Fathom is an AI notetaker that records, transcribes and summarizes Zoom, Google Meet and Microsoft Teams calls, and its Free plan keeps recordings, transcripts and storage unlimited with no time limit. It suits individuals and small sales or customer-success teams that want searchable calls without a large contract. On safety, Fathom says it holds SOC 2 Type II and complies with HIPAA, and it keeps all data in the United States. In September 2026 Fathom announced that it is now part of Superhuman. For one person, paid plans start with Premium at $16 per user per month billed annually; Team costs $1 less per user per month on either billing term but needs at least 2 users. The main catch is that Free caps the advanced AI.
What Fathom records, and how it gets into the call
Fathom Video Inc., based in San Francisco, sells the product as Fathom AI Notetaker; it used to live at fathom.video and now sits at fathom.ai. It captures meetings on Zoom, Google Meet and Microsoft Teams, Slack Huddles through the desktop app, and in-person conversations through an iPhone app that reached the App Store in October 2026. Getting into a call happens one of two ways. Either the visible Fathom Notetaker bot joins as a participant, or the desktop app captures the meeting from your own computer with no bot in the room.
The newer desktop app, Fathom 3.0, lets you pick a capture mode for each meeting. Capture Off skips that one meeting. Transcript Only keeps a transcript and an AI summary but saves no recording, Audio Only stores sound locally without video, and Audio and Video sends the bot for a full recording. Bot-free capture is a Mac beta: it needs macOS 14.2 or newer, inclusion in a phased rollout and one of 20 supported languages. Windows users get only a limited Microsoft Teams alpha, and Teams calls are recorded by the bot.
After the call, Fathom writes a summary from more than 15 templates, including BANT and Sandler, and paid plans add action items and a follow-up email draft. Ask Fathom is a chat box that answers questions about a call with citations to the exact transcript moment, and a beta version searches your whole history. Transcripts come in 38 languages on every plan. Integrations cover HubSpot, Salesforce and Close, Slack, Asana, Zapier, Make (the automation platform), ChatGPT and Claude through MCP, plus a REST API with webhooks.
If your Mac is in Fathom 3.0's bot-free beta (macOS 14.2 or newer, phased rollout), Transcript Only keeps a transcript and AI summary but saves no recording at all.
Part of Superhuman: what that means for your data
In September 2026, Fathom's founder and CEO, Richard White, announced that Fathom is officially part of Superhuman [1]. Fathom told users that nothing changes for them today: the same app, login and product. A Fathom connector inside Superhuman Go already answers questions about past meetings. The plans below are Fathom's own as published in November 2026, and its Terms promise notice of any fee change before the next billing cycle. Watch your renewal date.
On security, Fathom says it holds a SOC 2 Type II report and is GDPR compliant; it does not have ISO 27001. All data is stored in the United States with no regional hosting option. Its AI providers, Anthropic, OpenAI and Google, are not permitted to train on your content. Fathom itself may use de-identified meeting data to improve its own models unless you opt out in settings, and a team admin can opt out every user at once. Fathom also says it does not sell meeting content or attendee information.
Fathom says it complies with HIPAA; its pricing lists a standard BAA on Team and Business and eligibility for a custom BAA on Enterprise. Consent stays with you. The Terms make the user responsible for getting every participant's consent before recording, and the bot cannot join silently, since hiding the banner does not remove it from the participant list. Fathom itself says bot-free capture removes the bot notice, not the duty to disclose. Check one default: on Free and individual plans, the link sent to attendees opens for anyone who has it until you change it.
