Three ways Acuity connects to your other tools

Acuity reaches other software in three ways: built-in integrations in its Integrations panel, third-party integrations built by other developers, and automation through Zapier, webhooks or the API. The help center groups the panel into payment processors, video conferencing, accounting, email marketing, client engagement and automation, and your API credentials sit in the same place. Who maintains each entry matters. Integrations built by third parties, such as ClassPass, Zoho CRM, Daylite and ReviewRail, appear in the panel but fall outside Acuity support, so problems go to their developers. Check how active each one is before you depend on it.

The plan question is mostly good news. Calendars, payments, video, accounting and email marketing are listed for every paid plan. Webhooks also work on any plan, while the API and custom CSS need Premium. The legacy free plan is the exception, without integrations such as Zoom, Mailchimp and QuickBooks. Trials can connect payment processors, so you can wire up payments before you pay. For most service businesses, then, the plan you pick changes very little about what you can connect.

💡
Toolkit tip
Choose Stripe or Square early

The two cannot be connected together. Stripe takes wallet payments online, while Square suits businesses already using its readers in person.

Calendar sync: Google, Outlook and iCloud

Acuity syncs two ways with Google, iCloud and online Outlook calendars, so outside events block your Acuity time and Acuity appointments show up outside. Availability is always set in Acuity [1]; the outside calendar only blocks time. Each user can create one sync per calendar service, and events more than 200 days ahead do not sync in. Speed varies. Google updates typically show immediately, while Microsoft and iCloud calendars may take up to 10 minutes. That gap only matters when clients book in the minutes right after an edit.

Google Calendar

Each person who logs into Acuity can connect one Google account. Several Google calendars in that account can block time, but only the topmost one receives your synced Acuity appointments. A consultant with work and family calendars in one account should put the work calendar at the top before connecting, with the family calendar below it. Disconnecting keeps past events and drops future ones.

Outlook, Office 365 and iCloud

Outlook sync now runs through Cronofy, a syncing partner, after Microsoft retired EWS on October 1, 2026. Company tenants may need admin approval, and Office 365 plans without an online calendar use a one-way feed. iCloud works on the same one-account-per-person rule and may need an app-specific password from Apple. Test it with a real event. For any calendar Acuity cannot read, a one-way sync sends appointments out without receiving events back, covering all your Acuity calendars if you have more than one. It stops if its creator changes password or leaves, which is a common source of silent failures. You can also export all appointments once as an .ics file.

⚠️
Watch out
Closed and changing connections

Xero, Pipedrive and Airbnb no longer accept new connections, and Outlook sync moved to Cronofy after Microsoft retired EWS on October 1, 2026.

Payments: Stripe, Square and PayPal

Acuity integrates with three main processors: Square, Stripe and PayPal. "Acuity does not charge any additional fees on top of the transaction fees from the payment processors" [2]. PayPal pairs with either of the others, but Stripe and Square cannot be connected together, so the real decision is between those two, and it comes down to hardware and online wallets. Choose it early.

Stripe is the most complete option. It stores cards, sells subscriptions, takes Apple Pay and Google Pay online, meets Strong Customer Authentication requirements and runs Tap to Pay and the M2 reader in the US. Square also stores cards and sells subscriptions, and runs Tap to Pay, card readers and Square Stand in the US, with client details shared between the two systems. It suits businesses already using Square hardware. Currencies must match between Acuity and Square. Connecting either one automatically turns on Apple Pay and Google Pay, with no switch to turn the wallets off. Online wallet payments need Stripe, though; with Square, wallets work in person. On an embedded scheduler, register your domain with Stripe.

Adding PayPal next to Stripe or Square gives clients more ways to pay: Venmo for US businesses taking dollars, and PayPal balances. It does not support card vaulting or subscriptions, redirects clients to complete payment and takes tips only during booking. Those payments cannot save a card for no-shows or memberships. Keep a card processor as the default and PayPal as an extra option.

Video meetings: Zoom, Google Meet and GoToMeeting

Acuity creates a unique meeting link for each booking through Zoom, Google Meet or GoToMeeting, and each calendar connects to one video provider at a time. Video is off by default for new services, class attendees share one link, and canceling deletes the meeting. Each Acuity account connects to one Zoom account, and the integration creates only web-based links, so add dial-in details to your templates. Setup needs Admin or Scheduling Administrator access. Acuity advises another provider above 100 video appointments a day. A coach with five sessions a day is far below that, but a telehealth group with twenty clinicians on one account could cross it.

Google Meet needs the account owner and an active Google Calendar sync. One detail surprises clients: "Clients can use any email address to join from a computer, but they must use a Gmail address to join from a mobile device". Mention it in confirmations. GoToMeeting can link a single calendar or connect each staff member to their own account. Join.me survives only for legacy accounts, so new users should pick Zoom or Meet.

Accounting: QuickBooks first

Connect an accounting app and Acuity creates clients, invoices and payments as appointments are booked, with each appointment in a series or recurring set getting its own invoice. QuickBooks is the most complete option. It alone updates invoices when appointments are canceled or rescheduled and syncs package, subscription and gift certificate orders. It invoices only the first payment on a subscription, though. A bookkeeper selling monthly retainers must record every later month another way, through Zapier or by hand. QuickBooks Self Employed is not supported.

FreshBooks creates invoices after appointments, can skip free ones and uses only the Simple Template. Package and gift certificate invoices need Zapier, but for a solo consultant already on FreshBooks it is enough. Xero is closed to newcomers. New connections cannot be created, although existing ones keep working and the help page's comparison table still lists Xero features. New Xero users must go through Zapier.

