Most people who look for Read AI alternatives want one of five things: an assistant that does not join every calendar event, more than 5 free meeting reports a month, playback without paying for Enterprise, HIPAA without an annual Enterprise+ contract, or a vendor with any refund path at all. The right alternative depends on which one pushed you. Otter.ai plays back audio on every plan. Granola has no bot. Fireflies.ai records video from its Pro plan. Fathom's Free plan has unlimited recordings and transcriptions. Microsoft 365 Copilot recaps Teams meetings. No single swap fixes all five. Two close rivals, Otter and Fireflies, also join meetings by default.
Five reasons readers leave Read AI
The loudest reason is the assistant itself. Once a calendar is connected, Read AI's default is to join all events on it [1], including during the 7-day Enterprise trial, and the recap goes to everyone with access. Attendees without accounts may get an invitation to sign up to view it; Read AI's help says this is how accounts are often created. Read AI has fixes. Auto-Join Preferences can limit it to meetings you host or turn it off, and anyone in the call can type Read stop or Opt out in the chat. Other attendees can still bring their own Read.
The second reason is the Free plan. It covers 5 meeting reports a month, and reports shared with you count too [2]; from the sixth, reports show as Out of quota with no transcript. Meetings stop at 1 hour. Paying lifts the count, not every gate. Pro costs $15 per user per month billed annually or $19.75 per user per month billed monthly, and gets transcripts and reports only. Playback starts on Enterprise: Enterprise costs $22.50 per user per month billed annually or $29.75 per user per month billed monthly.
The last two reasons are contract terms. HIPAA with a signed BAA is available only on Enterprise+ billed annually [3], which requires at least 5 licenses, so the smallest HIPAA purchase is $1,785 a year by our arithmetic. And Read AI does not offer refunds [4]. Cancelling keeps access to the end of the billing period. A mid-period cancellation returns nothing.
The ratings tell two stories. App store reviewers rate the mobile apps well, while Trustpilot reads best as a complaint map: an assistant that showed up uninvited, invitation emails that felt like spam, accounts that were hard to delete, billing. Most trace back to documented defaults or policies (auto-join, recap sharing, no refunds), not to transcript quality, and some of those defaults exist at the rivals too.
In Read AI, Account Settings, Meeting Recording, Auto-Join Preferences can limit the assistant to meetings you host, internal meetings, or nothing, and typing Read stop or Opt out in the meeting chat removes it from one call. Other attendees can still bring their own Read, but the fix costs nothing and keeps your report history in place.
Otter.ai: playback and exports on cheaper tiers
Otter.ai is the swap for readers who left over playback or price. Otter plays back recorded audio on every plan, at 1x speed on Basic and full speeds from Pro, and exports pdf, docx and srt from Pro; Read AI downloads are .txt, plus .mp4 on Enterprise. Otter Pro costs $8.33 per user per month billed annually or $16.99 billed monthly, capped at 5 billed users. Otter Business costs $19.99 per user per month billed annually or $30 billed monthly at list price; $24 for the first 3 months is only an offer for first-time subscribers.
By our arithmetic, Read AI Pro billed annually comes to $180 per user a year against $99.96 for Otter Pro, and a five-person team pays $900 against $499.80. Billed monthly, audio playback costs $203.88 per user a year on Otter Pro against $357 on Read AI Enterprise, again by our arithmetic. Read AI Enterprise also plays video; Otter replays video only on Enterprise. Read AI Enterprise and Otter Business, both billed monthly, nearly meet at $357 and $360 per user a year by our arithmetic. Past five users, Otter Pro is off the table.
What Otter does not fix is auto-join. Its Notetaker bot joins Zoom, Teams and Meet from a connected calendar by default, though anyone can remove it. Its free plan meters 300 transcription minutes a month and shows only the first 30 minutes of each conversation until you upgrade. Its public API is Enterprise only, while Read AI's API works on Free; both offer an MCP server on every plan. Otter's Terms make subscriptions non-refundable, and its 7-day Business trial needs a card. Our Otter.ai review has the rest.
Fireflies.ai: video from Pro and more meeting platforms
Fireflies.ai answers the playback complaint for teams that want video. It captures video at 720p from Pro (1080p on Enterprise), and its bot joins Zoom, Meet, Teams, Webex and more. Read AI cannot join Webex, GoTo Meeting or RingCentral calls without its desktop app or an upload. Fireflies Pro costs $10 per seat per month billed annually or $18 billed monthly, Business $19 or $29, and Enterprise $39 per seat per month, billed annually only.
By our arithmetic, video playback costs $120 per seat a year on Fireflies Pro billed annually against $270 per user a year on Read AI Enterprise billed annually; Fireflies Business, at $228 per seat a year billed annually, adds 3-hour recordings and unlimited storage. At the top the order flips per user: Read AI Enterprise+ billed annually runs $9.25 a month less than Fireflies Enterprise, but it requires 5+ licenses, so its smallest purchase is $1,785 a year by our arithmetic. Fireflies Enterprise at $468 per seat a year means a HIPAA team of three or fewer pays less there, while from four users Read AI Enterprise+ comes out cheaper. Fireflies gives HIPAA only with Private Storage switched on and a signed BAA.
The catch is familiar. The Fireflies bot joins all meetings with a link by default, recaps go to everyone on the invite, and cancelling does not stop it. Free accounts created since September 2026 get a few transcription credits at sign-up, with unlimited transcription only while calendar auto-join is on. The 7-day Business trial needs a card. Details are in our Fireflies.ai review.