Five plans on one ladder
Prices shown are what Fathom lists for visitors in the United States, in US dollars. Your price can differ by country, currency and local taxes such as VAT.
| Plan | Billed annually | Billed monthly | Seats | What it adds |
|---|---|---|---|---|
| Free | $0, no time limit | $0 | Individuals | Unlimited recordings, transcripts, storage, downloads and clips; advanced AI summaries on the first 5 calls each month |
| Premium | $16 per user per month, billed annually | $20 per user per month, billed monthly | Individuals | Advanced summaries on every call, AI action items, follow-up emails, Ask Fathom, custom bot name |
| Team | $15 per user per month, billed annually | $19 per user per month, billed monthly | 2-user minimum | Shared workspace, Trackers, team-wide search, Ask Fathom across team calls (beta), standard BAA |
| Business | $25 per user per month, billed annually | $34 per user per month, billed monthly | 2-user minimum | CRM field sync, Deal view, coaching metrics, AI Scorecards |
| Enterprise | $35 per user per month, billed annually only | Not offered | Sold through sales | SSO, SCIM, custom data retention, custom BAA eligibility |
The order trips people up. Team is $1 cheaper per user per month than Premium on either billing term, but it needs at least 2 users, so Premium is the cheapest paid plan only for one person [2]. A solo buyer on Team pays for two seats at $180 per user a year billed annually, $360 in total, against $192 per user a year billed annually for Premium, by our arithmetic. The annual toggle advertises savings of 25% or more, yet the real annual saving is 20% on Premium, about 21% on Team and about 26.5% on Business. The full cost math for every team size sits in our Fathom pricing guide.
Where Fathom pulls ahead, and where it falls short
The strengths
The Free plan is unusually complete for a recorder. Recordings, transcription, storage, downloads and clips have no cap, recordings stay until you delete them, and Fathom says it will always keep a free version for individuals. One account can send the bot to a client call and, if the Mac is in the bot-free beta, capture the next meeting with no bot. The REST API, webhooks and the MCP link to ChatGPT and Claude are open on every plan, Free included. CRM sync to HubSpot, Salesforce or Close also works on Free, for up to 3 users per email domain.
For sales teams, the upper plans stack real tooling. Team adds Trackers that tag calls by meaning, AI Search across meetings and a Customer view. Business adds Deal view for HubSpot or Salesforce deals with an AI deal summary, coaching metrics such as talk time, and AI Scorecards that grade hosts on one meeting type. It also lifts the 3-users-per-domain cap on CRM sync and adds field-level sync. A rep can see every call on a deal in one timeline. That is the whole pitch.
Fathom's Auto-record setting covers all, external, internal or no meetings. Pick the option deliberately so Fathom captures only the calls you intend.
The shortfalls
Free limits the AI more than the headline suggests. Advanced AI summaries cover your first 5 calls each month, and later calls get the General/Enhanced template [3]. Ask Fathom is available on Free in limited form, with no published quota. AI action items, follow-up emails, a custom bot name and hiding the in-meeting banner all start at Premium. Our breakdown of what Fathom's Free plan really includes shows where those limits start to bite for a heavy user.
Getting money back is unclear. Fathom advertises a 90-day money-back guarantee on paid plans but does not publish its conditions; its Terms of Service say fees are non-refundable [4]. Cancelling does not stop recording, because an individual account drops back to Free, which still records; turn off auto-record or delete the account instead. Team plan cancellation is not self-serve and goes through an email to Fathom's success team. Members of a Team, Business or Enterprise account cannot delete their own account; only the admin can.
The rest are plan gates and platform limits. SSO through SAML, for example with Okta or Microsoft Entra ID, plus SCIM, custom data retention and admin controls such as disabling downloads are Enterprise only. Zapier and Make work on Free and Premium in limited form and in full only from Team. The bot cannot join Zoom meetings with more than 250 attendees, meetings that require registration or Zoom Webinars. On Microsoft Teams, it joins as an anonymous guest and may land in the lobby.
A cancelled individual paid plan drops to Free, which still records; turn off auto-record or delete the account to stop recording.
Which Fathom plan fits which buyer
Start on Free if you mainly need recordings and searchable transcripts, since five advanced summaries a month plus the General/Enhanced template on other calls covers light use. Move to Premium when you want action items and follow-up drafts on every call; it costs $16 per user per month billed annually, or $20 per user per month billed monthly. Annual billing pays off only if you would keep Premium for 10 months or more, by our arithmetic. A short experiment belongs on monthly billing.
