What you are setting up, and in what order

Hootsuite is no longer one dashboard with tabs. Since June 24, 2026 it runs as Social OS, a set of apps with their own names: Perch for planning and publishing, Nest for the inbox and streams, Lumen for listening, Parliament for employee advocacy and Wisdom for AI. New customers land in Social OS directly, with no switch back to the older Classic layout. That matters when you follow an old tutorial, because the menus have moved. Streams now sit under Nest instead of under More, Analytics opens inside Perch, Nest and Parliament, and the App Directory lives under your account settings.

The order below follows how a small team actually gets going: start the trial, connect the accounts, set up people and security, plan and publish, answer messages, listen, then report. Wisdom comes last on purpose. It is useful once the accounts and the brand history are in place, and close to useless before. Plan on a few working sessions rather than one afternoon, since the account connections alone can take a while when Meta or LinkedIn asks for roles you do not have yet.

Step one: start the trial and know its limits

There is no free plan. You start with a 14-day free trial without a credit card, and you can sign up with an email address or with a Google, Facebook, LinkedIn or X login. Only one trial is allowed per person. You can switch plan types while it runs, but the clock does not restart when you do. The pricing page says you are not charged automatically when the trial ends; to continue, you pick a plan and enter payment details [1]. Hootsuite's terms and its help center account FAQ say a trial with a payment method on file converts to the plan you chose and is charged. If you added a card, cancel before day 14 unless you mean to continue.

The trial is not the full product. Each organization can publish only 10 to 20 posts a day during the trial, depending on the plan you picked, and bulk scheduling is switched off entirely. That is enough to test the composer, the calendar and the inbox. It is not enough to load a month of content from a spreadsheet. If bulk scheduling is the reason you are buying, you will only see it after you pay. Our Hootsuite pricing guide covers which plan fits which team and what each costs per user.

Toolkit tip
Fix account types before connecting

Switch Instagram to a Business profile linked to a Facebook Page and confirm who holds LinkedIn Super Admin. Both decide what Hootsuite can do with the account.

Step two: connect the accounts Hootsuite can actually manage

Hootsuite supports Facebook, Instagram, LinkedIn, Threads, X, TikTok, Bluesky, YouTube, Pinterest, WhatsApp and Google Business Profile [2]. How many you can connect depends on your plan: Standard stops at 10 social accounts, Professional and above are unlimited. Hootsuite suggests connecting at least three. A social account can belong to only one Hootsuite organization at a time, so an agency cannot claim a page that a client already connected elsewhere.

Facebook and Instagram

Connect Facebook Pages, not personal profiles. Publishing to personal profiles stopped working after Facebook changed its rules in 2018. If the Page lives in Business Manager, the Facebook account you log in with needs two-factor authentication, and Meta also requires membership of the Business Asset Group. Location Pages need a direct role, because Hootsuite cannot read roles inherited from a parent Page.

Instagram is where most setups go wrong. Only Business and Creator profiles connect, and personal profiles are gone for good. Only a Business profile gets everything: direct publishing, engagement and analytics. It must be linked to a Facebook Page, and you log in through Facebook to connect it. Creator profiles connect but have to publish every post and story through the mobile notification workflow, where the app reminds you and you finish the post on your phone. Switch to a Business profile before you connect. It saves a lot of friction.

LinkedIn and the rest

To connect a LinkedIn Page, your personal LinkedIn account must be a Super Admin of that Page. LinkedIn tokens expire every 365 days, and sooner, after 60 days without activity in Hootsuite. Threads connects with your Instagram credentials and works only on the web. Pinterest is publishing only, with no streams, and needs at least one board. WhatsApp and Google Business Profile appear only in the inbox. Snapchat, Nextdoor, MeWe, XING and LinkedIn groups cannot be connected at all.

⚠️
Watch out
LinkedIn connections expire quietly

LinkedIn tokens expire every 365 days and after 60 days without activity in Hootsuite. A disconnected account is a common reason scheduled posts fail.

Step three: organize the team and lock the doors

Every Hootsuite account can create one organization during onboarding, and whoever creates it becomes its Super Admin. Only the Super Admin can change the plan, and the owner of an organization must hand over ownership before leaving it. Inside the organization you can create as many teams as you like. Members and social accounts can sit in several teams at once, which suits an agency that groups clients or a company that splits brands. Invitations go out by email and expire after 7 days, so chase anyone who has not accepted.

Permissions and approvals

The point of an organization is that nobody shares passwords. Each member gets access to specific accounts with specific rights. Custom permissions start at Advanced and work at organization, team and social-account level; one of them, publish posts with approval, forces a review on posts but not on replies. Advanced, once it has more than one user seat, also adds approval processes with up to three approvers in sequence. Approve early. If any stage is still pending at the scheduled time, the post does not go out and moves to the Expired queue.

