A customer feedback tool for a support team does one job: it asks each customer how the help went, at the moment it ended, and puts the answer back on the ticket where someone can act on it. The method is a loop, not a form. Trigger the survey from the conversation, capture the rating with its comment, route bad scores to a person, follow up, then read the trend. Help desks with built-in ratings cover most of that loop; a separate survey app covers the rest.
The five jobs of a customer feedback tool in support
Bain, which created the Net Promoter System, describes the machinery behind a working feedback program in five verbs: it must trigger feedback requests, capture the responses, send them to the right employees, track follow-up, and support analysis [1]. That list is the best test for any customer feedback software. A tool that only sends a survey covers one verb out of five. Most of the work, and most of the value, sits in the last three.
For a support team, each verb has a concrete shape:
- Trigger: the survey leaves when a ticket is solved or a chat ends, with no agent remembering to paste a link.
- Capture: the rating and the comment land on that ticket, tied to the customer and the agent.
- Route: a bad rating reopens the conversation or alerts someone the same day.
- Follow up: a person replies to the unhappy customer and fixes what can be fixed.
- Analyze: a report shows the score per agent, channel and month, so the team sees patterns instead of anecdotes.
The question format is a separate decision. Our guide to CSAT vs NPS covers which score to ask for and how each is calculated.
Open a ticket from a personal address, solve it, and check that the rating request arrives and the answer lands on the ticket. Do it once per channel you support.
Ticket ratings built into the help desk
If most of your support runs on email tickets, the strongest setup is the survey your help desk already sends. Trigger, capture and route then happen in one system, and every answer arrives with its ticket attached.
Zendesk adds a satisfaction survey that goes out when a ticket is marked Solved. On email it is sent for every solved ticket; on messaging it is optional, and agents cannot launch it by hand there. Email recipients get 28 days by default to answer. One catch matters for social channels: the survey email needs the customer's email address, so a conversation from a channel without one cannot receive it.
Sends a satisfaction survey automatically when a ticket is marked Solved, every time on email and optionally on messaging, and records the rating on that ticket.
Freshdesk sends its CSAT survey when a ticket is closed, and agents can drop the survey into a reply, a canned response or an automation rule. That flexibility helps when you want a rating after a phone fix or a long thread. Its surveys have no NPS question, which is where the combination below comes in.
Sends a CSAT survey when a ticket is closed, and agents can add the survey to a reply, a canned response or an automation rule, so every answer stays on its ticket.
Zoho Desk keeps the rating deliberately small: Good, Okay or Bad, with Okay optional. You choose whether the link sits in every reply or arrives when the ticket closes, and you can set a negative rating to reopen the ticket. The score then shows on the ticket, the contact and the account, so the next agent sees it. Zoho Desk adds happiness ratings to tickets from its Standard edition up.
Adds a Good, Okay or Bad rating link to every reply or sends it at close; a negative rating can reopen the ticket, and the score shows on the ticket, contact and account.
Customer surveys and feedback inside chat and the website
Chat-first teams need the question asked in the window where the conversation happened. An email survey after a chat feels late, and many visitors never left an address anyway.
Help Scout covers the widest range of survey types in the chat window. Its Beacon widget can show CSAT, NPS and microsurvey Messages, and visitors rate each live chat Great, Okay or Not Good, which feeds the Happiness report. Help Scout runs NPS and microsurveys through Beacon on Standard and higher. The NPS survey needs Beacon's identify method, so plan a small developer step first.
Shows CSAT, NPS and microsurvey Messages in the Beacon widget, feeds chat ratings into the Happiness report, and a workflow can reopen a poorly rated conversation and notify the team.
Tidio shows a five-option emoji rating after an agent closes a chat or ticket, and also after its Lyro AI agent solves a conversation. If a visitor skips the survey after Lyro solved the chat, Tidio emails a rating request a day later. The limit is the channel: the survey works only for chats in the Tidio widget, not Messenger, Instagram or WhatsApp.
Shows a five-option emoji rating when an agent closes a chat or ticket and after Lyro solves one, then emails a rating request if the visitor skipped it after Lyro.
LiveChat (now sold as Text) splits the job in two. Tickets get a Feedback request rule that is on by default for new accounts, with Great, Okay or Not good as the scale and 30 days to answer. Chats get a post-chat form, also on by default. Results land in a Tickets satisfaction report per team or teammate.
A Feedback request ticket rule, on by default for new accounts, asks for a Great, Okay or Not good rating, and a post-chat form collects feedback after chats; results feed a Tickets satisfaction report.
Chat surveys often skip social messaging, and email surveys need an address. Check which channels get no rating request, or your score speaks for only part of your customers.