Two or more people who share calls belong on Team, which costs less per user than Premium and adds the shared workspace. For 2 users, Team comes to $180 per user a year billed annually, $360 in total, against $192 per user a year billed annually for Premium, or $384 for two seats, by our arithmetic. Step up to Business only for Deal view, AI Scorecards, coaching metrics, field-level CRM sync or more than 3 CRM users per email domain; billed annually, it adds $10 per user per month, or $120 per user a year, by our arithmetic. Enterprise adds another $10 per user per month, billed annually, for SSO and SCIM.
Who should look elsewhere? Anyone who needs uploads of recorded files, phone-call recording or an Android app, since Fathom offers none of them. Webex and GoTo Meeting users have nothing to capture. A Windows-only team that wants bot-free capture will have to wait, since Fathom says broader Windows support is coming. European buyers who need regional data hosting will not find it. Our roundup of Fathom alternatives covers the tools that fill those gaps.
How our score reads Fathom
Fathom lands at 4.0/5, built from separate axes that each rest on its pricing page, help center and legal documents rather than impressions. The generous Free plan, the choice between bot and bot-free capture and the sales tooling on Business lift it. The unpublished money-back conditions, the Mac-only bot-free beta and SSO locked to Enterprise hold it back. Each deduction is concrete, so you can test it against your own team.
Fathom covers the meeting-notes job with two capture routes: the visible Fathom Notetaker bot, which joins Zoom, Google Meet and Microsoft Teams calls from a connected calendar or through Add to Meeting, and bot-free capture from the desktop app (Fathom 3.0, a beta on Mac with macOS 14.2 or newer, phased rollout, 20 languages as of October 2026) with four modes per meeting: Capture Off, Transcript Only (transcript and AI summary, no recording saved), Audio Only and Audio and Video. Slack Huddles are captured bot-free from the desktop app, and the iOS app (on the App Store since October 2026, every plan) records in-person meetings from the iPhone microphone. On every plan, Free included, recordings and call storage, transcription in 38 languages, call downloads, clips and playlists of your own meetings are unlimited (Free and Premium keep recordings until you delete them); speaker attribution, transcript trimming, a custom dictionary of up to 50 terms on team plans, team folders, comments and mentions, Customer view (Team and up) and Deal view (Business) build on top. Held back by what it does not capture: no uploads of recorded files, no phone calls, no Android app, no Linux or Chromebook recording, and no platforms beyond Zoom, Meet, Teams and Slack Huddles (no Webex or GoTo Meeting); the bot joins one meeting at a time, cannot join Zoom meetings over 250 attendees, Zoom Webinars or registration calls, and joins Teams as an anonymous participant that cannot record end-to-end encrypted meetings; Teams calls and Windows users stay on the bot (Windows bot-free is a limited Teams alpha); recordings download as MP4 only and transcripts cannot be downloaded as a file, only copied to the clipboard.
Every plan gets instant AI summaries with the General/Enhanced template; from Premium, advanced call summaries with over 15 pre-built templates (including BANT and Sandler, with Sandler and SPICED summaries that can map to CRM fields), AI action items and AI follow-up email drafts built from them, and Ask Fathom, a chat over one call with citations that link to transcript moments. Account-wide Ask Fathom (beta) asks across the whole call history, combining keyword search over titles, participants and transcripts with analysis of summaries (unlimited for your own calls on Premium; team scopes on team plans). Team adds AI Search for key moments across meetings, Trackers that tag calls by meaning and alert by email or Slack, and Meeting Types that detect the kind of meeting and apply a template; Business adds coaching metrics (talk time, questions, monologue length), AI Scorecards that grade hosts on calls of one meeting type, and Deal view with an AI deal summary; Fathom 3.0 adds a live summary during the call. Fathom says its AI providers (Anthropic, OpenAI and Google) may not train on user content, and an official MCP server (April 2026) opens meetings to ChatGPT and Claude on every plan. Held back by the Free plan, where advanced AI summaries cover only the first 5 calls each month (then the General/Enhanced template), Ask Fathom is limited with no published quota, and AI action items and follow-up emails are absent; summaries natively in seven languages (Premium and Team plans); real-time coaching only in the previous, bot-based experience; summary customization only in the web app; Ask Fathom history not saved and not in the iOS app; API summaries and action items always in English.
