Zoho Desk costs less per agent at every tier, and the gap widens once you need live chat or WhatsApp. Both charge per agent per month. Zoho Desk runs $7 to $40 per agent per month billed annually across Express, Standard, Professional and Enterprise, and its Free edition covers 3 users for $0.[1] Freshdesk lists Growth at $19, Pro at $55 and Enterprise at $89 per agent per month billed annually.[2] Zoho Desk wins on price. Freshdesk keeps two edges: day passes for occasional agents and an email AI agent on its entry plan.

## What five and ten agents cost on each side

> **About these prices:** Prices shown are what Zoho Desk lists for visitors in the United States, in US dollars. Your price can differ by country, currency and local taxes such as VAT. Check your current price — Zoho Desk: https://api.colosus.site/go/zoho-desk?to=pricing

Start with the cheapest plan that fits five people. Zoho Desk Express costs $7 per agent per month billed annually or $9 billed monthly, but it stops at 5 users, and a sixth agent forces Standard. Zoho Desk Standard costs $14 per agent per month billed annually or $20 billed monthly, with no user cap. Freshdesk Growth costs $19 per agent per month billed annually or $23 billed monthly. By our arithmetic, five agents on annual billing come to $35 a month on Zoho Desk Express, $70 on Zoho Desk Standard and $95 on Freshdesk Growth.

At ten agents the spread grows. Zoho Desk Professional, which adds telephony, round robin and Zia's own generative AI (in six of Zoho's data centers), costs $23 per agent per month billed annually or $35 billed monthly. Freshdesk Pro costs $55 per agent per month billed annually or $66 billed monthly. Ten agents on annual billing come to $230 a month on Zoho Desk Professional against $550 a month ($6,600 a year) on Freshdesk Pro. At the top, ten annual seats cost $400 a month on Zoho Desk Enterprise and $890 on Freshdesk Enterprise.

Annual billing matters more on Zoho's side: its annual rates sit about 20% to 34% below monthly depending on the edition (34% on Professional only, 20% on Enterprise), while Freshdesk's sit about 17% below on each plan. Both vendors put every agent on the same plan, and Zoho Desk keeps billing deactivated agents until you cut the seat count, as our [Zoho Desk pricing guide](/articles/zoho-desk-pricing) explains.

Occasional helpers split the two. Freshdesk also sells day passes, priced per pass rather than per month: $2 on Growth, $7 on Pro and $12 on Enterprise. Zoho Desk offers light agents instead, at $6 per light agent per month as an add-on from Standard, with 50 included on Enterprise. A light agent can view tickets and add private comments, but cannot reply or take assignments. If part-time helpers must answer customers, each needs a full Zoho Desk seat.

**What users rate it, by platform**

| Platform | Rating | Reviews | As of |
|---|---|---|---|

_Rendered from our current record; these are other platforms' user scores, separate from our own Toolkit Score._

These scores belong to Zoho Desk alone. Its app-store ratings rate the mobile agent app, not the web help desk, and Trustpilot lists Zoho as a company rather than Zoho Desk. Read the G2 and Capterra figures as the signal for the product itself, and weigh them as one input next to price, channels and contract terms.

## Chat, WhatsApp and phone: which plan unlocks them

Channels are where the lists diverge. Plain Freshdesk covers email, a lite help widget with a knowledge base and web forms but no live chat, Facebook, and phone through Freshcaller or a telephony app. Live chat, WhatsApp, Instagram and SMS come with Freshdesk Omni, a separate price list. Zoho Desk keeps everything in one product and unlocks channels edition by edition.

| Channel | Zoho Desk | Freshdesk |
|---|---|---|
| Email and web forms | Every edition (Free: 1 address, 1 form) | Every plan |
| Facebook, Instagram, X | Express and up (1 brand; 2 on Enterprise) | Facebook on Freshdesk; Instagram with Omni |
| Live chat | Standard (Business Messaging); SalesIQ chat on Enterprise | Omni only |
| WhatsApp | Standard and up | Omni only |
| Phone | Professional and up | Freshcaller; Voice add-on in Omni |

