---

Zoho Desk is a broad, per-agent help desk whose prices stay modest as you climb, but its strongest tools sit two editions up. A Free plan covers 3 users; paid editions run from Express at $7 per agent per month billed annually ($9 billed monthly) to Enterprise at $40 per agent per month billed annually ($50 billed monthly) [1]. Every agent needs a license on the same edition, so the bill grows with headcount; our [Zoho Desk pricing guide](/articles/zoho-desk-pricing) runs the totals.

Telephony, Blueprint, webhooks and Zia's own generative AI (in six data centers) start on Professional. Bots inside chat and SalesIQ live chat start on Enterprise, as do the pre-built AI agents, which run only in the US and IN data centers, on request. **Pick it if you live in Zoho's apps or want real automation per agent on a budget.** Skip it if you need chat bots or a multi-brand help center without paying for Enterprise. That gap is the whole review.

**3.9 / 5** — Our Toolkit Score for Zoho Desk: a broad, well-priced help desk whose best tools sit on Professional and Enterprise.

- **$7–$40** — Per agent per month billed annually, Express to Enterprise
- **3 / 5** — User caps on Free and Express; Standard and up unlimited
- **15 days** — Free trial of any paid edition, no card needed

## What Zoho Desk is, and what it is not

Zoho Desk is Zoho Corporation's cloud help desk, which Zoho says was born in Tenkasi, Tamil Nadu. It turns email, web forms, social posts, instant messaging (WhatsApp included), live chat and phone calls into tickets, then routes them through departments, rules, SLAs and Zia, Zoho's AI layer. Around the ticket list sit a help center with knowledge base and community, the embeddable ASAP widget, reports and dashboards, mobile apps, a Marketplace and a REST API. One name causes confusion. Searches for *Zoho service desk* usually mean ManageEngine ServiceDesk Plus, an IT service management product, not Zoho Desk.

Desk also ships inside bundles. Zoho One, the company's all-apps suite, places Desk in its service area; Zoho Service Plus pairs it with SalesIQ live chat, remote support, field service and surveys; Zoho CRM Plus includes it as well. Inside those bundles Desk gets Enterprise-level API credits and access to the department add-on. Bundle pricing belongs to the bundle, so weigh it as a bundle rather than against a single Desk license. If your company already pays for one of them, check your admin console before buying Desk separately. You may own it.

## Five editions, and where the walls stand

The edition you pick decides almost everything, because Zoho spreads features across five tiers and every agent must sit on the same one [2]. Read the table as a ladder. Each paid row adds to the one above it, and its price applies to every agent on the account, not only to the people who need the extra tools. Taxes such as VAT or sales tax come on top.

> **About these prices:** Prices shown are what Zoho Desk lists for visitors in the United States, in US dollars. Your price can differ by country, currency and local taxes such as VAT. Check your current price — Zoho Desk: https://api.colosus.site/go/zoho-desk?to=pricing

| Edition | Price per agent per month | Users | What it adds |
|---|---|---|---|
| Free | $0 | 3 | Email ticketing, 1 web form, private knowledge base, mobile apps |
| Express | $7 billed annually / $9 billed monthly | 5 max | Social channels (1 brand), 1 workflow rule for tickets, 10 custom fields |
| Standard | $14 billed annually / $20 billed monthly | Unlimited | WhatsApp and IM, live chat, public KB, community, Answer Bot |
| Professional | $23 billed annually / $35 billed monthly | Unlimited | Telephony, Zia generative AI (6 data centers), Blueprint, round robin, webhooks |
| Enterprise | $40 billed annually / $50 billed monthly | Unlimited | SalesIQ chat, Guided Conversations, multi-brand help center, sandbox, audit log |

The step from Express to Standard is where small teams get surprised. Express caps a team at five users, and a sixth agent forces Standard. Five agents on Express billed annually cost $35 a month; six agents on Standard billed annually cost $84 a month, by our arithmetic. That is more than double for one extra seat. Price that sixth hire first. Free is narrower than its name suggests: it has no workflows, custom fields, public knowledge base, social or messaging channels, light agents or generative AI, so it suits a tiny team doing email ticketing with nothing customer-facing beyond replies.

