results compare engagement graphs, average engagement, play rate, total plays and actions such as CTA or annotation-link clicks. Wistia's own feature post says tests can pit thumbnails, forms, CTAs or video length against each other, and the winner then shows to everyone without a new embed code.

Heatmaps answer a different question. Every public view played in the Wistia player creates a heatmap for that session, showing what the viewer watched or skipped, plus location, IP address and the page URL. The aggregate engagement graph cannot tell you whether one person finished. **The heatmap can.** Plays by logged-in team members are excluded and counted as private sessions, so internal review does not inflate the numbers. Each viewer's page exports to CSV, and the analytics API breaks plays down by UTM campaign, source, medium, referrer domain and embed location, which is how teams compare a landing page against a blog post.

If your site runs a consent tool, plan for gaps. Wistia's Privacy Mode blocks the Google Analytics and Meta integrations until a viewer opts in, while IP anonymization at collection still leaves heatmaps in place. Wistia also documents a GA4 integration, but it does not track webinars or their registration forms; the marketing-automation integrations carry webinar data instead. A do-not-track embed option removes sessions from heatmaps and aggregate graphs entirely, which suits internal or partner pages you do not want in campaign reports.

> 💡 **Test thumbnails before reshooting videos:** Run an A/B test on the thumbnail or CTA of a video you already have. The winner then shows to every viewer without a new embed code.

## What Signals adds to HubSpot, Marketo and Pardot

Signals is the layer many B2B teams buy Wistia for, and Business alone does not include it. The pricing page lists engagement data on contact records, automated lead scoring, segmentation, triggered nurtures, sales alerts and pipeline attribution as Signals features, connected to HubSpot, Adobe Marketo Engage and Pardot[2]. The help center adds Eloqua, Klaviyo and ActiveCampaign to the advanced integrations included with the add-on. Every sync is one-way. Wistia feeds contacts and events into the marketing platform, and that platform's own form submissions do not flow back into Wistia analytics.

In HubSpot, identified viewers get timeline events at 1, 25, 50, 75 and 100 percent played, plus link clicks and form submissions. A rep can open the video heatmap straight from the contact's timeline. Active lists can filter on plays, CTA clicks and form entries by media and percent watched. Marketo receives Played and 25 to 100 Percent Watched triggers, and it backfills earlier viewing once a lead identifies through a later form. Pardot can score prospects on three events: a play, 75 percent watched, and a Wistia Form conversion.

**Identification is the weak link.** No platform sends leads to Wistia; a viewer becomes known only after submitting a Wistia or native form, which sets the platform's cookie in that browser. Switching devices or clearing cookies makes the viewer anonymous again. Tracking also needs the platform's script on the page, or the opt-in auto-load setting, and the player script rather than a fallback iframe; nesting the embed inside another iframe breaks it. Only Account Owners and Managers can connect these integrations. Signals also unlocks Meta Ads retargeting built from play and percent-watched events, sent only for consenting viewers and never backfilled.

> ⚠ **Pardot attendance needs Wistia's form:** Attendance reaches Pardot only when registration runs through a Wistia form with attendee syncing switched on, about an hour after the event. A Pardot registration form sends no attendance back.

## Webinars as a pipeline channel

Webinars are separate plans, not a switch on Business. The Webinars plan costs $429 a month billed annually or $537 billed monthly[3]. It includes everything in Business, plus Signals, with 500 attendees, 90-minute streams and up to nine presenters on stage. Both webinar plans carry registration pages, polls, Q&A, simulive and pre-recorded events, automatic recording and per-attendee heatmaps. Webinars Plus costs $829 a month billed annually or $1,037 monthly. It raises the caps to 1,000 attendees and three hours and adds on-site embedding, social simulcast, RTMP ingest from external studios and removal of Wistia branding.

