Fireflies.ai can carry most of a recruiter's interview admin. It records and transcribes each interview, writes the summary, files notes to the candidate in Lever, Greenhouse (in beta), Ashby, BambooHR and several other applicant tracking systems, and can run first-round screens through a Voice Agent that uses 1 AI credit per minute of call. The plan a hiring team realistically needs is Pro at $10 per seat per month billed annually, because ATS sync, AI Skills and Voice Agents all start there. Business at $19 per seat per month billed annually earns its place when interviews run past two hours, storage fills up, or you need rules about which meetings reach the ATS. Two sharing defaults need changing before the first candidate call.
What an interview day looks like with the notetaker
Most recruiters meet Fireflies as a bot. The Fireflies.ai Notetaker joins Zoom, Google Meet, Microsoft Teams, Webex and other platforms as a named participant, and it cannot be hidden from the participant list. Right after sign-up it auto-joins every calendar meeting with a video link, so set auto-join to meetings you own, or to invite-only, on day one. On Free, "only meetings I own" keeps transcription unlimited; invite-only does not count as auto-join, so new Free accounts (from 1 September 2026) run on a few transcription credits. When it joins, it posts a chat message linking to Fireflies' privacy policy. Transcripts usually arrive five to ten minutes after the call, with speaker names detected from the video meeting.
Bot-free capture exists, with trade-offs. The desktop app for Windows and macOS records system audio without a bot, but it saves no audio file and labels speakers as Speaker 1 and Speaker 2. That is awkward when a hiring manager wants to replay one answer. The Chrome extension captures Google Meet in Chrome without a bot, audio only, and the mobile app records onsite interviews in the room. The Google Meet SDK integration records Meet audio and video without a visible bot once a Google Workspace admin authorizes it. Every meeting also has a recording limit: two hours on Free and Pro, three on Business and four on Enterprise, after which the bot leaves. Long panel loops hit that first.
Consent is your job. Fireflies' Terms put it on the customer, with the bot or without it. Fireflies' own recruiting guide notes that recording laws vary by US state and that all-party-consent states such as California, Florida, Illinois, Pennsylvania and Massachusetts require every participant to agree. Say it in the calendar invite and again when the call starts. An optional compliance email, off by default, goes out an hour before the meeting with an opt-out link, and if the candidate opts out the bot does not join. If someone objects mid-call, our guide on removing the Fireflies bot covers every exit.
Fireflies auto-joins every calendar meeting with a video link after sign-up. Set it to meetings you own or invite-only before your first interview. On Free, meetings you own keeps transcription unlimited; invite-only does not count as auto-join, so accounts created on or after 1 Sep 2026 run on a few transcription credits.
Getting interview notes into Lever, Greenhouse and the rest of your ATS
Fireflies' help center lists four supported applicant tracking systems: BambooHR, Greenhouse (beta), Lever and Ashby [1]. Separate help pages cover Workable, Breezy HR, Gem and Loxo. ATS integrations start on Pro; Free has none, although the API and the MCP server are on every plan. The mechanism is similar everywhere: Fireflies matches meeting participants to candidates by email and logs the summary, notes and action items on the candidate record. Lever receives interview summaries and transcripts, Workable gets notes as comments on existing candidates, and Loxo logs them on the person's activity timeline. Automatic sync covers meetings after setup, and Breezy HR can also push earlier meetings by date range.
The setting to check first is candidate creation. Greenhouse creates a new candidate by default when no match is found, Lever leaves auto-create as an option, and Ashby's help page warns that auto-create may add your own interviewers as candidates when they use non-company email addresses. Map notes only to existing candidates. Setup also needs admin rights on the ATS side: Ashby is connected at organization level by an Ashby Admin with an API key, Greenhouse needs a Harvest API key plus a Greenhouse user ID, and Loxo's API is a paid Loxo feature that its support may have to switch on.
By default every meeting is sent to a connected integration. Integration Rules, which filter by meeting title, host, participants, type or duration, are a Business feature, and so are granular integration permissions. On Pro, mapping only to existing candidates is the main guard against internal meetings landing in the ATS. Our Fireflies.ai API and integrations guide covers the API route for an ATS that is not on the list.
Scorecards and recruiting AI Skills
The standard summary uses no AI credits. Structured evaluations come from AI Skills, a paid-plan feature of templates that Fireflies says number 200+. The recruiting set on its skills page includes Interview Screener, Interview Question Generator, JD Optimization Tool and Recruiter Intro Call Scorecard, and a Candidate Scorecards template sits in the Discover tab. A skill can run after every meeting or on a daily, weekly or monthly schedule, with output sent to Slack, email or Teams. Each run uses AI credits, priced by complexity. Nothing about the price per run is fixed.
Greenhouse is the case to understand. Fireflies does not fill Greenhouse scorecards natively; you connect Greenhouse and set an AI Skill to build an interview scorecard after each interview and push it to the candidate record. Treat that output as a draft for the interviewer to sign off, not a verdict. Topic trackers, from Pro, count and timestamp keywords across transcripts, which suits tracking where salary or benefits came up. Admins can limit who creates AI Skills, and on Business they can show a skill only to chosen user groups.
Greenhouse creates new candidates by default when no email matches. Switching that off keeps interviewers and internal meetings out of your ATS.