Hootsuite recommends keeping a team below 30 Facebook Pages, and says performance can degrade past 50 accounts per team. Plan your team structure around those numbers if you manage many locations. One more control belongs in the setup checklist. In a crisis, on Advanced and above, Super Admins and Admins can suspend scheduled posts for the whole organization from the web, on X, Facebook, LinkedIn, Instagram, TikTok and Pinterest. Posts whose time passes during the suspension stay suspended and must be rescheduled by hand.

Two-step verification

Turn on two-step verification for everyone with publishing rights. You set it up on the web, it then applies on web and mobile, and it needs an authenticator app such as Google Authenticator. You can ask for a code on every sign-in or only when the sign-in location changes [3]. If someone loses the app, a code can go to the account email instead. Sign-ins from a new location or IP address already trigger an email code. Keep shared logins out of the picture too. Logins from several IP addresses can disconnect social accounts.

Step four: plan and publish in Perch

Perch holds the Composer, the Planner calendar, the content library and ads. Load the library first. It stores an unlimited number of assets, with uploads of up to 20 MB for images and 1 GB for video, so approved logos and photos live in one place instead of on laptops. When a scheduled post fails, Hootsuite sends an email and shows the reason in the calendar. A first post takes four moves:

  1. Open the Composer and pick the social accounts, choosing only one X account per post.
  2. Write the caption, add media from your device, the content library, Canva, Adobe Express or Google Drive, and add alt text to each image.
  3. Adjust the version for each network, since limits differ: 2,200 characters on Instagram, 3,000 on LinkedIn, 280 on X for most accounts.
  4. Publish now, schedule a time, or save a draft.

Drafts are unlimited, but images inside a draft expire after 90 days, and a draft with no account selected stays visible only to its author. Edits to a scheduled post must land at least 6 minutes before it goes out, 15 for video and 30 when the video needs processing, so edit scheduled videos at least 30 minutes ahead. The Composer does not create event posts or polls, so those still happen on the networks themselves.

The Planner and best times

The Planner shows up to 1,000 scheduled, reviewed and draft posts a week, and can display up to three recommended time slots a week. Those come from the engagement rate of your posts over the last 30 days, and an account needs at least three posts with engagement in that window to count. A brand-new account may get no suggestions, or suggestions based on industry-wide data rather than its own posts. Give it a few weeks.

Bulk scheduling from a CSV

Once you pay, the Bulk Composer loads a CSV and schedules up to 350 posts at once, for example 350 to one account or 50 to each of seven [4]. Posts already scheduled for those accounts count toward the 350. Every time in the file must be at least 20 minutes ahead and end in 0 or 5, with one post per five-minute slot. The Bulk Composer handles one X account at a time, does not support Facebook or LinkedIn mentions, and discards anything you have not scheduled when you leave the screen. Fix errors before you click away.

Network limits that catch people out

Instagram lets third-party tools publish directly only 25 posts or reels in any rolling 24 hours. Instagram posts take up to 10 images, 30 hashtags shared between caption and first comment, and up to three collaborators; link stickers and trending audio cannot be added from Hootsuite. Alt text runs up to 500 characters on Facebook and 1,000 on Instagram and X, and is not supported on GIFs or videos. Hootsuite can draft alt text with AI and refresh it up to four times per image. Read it before you accept it. To avoid duplicate-content flags, Hootsuite advises publishing the same post to no more than three to five accounts at a time.

Toolkit tip
Build the CSV to the rules

Bulk times must be at least 20 minutes ahead and end in 0 or 5, one post per five-minute slot. Unscheduled posts are discarded when you leave the screen.

Step five: set up Nest for messages and streams

Nest combines the inbox and the streams. On Standard it already includes saved replies, contact notes and conversation history. Agents can keep personal saved replies that only they see, and admins can build shared collections and choose which teams and channels use them. Write your ten most common answers on day one. The inbox keeps conversations for up to six weeks, and Messenger, Instagram and WhatsApp expect replies within 24 hours, so the inbox needs an owner.

Assignment and auto-routing arrive with Advanced. There, conversations can route by skill, availability or team, and auto-assignment hands a conversation to the first agent who replies. Auto-responders and automation rules also start at Advanced, per the help center, although the plans page lists "automate inbox replies and workflows" on Professional, so confirm which automations you need before you pick it. On Standard and Professional, a small team agrees on who watches the inbox and when, by hand.

