What you will have when you finish

By the end of this guide you will have a working Calendly account: calendar connected, working hours set, one or more event types, video links, a booking page, reminders, an embed on your site and, if you have a team, round robin and routing. The steps are current as of October 2026. A solo setup takes 20 to 30 minutes for the calendar, hours, one event type, video and the link. Reminders, payments and an embed take another 30. A team with round robin, routing and CRM sync needs a few hours for admins, plus about 15 minutes per user to connect calendars.

Before you start, have three things ready: the email address you want to log in with, access to your work calendar, and your video conferencing account. Decide which meetings you offer and how long they last. If you work in a Microsoft organization, ask IT whether Calendly needs approval first. That avoids the most common day-one block. Plan first.

Sign up, and plan around the trial

Sign up with the email of the calendar you will connect; with a Google or Outlook address, your calendar may already be connected. Use a trusted address, because Calendly does not accept disposable email domains. Invitees never need an account. Only you do. New accounts begin with a free two-week trial of the Teams Plus plan [1], and when the trial ends, the account moves to Free and paid features switch off. Build on features you plan to keep, so nothing breaks on day fifteen. Round robin and routing forms live on Teams, and Notetaker needs Standard Plus or Teams Plus, so a solo user should build on what Free or Standard keeps.

Toolkit tip
Connect every busy calendar

Connect every calendar that holds busy time, not only your work one. Paid plans connect up to six per user.

Connect every calendar that holds your busy time

Go to Settings, then Scheduling, then Calendars, and select Connect. Calendly supports Google Calendar, Office 365 or Outlook.com, and Exchange [2]. Free connects one calendar; paid plans connect up to six per user. Connect every calendar that holds busy time, not only the work one. A consultant with a work Google calendar, a personal Google calendar and a shared family Outlook calendar needs three connections. That rules out Free and fits within Standard's six, at $120 a year billed annually.

Google, Outlook and Exchange settings

In Google, Calendars to check for conflicts decides what blocks your time and Calendar to add events to decides where meetings land. An optional setting syncs cancellations, so deleting a Calendly meeting in Google cancels it in Calendly. Outlook works the same way, with limits: Calendly checks up to four sub-calendars for conflicts and adds events only to calendars you can edit. By default, Busy, Tentative, Away and Working Elsewhere make you unavailable. Free and busy status is managed in your calendar, not in Calendly. Exchange has one quirk. An event set to Working elsewhere reads as available, so switch real commitments to Busy.

One calendar receives the meetings

With several calendars connected, you choose one main calendar for bookings, and Calendly writes every meeting there. Pick the one your colleagues can see, usually your work calendar. You cannot send different event types to different calendars. The workaround is a second user, which is worth knowing before you build event types around separate work and personal calendars.

Set working hours you can live with

Open Availability and set the hours you accept meetings for each weekday. Calendly combines them with holidays and busy times from your connected calendars, and changes save automatically. Start conservative. It is easier to open more time later than to cancel booked meetings. Nine to five on weekdays offers 40 bookable hours a week, or 80 half-hour slots by our arithmetic, usually far more than one person wants to give away. Two or three blocks a day is a saner start.

Schedules keep different hours for different event types, say intro calls every morning but paid sessions only on Tuesday and Thursday afternoons. Assign each schedule with the Active on menu. Date-specific hours handle a conference week, an early finish or a Saturday clinic, and they beat your weekly hours on those days. Calendly can also block public holidays automatically from the advanced availability settings. If you serve clients in several countries, choose the holidays you actually take.

Build your first event type

On the Scheduling page, select Create and choose an event type. Pick one-on-one for your first link. On Free you can have one event type active, so make it the meeting people book most often. Give it a clear name, a duration and a location: a video link, a phone call or an in-person address. The name shows on your booking page and in the invitee's calendar, so keep the description short and say what to prepare.

Paid plans let one event type offer up to four duration options, such as 15, 30 or 60 minutes, on every type except Group events and Managed Event Types. That replaces four near-identical event types with one, on a single Standard seat at $10 a month billed annually. Under Invitee questions, ask only for what you need before the meeting, like company, phone number or agenda. Every extra field lowers completion. Ask less.

Rules that keep bookings sane

Decide how far ahead people can book: the next 60 days, a date range or indefinitely. Sixty days suits most consultants; recruiters often use two weeks so slots stay current. Minimum notice stops last-minute surprises, since a 4-hour notice prevents bookings that begin in less than 4 hours. For in-person meetings, lock the time zone to the location. Start time increments decide how often slots appear, and a 30-minute increment shows 9:00, 9:30 and 10:00. Fewer, cleaner slots look less fragmented.

Buffers live under More options, then Limits and buffers. A 30-minute meeting with 15-minute buffers before and after needs 60 minutes of free time, so a four-hour block holds four meetings instead of eight, by our arithmetic. That is why Calendly suggests a single buffer rather than both. Limits cap bookings per day, week or month, per event type or across all of them, and "Whichever limit is reached first will make you unavailable to invitees" in Calendly's words. A cap of four calls a day protects focus time and limits you to 20 bookings on a five-day week.

Toolkit tip
Set a minimum notice

A 4-hour notice prevents bookings that begin in less than 4 hours, so nobody books a meeting that starts in ten minutes.

