A property is an object. Contacts point at it, deals point at it, viewings point at it, and the whole job of a real-estate CRM is holding those relationships straight.

That single sentence decides whether Freshsales fits your agency, and it decides it at a specific price. Lookup fields and formula fields: the two field types that let one record reference another: do not exist on Freshsales' free or $9 plans. They begin at $39[4].

OUR TAKE: Freshsales is a genuinely good fit for a small estate agency, for reasons most CRMs cannot match at the price: the phone is built in, the mobile app is built for someone moving between viewings, and call masking protects your agents' personal numbers. But the fit starts at $39 a seat, not $9, and if you want a proper Property record rather than a workaround it starts at $59.

## Why the phone matters more here than almost anywhere

Estate agency is a telephone business. Vendors call about offers, buyers call about viewings, applicants call about availability, and most of it happens while someone is driving.

Freshsales includes a phone from its first paid plan, with call recording, voicemail drop and basic call queues[2]. At $39 you also get the power dialer, warm transfer and conference calling: the last of which is genuinely useful for a three-way conversation between a vendor, a buyer and an agent.

Two features deserve singling out for this trade.

Call masking, on the $9 plan. Your agents' calls show the agency's number rather than their personal mobile. Anyone who has had a buyer call an agent at eleven at night on a number they found on a text message will understand why this matters, and it is unusual to find it at this price.

Automatic call logging in the mobile app, on the free plan. Calls made from the phone land on the record without anyone typing. For agents who will not do data entry, which is most of them; this is the difference between a CRM that reflects reality and one that does not.

The costs: included local incoming minutes are 2,000 a month on $9, 3,000 on $39 and 5,000 on $59, then $0.013 a minute, local numbers only[8]. For a four-person office taking inbound enquiries all day, those included minutes are generous but not unlimited: do the arithmetic on your current call volume.

## The mobile app is built for field work

This is the clearest signal of who designed this product. The free plan's mobile app includes contact, account and deal management, voice notes, automatic call logging, caller ID, Google Maps and a check-in function[2].

Check-in and Maps are field-sales features that happen to map exactly onto viewings. An agent can check in at a property, log the viewing, record a voice note on the way back to the car and have it all on the record before they reach the office.

Voice notes in particular are worth more in this trade than in most: the useful information from a viewing is impressions, not fields, and impressions get spoken rather than typed.

Where the plan boundary falls for an agency

Two of those rows do the work.

Multiple pipelines, at $39. Sales, lettings and applicant registration are three different processes with different stages. On a single-pipeline plan the only option is encoding all three as stages of one flow, and that works until it does not: splitting later means reclassifying every open record by hand.

Custom modules, at $59. Ten modules on the top plan[2]. This is what lets a property be a first-class record with its own fields and its own workflows, rather than a deal with the address in a text field. Below $59, you can approximate it with a custom field layout plus lookups at $39, and you can live with that approximation for a long time; but it is an approximation.

## The workaround, and how long it lasts

Plenty of small agencies run perfectly well on a $39 plan without custom modules. The usual shape: the deal record is the property, contacts are buyers and vendors, lookup fields connect them, and a dropdown handles property type.

That works while one property has one transaction. It stops working the moment a property has a history: listed, withdrawn, relisted, sold, fallen through, relisted again, because the deal record only has one lifecycle and the property has several.

If your market has chains and fall-throughs, budget for $59 from the start. If your market is straightforward sales, $39 will hold for years.

Data, documents and the add-on that bites

Field design. Custom fields are capped per entity and per field type: on $39 that is 250 per entity with 10 lookups and 40 formula fields[4]. For an agency, lookups are the scarce resource: property-to-contact, property-to-vendor, viewing-to-property; so count them deliberately.

Text areas are the other pinch point: five on $9, ten on $39[4]. Property descriptions and viewing notes both want long-form fields.

Documents. Branded documents cost $19 per user per month on every plan[1]. An agency sends terms of business, offer letters and memoranda of sale constantly, so this is not an optional add-on for this trade; it is part of the price. On four seats at $39, that is $156 a month in licence and $76 in document branding.

File storage. 2 GB per user on $9, 5 GB on $39, 100 GB on $59[2]. Property photographs will find the bottom of 2 GB fast. This is one of the few places where the jump to the top plan is spectacularly generous.

## Data residency, if you are a European agency

Four regions are offered and the vendor says you choose from the outset, but the choice is not available on the free plan[2].

For a European agency this is not a technicality. You hold vendors' and buyers' personal data, including financial information gathered during offers, and where it is stored is a question your own compliance position has to answer. Choose the region at signup: changing it later is, at best, a support request.

One documented trade-off: the vendor's own material on its telephony stack states that enabling regional data residency disables call masking and verified caller ID. Call masking is one of the better reasons for an agency to choose this product, so if you need both, raise it in writing before committing. The documentation is not tagged for Freshsales specifically, which is why we are reporting it as the vendor's statement about its telephony rather than as a certainty about the CRM.

What to be careful about

The chatbot grant is once per account. The 500 sessions that look like a plan allowance are a one-time grant[1], and previewing the bot while you build it spends them[7]. A property website chatbot answering availability questions is a sensible use case, and it is a metered one at $49 per hundred sessions afterwards, with no documented cap.

Call rounding is not published. For a business whose calls are short and frequent, whether a ninety-second call bills as ninety seconds or two minutes compounds. Ask.

Support does not improve with price. 24x5, identical on every plan including free[2]. It is also the subject of 60 per cent of this product's reviews. For an agency with no IT person, test it during the trial rather than discovering it in August when the system is slow and three completions are due.

The contract forbids reducing seats mid-term. Agency headcount moves with the market. The master agreement states you may not reduce your user count during a subscription term, that payment obligations are non-cancelable, and that renewal is automatic unless you give thirty days' notice[3]. If you staff up for a busy spring, you may be paying for those seats through a quiet winter.

## Lettings, which has different arithmetic

Sales and lettings are not the same CRM problem, and the Freshsales plan boundary falls in a different place for each.

A sales pipeline is episodic: one property, one transaction, a defined end. A lettings book is continuous: tenancies renew, rents review, inspections recur, deposits move — and the record you care about persists for years rather than closing.

Three consequences for plan choice.

You need more than one pipeline. Applicant registration, tenancy progression and renewals are three processes. That is the $39 plan[2].

You need workflows that branch. Renewal reminders, inspection schedules and rent review dates are date-driven and conditional. Advanced workflows do not exist below $39, and the volume ceiling is fifty there and a hundred at $59[2], with additional ones at five dollars for ten.

You will want a tenancy to be its own record. A tenancy is not a deal; it is a relationship with a history. That is custom modules, at $59[2], and for a lettings book of any size it is worth the twenty dollars.

Bulk email also matters more here: 250 per user per day on $9 against 1,000 on $39[2]. Sending a block notice to a landlord list, or an availability update to applicants, hits that 250 quickly.

How it compares for this trade

Worth a short, honest note. There are dedicated estate agency systems that do things Freshsales cannot: portal feeds to the major property sites, key management, compliance tracking, client accounting. If those are core to your operation, a general CRM is the wrong category and no plan here changes that.

What Freshsales offers against a dedicated system is the phone, the mobile app and a price that is a fraction of most. Against general CRMs, its advantage in this trade is specifically the telephony: Pipedrive and HubSpot both charge $39 and $90 respectively for their comparable tiers and neither includes a dialer, call masking or call recording natively.

So the realistic position is: Freshsales as the front office — enquiries, calls, viewings, pipeline — alongside whatever system already feeds the portals. Not as a replacement for a specialist platform.
