**3.8 / 5** — Our Toolkit Score for Wistia: polished marketing video, but the bill climbs once Signals is needed.

- **$79/mo** — Business, billed annually, 3 users per account
- **$329/mo** — Business + Signals, billed annually
- **25 GB** — Free plan storage, 1 user, Wistia branding

## The verdict: a strong marketing video host, priced per account

Wistia is a video platform built for marketing teams: an ad-free branded player, lead-capture forms, viewer heatmaps, webinars and a pipe into your marketing automation. Business costs **$79 a month billed annually** or $99 a month billed monthly, and that price covers the whole account with 3 users, not one seat [1]. Pick it if video has to capture and qualify leads on your own website. Skip it if you need cheap storage, a paywall or HIPAA coverage, which Wistia does not offer. The real cost question is Signals, the layer that writes viewer engagement into your marketing platform. Business + Signals costs $329 a month billed annually.

Wistia, Inc. has been at this since 2006, from Cambridge, Massachusetts, and says it serves over 440,000 customers. The plans you buy today are much younger. On 17 March 2026 Wistia moved to storage-based plans, and Pro, Advanced, Premium and Plus became legacy plans with media-count limits [2]. You cannot buy them anymore. That matters while you research, because many help and blog pages still gate features by those old names. The Soapbox Chrome recorder is gone as well: it shut down on 1 September 2024, and recording now happens in the recording studio inside Wistia.

## What you actually get

### A light player built for your own pages

The core is Aurora, a web-component player that Wistia's blog put at 43 KB in December 2024, down from 139 KB for the older Vulcan V2 player, whose embeds still work. It never shows ads, it is WCAG AA (Wistia cites 2.2 AA), and it injects search markup with the title, description and transcript. A newer LLM-friendly embed option also prints the transcript as plain HTML where the player loads, so crawlers that cannot run JavaScript can still read it. For a marketing site, that combination is the reason to pay. **Your video stays on your domain**, and it keeps working for search.

### Lead capture and engagement data

On Business you get calls to action, Wistia Forms placed at the start, middle or end of a video, A/B tests on thumbnails and CTAs, and heatmaps per viewer that show what each person watched, rewatched or skipped. None of that is on Free. Sending that engagement to contact records in HubSpot, Adobe Marketo Engage or Pardot, with Eloqua, Klaviyo and ActiveCampaign sync on top, needs Signals. Signals also adds lead scoring, segmentation, triggered nurtures, sales alerts and pipeline attribution. Business alone does not sync engagement data. Check that line before you budget.

> 💡 **Price Signals before you commit:** If leads must be scored on video views, budget for Signals, because Business alone does not sync engagement to a marketing platform. The cheapest way in is Business + Signals at $329 a month billed annually; the Webinars plans and Enterprise include Signals too.

### Channels, recording and AI

Channels turn a folder of videos into a branded hub that doubles as a podcast feed, with carousel, grid or list layouts, inline or popover embeds and email collectors for subscribers. Custom domains for Channels need Enterprise (or a legacy Premium plan) and work only as subdomains. Recording runs in the browser studio, with a desktop app for macOS only, and the editor cuts by transcript. Remix, an agentic editor still in beta, builds clips from existing footage for Owners and Managers. Automated transcripts are free on every plan at about 95% accuracy. Dubbing into 50+ languages draws 800 credits a minute from a pooled balance, and Business grants 5,000 credits a month with no rollover. On Business, though, the pricing page lists dubbing as an add-on; only Enterprise includes it.

## What Wistia costs, plan by plan

| Plan | Billed annually | Billed monthly | What it includes |
|---|---|---|---|
| Free | $0 | $0 | 25 GB, 1 user, 3,000 one-time credits, branded player |
| Business | $79 a month | $99 a month | 250 GB+, 3 users, 5,000 credits a month, CTAs, forms, heatmaps, A/B tests |
| Business + Signals | $329 a month | $412 a month | Business plus marketing-automation sync and lead scoring |
| Webinars | $429 a month | $537 a month | Business plus Signals, 500 attendees, 90-minute streams |
| Webinars Plus | $829 a month | $1,037 a month | 1,000 attendees, 3-hour streams, simulcast, embedded webinars |
| Enterprise | Quote | Quote | 1 TB+ storage, SSO and SCIM, dubbing included |

By our arithmetic, annual Business comes to $948 a year, against $1,188 for twelve monthly payments, so the annual term saves $240. Extra users cost $25 a month each on annual billing or $31.25 on monthly. A five-person team on annual Business therefore pays $129 a month. The webinar plans already include Signals, so once you need engagement sync, adding webinars costs $100 more a month on annual billing and $125 more on monthly. **That changes the decision.** A team paying for Signals should price the Webinars plan before buying a separate webinar tool [3].

Overages are where bills drift. Storage beyond the plan is billed monthly in blocks, even on annual plans; 100 GB costs $12 a month on annual billing or $15 on monthly. Business includes 1 TB of bandwidth a month, with per-GB overage after that. Free stops playing embeds a few days after it passes 200 GB of bandwidth, until the monthly reset. Webinars that run past their attendee or length limit are not cut off: Wistia charges $0.20 per extra attendee and $2.00 per extra minute, billed after the event. Recording, however, hard-stops at 4.5 hours, and events expecting more than 2,500 attendees must be arranged with Wistia first.