Calendly connects to Zoom, Google Meet, Microsoft Teams, GoTo Meeting and Webex, and generates the video details automatically when someone books, but only if conferencing was on at booking. In companies, Zoom admins must pre-approve Calendly in the Zoom Marketplace, and passcodes and waiting rooms stay in Zoom. In a company of 50 people, admin-managed Zoom replaces 50 separate connections. One caution for Google users: Google Calendar may add a Meet link to all new events by default, which puts a second link on Zoom meetings. Workspace admins may need to turn that off.

Pick your link name once, because old links do not redirect [3]. If the link is already on 500 business cards or in 30 email templates, changing it breaks every one of them. Choose a short, stable name before it reaches your signature or your website. Your booking page lists all your active event types. Add a profile photo and a welcome message; paid plans can upload a logo and remove Calendly branding. Meetings that should not be public, like paid follow-ups or VIP calls, can be hidden. They vanish from the page but still book through a direct link. Hiding works on desktop only.

⚠️
Watch out
Old links do not redirect

Changing your booking link breaks the old URL. Pick the name before it reaches cards, signatures and your website.

Share the event type link for one meeting, or the booking page link for all of them. On paid plans you can email the link straight from Calendly through Gmail or Outlook. Some people prefer a list, so you can copy a few open times into an email and let the invitee pick one. A button in your email signature quietly turns every email into a booking opportunity; point it at the booking page rather than one event type.

Calendly offers inline, pop-up text and pop-up widget embeds, with options to hide your photo or event details and, on paid plans, customize colors. An inline embed keeps visitors on your page, while the widget sits in the corner of every page, so a consultant with one services page usually picks inline and a busy store picks the widget. On WordPress, use a Custom HTML block. Test on mobile. Our Calendly embed guide covers the rest. The browser extension adds event types, one-off meetings and polls inside Gmail, and the iOS and Android apps share links and mark no-shows, while account, team and calendar settings stay on the web.

Reminders, spam protection and payments

Calendly sends confirmations automatically, and paid plans add basic email and text reminders before and after events; customizing their text requires Standard or higher. Include cancel and reschedule links in invitations and reminders. A reschedule beats a no-show. You can add cancellation policy text too, but Calendly shows it and does not enforce it. Automations send reminders, thank-you emails and follow-ups on triggers from booking to no-show, up to 50 per user or team, on a paid plan. Our Calendly workflows guide goes further.

Plans below Enterprise include 250 SMS credits per seat, per month [4], and texts to the United States and Canada cost zero credits, so a domestic practice almost never runs out. Add a phone number question so Calendly has a number to text. At the credit limit, it sends emails instead. Public links also attract junk bookings. Email verification sends a 6-digit code, and if the invitee does not complete it, the event is not booked. It blocks invented addresses, but the host is not notified when someone abandons it, so watch analytics for drop-offs.

You can also block someone from a meeting within 90 days of its creation. To charge at booking, connect Stripe or PayPal and toggle on Require payment to book this meeting. Coupons work with Stripe only, and refunds and tax collection stay outside Calendly. Calendly adds no commission, so Standard at $120 a year beats a 1% platform fee once revenue passes $12,000 a year.

Running meetings and adding a team

Meetings live on the Calendar page after the 2026 redesign, where you join, reschedule or cancel. After the start time, mark a no-show on web, mobile or the extension; on Standard or higher, an automation can email no-shows to rebook. With automatic sync on, deleting the event in your own calendar cancels the meeting and notifies the invitee. Group event types, which need Standard or higher, let several people book one slot until capacity is reached.

To add users, buy seats first; every host and every admin needs one, and you can invite up to 100 users at a time. On Teams, round robin spreads meetings by equal distribution or by availability. Adding or removing a host resets every meeting count to zero, so change hosts at quiet times. Collective events show only times when all hosts are free, which suits panel interviews. Routing forms send answers to event types, people or pages, including from HubSpot, Marketo and Pardot forms. Test every route first. HubSpot, Mailchimp and Zapier need Standard, and Salesforce needs Teams.

Notetaker, on Standard Plus or Teams Plus, joins all Zoom, Google Meet and Microsoft Teams meetings on your calendar by default. Narrow it to external or Calendly-booked meetings first. A rep with 20 video meetings a week, half of them internal, would otherwise collect about 40 internal recaps a month. Hosts approve each recording, and anyone can type /stop to end it. Analytics shows owners and admins up to one year of data.

When times look wrong

If a time shows as unavailable when it should be open, open the event preview and select Troubleshoot. It names the cause: a calendar event, a buffer, a limit or notice, with limits shown as DAILY MAX, WEEKLY MAX or MONTHLY MAX. If meetings do not appear, check that new events point to the right calendar and reconnect if Calendly shows an error. Buffers on already scheduled meetings do not update when you change the event type. Five mistakes cause most problems, and each takes a minute to fix during setup and hours to clean up later:

Send your link to three friendly contacts and watch how they book. Check the meetings in your calendar, the video links and the reminders. Then choose a plan before the trial ends, guided by the features you actually used; our Calendly pricing guide lays out each plan. Revisit limits and buffers after two busy weeks, once real bookings show where your calendar is too open or too tight.