Email marketing and CRM

Acuity syncs clients to ActiveCampaign, Mailchimp, AWeber, Kit (formerly ConvertKit), Constant Contact, Drip and Simplero, plus Squarespace Email Campaigns. Clients join when they answer yes to a form question, and Acuity connects to only one list per app; Zapier handles multiple lists. Most of these integrations sync only email, first and last name, last appointment date and last appointment type. Segmentation by service history therefore happens in the email tool, with tags and the last appointment type as the main signal. ActiveCampaign is the exception, because it built its own integration that adds contacts to lists and the Deals CRM and maps intake answers to custom fields.

Squarespace Email Campaigns is a paid Squarespace subscription you can add to standalone Acuity, with opted-in clients landing in a smart segment called Acuity Subscribers. It cannot be connected on HIPAA accounts. CRMs are the weak spot. The help pages we read show no native Salesforce or HubSpot integration, existing Pipedrive connections work but new ones cannot be created, and Zoho CRM and Daylite come from third parties. A sales-led consultancy on Salesforce or HubSpot will need Zapier or the API for every booking to reach its CRM.

Getting found: analytics, social and Google

Analytics and the Meta Pixel

Acuity offers ready-to-go integrations with Google Analytics and the Meta Pixel, plus a custom conversion tracking option for other code. It connects to one Google Analytics property, and since July 1, 2023 only GA4 works. Statistics may take up to 24 hours. Safari and other browsers may block cookies, so some bookings go uncounted. Expect gaps. The Pixel receives PageView, InitiateCheckout, Schedule and Purchase events, but bookings staff make for clients are not tracked. A salon that books many clients by phone will see far fewer conversions in Meta than appointments in Acuity. Compare what Analytics reports with Acuity's appointments report before judging any channel; Google Tag Manager on an embedding site may not track correctly either.

Facebook, Instagram, Reserve with Google and ClassPass

The Facebook Business integration adds a Book Now button and sends the scheduling page through Messenger. An Instagram Book button needs an Instagram Business Profile, and Acuity connects to one Instagram account only; a link in bio works without the button. Reserve with Google lets clients book from Search, Maps and, soon, AI Mode, but you need a physical location, a Google Business Profile and an approved industry. Only one profile connects per subscription, so a chain with three locations on one account leaves two without the button. ClassPass pushes your calendars, services and availability into ClassPass and brings its bookings back, which helps fitness studios fill spare spots. New Airbnb connections can no longer be created.

Zapier, webhooks and the API

Zapier covers most gaps, connecting Acuity to more than 500 apps by Acuity's own count. Acuity supports up to 25 zaps per contributor, and those zaps count toward the account's total webhook limit [3]. Five contributors with five zaps each already reach that ceiling. A growing team should keep automations in one shared Zapier account and review unused zaps every quarter. Zapier is not compatible with HIPAA mode. Squarespace support helps you connect it, and Zapier supports building the zaps. The help center also lists Zoho Flow; pick one platform rather than spreading automations across several.

Underneath sit webhooks and the API. Webhooks work on any plan and notify your server when appointments are scheduled, rescheduled or canceled, or when orders complete, with signatures you can verify. The API needs Premium, lets developers book, read and update appointments, and uses Basic authentication or OAuth2 for multi-account apps. No rate limits are documented. Our Acuity API guide covers both in detail.

Toolkit tip
Keep zaps in one account

Zaps count toward the account's 25-webhook limit, so five contributors with five zaps each already hit it. Use one shared Zapier account and clear out unused zaps.

HIPAA, hard limits and the gaps

HIPAA mode switches off a lot: Zapier, invoices, Squarespace Email Campaigns and Reserve with Google, plus Office 365, Outlook.com, Exchange and iCloud sync [4]. You remain responsible for evaluating Google Calendar, Stripe and anything else you connect. A therapy practice that switches it on after months of use may lose its automations, Outlook sync and Email Campaigns at once. List every connected tool and plan replacements before signing the BAA.

The other limits are mostly ones, and they add up:

A two-person studio rarely notices them, while a ten-person clinic with several locations and automations runs into three or four within its first year. The help pages we read also show no direct EHR or EMR connection, no Squarespace Payments and no buy now, pay later services. When sync breaks, the usual causes are changed passwords, events marked free or all-day, or a one-way sync created by someone who left. Payment problems often trace to mismatched currencies or old PayPal connections. Reconnect first, then ask support.

The right stack for your kind of business

Salons should connect Square or Stripe for deposits and Tap to Pay, Instagram and Facebook for booking, Reserve with Google for search and email for rebooking. A Brooklyn barber links a review request in follow-ups and gathered close to 100 Google reviews. Wellness clinics need Google Calendar and Stripe and should avoid tools without a BAA, listing every connected tool in their compliance records. Fitness studios pair Stripe or Square for memberships with ClassPass, Zoom for online classes and the Meta Pixel for ads. Coaches and consultants need Zoom or Google Meet, Google Calendar and an email tool, with Zapier for CRM sync. Accountants connect QuickBooks, Outlook or Google and Zoom, and use file upload questions to collect documents.

Whatever the business, start small. Connect your calendar first so availability is right, then one payment processor, then video if you meet online. Add email marketing when you have a list, then analytics and social booking, and Zapier when a manual task repeats weekly. Test a booking after each step. A payment test against a calendar that is not syncing can create a real double booking with a real charge attached. Every extra integration adds a login to keep and a sync to check.

The bottom line

Acuity integrates well with the tools service businesses actually use: calendars, Stripe, Square and PayPal, Zoom, QuickBooks, email marketing, Google and Meta. It lacks native CRM connections and has closed some old ones, including Xero, Pipedrive and Airbnb for new users. Zapier and the API cover the rest, within the 25-webhook ceiling. If HIPAA applies, plan the stack around what HIPAA mode switches off before you sign. For what each plan costs, see our Acuity pricing guide.