The billing terms deserve a careful read. Wistia gives **no refunds** for cancellations, downgrades or unused time, plans renew automatically, and the Terms ask for notice at least 2 months before the term ends to stop renewal [4]. Billing cannot be paused. Our [Wistia pricing guide](/articles/wistia-pricing) covers credits, top-ups and downgrades. The 14-day Business trial needs no card, so test there first.

> ⚠ **No refunds, automatic renewal:** Wistia refunds nothing for cancellations, downgrades or unused time, and its Terms require notice at least 2 months before the term ends to stop renewal.

## Where Wistia falls short

Some gaps rule Wistia out entirely. Wistia says it does not meet HIPAA requirements, signs no BAAs, and its Privacy Mode does not meet HIPAA standards; all personal data is stored in the US. There is no paywall or way to sell videos, and Wistia sends course sellers to third-party tools such as MemberMouse, Cleeng and InPlayer. There is no native mobile or TV SDK, and plays inside native apps are not counted. Webinar hosts and panelists need a desktop Chromium browser such as Chrome or Edge. Safari, Firefox, phones and tablets will not work for anyone on stage.

Other limits are plan gates. Single sign-on is SAML only, SP-initiated, and sits on Enterprise; SCIM provisioning works only with Okta. Free is a permanent but stripped-down plan: Wistia branding stays on the player, and CTAs, forms, heatmaps, A/B tests and CSV export are all missing. Downloads are locked by default to Owners and Managers. Viewer downloads must be switched on per video or per share link, and they count toward monthly bandwidth. Wistia does not support third-party downloader extensions. Finally, granular folder permissions survive only on legacy Premium and older accounts.

> 💡 **Run the trial on real embeds:** The 14-day Business trial needs no card. Embed real videos and check forms and heatmaps before a no-refund term starts.

## How Wistia sits next to Vimeo and SproutVideo

Vimeo prices per seat. Its Standard plan is labelled $25 per seat a month billed annually, or $41 billed monthly, with 5 seats included, and live events start on Advanced. Vimeo's pricing page does not state the checkout total for those seats, so confirm it at checkout before you compare. Vimeo also has heatmaps in its video analytics, lead capture and CTAs from Standard, and HubSpot-type marketing integrations from Advanced. Against Vimeo, the gap the sources support is A/B testing and the contact-level depth of Signals. Our [Vimeo vs Wistia comparison](/articles/vimeo-vs-wistia) lines up what each plan actually includes.

SproutVideo is the budget hosting option. Its Seed plan is $12 a month billed annually, or $15 monthly, with 150 GB of storage, 1,800 GB of bandwidth, 2 team seats and a white-label player. Its Tree plan is $72 a month billed annually with 1 TB of storage and 10 seats. SproutVideo bills overage per GB without capping playback, offers a 30-day trial without a card, and lets you pause a plan. Against SproutVideo, Wistia's case rests on forms, heatmaps, Signals and webinars, not on storage. More options sit in our [Wistia alternatives guide](/articles/wistia-alternatives).

## How we score Wistia

We score every product on eight axes: integrations, capability, value, ease of use, AI, support, documentation and user sentiment. Each axis rests on its own evidence, from pricing pages and help articles to developer docs and review platforms. We then weight the axes by what drives a video-platform decision, so capability and value count for more than documentation once the player works. Here is the full breakdown, with nothing hidden.