Letting a Voice Agent run first-round screens
Voice Agents, on every paid plan with voice cloning included, run screening interviews on your behalf. The Screening Interview template asks set questions, supports 32+ languages and runs sessions of 5 to 40 minutes [2]. Calls happen on Fireflies' own browser page, not on Google Meet or Zoom. Candidates arrive through a link, embed code, QR code or calendar invite, with an optional one-time password check on email. The agent answers questions only from the Knowledge Base you attach. Each finished call is saved like a meeting, with recording, transcript, summary, scorecard and next steps.
The cost is easy to predict. One minute of call uses one AI credit, so a 10-minute screen uses 10 credits. The plan allotments are one-time and small: Pro's 20 credits cover a single 20-minute screen, and Business's 30 cover one 30-minute screen. Your first Voice Agent gets a one-time bonus of 100 credits valid for 14 days, which is five 20-minute screens. After that you buy credits. Fireflies' own recruiting post says final and panel rounds still belong with a recruiter. That is sensible. The agent fits high-volume roles where the first call is mostly the same questions.
Sensitive interviews: who sees the recap
Two defaults matter more for hiring than for sales calls. The recap email goes to everyone on the calendar invite, and on an interview invite that includes the candidate. Switch it to Only me in meeting settings. That changes the email, not who can open the meeting. The second default is recap privacy, set to Teammates & Anyone with Link [3], so a forwarded link opens the full interview. Levels run down to Only Owner, and a new default can apply to future meetings only or to all of them.
There is a catch. Fireflies' help calls Only Owner private, and private meetings are not pushed to integrations unless the admin is a Super Admin, an Enterprise role. Locking an interview down can therefore stop its ATS sync. Test the privacy level you pick on one interview before rolling it out. Hiring managers outside the workspace can still get a meeting shared privately by email, and that takes no seat. Password-protected links with an expiry and sharing with user groups are Business features. Custom data retention is an Enterprise feature; on other plans the owner deletes recordings, permanently.
The recap email goes to everyone on the invite, including the candidate, and recaps open for anyone with the link. Change both defaults before the first interview.
Which plan a recruiting team needs, and the credit budget
| Plan | Price per seat per month | Storage (running total) | Recording limit per meeting | Recruiting features added |
|---|---|---|---|---|
| Free | $0 | 400 minutes per team | 2 hours | no ATS integrations, no AI Skills, no Voice Agents; new accounts (from 1 Sep 2026) get a few transcription credits unless auto-join is on |
| Pro | $10 billed annually, $18 billed monthly | 8,000 minutes per seat, pooled | 2 hours | ATS sync, AI Skills, Voice Agents, topic trackers |
| Business | $19 per seat billed annually, $29 per seat billed monthly | unlimited | 3 hours | Integration Rules, user groups, password links, 3 bot meetings at once |
| Enterprise | $39 per seat, billed annually only | unlimited | 4 hours | SSO and SCIM, custom retention, Super Admin |
Seats go to people who record or work in the workspace; a hiring manager who only reads shared recaps needs none. For a five-seat recruiting team the yearly bill is $600 on Pro or $1,140 on Business billed annually, and $1,080 or $1,740 billed monthly, by our arithmetic. The deciding number is storage. Pro's 8,000 minutes are 133.33 hours per seat, so a recruiter who records 10 hours of interviews a week fills that share in about 13 weeks. Anything above roughly 2.5 hours a week per seat fills it within a year. Deleting old interviews returns their minutes; otherwise Business, at $108 more per seat a year billed annually, removes the cap.
Credits need their own line. Forty 15-minute screens a month come to 600 credits. The 200-credit tier at $20 a month does not cover that, while the 1,000-credit tier at $90 a month, or $72 a month billed annually, does and leaves 400 for scorecard skills and AskFred, whose cost varies per run. Add-on credits are a team pool, a monthly amount that does not roll over, and they are non-refundable. Running out on a paid plan subscribes you to the $5-a-month tier for 50 credits, or moves an existing credit subscription up a tier; Auto-Upgrade can be switched off in billing settings. The Fireflies.ai pricing breakdown covers the 7-day Business trial, which needs a card and bills on day 7 unless you cancel.
Frequently asked questions
Can I bring interviews recorded in another notetaker into Fireflies?+
Yes. Fireflies offers free, read-only migrations from Otter, Fathom, Gong, Grain, Granola, Chorus and Read.ai; the Import Data option may need support to switch it on.
Does Fireflies transcribe interviews in other languages?+
Fireflies says it transcribes 100+ languages and auto-detects the dominant one. For a call that mixes languages, Multi-language Mode (beta) is on Business and Enterprise.
Does Fireflies train AI models on interview recordings?+
Its Terms say it will not use customer content to train, retrain or fine-tune generative AI models. Its data processing agreement still allows deidentified data to be used to improve its products.
What happens if I remove the bot early in an interview?+
If the bot is removed before 3 minutes, there is no transcript or notes. Removed later, you get notes for the part it recorded, and it will not rejoin unless the meeting restarts.
The bottom line
Fireflies.ai fits a recruiting team that wants interview notes in the ATS without retyping them, and Pro covers that for most desks. Move to Business when panel interviews pass two hours, when recruiters record more than about 2.5 hours a week each, or when you need Integration Rules and user groups. Voice Agent screens are the easiest piece to cost: one credit per minute, so budget the credit tier alongside the seats. Before any of it, change the recap email and the link-sharing default, decide which privacy level still syncs, and tell every candidate the call is recorded.