Zoho Desk's Standard edition is the line most teams care about. It adds WhatsApp, Instagram DM, Messenger, Telegram, WeChat and LINE, one channel of each, plus one Business Messaging live-chat channel. Business-initiated WhatsApp messages draw on prepaid IM credits at $2 per credit plus a 3% fee. Replies inside a customer's open 24-hour window are free only for the first 1,000 service messages per business number each month; after that they also need credits, and without credits they are not sent. Meta's per-message pricing applies, and bought credits are non-refundable.

To compare like with like, price Freshdesk's chat on Omni. Freshdesk Omni Growth costs $29 per agent per month billed annually or $35 billed monthly. Five chat-ready agents billed annually come to $145 a month on Omni Growth and $70 on Zoho Desk Standard. For phone, Zoho Desk needs Professional, while Freshdesk sells calling through Freshcaller, a separately priced Voice add-on inside Omni; our [Freshdesk pricing breakdown](/articles/freshdesk-pricing) covers those add-ons.

> 💡 **Price chat on the right plan:** Freshdesk's live chat and WhatsApp sit in Freshdesk Omni, so compare Zoho Desk Standard with Omni Growth, not with plain Freshdesk Growth.

## AI: edition gates versus metered sessions

Zoho Desk ties AI to the edition and the data center. On Express and Standard, generative features such as ticket summaries and reply assistance run only with your own AI provider key (OpenAI, or DeepSeek in the China data center), billed by that provider. Standard adds sentiment analysis and the Answer Bot, which answers from knowledge base articles (Zoho recommends at least 30 per department) and is not offered in the China data center. Professional switches on Zia's own LLM at no extra charge, but only in the US, IN, AU, EU, JP and CA data centers. One generative AI service can be active per organization.

The pre-built Desk agents, Support Specialist and Resolution Expert, are Enterprise only, in the US and IN data centers, for selected users on request. Zia Actions, field predictions and auto tags read English text only. **Zoho's AI question is really a Professional question**: that is where generative AI stops costing extra, as long as your account sits in one of those six data centers.

Freshdesk meters its customer-facing AI instead. New Freshdesk accounts on Growth, Pro or Enterprise get 500 free Freddy AI Agent sessions once per account; after that, packs cost $49 per 100 sessions. An email session is a 72-hour window, purchased packs expire with the payment cycle, and at zero the AI agent stops answering. Freddy AI Copilot, the agent-side assistant, costs $29 per agent per month billed annually or $35 billed monthly on Pro and Enterprise, and can be bought for only some agents.

Run the numbers first. A team whose AI agent handles 1,000 sessions a month pays for 10 packs, or $490 a month, once the free 500 are gone, by our arithmetic. Copilot for ten agents adds $290 a month billed annually. That Copilot line alone tops the $230 a month that ten Zoho Desk Professional seats cost on annual billing, though the two assistants are not feature-for-feature twins.

## Automation and routing: where auto-assignment starts

Both vendors hold automatic assignment back from the entry plan. Freshdesk starts it on Pro, which also adds intelligent routing and multiple SLA policies; skill-based routing sits on Enterprise. Zoho Desk starts round robin on Professional and keeps skill-based assignment for Enterprise. Below Professional it offers only direct assignment rules: 2 on Express, 5 on Standard. A routing-heavy team should compare Professional with Freshdesk Pro, not Standard with Growth.

Rule counts are the real ceiling on Zoho Desk. Workflow rules run 1 per module on Express (ticket module only), 5 per module on Standard, 15 per department per module on Professional and 30 on Enterprise. Standard allows 4 SLAs and 5 time-based supervisor rules. Professional adds Blueprint, one active guided process per department, and up to 10 departments. Free has no workflows at all. **Professional is the minimum Zoho Desk edition** for routing plus a guided approval path.

