A sales team that wants Fireflies.ai to update the CRM for it needs the Business plan, at $19 per seat per month billed annually or $29 per seat per month billed monthly.[1] Pro, at $10 per seat per month billed annually or $18 per seat per month billed monthly, already records calls, pulls in dialer recordings and logs notes to HubSpot, Salesforce and other CRMs. Business adds the sales layer: Autofill CRM, Deal Intelligence and the team conversation-intelligence dashboard. The real budget question sits outside the seat price. Autofill and most sales AI features spend AI credits, and Business includes only 30, once, for the whole team. Price the credits before you sign.
A rep's day: from the call to the CRM record
The day starts with the calendar. The Fireflies.ai Notetaker joins Zoom, Google Meet, Microsoft Teams, Webex and other calls as a visible participant, and by default it auto-joins every meeting with a video link right after sign-up, so set auto-join before the first prospect call (our Fireflies.ai review covers the settings). Recording consent is the rep's responsibility under Fireflies' Terms. The transcript usually lands five to ten minutes after the call. Then the notes travel to the CRM. That part works from Pro.
In HubSpot, Fireflies logs each meeting as a call and a note with the summary and action items, on the matching contacts and companies, and on deals once deal-level logging is switched on (it is off by default). It can create contacts or leads for unknown participants and turn action items into HubSpot tasks. Notes appear about 15 to 20 minutes after the meeting. The full transcript never sits inside HubSpot; the record carries a link back to Fireflies. Salesforce gets notes on Leads, Contacts, Opportunities and Accounts, plus Events and Tasks, but only on editions with REST API access: Enterprise, Unlimited, Performance or Developer.
Fireflies' help center lists 13 supported CRMs, among them Pipedrive, Attio, Close, Copper, Freshsales, Zoho, Dynamics 365, Zendesk Sell and Salesflare; Affinity needs Business. Automatic sync covers meetings recorded after you connect, and older ones go across by hand with Push Past Meetings. Business adds Integration Rules, which filter which meetings reach the CRM by title, host or participants; Free and Pro get only limited workspace-level controls. Our guide to Fireflies.ai integrations and the API goes through each connector.
Phone calls and dialers
Outbound reps live in a dialer, and Fireflies imports from seven: Aircall, JustCall, Outreach, Quo (formerly OpenPhone), RingCentral, Salesloft and Zoom Phone, with others through Zapier. Each has conditions. Only an Aircall admin can connect Aircall. Zoom Phone imports recorded calls of at least one minute, from one Zoom Phone account. HubSpot Dialer calls come in only when recorded and marked Connected. RingCentral matches callers to Salesforce, HubSpot or Zoho contacts by phone number. Fireflies does not record ordinary cellular calls natively.
Dialer imports count against a monthly limit of 3,000 minutes per seat, which is 50 hours by our arithmetic, and it resets each calendar month. Uploads and imports above the monthly limit cost $0.01 per minute.[2] Calls the bot records are never charged per minute. Storage is the tighter limit. Pro stores 8,000 minutes per seat, pooled across the team as a running total, so reps recording 10 hours a week each fill it in about 13 weeks. Business storage is unlimited.
HubSpot deal-level logging is off by default, so switch it on; Pipedrive can log under deals by pipeline and stage, and Salesforce has a setting to attach notes to the Opportunity.
On a paid plan with no credit pack, running out of AI credits subscribes the account to the lowest tier, 50 credits for $5 a month, and a team already on a pack moves up to the next tier. Auto-Upgrade can be switched off in billing settings; AI credits are non-refundable.
Autofill CRM and Deal Intelligence: where Business earns its price
Autofill CRM reads the transcript and drafts field updates: contact, account and opportunity fields in Salesforce, or contact, company and deal fields in HubSpot. Nothing syncs unreviewed. The rep approves each draft, and each field can append to the existing value or overwrite it. Each extraction costs 1 AI credit per meeting, however many fields you map; reviewing and sending cost nothing extra.[3] By default it runs only on external meetings, and it can run on past meetings on demand.
Deal Intelligence needs Business or Enterprise, a Fireflies admin, and HubSpot or Salesforce. It shows deals in a table or Kanban view with an AI close probability and a health label of On Track, At Risk or Slipping. Each deal opens into insights from calls, sorted as risk, stakeholder, competitor, compliance, interest and pain point, plus an activity timeline and an AskFred tab.[4] The upgraded version, with a Tasks tab, is still rolling out to selected workspaces.
Teams coming from Gong should know the edges. Fireflies' own Gong comparison page says it has no equivalent to Gong's predictive pipeline modeling or Revenue Graph analytics. Gong publishes no price; it quotes per-user licences plus a platform fee in a custom proposal, while Fireflies lists per-seat prices publicly. Treat Deal Intelligence as a deal-health view built from calls. It is not a forecasting tool.
On the call: Sales Assist and agents that run calls
Sales Assist is the sales mode of Live Assist. You upload a knowledge base first (PDF, DOCX, XLSX, CSV, TXT, Markdown, HTML or a website URL), and when the prospect asks a question, a suggested answer appears in the rep's pane, visible only to the rep. It needs the Fireflies bot in the meeting and at least two people. It works on every plan, Free included, but each answer is charged in AI credits by complexity, and suggestions stop when credits run out. The desktop app's bot-free mode cannot run it.