Paying annually is about 22% cheaper on Express, 30% on Standard, 34% on Professional and 20% on Enterprise; per agent a year that is $84, $168, $276 and $480, against $108, $240, $420 and $600 billed monthly (our arithmetic). Light agents, who can view tickets and leave private comments but cannot reply or take assignments, are an add-on from Standard at $6 per light agent per month, and Enterprise includes 50. Departments are another wall. Free through Standard get one, Professional gets 10 and Enterprise 50, and the Enterprise-only department add-on costs $7 per department per month billed monthly or $6 billed annually.

> 💡 **Use light agents for occasional staff:** People who only read tickets and leave private comments can be light agents at $6 per light agent per month from Standard instead of full seats. Enterprise includes 50.

For context, ten agents billed annually on Professional come to $230 a month by our arithmetic. Freshdesk Pro and Zendesk Suite Team come to $550 a month each on the same basis. The tiers are not identical: Freshdesk needs its Omni plans for live chat, and Zendesk's Suite Team counts 5 automated AI resolutions per agent a month before it charges more. Freshdesk's Freddy AI Agent gives 500 sessions once per account, then costs $49 per pack of 100 sessions. Zia's own generative AI carries no AI charge on Professional, in six data centers. Our [Zoho Desk alternatives guide](/articles/zoho-desk-alternatives) lines them up feature by feature.

## Zia, your own key, or agents: the AI layers

Zoho's AI comes in layers that depend on both the edition and the data center. On Express and Standard, generative features such as ticket summaries and reply drafts run only with your own OpenAI key, billed by OpenAI; in the China data center the key is for DeepSeek instead. Professional adds Zia's own model, hosted by Zoho with Qwen 30B as the default, at no AI charge, but only in the US, IN, AU, EU, JP and CA data centers. Only one generative service can be active per organization. Standard also brings the Answer Bot (not in the China data center), which answers from your knowledge base; Zoho recommends at least 30 articles per department for it.

Enterprise adds the agentic layer. Zia actions in workflows work only in the US, AU, EU, CA and IN data centers, and only on English text. Two pre-built Desk agents, Support Specialist (drafts email replies from the knowledge base) and Resolution Expert (writes resolution notes), are Enterprise only, in the US and IN data centers, for selected users on request. Azure OpenAI, billed through your own Azure deployment, is Enterprise only too. Separately, Zoho's pricing page lists AI agents (access to pre-built agents in its Agent Store and up to 30M free tokens a month) among its edition features; those Agent Store agents are not the two Desk agents above. Our [Zoho Desk AI playbook](/articles/zoho-desk-ai-playbook) maps each feature to its edition and region.

Data use has layers as well. Zoho's privacy policy limits the use of service data for AI and machine learning to anonymized crops that improve accuracy and to models specific to your organization, and Desk's Zia pages say Zoho does not use customer data to train or fine-tune its models. Bring your own key and the picture changes. Ticket content then goes to OpenAI, Azure or DeepSeek under that provider's terms, although Zoho masks specific fields before sending anything to ChatGPT.

> 💡 **Match AI plans to your data center:** Zia's own generative AI (Professional and Enterprise) runs only in the US, IN, AU, EU, JP and CA data centers; the pre-built Desk agents are Enterprise only, in the US and IN data centers, for selected users on request. Confirm your region before paying for Professional or Enterprise for AI.

## Sign-in, the mobile app and Radar

Agents sign in with a Zoho account. Zoho's security page lists multi-factor authentication through its OneAuth app (push, QR code, TOTP, Face or Touch ID, YubiKey) and SAML single sign-on for identity providers. The data center is set at sign-up from your sign-up IP, and Zoho's Terms prohibit masking that IP, so an EU team should sign up from the EU. Moving later is a request that takes up to five business days, with no expected downtime. Your customers' sign-in is a separate layer: help-center SAML, JWT, TOTP-based MFA and federated login start on Standard, and that SAML covers customers, not agents.

Two apps cover mobile work. Both come with every edition, Free included. The Zoho Desk app for iOS and Android is the agent's app, offered in 26 languages, and with the Zoho CRM integration (Standard and higher) it shows CRM data such as purchases, deal size and licenses beside the ticket. Signing up from the app creates a Free account; upgrades happen only on the web. Radar is the manager's app, with live traffic, nine reports, exception alerts on handling time, happiness and first contact resolution, and iPad support since July 2026. It locks with a fingerprint or PIN and can block screenshots. Its Zia ticket summaries need generative AI switched on in the web app first.

