Let rules and parsers handle routine email

Sort and answer routine mail with rules, and pull the details out of structured emails into the apps that need them.

For anyone asking: How do I automate the email I handle by hand?

Tools that do it

Each one's way of doing it, and the point where it stops.

n8n Does it

A new support email starts the workflow, the Text Classifier sorts it by urgency, sentiment and intent, and an AI node drafts a reply that a person approves before it goes out. Where it stops: Self-hosting means you run and maintain the server; Cloud has a 14-day trial and no free plan.

Zapier Does it

Email Parser by Zapier learns a template from a sample email you highlight, then its New Email trigger passes each field to Google Sheets, HubSpot, Salesforce, Slack or another app in a Zap. Where it stops: No attachment parsing (PDF, Excel, CSV, Word) or HTML tables; a changed email layout breaks fields without an alert.

Pabbly Connect Does it

Its built-in Email Parser splits incoming emails into fields as a free step, or an AI step extracts name, company, budget and deadline into columns; a Send Email action can confirm receipt. Where it stops: Free plan workflows are two-step.

Latenode Partly

A triage agent receives each email through a webhook, tags it sales, support or noise, drops the noise, posts a grounded draft reply to a Slack review queue and logs every decision. Where it stops: The documented triage flow starts from a webhook, so mail has to be sent into it first.

Make Partly

The Gmail Watch Emails trigger fires on new mail matching a filter and outputs sender, subject, body and attachments; an AI step classifies the text or drafts a reply into a review queue, and an iterator saves attachments to Google Drive. Where it stops: The Free plan checks for new mail every 15 minutes at the shortest.

Albato Partly

An inbound email starts a triage flow: an AI step classifies topic and urgency, can pull fields from the text and draft a suggested reply, and a router sends billing and technical requests to different places while Slack gets a ping. Where it stops: AI steps are not on the Free plan.

IFTTT Partly

A Gmail trigger narrowed by sender, subject or label adds the email to a spreadsheet row, saves attachments to a shared drive or alerts Slack; on Pro+, AI Summarize adds a one-line summary. Where it stops: No data transformation at any tier, and triggers poll rather than fire instantly.