Voice Agents go further. On Pro and above, an AI agent runs the call itself: inbound qualification or discovery that a lead opts into through a link, an embed, a QR code or a calendar invite. Sessions run 5 to 40 minutes in 32+ languages, the agent answers only from your knowledge base, and the outcome routes to the CRM. Fireflies itself says agents are no substitute for high-touch enterprise discovery or complex negotiation. The cost is 1 AI credit per minute, so a 10-minute discovery call uses 10 credits. Twenty such calls use a whole 200-credit pack.
Sales Assist cannot update its knowledge base during a meeting, so upload pricing sheets and product documents before the call.
The manager's day: coaching from call data
Pro gives each meeting its own analytics: speaker talk time with percentages and words per minute, sentiment, detected questions, and topic trackers. Trackers count and timestamp the words you choose, such as competitor names, pricing or a common objection. Soundbites, short clips of a call, work on every plan, so a manager can share a strong objection answer with the team. Business adds the Conversation Intelligence dashboard, with Team Insights and Topics Insights tabs for admins. Fireflies says it compares reps on talk-to-listen ratio, questions, filler words and longest monologue. Pro sees one call at a time.
AI Skills, on Pro and above, add structured sales outputs: BANT and MEDDIC scorecards, a Sales Coach that scores rapport, positioning, objection handling, closing and professionalism, an Objection Tracker, Competitor Analyzer, Churn Risk Analyzer and Proposal Generator. They run per meeting or on a schedule and can post to HubSpot, Salesforce or Slack. Each run spends credits. On outcomes, Fireflies says customer LevelUp Leads records about 50 calls a week and saves an estimated 20 hours a week.
Fireflies emails the meeting recap to everyone on the calendar invite unless you set it to Only me in meeting settings, and recaps open for anyone with the link by default.
Pro or Business, and the credit budget
| Sales need | Pro | Business |
|---|---|---|
| CRM notes (HubSpot, Salesforce, others) | Yes | Yes |
| Dialer imports | 3,000 min per seat a month | 3,000 min per seat a month |
| Storage | 8,000 min per seat, pooled, running total | Unlimited |
| Recording limit per meeting | 2 hours | 3 hours |
| Autofill CRM, Deal Intelligence | No | Yes |
| Team conversation-intelligence dashboard | No | Yes |
| Integration Rules | No | Yes |
| AI credits included (one-time, team pool) | 20 | 30 |
For ten reps on annual billing, Pro comes to $1,200 a year and Business to $2,280, by our arithmetic. The step costs $1,080 a year, or $108 per seat. On monthly billing the same ten seats cost $2,160 against $3,480. Enterprise, at $39 per seat per month billed annually only, matters to sales teams for SSO, SCIM and the Rules Engine that controls when Autofill runs. Check those needs first.
Now the credits. Ten reps with 20 external meetings each a month generate 200 Autofill extractions, so 200 credits a month. The 30 Business credits are gone fast. A 200-credit pack costs $20 a month billed monthly, or $16 a month billed annually. The next pack is 1,000 for $90 a month, or $72 a month billed annually. Sales Assist, AI Skills and voice minutes share the pool. On a paid plan with no credit pack, running out subscribes the account to the lowest tier, 50 credits for $5 a month. A team already on the 200-credit pack moves up to the 1,000-credit tier, pro-rata on annual billing. Auto-Upgrade can be switched off in billing settings, and then credit features pause; the Fireflies.ai pricing guide covers the rules.
Pro still fits a small team that wants call notes in the CRM and coaches one call at a time. At 2 hours of recording a week per seat, Pro storage lasts about 15 months. The 7-day Business trial needs a card and bills on day 7 unless cancelled. Wire up the CRM and Autofill that week. Then check the credit draw.
Frequently asked questions
Do prospects need a Fireflies seat to open a call recap?+
No. Sharing a recap link with people outside the workspace adds no seat and uses no AI credits; only teammates added to the workspace are billable seats.
Can a team bring its old Gong or Chorus calls into Fireflies.ai?+
Yes. Fireflies offers free, read-only migrations from Gong, Chorus, Otter, Fathom, Grain, Granola and Read.ai; the Import Data option may need to be enabled by support.
Why do some Salesforce notes appear under the Fireflies Notetaker?+
Meetings recorded as internal-only calls, with the Chrome extension or through Add to Live Meeting are logged under fred@fireflies.ai in Salesforce. When no matching contact exists, Fireflies creates a new Lead or logs under the Notetaker contact, depending on your settings.
Are meetings marked private pushed to the CRM?+
Not to HubSpot: notes from meetings a teammate marked private are not pushed unless the admin is a Super Admin, a role available on Enterprise.
The bottom line
For a sales team, Fireflies.ai splits cleanly at Business. Pro records calls, imports dialer audio and logs notes to the CRM, which covers a rep who just wants the admin work gone. Autofill CRM, Deal Intelligence and the team coaching dashboard all sit on Business, and they run on AI credits the plan barely includes. Budget the seat and the credit pack together, test the CRM mapping during the trial, and expect deal health from it, not forecasting.