Native CRM sync built by Fathom for HubSpot, Salesforce and Close on every plan, logging the AI summary on the matched contact, company or deal (HubSpot) or as a logged call on the matched Contact, Account and open Opportunity (Salesforce); HubSpot deal-field sync, Salesforce field mapping, Deal view and the HubSpot card on Business. Slack on every plan (highlights, Alerts and Trackers to public channels), native Asana for all users, Zapier and Make (the automation platform) on every plan, Notion through Zapier or Make, and partner apps listed by Fathom (Pylon, Glean, TranscriptExporter, Superhuman Go and others). Developers get, on every plan, a public REST API with webhooks signed with HMAC-SHA256, OAuth apps, TypeScript and Python SDKs and the MCP server for ChatGPT, Claude and Claude Code. Held back by CRM sync capped at 3 users per email domain on Free, Premium and Team; Zapier and Make limited on Free and Premium and full only from Team; no native CRM beyond HubSpot, Salesforce and Close; Salesforce sync without Leads, closed Opportunities or internal-only meetings; API keys per user with no org-level keys, 60 calls per minute per user (heavy requests 30 per 60 seconds) and no higher limits offered, no real-time transcripts and no bulk endpoint; SDKs still in beta with breaking changes between versions; webhooks that fire once and do not re-fire on edits.
Lifted by a short path to a first recording: sign in with Google or Microsoft, connect a calendar, choose Auto-record (all, external, internal or no meetings), and the Notetaker joins calls that have a Zoom, Meet or Teams link; recordings can be shared with people who have no Fathom account; team admins set auto-capture and visibility defaults per meeting kind, and bot-free capture is picked per meeting from the app tray. Held back by sign-in only through Google or Microsoft with a required Google or Outlook calendar, and consumer-email sign-ups needing a scheduled Zoom, Meet or Teams meeting within seven days; the bot reads only the primary calendar and needs the Meet or Teams link in the invite's location field; Zoom needs a connected account for users not on the new version (since March 2026), Waiting Room off and a unique meeting ID, and Teams needs anonymous join allowed; bot-free capture is Mac-only, in phased rollout and needs two separate macOS audio permissions; Slack Huddles start manually by default; auto-share, when turned on, sends the link to every invitee and on Free and individual plans defaults to Anyone with the link; summary customization works only in the web app; and Team cancellation is not self-serve (email to success@fathom.video), while team members cannot delete their own account.
Priced per user per month: Free $0 with no time limit; Premium $16 per user per month billed annually or $20 billed monthly; Team $15 per user per month billed annually or $19 billed monthly, with a minimum of 2 users; Business $25 per user per month billed annually or $34 billed monthly, with a minimum of 2 users; Enterprise listed at $35 per user per month, billed annually only, and sold through Fathom's sales team. Fathom labels annual billing save 25%+; by our arithmetic the saving is 20% on Premium, about 21% on Team and about 26.5% on Business. Lifted by the Free plan: unlimited recordings, storage, transcription, downloads and clips, with CRM sync, Slack, the API and MCP included; Team costing $1 less per user per month than Premium for 2 or more users; 10 free seats for nonprofits; up to 2 years of Team free for startups in the Qualified Portfolio Program; and Business free through the current contract for teams switching from Gong (Fathom offer, November 2026). Held back by Premium priced above Fireflies Pro ($10 per seat per month billed annually or $18 billed monthly), Otter Pro ($8.33 per user per month billed annually or $16.99 billed monthly) and Read AI Pro ($15 per user per month billed annually or $19.75 billed monthly); a 2-user minimum on Team and Business, so one person on Team pays $360 a year billed annually against $192 for Premium (our arithmetic); coaching, AI Scorecards and field-level CRM sync only on Business; SSO, SCIM and custom retention only on Enterprise; Launch Assist a paid add-on on Business with no published price; and a 90-day money-back guarantee advertised on the plan cards without published conditions while the Terms of Service say fees are non-refundable.