Boards and streams

Streams are the older Hootsuite view, now under Nest. Each user can create up to 20 boards with up to 10 streams on each. Build one board per brand or client with mentions, your own posts and a keyword search. X search streams only return the last seven days and up to 100 posts, and can be built only on the web. Since May 5, 2026, admins can no longer clone a board set to new team members, so each person builds their own. Deleting a stream never disconnects the account behind it.

Step six: listen and benchmark competitors

Basic listening comes with every plan through Lumen Quick Search. You type a query of up to 1,000 characters, or start from an AI query builder with templates for brand reputation, launches, campaigns and crises, and choose a window of one day, seven days, 30 days or a custom range. Standard sees 7 days of history and compares 2 searches; Professional and Advanced see 30 days and compare 5. Full Lumen listening with 13 months of history is an Enterprise product. Our guide to Hootsuite social listening explains where the plan lines fall.

Competitor benchmarking is set up in Analytics. Standard tracks 5 competitors and Professional and above track 20, on X, Facebook Pages and Instagram Business only. Hootsuite backfills up to 30 days of data when you add a competitor, but never follower history. The watchlist is shared across the team, and deleting a competitor deletes its data permanently. Choose the list carefully.

Step seven: report in Analytics

Analytics covers Facebook, Instagram, Threads, X, LinkedIn, Pinterest, YouTube and TikTok, and it includes posts published outside Hootsuite, so your history appears even if the team posted natively before. Demo reports with sample data let you learn the layout before your own numbers fill in. Instagram data shows only for Business accounts with more than 100 followers. Metrics on posts from the last 31 days keep updating, so a report pulled the day after a campaign is a first draft.

Exports depend on the plan. Every plan exports overview reports to PDF and PowerPoint. Custom reports start at Professional, and CSV and XLSX exports start at Advanced. Scheduled exports run weekly on Tuesday or monthly on the second, always at 10am GMT, and can arrive as password-protected ZIP files. Only Advanced and Enterprise can send scheduled reports to email addresses outside the organization. If a client or manager expects a report every Monday, you will have to send it by hand, since scheduled exports go out only on Tuesdays or on the 2nd of the month.

Step eight: use Wisdom to draft, not to post

Wisdom is the AI layer, and today it works in Perch and Lumen, with Nest and Parliament support still coming. It opens from the header of any product area and knows the page you are on. Its brand voice reads the last 30 posts from the previous three months of an account you choose, so it improves once the account has history. A good answer can be copied into the Composer with one click. Wisdom cannot publish on its own. A person still reviews, schedules and sends every post.

Keep its limits in view. Captions Wisdom writes for calendar holidays and trending events are English-only and draw on a monthly allowance of 300 tokens that renews on the 1st. The listening agent answers only from the last seven days of data. Wisdom also counts engagement without clicks, so its numbers can differ from Analytics. Use Analytics for reporting. Refreshing the browser starts a new conversation, so copy anything you want to keep first.

Where to go from here

After the first week, the gaps show up in the plan more than in the product: bulk scheduling missing in the trial, assignment and CSV exports waiting at Advanced, deep listening at Enterprise. Write those down before the trial ends. If you want structured lessons, the free Hootsuite Academy courses walk through the same tools and offer certifications that do not expire.

Frequently asked questions

Is there a free way to try Hootsuite?+

There is no free plan, but there is a 14-day free trial without a credit card, one per person. Trial accounts are limited to 10 to 20 posts a day per organization and cannot bulk schedule.

Can Hootsuite post to my personal Facebook profile?+

No. Publishing to Facebook personal profiles has not been supported since Facebook changed its rules in 2018; connect a Facebook Page instead.

Why can't Hootsuite publish directly to my Instagram account?+

Direct publishing works only for Instagram Business profiles linked to a Facebook Page. Creator profiles must publish through the mobile notification workflow, and personal profiles cannot be connected.

Where are Streams in the new Hootsuite?+

In Social OS, Streams are under Nest; if your organization is still on the Classic layout, they are under More. Each user can create up to 20 boards with up to 10 streams each.

How many posts can I bulk schedule in Hootsuite?+

Up to 350 posts through the Bulk Composer, including posts already scheduled for the selected accounts. Bulk scheduling is not available during the trial.

Can Wisdom publish posts for me?+

No. Wisdom drafts captions and analyzes data, and an answer can be copied into the Composer, but a person schedules and publishes every post.

The bottom line

Hootsuite rewards a careful setup more than a fast one. Connect Facebook Pages and Instagram Business profiles, make sure someone holds LinkedIn Super Admin, turn on two-step verification, then build teams before you invite anyone. Use the trial to learn Perch, Nest and Analytics, knowing that bulk scheduling and the daily post cap will only lift after you pay. Check the plan lines for assignment, exports and listening history before you commit, and treat Wisdom as a drafting assistant whose work a person always signs off.