Otter's Notetaker and the Fireflies bot both join meetings from a connected calendar by default, so switching to them does not remove a bot from your calls.
Granola and Notion: notes without a bot in the room
Granola is the clean answer to the auto-join complaint. It has no meeting bot: its desktop apps (macOS 14+, Windows 10+) and mobile app transcribe the device's microphone and system audio, and Granola stores no audio or video. Nothing joins the call. The flip side is no playback and no file uploads. Basic is free with unlimited meetings, but only the last 30 days of history are visible. Granola Business costs $14 per user per month, billed monthly only, and Granola Enterprise is priced per user with a $35 per user per month floor.
Against Read AI Pro billed monthly at $19.75 per user per month, Granola Business is $5.75 a month cheaper, $69 a year by our arithmetic. Notion, Zapier and HubSpot connections need Business, HIPAA workspaces with a BAA need Enterprise, and data stays on AWS in the US. Read AI's own desktop app is bot-free too, but it records audio only, with no speaker attribution, and other participants see no notice, so you must get their consent. Our Granola review covers the trade.
Notion fits teams whose documents already live there. AI Meeting Notes come with Notion Business, at $20 per seat per month billed annually or $24 billed monthly, alongside Notion Agent, Enterprise Search and SAML SSO. Read AI keeps SAML SSO on Enterprise+, which requires 5+ licenses. Notion is a workspace first, so choose it to consolidate tools rather than for speaker coaching.
Six more options: Fathom, Zoom, Copilot, Krisp, Avoma, Gong
Fathom suits readers who hit the Free ceiling. Its Free plan has unlimited recordings and transcriptions, with a bot or bot-free capture (in beta, Mac only). Paid plans are Premium for individuals, Team and Business (each with a 2-user minimum), and Enterprise. For health data, Team and Business use a standard BAA, while Enterprise adds a custom BAA, SSO and Okta SCIM. A two-person practice is not pushed toward a five-license contract. CRM syncs are capped at 3 users per domain on lower plans.
If your meetings live on one platform, its own assistant may be enough. Zoom sells its assistant as ZoomMate; the free Basic tier covers summaries for 3 hosted meetings a month and 20 AI queries. Microsoft 365 Copilot recaps Teams meetings, which helps where anonymous Teams guests are blocked, since Read AI's bot joins Teams as one. The Copilot Business add-on costs $21.00 per user per month paid yearly, or $18.00 for the first year on annual commitments between July and December 2026, for existing Microsoft 365 Business customers only. Microsoft also gives a 7-day cancellation window with a prorated refund.
Krisp offers bot-free transcription plus optional bot recording, and its 7-day trial needs no card. Krisp Core costs $8 per user per month billed annually or $16 monthly; Krisp Advanced costs $15 or $30. Its BAA needs Enterprise and 100+ seats. Avoma charges only for recorder seats, with viewers free, and its 14-day trial needs no card; HIPAA sits on Enterprise, and it typically gives no refunds mid-subscription. Gong publishes no price. It quotes per-user licenses plus a platform fee.
Match the switch to your reason
| Option | Fixes | Keeps or adds |
|---|---|---|
| Otter.ai | Audio playback on every plan; pdf, docx, srt exports from Pro | Bot auto-joins by default; Pro capped at 5 billed users |
| Fireflies.ai | Video from Pro; joins Webex | Bot auto-joins by default; trial needs a card |
| Granola | No bot in the call | No playback; Basic shows the last 30 days |
| Notion | Meeting notes inside your workspace | AI Meeting Notes need Business |
| Fathom | Unlimited free recordings; standard BAA on Team and Business | Bot-free capture is beta, Mac only |
| Microsoft 365 Copilot | Teams recaps; 7-day prorated refund window | Only for existing Microsoft 365 Business customers |
| Krisp | Bot-free transcription; no-card trial | BAA only for 100+ seats |
Staying put can be the cheaper fix. If the problem is the assistant, Read AI's Auto-Join Preferences, the Read stop command and its bot-free desktop app cost nothing. If the problem is the Free quota, Pro removes the report cap at $15 per user per month billed annually. Playback, HIPAA and contract terms are the three gates that mean paying more or leaving. Check every rival's trial card terms first.
Monthly gaps look small; multiply by 12 and by your headcount on both billing terms before you move, and check whether the rival caps users on the plan you want.
Frequently asked questions
Can I take my Read AI reports with me when I switch?+
Recaps and transcripts download as .txt files; recordings download as .mp4 only with playback on Enterprise or Enterprise+. Read AI's REST API and MCP server, both in open beta, also work on the Free plan.
Does deleting my Read AI account stop it appearing in my meetings?+
Not always. Another invitee can still bring their own Read assistant, or you may have a second Read account, which Read AI's Account Lookup tool can find.
Is there a cheaper Read AI plan for students?+
Yes, for .edu users: EDU is $60 a year and EDU + Video is $100 a year, billed annually only. Neither includes Workspaces or premium integrations.
Can I try Read AI's paid features before deciding to leave?+
Every new account gets a 7-day Enterprise trial with no card, once per account, and then moves to Free automatically. Read joins all calendar meetings during the trial by default.
The bottom line
Pick the alternative by your reason for leaving. For playback at a lower price, Otter.ai; for video and Webex, Fireflies.ai; for no bot in the room, Granola; for unlimited free recordings or a small-team BAA, Fathom; for Teams shops wanting a cancellation window, Microsoft 365 Copilot. If auto-join is your only complaint, change Read AI's settings before you change tools. Otter and Fireflies join by default too.