## Security, compliance and your data

Zoho's certifications are company-wide: ISO/IEC 27001 (valid to 21 August 2028), 27701, 27017 and 27018, plus a SOC 2 Type 2 claim, and Zoho Desk is named in the SOC 2 + HIPAA Type 2 report for 1 December 2023 to 30 September 2024 [3]. Desk is not in the SOC 1 report or the PCI list. Card-data workflows need another answer. Desk also holds WCAG 2.2 AA certification, valid to 22 March 2029. For HIPAA, ePHI field labeling starts on Professional, while field encryption beyond ePHI, the audit log and the sandbox are Enterprise; Zoho's HIPAA guide says a Business Associate Agreement template can be requested from legal@zohocorp.com.

Plans renew automatically. To stop a renewal, tell Zoho at least seven days before the date or downgrade to Free. Zoho's refund policy gives a full refund, and moves the account to the Free plan, if you are dissatisfied in the first 45 days of an annual plan, or still unhappy after contacting Zoho in the first month of a monthly one [4]. After a forgotten renewal, the window is five business days (monthly) or 15 days (annual); after that, no refunds, prorated included. An annual plan downgraded mid-term earns a credit as a subscription extension, not cash. Export before you cancel. Zoho deletes closed-account data from live systems within about six months and from backups three months later.

> ⚠ **Seats stay billed after agents leave:** Deactivated or deleted agents stop counting as active, but their purchased license seats are billed until you reduce the seat count.

## How we score Zoho Desk

We score each product on several axes, each from its own evidence, and weight them by what drives a help desk decision. User sentiment is one of them, not the verdict. For a help desk, the axes that weigh most are what each edition unlocks and how it connects to your other tools, followed by how the bill grows with headcount and whether the AI works in your region. The full breakdown sits below.

