How Calendly's integrations are organized

Calendly connects to the tools that surround a meeting. Calendars hold your busy time, video tools create the links, CRMs store the outcome, and automation tools move the data somewhere else. Some of these connections are built by Calendly and others by partners, and each one carries its own plan requirement. In practice, that requirement is what usually decides which Calendly plan you buy, so it pays to list your tools before you compare prices.

Every integration lives on the Integrations and Apps page inside Calendly, and the public directory opens with twelve popular picks, starting with Zoom. Integrations that need an administrator carry an Admin note in the corner. For anything missing, Calendly points you to its Developer Portal. The table below shows the lowest plan for the connections most teams ask about [1].

Integration Lowest plan
Google Calendar, Outlook, Exchange Free (one calendar)
Zoom, Google Meet, Microsoft Teams, Webex, GoTo Free
Slack, LinkedIn extension, Chrome extension Free
HubSpot, Mailchimp, Zapier, Stripe, PayPal Standard
Google Analytics 4, Meta Pixel Standard
Salesforce, Marketo, Pardot Teams
Salesforce lookup routing, Dynamics 365 Enterprise

What the plan ladder costs

In money terms, the ladder is steep. By our arithmetic, a five-person team pays $600 a year on Standard for HubSpot and Zapier, but $960 on Teams for Salesforce. The jump to Enterprise for Dynamics begins at $15,000. A ten-rep team shows the same gap: $1,200 a year on Standard against $1,920 on Teams with annual billing. That upgrade is usually justified, because routing and round robin arrive with it. Our Calendly pricing guide walks through every tier.

Toolkit tip
Connect the CRM before rollout

Connect the CRM before rollout so every early booking lands in it. Decide who has admin rights on both sides first.

Calendars: Google, Microsoft and the iCloud wall

Google Calendar is the most common connection. You choose which calendars Calendly checks for conflicts and which one receives new meetings, and optional sync lets you cancel or reschedule Calendly meetings straight from Google Calendar. Paid plans check up to six calendars per user; Free checks one. That difference is bigger than it sounds. A consultant can block time from a work calendar, a personal calendar, a family calendar and two client calendars at once, while a free account would see conflicts on only one of them.

Microsoft calendars and the desktop plug-in

Microsoft calendars connect the same way, including Office 365, Outlook.com and Exchange. Calendly checks up to four Outlook sub-calendars and only writes to calendars you can edit, and if your company restricts apps, an admin must approve Calendly first. For companies that cannot use the cloud connection, an Outlook desktop plug-in can check conflicts in the desktop calendar. Calendly still recommends the cloud connection whenever it works. The reason is practical. The plug-in only syncs while the computer and Outlook are running, so a laptop closed over the weekend stops updating availability until Monday morning.

iCloud users are stuck

Apple Calendar users face a hard limit. Since August 20, 2024, Calendly no longer supports new connections to iCloud Calendar [2]. Existing connections keep working. New users who rely on iCloud must move their busy time to Google or Microsoft, or pick another tool. If Apple's calendar is central to how you work, test that workaround during the trial, before any money is committed.

⚠️
Watch out
Routing to owners costs Enterprise

Salesforce lookup routing and Dynamics 365 are Enterprise only, and Enterprise begins at $15,000 a year for 50 seats.

Video meetings: Zoom, Meet, Teams, Webex and GoTo

Every video integration works on the Free plan. Choosing Zoom as the location creates the conference details automatically, while passcodes, waiting rooms and personal meeting IDs stay under Zoom's control. By default each user connects their own Zoom account. Admin-managed Zoom connects everyone at once and needs Teams or higher; for a 40-person sales team it replaces 40 separate connections with one, at no cost beyond the $16 per seat the team already pays for round robin. In companies, Zoom admins must pre-approve Calendly in the Zoom Marketplace.

Google Meet links come from your Google Calendar connection and only work when Google Calendar receives new meetings; international dial-in numbers need Google Workspace Enterprise or Enterprise for Education. Microsoft Teams links need a Microsoft 365 Business or Office 365 Education account, and changing the link on a booked meeting means rescheduling it. Webex shows Access denied until your Webex admin approves Calendly in the Control Hub. GoTo Meeting creates a unique link for each event and, on a paid GoTo account, adds dial-in numbers, which Calendly turns off when your GoTo plan does not support them.

Salesforce: the integration that sets the plan

When a meeting is booked, Salesforce creates a new lead, contact or opportunity for a new prospect and adds the event to existing records. Booking answers can map to custom objects, and activity can be tracked by campaign, time period, meeting type, rep or custom fields. The integration is listed for the Teams and Enterprise plans [3], and syncing only certain groups, such as the sales team, is an Enterprise feature. Installing the package needs Salesforce admin rights. Test in a sandbox first.