Support by email, help-center widget and contact form with an AI assistant for instant replies; Fathom says the first agent reply averages under one hour, with a maximum of one business day, Monday to Friday on Pacific Time, with no weekend hours. Team and up add onboarding and customer-success support with dedicated comms channels; Enterprise adds priority support SLAs, a dedicated Success Manager and Launch Assist. Fathom says it is SOC 2 Type II certified, HIPAA compliant and GDPR compliant; its pricing lists a standard BAA on Team and Business and eligibility for a custom BAA on Enterprise; it is certified under the EU-US, UK and Swiss data privacy frameworks and says it does not sell meeting content. Held back by no weekend support; no ISO 27001; all data stored in the United States with no regional hosting; organization controls such as admin access to any meeting, disabling downloads or deletion, custom retention and SSO only on Enterprise; the help center pointing to a trust center for security details; Fathom announced in September 2026 that it is part of Superhuman, saying nothing changes for users; and a capture setup with known failure points (one meeting at a time, Teams lobby and verification, Zoom connection rules).
Mean of each platform's displayed rating with at least 30 reviews, weighted by review count, read November 2026: (G2, Capterra with the Gartner network counted once, Trustpilot, Product Hunt) gives 4.99 computed. G2, with about 7,131 reviews, carries most of the weight (about 83% of the counted reviews), so the score mainly reflects G2 reviewers' view; Capterra and Product Hunt sit at the same level on smaller counts. Trustpilot is read as a complaint map, not a trend: the themes in its lower reviews are data, support, login and account access, price and cancellation, each with a documented mechanism (Team cancellation by email, team members unable to delete their own account, sign-in only through Google or Microsoft, a guarantee whose conditions are not published). No ad-hoc penalty is applied. The App Store listing (11 ratings) and TrustRadius (15) are below the 30-review threshold and are not counted; Fathom's own G2 figures on its pages are vendor displays, not a rating source.
A broad help center at help.fathom.video covering plans, capture on each platform, consent, sharing, removal, deletion, CRM set-up, SSO and SCIM, with a weekly release log dated per entry (through October 2026) and a Fathom 3.0 article with figures as of October 2026; developer docs at developers.fathom.ai with an API overview and rate limits, endpoint reference, OAuth, webhooks with signature verification, TypeScript and Python SDK guides, MCP set-up for ChatGPT, Claude and Claude Code, an FAQ and a dated changelog; plus Launchpad workflow recipes and integration pages. Held back by help articles that mostly carry no date, articles still using legacy plan names (Team Edition Standard and Pro, renamed Team and Business in August 2025) and several articles that the pricing page overrules (action items on Free, coaching metrics on Team, Zapier and Ask Fathom plan lists, SCIM only through Okta); an /overview page whose price line and SSO wording are outdated; and an academy site with no readable content.
Weighted across the axes above (weights reflect what actually drives the decision in this category). How we score →
User reviews lean strongly positive. G2 and Capterra both score Fathom near the top of their scales across a large body of reviews, and Product Hunt agrees. We read Trustpilot as a map of complaints rather than a trend, and its recurring themes are data handling, support, login and account access, price and cancellation. Those themes line up with the shortfalls above, including cancellation.
Frequently asked questions
Do people need a Fathom account to watch a recording I share?+
No. Recipients of a share link can view a Fathom recording without having a Fathom account.
Is there a free trial of Fathom Premium?+
New users get a free Premium preview for 30 days after sign-up, or 60 days through a referral, and the account then reverts to Free. Fathom does not publish whether a card is needed.
Does Fathom offer anything for nonprofits?+
Yes. Nonprofits can apply for 10 free Fathom seats; Fathom does not name the plan those seats are on.
Is there a maximum meeting length or storage cap in Fathom?+
Fathom publishes no maximum meeting length and no storage cap, and on Free and Premium recordings stay until you delete them (Enterprise admins can set a retention period). Fathom can record only one meeting at a time, and only when you are on the call too.
The bottom line
Fathom is a strong pick when you want every call recorded and searchable at no cost, and a practical paid choice for small sales and success teams working in HubSpot or Salesforce. On paper it looks reasonably safe, with a SOC 2 Type II report and an opt-out from model training, though your data stays in the United States. Fathom said in September 2026 that nothing changes today for users after joining Superhuman. Weigh the Free AI limits, the 2-user minimum and the cancellation terms before you pay, and let our score show how those trade-offs net out.