**Our scorecard — 3.9/5**
- Integrations: 4.1/5 — Email, web forms and Facebook, Instagram and X land in one ticket queue from Express; Standard adds instant messaging (WhatsApp, Instagram DM, Messenger, Telegram, WeChat, LINE) and Business Messaging live chat, Professional adds telephony (Twilio, RingCentral, Amazon Connect, Zoho Voice and others; missed calls and voicemails become tickets) and Enterprise SalesIQ live chat, with Zoho acting as a WhatsApp Business Solution Provider. The native Zoho CRM link goes deep: two-way sync of contacts, accounts and products, CRM users added as light agents, a Zoho Desk tab inside CRM, SalesSignals for reps and the Handshake work mode; around it sit the Zoho suite (Books, Invoice, Analytics, Assist with 1 free user, Projects, FSM, Flow, Cliq), Jira, Slack, Teams, Salesforce, Zapier, a reviewed Marketplace, a REST API on OAuth 2.0 and Zoho MCP at $0 for all Zoho users. Held back by gates: the named integrations and Marketplace public extensions from Standard (not on Free or Express), webhooks only from Professional (5 active, 10 on Enterprise), private extensions from Professional, a Shopify extension that shows orders and creates tickets from order status but describes no order actions, Zoho CRM sync and extension calls spending the daily API credits, WhatsApp business-initiated messages paid through prepaid IM credits plus Meta's per-message pricing, and IM chatbots only on Enterprise.
- Capability & depth: 4.1/5 — A broad service desk with granular, published edition limits: departments (one up to Standard, 10 on Professional, 50 on Enterprise plus an add-on to 500), workflow rules, time-based supervisor rules, macros and direct assignment counted per edition, SLAs with up to 10 targets and multi-level escalations, Blueprint process flows (1 active per department on Professional, 20 on Enterprise), round robin from Professional, skill-based assignment, contracts, custom modules, layout and validation rules, sandbox and audit log on Enterprise; merge, split and clone from Express; a public knowledge base, community forums and the ASAP widget from Standard, a multilingual help center from Professional and multi-brand help centers on Enterprise; custom reports and dashboards from Standard, global reports from Professional; the mobile app and the Radar analytics app on every edition, Free included. Held back by depth that sits high up the ladder: Free has no workflows, custom fields or public knowledge base, Express allows 1 workflow rule (ticket module only) and no instant messaging, collision detection, ticket sharing, teams and parent-child tickets start on Professional, and Deluge custom functions, skill-based assignment, Guided Conversations, the sandbox and the audit log are Enterprise-only.
- Value for money: 4.0/5 — Low per-agent prices and a real free plan: Free $0 for 3 users with no time limit, Express $9 per agent per month billed monthly or $7 billed annually (capped at 5 users), Standard $20 or $14, Professional $35 or $23, Enterprise $50 or $40; ten agents on Professional come to $230 a month billed annually ($2,760 a year, our arithmetic). Native Zia generative AI carries no charge on Professional and Enterprise, light agents are an add-on from Standard at $6 per light agent per month with 50 included on Enterprise, a 15-day trial of any edition needs no card and falls back to Free, and full refunds apply in the first 30 days (monthly) or 45 days (annual). Held back by cost that grows with headcount (every agent on the same edition, deactivated agents billed until the seat count is reduced), monthly billing 25% to 52% dearer than annual depending on the edition (our arithmetic), a sixth agent forcing Express users onto Standard, generative AI on Express and Standard paid to OpenAI through your own key, the department add-on at $7 per department per month billed monthly or $6 billed annually on Enterprise only, Premium support at 20% of the subscription fee, WhatsApp credits at $2 each plus a 3% fee, and an annual plan downgraded mid-term earning a credit as a subscription extension, not cash.
- Ease of use: 3.4/5 — Signup gives a 15-day trial of any paid edition with no card, editions can be switched during the trial, and the account moves to Free on its own when the trial ends; the Free plan runs with no time limit, Zwitch migration from Zendesk or Freshdesk is included on paid editions (Zoho's Freshdesk help names Standard and up), tickets can be worked in table, compact or classic views with work modes (Status, Handshake, Countdown, Priority) from Standard, onboarding offers up to four 60-minute guidance sessions depending on the plan, and the agent app runs on iOS and Android in 26 languages. Held back by an edition ladder buyers must map feature by feature (five editions, per-edition counts for rules, fields, SLAs and channels), a data center fixed at sign-up that also decides which Zia features run, an AI setup split between native Zia, your own OpenAI key and Azure OpenAI with only one active per organization, workflow rules switched off on a downgrade and re-enabled by hand, Automation Studio opened on request, and upgrades handled only on the web.
- AI: 3.5/5 — Zia covers sentiment analysis, ticket auto tags and Answer Bot from Standard, ticket and thread summaries, reply and writing assistance and knowledge-base article generation from Express, and field and anomaly predictions from Professional; Zia's own LLM (Qwen 30B by default, hosted by Zoho in the customer's region) runs on Professional and Enterprise with no charge, Guided Conversations add a rule-based bot builder with a generative block, and Zia's and the Zia-agents pages say Zoho does not use customer data to train its AI models, with the privacy policy limiting AI use to anonymized crops and organization-specific models. Held back by AI split by edition and data center: Express and Standard get generative AI only with their own paid OpenAI key (DeepSeek in the China data center), native Zia LLM only in the US, IN, AU, EU, JP and CA data centers, the pre-built Support Specialist and Resolution Expert agents on Enterprise only, in the US and IN data centers, for selected users on request, Zia actions, Azure OpenAI, Guided Conversations and chatbots inside instant messaging on Enterprise only, several Zia features (actions, field predictions, auto tags, generated replies) working on English text only, and ticket content going to the provider under its terms when you bring your own key.
- Support & reliability: 3.3/5 — Zoho-wide ISO/IEC 27001, 27701, 27017 and 27018 certificates, a SOC 2 + HIPAA Type 2 report that lists Zoho Desk, a Business Associate Agreement template on request, WCAG 2.2 AA certification, GDPR and CCPA statements with a DPA and breach notice within 72 hours, data centers in the US, EU, IN, AU, CN, JP, CA, SA and UAE with migration between them on request, AES-256 at rest, TLS in transit, encrypted backups kept three months, MFA through Zoho OneAuth and SAML SSO, a public status page, and Classic support included on every paid edition (email 24/7, toll-free phone in business hours) with live-chat support on Professional and Enterprise. Held back by no percentage uptime SLA in the Terms (99.99% and 99.9% appear only on Zoho's Zwitch, enterprise and Zoho One pages), Zoho Desk missing from Zoho's PCI and SOC 1 lists, round-the-clock help sold as Premium (20% of the subscription fee) or Enterprise support (25% of the annual fee, minimum 25 user licenses), basic support on Free with replies in 1 to 2 business days, automatic renewal unless Zoho is told at least seven days before, and account data deleted after termination, from live systems within about six months and from backups three months later.
- Docs & learning resources: 3.4/5 — A plan comparison matrix that publishes counts per edition for rules, fields, SLAs, channels, departments and reports, a large help center with dated articles, developer documentation with API credits and concurrency per edition, rate-limit headers, webhooks and SDKs, release notes, support-plan, compliance, security, privacy, Terms and refund-policy pages, a VPAT, and Ask Zia as an answer engine over Zoho's own help docs. Held back by pages not updated that buyers will meet: a pricing FAQ giving Standard 5 users and light agents only on Professional and Enterprise, an Enterprise-plan help article with an old price and unlimited departments, a Zia FAQ and 2024 release notes with older AI and messaging gates, a best-software page with Zia on all paid plans at no cost, AI pages still naming ChatGPT as Zia's engine, free-plan landing pages promising a help center and reports, an upgrade article without Express, help lines on integrations and refunds that the matrix and the refund policy overrule, and integration and language counts that differ from page to page.
- User sentiment: 4.4/5 — G2 4.4 from 7,944 reviews and Capterra 4.5 from 2,216 (both as indexed by Google); App Store US 4.70 from 1,636 and Google Play 4.4 from 2,963 rate the Zoho Desk mobile agent app, not the web help desk. Trustpilot's only listing is zoho.com (3.8 from 6,186), which covers all Zoho products rather than Zoho Desk, so it is excluded. Axis score 4.4: the mean of each platform's displayed rating with at least 30 reviews, app stores included, weighted by review count (14,759 reviews; computed 4.448, rounded down to one decimal).