Buttons, package version 2 and recaps

You can book without leaving Salesforce. Buttons on accounts, contacts or leads open your booking page for live booking on a call, or drop your link into a Salesforce email draft. The package has moved from an unmanaged version 1 to a managed version 2, which updates without an uninstall and reinstall. Version 2 adds meeting location, rescheduled meetings, all ten custom questions and no-show status. Uninstalling version 1 permanently deletes its CalendlyAction records, so plan that switch with care. On Standard Plus and Teams Plus, Notetaker can also push meeting recaps into Salesforce, which needs package version 2.8.

Lookup routing is Enterprise only

Routing by Salesforce lookup checks whether an account exists and books its owner, filtering by deal stage, territory or other Salesforce fields. It is Enterprise only. That distinction matters for budgets. A 30-person team can have Salesforce sync on Teams for $5,760 a year, while routing every known account to its existing owner needs Enterprise, which begins at $15,000 a year for 50 seats. Our Calendly for sales guide covers routing in more depth.

HubSpot, Marketo, Pardot and Dynamics 365

HubSpot is the cheaper CRM route, needing only Standard and working with free or paid HubSpot accounts. New leads or contacts and their activities are created when meetings are scheduled, and syncs also run when a meeting is canceled or marked as a no-show. For existing contacts, HubSpot adds the meeting activity but does not change the contact's details or owner. Answers to custom questions land under the contact's Activity tab rather than in contact properties. Mapping them to other fields takes HubSpot workflows, a HubSpot feature.

One limit catches small teams: "The Free HubSpot Plan supports only 10 custom properties. If you go over this limit, syncs may fail" [4]. By default every team member's meetings sync, and limiting that requires Zapier. Setup needs Calendly administrator privileges and HubSpot admin rights. On Teams, routing can also match known contacts to their active HubSpot owner, provided your Calendly login email matches your HubSpot account email. Calendly recommends placing that ownership route first.

Marketo and Pardot forms can feed Calendly routing on Teams, so a visitor who submits a form sees the right booking page at once, and Marketo can receive meeting data as activities. Test routing on your real landing pages, since form embeds depend on each tool's own scripts. Dynamics 365 sits on Enterprise and works through Power Automate flows that create and update records when meetings are booked or canceled. Microsoft-centric sales teams should raise it in the Enterprise conversation.

Marketing, payments and analytics

Mailchimp adds invitees to an audience and tags them. It needs a paid Calendly plan with admin access, and invitees in a GDPR region must consent before you send them marketing emails, so an EU coaching business should ask for newsletter permission on the booking page. ActiveCampaign, built and managed by ActiveCampaign, updates contacts, applies tags and syncs invitee data to custom fields, but "Calendly will not create new fields for you", so create them first. Payments run through Stripe or PayPal on paid plans, one or both. Payment links, packages and invoices use Stripe, and refunds happen in the processor.

Tracking: GA4 and Meta Pixel

The GA4 integration tracks invitee actions on scheduling pages and routing forms, with one Measurement ID per Calendly organization. Universal Analytics stopped working in July 2023, and there is no direct Google Tag Manager integration. Reports can take up to 24 hours to fill. The one-ID rule bites multi-brand companies: two marketing sites cannot send Calendly events to two GA4 properties, so you merge reporting or track one brand through UTM parameters. Meta Pixel, built and managed by Meta, tracks how visitors from Facebook ads use your booking page. Firefox may block Pixels by default. Expect some gaps.

Automation, AI assistants and custom builds

Zapier needs Calendly Standard or higher plus a free or paid Zapier account. Zaps can run after meetings are scheduled, contacts are updated or Notetaker activity occurs, and a Zapier action can even book meetings for invitees. Calendly says Zapier reaches 6,000+ apps. Filters and paths need a paid Zapier plan, and only admins or owners can use group or organization triggers. Zapier's pricing sits on top of Calendly's, which makes it a budget line of its own. When a zap fails, look at Zapier first, because Zapier builds and supports the integration.

Make connects through the API, and its Watch Events trigger needs a paid Calendly plan. The ChatGPT plugin and Claude connector are listed on every plan. Both run on the official MCP server, which works on any Calendly plan, including the free tier. Booking through MCP needs a paid plan, though, so on Free the AI connector is a read-and-manage tool. When nothing off the shelf fits, the API accepts GET and POST requests on any subscription plan, while webhooks need a paid plan and report bookings, cancellations, no-shows and routing submissions in real time. Our Calendly API guide goes deeper.

Toolkit tip
Kill duplicate calendar syncs

Turn off HubSpot or Zoom calendar sync if you see duplicate meetings. Two syncs writing the same meeting inflate CRM activity.