**Our scorecard — 3.8/5**
- Integrations: 4.3/5 — Deep marketing-automation sync (HubSpot, Adobe Marketo Engage, Pardot, Eloqua, Klaviyo, ActiveCampaign) that writes video and webinar engagement to contact records, a Salesforce Sales Cloud integration, Zapier, Zoom and Google Drive imports, LinkedIn Live and RTMP simulcast for webinars, a versioned Data API (600 requests a minute) with webhooks and an official TypeScript SDK, oEmbed, and an MCP server that works with Claude, ChatGPT and Cursor. Held back by the marketing-automation sync needing the Signals add-on (Business + Signals is $329 a month billed annually), OAuth for third-party apps enabled only on request, no backfill when an integration is connected later, and no native mobile or OTT SDK, so plays inside native apps are not counted.
- Capability & depth: 3.9/5 — Ad-free hosting with the Aurora player (a 43 KB web component), Channels that double as branded video hubs and podcast feeds, webinars with registration, polls, Q&A and simulcast, a recording studio and transcript-based editor on every plan, CTAs, forms and A/B testing, heatmaps per viewer, password and domain restrictions, and Video Playback Protection on Enterprise. Held back by webinars sold as separate plans (from $429 a month billed annually), webinar hosting only in desktop Chrome, no paywall or selling of videos, a 26 GB upload cap, no HIPAA support, and Soapbox shut down in September 2024.
- Value for money: 3.2/5 — A Free plan with 25 GB of storage, 200 GB of bandwidth a month and 3,000 one-time credits, Business at $79 a month billed annually ($99 monthly) for 3 users and 250 GB, 20% off for annual billing, automated transcripts free on every plan, and a 14-day trial with no card. Held back by a steep jump to Business + Signals ($329 annual, $412 monthly) for the marketing-automation features Wistia is known for, webinars from $429 a month billed annually, extra users at $25 a month each, storage blocks and bandwidth billed beyond the plan, dubbing at 800 credits a minute, and no refunds for cancellations, downgrades or unused time.
- Ease of use: 3.9/5 — Upload, record, edit, embed and analyze in one web app, one embed code that keeps working when a video is swapped, a recording studio that needs no install, free Viewer seats, review links that need no login, and an in-app agent. Held back by a plan change in March 2026 that left many help and blog pages using retired plan names (Pro, Advanced, Premium), webinar registration choices that cannot be reversed once saved, and features whose behavior changes with the registration form chosen (a marketing-platform form turns off Wistia's webinar emails and registration data).
- AI: 3.8/5 — Automated transcripts and captions on every plan (Wistia cites about 95% accuracy), AI dubbing with lip sync in 50+ languages, AI audio descriptions, AI chapters, highlights and social clips, the Remix agentic editor, an in-app agent and an MCP server; Wistia names its AI providers and says customer content does not train generalized models unless disclosed. Held back by most AI work drawing on a credit balance (Free gets 3,000 credits once, Business 5,000 a month, no rollover), dubbing at 800 credits a minute, Remix still in beta, and AI features that Wistia can suspend at any time under its AI terms.
- Support & reliability: 3.7/5 — SOC 2 Type 2, GDPR with a DPA, EU-US and Swiss-US Data Privacy Framework certification, a 99.9% internal uptime standard with a public status page, live chat support from Business up, SSO and SCIM (Okta) and a dedicated customer success manager on Enterprise. Held back by no HIPAA compliance or BAA, all personal data stored in the US, no published response-time targets, email-only help on Free, and SSO limited to Enterprise and legacy Premium.
- Docs & learning resources: 4.2/5 — About 225 help-center articles and 248 developer pages, each available as plain Markdown with an llms.txt index, a versioned Data API with a public deprecation schedule, migration guides from Vimeo, Vidyard and Brightcove, and dated changelog entries. Held back by help and blog pages that still describe legacy plans, product pages that disagree on the player's accessibility standard (WCAG 2.1 AA vs 2.2 AA), and API reference pages that state few plan requirements.
- User sentiment: 4.6/5 — Reviewers on business-software sites rate it highly: G2 4.6 from 1,172 reviews and Capterra 4.7 from 172. Trustpilot shows 3.5 from 22 reviews, too few to count (Trustpilot collects mostly unhappy customers, so it is a map of complaints, not a trend). Axis score 4.6: the mean of each platform's displayed rating with at least 30 reviews, weighted by review count (4.6 and 4.7 = 4.61).

The pattern is clear. Wistia scores highest on user sentiment, integrations and documentation, where its developer docs, versioned Data API and new MCP server stand out. **Value is its weakest axis**, because Free withholds the marketing features and the engagement sync costs $250 a month more than Business on annual billing, by our arithmetic. Support with live chat on Business and a capable AI layer sit in the middle. That mix lands Wistia at 3.8/5: a polished tool whose price climbs fast once marketing automation enters the picture.

**What users rate it, by platform**

| Platform | Rating | Reviews | As of |
|---|---|---|---|

_Rendered from our current record; these are other platforms' user scores, separate from our own Toolkit Score._

Users rate Wistia warmly across the platforms we checked, and that fits what we read in the product itself: an ad-free player, heatmaps per viewer and a documented, versioned Data API. We still treat sentiment as one axis of eight, not the verdict. Ratings say little about whether your team will need Signals, and that single choice decides most of the bill. Read the ratings for reliability; read the plan table for cost.

## FAQ

**Does Wistia have an API for developers?**

Yes. Wistia has a versioned Data API, and its Developer plan is free until 25 GB of storage or 200 GB of bandwidth, then a $25 monthly platform fee plus usage.

**What happens to my videos if I cancel Wistia?**

After cancelling, your media is no longer accessible, so export it first. A paid account cannot move to Free until its storage is under 25 GB.

**Can Wistia order professional captions?**

Yes. Automated transcripts are free and about 95% accurate; professional captions aim for about 99% and use 1,000 credits a minute from your credit balance.

**Can an agency bill several clients from one Wistia login?**

Only on Enterprise. Team accounts there are bought through a Customer Success Manager and billed together to the primary account, with a bandwidth usage graph per account to help bill clients back. Business and Business + Signals have no team accounts.

## The bottom line

Wistia is a polished, marketing-first video host, and its Toolkit Score reflects that. Business at $79 a month billed annually covers three users, ad-free embeds, forms, heatmaps and A/B tests, which is fair value for a team that measures video by leads. The bill jumps once engagement has to reach your marketing platform, so decide on Signals before you sign, because unused time is never refunded. Choose it for lead-generating video on your own site; look elsewhere for paid courses, cheap bulk storage or health content, since Wistia is not HIPAA covered.