After each event, the audience page records registration source, UTMs, new or returning status and time watched, while attendee heatmaps show attended, focused and chat activity. Registrants sync to HubSpot, Pardot or Marketo lists, and HubSpot gets registration and attendance timeline events for webinars created on or after 6 January 2026. Pardot gets attendance too, with conditions: only with a Wistia registration form, only if attendee syncing is switched on, and about an hour after the event ends. Hosts and panelists need a Chromium browser on desktop, such as Chrome or Edge, and no Pixel or custom script can be added to Wistia-hosted registration pages.

Overage never stops the stream. It is billed after the event at $0.20 per extra attendee and $2.00 per extra minute. A two-hour session with 750 attendees on the 500-seat plan therefore adds 250 × $0.20 plus 30 × $2.00, or $110 per event, by our arithmetic. The upgrade to the larger plan costs $400 a month more on annual billing, so it pays off from four such events a month; at three, overage stays cheaper at $330. Recording hard-stops at 4.5 hours on any plan, and events expecting over 2,500 attendees must contact Wistia first. Our [webinar guide](/articles/wistia-webinars) covers setup.

> 💡 **Watch the webinar overage line:** When monthly overage bills pass $400, the 1,000-attendee webinar plan costs less on annual billing than paying overage on the 500-attendee plan.

## Which plan a marketing team actually needs

| Plan | Price per account | What marketing gets |
|---|---|---|
| Free | $0 | 25 GB, 1 user, basic analytics, Wistia branding; no forms, CTAs, heatmaps or A/B tests |
| Business | $79 a month billed annually, $99 monthly | Forms, CTAs, A/B tests, heatmaps, CSV export, 3 users |
| Business + Signals | $329 a month billed annually, $412 monthly | Everything in Business, plus engagement sync, lead scoring, sales alerts, attribution |
| Webinars | $429 a month billed annually, $537 monthly | Everything in Business, plus Signals and webinars of 500 attendees and 90 minutes |
| Webinars Plus | $829 a month billed annually, $1,037 monthly | 1,000 attendees, 3-hour streams, embedding, simulcast |

The arithmetic decides. On annual billing, the gap between the two lower paid tiers is $250 a month, or $3,000 a year. That spend pays back only when sales works the scores and alerts; if nobody reads them, forms on the cheaper tier still collect emails. Teams that need the sync and run even one webinar a month should price the next step: the webinar tier costs $100 a month more on annual billing, or $125 more on monthly billing, and it already includes the same sync.

Users are the other variable. Each plan covers the account, with three users included on Business, and each extra user costs $25 a month on annual billing or $31.25 on monthly billing. A five-person team adds $50 a month on annual billing. Payments are not refunded for cancellations, downgrades or unused time, so begin with the 14-day Business trial, which needs no card; the full rules are in our [pricing guide](/articles/wistia-pricing). Help pages that mention Pro, Advanced or Premium describe legacy plans from before March 2026, and new customers cannot buy them.

## FAQ

**Does Wistia connect to Zapier?**

Yes. Zapier triggers include new viewing sessions, new visitor emails and new webinars, but a viewer's email reaches Zapier only when the session is identified, for example through a Wistia Form.

**Can we retarget Wistia viewers with Meta ads?**

Yes, with the Signals add-on or on Enterprise. Wistia sends play and percent-watched events to a Meta Pixel for consenting viewers only, and viewing from before the connection is not backfilled.

**Can healthcare marketers use Wistia for patient-facing video?**

Wistia's help center says the platform does not meet HIPAA requirements and Wistia signs no BAAs, and its Privacy Mode does not meet HIPAA standards either. Keep protected health information out of forms and videos.

**Do new contacts from forms and webinars get tracked separately?**

Yes. Wistia counts a person as a new contact if it is their first recorded interaction in a rolling two-year window, across forms, webinar registrations and CSV imports.

## The bottom line

Wistia suits a B2B marketing team that treats video as a lead source rather than a hosting bill. Business covers the daily loop of forms, CTAs, A/B tests and heatmaps for a flat account price. Signals is where the cost jumps, and it earns its keep only when contact-level viewing feeds scoring, nurtures and sales alerts someone acts on. If webinars are part of the plan, the webinar tier is the better buy, since it carries the same sync for a modest step up. Check identification and tracking scripts before trusting any score.