## Trials, free tiers, renewal and refunds

Zoho Desk gives a 15-day trial of any paid edition with no credit card, and if you buy nothing the account drops to the Free edition automatically. Free stays at $0 with no time limit for 3 users: email ticketing, one web form and an agent-only knowledge base, but no workflows, custom fields or public help center. Freshdesk's trial runs 14 days on Enterprise features with no card and up to 2 invited team members; afterward you pay by card or the account is suspended.

Freshdesk has no self-serve free plan; its Free program, for up to 2 agents, is reached only through Customer Success. Renewal differs too. Zoho Desk renews automatically unless you tell Zoho at least seven days before the renewal date or downgrade to Free. Freshdesk renews for the same term, users and add-ons unless written notice arrives at least 30 days before expiry.

Refunds are the sharpest difference. Under Zoho's refund policy, a dissatisfied customer gets a full refund within the first 30 days of a monthly plan or 45 days of an annual one, with the account moved to Free.[3] A forgotten renewal is refundable within five business days (monthly) or 15 days (annual), and an annual plan downgraded mid-term earns a credit, not cash. Freshdesk payments are non-refundable, downgrades wait for the end of the term, and cancellation takes effect only when the term ends.

> ⚠ **Freshdesk payments do not come back:** Freshdesk payments are non-refundable and downgrades wait for the end of the term; Zoho Desk refunds dissatisfied customers in full within the first 30 days (monthly) or 45 days (annual), moving the account to Free.

## Moving from Freshdesk to Zoho Desk

Zoho's Zwitch service imports Freshdesk data, and Zoho's Freshdesk migration guide places it on Standard and above.[4] It works from Freshdesk backup files: companies become accounts, private notes become ticket comments, public notes become threads, and solutions become knowledge base articles. Migrated custom fields land in an Unused Fields section and must be dragged onto the layout. Turn off Zoho CRM or Salesforce integrations during the move to avoid duplicate contacts.

Timing is the trap. Zoho runs the migration in two phases, the second about two weeks after the first completes, at least two weeks in total, and the Freshdesk account and its admin seat must stay active until it ends. Zoho's team queues each job, and you must answer its error log within two weeks. Freshdesk attachment links stay valid for one week, so submit fresh backups. Zoho says 3% to 5% of records can fail and returns them as a CSV file. Request the migration well before the Freshdesk term ends, not on the day you send the 30-day non-renewal notice.

> 💡 **Request Zwitch well ahead:** Zoho queues Freshdesk migrations and runs them in two phases over at least two weeks, so request Zwitch well before the Freshdesk term ends, not on the day you send the 30-day non-renewal notice.

## FAQ

**Does Zoho Desk connect to Zoho CRM, Jira and Slack on every plan?**

No. Zoho Desk's Zoho CRM, Jira and Slack integrations are available on Standard and higher, not on Free or Express.

**Can I pay for Zoho Desk or Freshdesk with PayPal?**

Zoho Desk accepts Visa, MasterCard, American Express and PayPal, plus bank transfer or check for yearly subscriptions. Freshdesk does not accept PayPal; it takes Visa, Mastercard, Discover and American Express.

**Where does Zoho Desk store my data?**

Zoho Desk sets your data center at sign-up, with regions including the US, EU, IN, AU, CN, JP, CA, SA and UAE. Moving between data centers is done on request and can take up to five business days.

**What happens to my Zoho Desk data if I leave?**

Export it first: closing the account deletes its data, and Zoho purges it from live systems within about six months and from backups three months later.

## The bottom line

Zoho Desk is the cheaper per-agent help desk at five or ten agents, and it carries chat and messaging from Standard where Freshdesk needs Omni. Its generative AI costs nothing extra from Professional in six data centers, while Freshdesk meters AI Agent sessions after the first 500. Freshdesk still earns a look for teams that want day passes or an email AI agent on the entry plan. Check exit terms before signing: seven versus 30 days' notice, and refund windows only on Zoho's side. For the wider field, see our [Zoho Desk alternatives](/articles/zoho-desk-alternatives).