Feedback for an online store's support queue
For store support, the send time decides what the customer rates. A customer who asked about a late parcel should not rate the help before the parcel arrives, and a survey sent too early grades the courier, not the agent. Send it after delivery.
Gorgias handles that with a send delay you can set anywhere from 5 minutes to a week. Customers score from 1 to 5 and can add a comment, and you filter the results by score, agent, channel or date. Average CSAT counts only answered surveys, so silence never drags it down. The response rate is tracked separately, which is where silence shows.
Sends a 1 to 5 CSAT survey with a comment box after a delay you set, from 5 minutes to a week, and a survey response can trigger a rule.
Combining tools when one survey is not enough
A help desk rating answers one question: how did this conversation go? It does not tell you whether customers would recommend you, or what they think of the product itself. That second question needs a relationship survey sent on a calendar, not after a ticket.
The simplest combination is a free form for the quarterly question and the help desk for every ticket. Our walkthrough on building a customer satisfaction survey in Google Forms covers the free half. Keep the two scores apart. They measure different things.
Ticket ratings plus NPS, social reach and store email flows
- Freshdesk plus its SurveyMonkey app: the built-in CSAT rates tickets, while SurveyMonkey asks the NPS question Freshdesk surveys lack. The app works only with Web Link collectors, and you must turn off the built-in survey if you want SurveyMonkey alone.
- Tidio plus an email survey: the emoji rating covers widget chats; a separate email survey reaches customers who wrote on Messenger, Instagram or WhatsApp, when you have their email address.
- Gorgias plus Klaviyo: satisfaction survey events sync to Klaviyo, so a store can use the ratings in its Klaviyo flows.
A per-ticket rating and a quarterly recommend question measure different things. Report them on separate lines so a good month of tickets does not hide a product problem.
Closing the loop: a customer feedback management tool's real job
Collecting scores is the easy half. Acting on them is harder. Bain calls the fast follow-up the inner loop: employees hear feedback directly and quickly, and follow up with the customers whose feedback merits it [2]. The goal is learning, not ranking agents.
Several help desks automate the first step of that loop:
- A Help Scout workflow can reopen a poorly rated conversation and notify the team.
- Zoho Desk can reopen a ticket on a negative rating, or on any rating.
- In Gorgias, a survey response can trigger a rule.
- A LiveChat playbook skill can start when a rating comes in.
The bigger fixes sit outside the queue. A refund policy that angers people every week is not an agent problem. Bain's outer loop exists for that: it gathers the issues frontline teams cannot fix, sorts them, and routes each one to the team that can [3]. Pick one owner for that list. Review it monthly.
Choosing customer feedback software by where support happens
Start from where your conversations happen, then check the loop.
| If your support mostly runs on | Start with | Watch for |
|---|---|---|
| Email tickets | Zendesk, Freshdesk or Zoho Desk ratings | Plan gates on custom surveys and reports |
| Website chat | Help Scout, Tidio or LiveChat | Whether social channels get a survey |
| An online store | Gorgias | Setting the delay past delivery |
Then ask four questions of any shortlist. Does the rating attach to the ticket and the agent? Can a bad score reopen the conversation or alert someone? Can you see the score per agent and per channel? Does the plan you would buy include the survey, or only the higher one? Help Scout's Free plan has no surveys, and Zoho Desk's ratings start at Standard. Check it before you migrate.
Frequently asked questions
How often should you send a customer feedback survey?+
Send the short rating after every solved ticket or ended chat, and a relationship survey on a calendar, such as once a quarter. In Zendesk and Zoho Desk, ratings are per ticket, not per customer, so a frequent contact gets many requests.
Can customers rate conversations handled by an AI agent?+
Yes, in some tools. Tidio sends its emoji rating after its Lyro AI agent solves a conversation, and Gorgias analytics split CSAT between its AI Agent and the human team.
What should a customer feedback survey ask after a support ticket?+
One rating about the help received, plus an optional comment box. Longer surveys belong in a separate, scheduled relationship survey.
Can I export customer feedback scores from a help desk?+
Usually, with plan limits. Help Scout offers CSV and XLSX exports from Standard, Freshdesk exposes each ticket's rating and comment through its API, and Tidio's Analytics API returns raw ratings on Plus and Premium.
The bottom line
The right customer feedback tool is the one that closes the loop where your conversations already live. For email-heavy teams that is the help desk's own ticket rating, from Zendesk, Freshdesk or Zoho Desk. Chat-first teams get more from Help Scout, Tidio or LiveChat, and stores from Gorgias with a delay past delivery. Add a separate survey only for the relationship question. Then judge the setup by one test: does every bad rating reach a person who replies?