Where you already work: chat, inbox and forms

Several integrations simply put Calendly inside the apps you already open all day. Slack works on every plan, sharing links through the /calendly shortcut, though it is a convenience rather than a data sync. The Microsoft Teams chat app posts when someone schedules, reschedules or cancels, and Calendly for Intercom shows your availability in the chat window. The LinkedIn extension works in Messaging, Sales Navigator and Recruiter on every plan. Inside Gmail, the extension pastes open time slots into emails, and its keyword detection runs only on your device. Gong Engage users get a Calendly button in the composer, and Typeform adds a booking step inside a form.

Stacks that fit common teams

A solo consultant needs four connections: Google or Outlook calendar, Zoom or Meet, Stripe for paid sessions and Gmail for automation emails. All fit Standard at $10 a month billed annually, and Mailchimp can grow a newsletter from bookings, with consent for EU contacts. A sales team usually needs Teams for Salesforce or HubSpot sync, routing forms, round robin, the LinkedIn and Gmail extensions, Gong if used, admin-managed Zoom and GA4 for attribution. For ten reps on annual billing, that is $1,920 a year in Calendly seats. If accounts must route to existing Salesforce owners, budget for Enterprise.

Recruiters gain most from the LinkedIn extension in Recruiter, the Gmail extension, round robin or collective events for interview panels, and Zoom or Teams. ATS connections run through partner apps or Zapier, and Notetaker on Teams Plus can record interviews for colleagues who missed them. A Microsoft company connects Outlook or Exchange, Teams conferencing, the Teams chat app and the Outlook add-in, with Dynamics 365 on Enterprise; ask IT to pre-approve Calendly in Microsoft's admin center. A Google Workspace company connects Google Calendar, Meet, the Chrome and Gmail extension and GA4. Turn off Google Calendar's automatic Meet links if you use Zoom. Otherwise invites carry two links.

Rolling out without duplicates or permission errors

Some integrations need rights on both sides. Salesforce requires administrative privileges in Calendly and in Salesforce, and HubSpot needs admins on both sides too. A regular user cannot finish that setup, so decide who connects each system before rollout. Most connection errors trace back to the same cause. Microsoft shows an approval prompt and Webex shows Access denied when an admin has not approved Calendly, Zoom needs Marketplace pre-approval in companies, and Teams conferencing errors usually clear after you disconnect and reconnect.

Duplicates usually come from two syncs writing the same meeting. Running HubSpot's own calendar sync alongside Calendly's can do it, and switching HubSpot's sync off affects all events in HubSpot, not just Calendly's. A rep whose Zoom, HubSpot and Calendly all write to one calendar can end up with three entries for a single call, which inflates CRM activity and makes availability look busier than it is. Disconnecting rarely cleans up either: removing the Calendly app in HubSpot leaves existing data in place, while disconnecting Mailchimp deletes your Calendly-side rules. Several integrations, including ActiveCampaign, Typeform, Meta Pixel and Zapier, are run by the partner, whose support team fixes broken syncs. Before launch, run through this list:

Gaps, the real count and the rivals

Three gaps stand out. There is no direct Google Tag Manager integration, so a team that runs everything through it must install GA4 tracking for Calendly separately, which adds another place to maintain tags. Pipedrive and many ATS products connect only through partners or Zapier. And iCloud accepts no new connections. If any of these is central to your work, test the workaround during the trial.

Calendly's own pages disagree on how many integrations exist. The home page claims 150+, while the About and features pages say 100+. Treat the directory as the reliable list. Either way, what counts is whether your CRM, calendar and video tool connect natively on the plan you intend to buy. Against rivals, Calendly is deeper in CRM and sales tools: Salesforce, HubSpot, Marketo, Pardot and Dynamics. Acuity focuses on calendars, payments and marketing apps, with CRM sync mostly through Zapier, and Cal.com connects to Slack, Salesforce and 100+ more. For sales-led companies, that depth is the reason to choose Calendly.

Does Calendly integrate with Google Tag Manager?+

Not directly. You connect one GA4 Measurement ID per Calendly organization instead.

Can I connect ChatGPT or Claude to Calendly for free?+

Yes. The MCP server works on any Calendly plan, including the free tier, but booking through MCP needs a paid plan.

The bottom line

Integrations are Calendly's strongest feature after ease of use. Calendars and video work on Free, marketing tools and HubSpot on Standard, and Salesforce plus CRM routing on Teams, with lookup routing and Dynamics on Enterprise. The trade-off is that the most valuable connections sit on the pricier plans, and some depend on partners for support. List your tools, check each plan requirement, then connect in order: calendar and video first, then the CRM, then analytics. Test each with a real booking and turn off duplicate syncs.