The composite lands at 3.9/5. It rewards a long feature list at modest per-agent prices, a Free plan that genuinely works for email ticketing, apps for agents and managers on every edition, and a compliance record that names Desk in the SOC 2 + HIPAA report. It holds back on fragmentation. Useful features hide behind Professional or Enterprise, the AI you get depends on where your data lives, and the five-user Express cap turns one hire into a much larger bill.

**What users rate it, by platform**

| Platform | Rating | Reviews | As of |
|---|---|---|---|

_Rendered from our current record; these are other platforms' user scores, separate from our own Toolkit Score._

Read those ratings for what they measure. The G2 and Capterra readings sit close to the two app-store readings, a narrow and favorable band. The App Store and Google Play scores rate the mobile agent app, not the web help desk. Trustpilot lists Zoho as a company across every Zoho product, so it says nothing specific about Zoho Desk and stays out of our reading.

## FAQ

**What happens when the Zoho Desk trial ends?**

The 15-day trial of any paid edition needs no credit card, and if you do not buy, the account moves automatically to the Free plan. You can switch editions during the trial or ask support@zohodesk.com for an extension.

**Can some agents be on Standard and others on Professional?**

No. Every agent must be on the same Zoho Desk edition, so upgrading for one team's needs upgrades every license.

**How can I pay for Zoho Desk?**

Zoho accepts Visa, MasterCard, American Express and PayPal, and yearly subscriptions can also be paid by bank transfer or check. Taxes such as VAT or sales tax are added on top of the list price.

**Can Zoho close an unused Free account?**

Yes. Zoho may terminate an unpaid account that stays inactive for 120 continuous days, after giving notice and a chance to back up the data.

## The bottom line

Zoho Desk belongs on a shortlist when you want per-agent pricing that stays low into automation-heavy tiers, and it earns more if your company already runs Zoho CRM or a Zoho bundle. Our score reflects a broad product split behind many gates. Buy the edition your must-haves need, not the cheapest one; check your data center against the AI you plan to use; and count seats past five before choosing Express. Do that and few surprises remain.
