The short answer: reach on YouTube, control on Wistia
Pick YouTube when the goal is being found by strangers, and Wistia when the video lives on your own site and has to turn viewers into leads. Wistia Business costs $79 a month billed annually, or $99 a month billed monthly, for one account with 3 users, with an ad-free player and Wistia branding removed.[1] None of the YouTube help pages we read lists an upload or hosting fee, but YouTube collects in a different currency: outside its Partner Program it may run ads on your videos while you earn no share. Many businesses use both. That split is the honest default.
The deciding question is where the viewer should end up. A company that sells to other businesses, gates a demo or a webinar recording, and wants to know which prospect watched how much gets little from a public audience and a lot from forms and per-viewer heatmaps. A creator or a local shop that needs new viewers more than email addresses should start on YouTube, then add a paid host when the website becomes the place where deals close. The ratings below cover Wistia only, so read them as a check on how paying teams find the product, not as a score against YouTube.
On Wistia Free, embeds stop playing a few days after the 200 GB monthly bandwidth limit is reached, until the monthly reset.
What each side really costs
On the Wistia side the bill is plain, and the plans are priced per account rather than per user, so a small team does not pay more for every colleague who logs in. The Free plan stays at $0 but keeps Wistia branding on the player and leaves out the marketing tools this comparison is about: no calls to action, no forms, no heatmaps and no A/B tests. Its 3,000 credits for AI work are a one-time grant, not a monthly allowance.
| Plan | Price | Storage | Users | What it adds |
|---|---|---|---|---|
| Free | $0 | 25 GB | 1 | Basic analytics, branding on the player |
| Business | $79 a month billed annually, $99 a month billed monthly | 250 GB+ | 3 | Branding removed, CTAs, forms, heatmaps, A/B tests |
| Business + Signals | $329 a month billed annually, $412 a month billed monthly | 250 GB+ | 3 | Engagement sync to marketing-automation platforms, lead scoring |
Extra users on Business cost $25 a month each on annual billing, or $31.25 on monthly billing. For a five-person team, that comes to $129 a month on annual billing, or $1,548 a year, by our arithmetic, while three users stay at $948 a year. Storage beyond the plan is billed monthly in blocks even on annual plans, and Wistia gives no refunds for cancellations, downgrades or unused time; the Wistia pricing guide has the full billing rules. A 14-day Business trial needs no card, which is enough time to measure plays on a real landing page.
YouTube's cost never shows up on an invoice. Its help center says that outside the Partner Program it may still serve ads on your content, and you receive no revenue share.[2] Joining takes 1,000 subscribers plus 4,000 qualified public watch hours in 12 months, or 10 million qualified Shorts views in 90 days, and every channel still goes through a review that typically takes about a month. Watch hours from private and unlisted videos do not count. That matters for a business whose videos are mostly demos shared by link. Ads are the price.
The 14-day Wistia Business trial needs no card. Embed one landing-page video and read its heatmaps before you commit.
Branding and ads: whose player is it?
Wistia's player is ad-free on every plan, and on Business it carries your look instead of Wistia's. You set player colors and your logo, choose a static or looping-clip thumbnail with a text overlay, and pick autoplay behavior, including muted autoplay and whether the video pauses, resets or loops at the end. Replace Media lets you swap in a new cut of a video while keeping its stats, thumbnail, captions, forms and calls to action, and the old version keeps playing wherever it is embedded until the new file finishes processing. For a pricing explainer that changes every quarter, that alone saves a lot of re-embedding.
YouTube is a different deal. It is a platform you publish into, under its rules. The standard YouTube license is the default for every upload, and its reused-content policy applies even when the original creator gave permission. Even private videos may be reviewed by YouTube's systems and by people for ad suitability and copyright. None of that hurts a brand channel built for discovery. It does mean the player, the ads around your video and the policy calls are not yours to set, which is the core trade in this comparison. Control costs money.
SEO: your page versus YouTube's search
The two hosts chase different searches. Wistia's embed injects the video's metadata into your own page's markup by default, so the search signal sits on the URL you want to rank. Its LLM-friendly embed goes further: it writes the transcript into the page HTML so that AI crawlers which do not run JavaScript can read it, and it always includes Schema.org VideoObject data. Automated transcripts are free on all plans. One catch is easy to miss. The transcript is captured when you copy the embed code, so after an edit you must copy a fresh embed and swap it in.
YouTube's search life happens on YouTube. Public videos are meant to be found there, while unlisted videos are kept out of search and off your channel. Titles are limited to 100 characters and descriptions to 5,000, which is plenty for keywords and links back to your site. Wistia argues that hosting the same video on both gives you two separate copies that can each rank for a query; that is the vendor's reasoning, not something we measured. Our guide to the Wistia embed covers the SEO and LLM embed options step by step.
Lead capture and analytics: names versus counts
This is where Wistia earns its fee. On Business and above, Wistia Forms can sit at the beginning, middle or end of a video to gate it or collect contact details, and a call to action in text, image or HTML can appear before the video, at the end or at a set second. Analytics go down to the individual viewer: a heatmap shows what each person watched, rewatched or skipped, embed reports rank the domains and pages that drive plays, and traffic can be grouped by UTM campaign or referrer. Event-level viewing data is kept for two years.
Wistia Business captures form leads, but syncing engagement data to a marketing-automation platform needs Business + Signals at $329 a month billed annually.
Pushing that engagement into a marketing platform is a separate purchase. Engagement sync to HubSpot, Adobe Marketo Engage and Pardot, with lead scoring and sales alerts, needs Signals. Business + Signals costs $329 a month billed annually or $412 a month billed monthly. Business alone collects the leads but does not sync watch data to those tools. Teams in Europe should also know that Privacy Mode anonymizes viewers, so heatmaps then cannot be tied to a person, while aggregate engagement still works.
On YouTube, we found no in-player email form in the help pages we read, and nothing about tying a view to a named person. Its end screens need a video of at least 25 seconds, and unlisted videos can be watched by anyone with the link, without a Google Account. For a sales team, that is the gap. Names beat counts here.
Limits, privacy and the fine print
YouTube caps uploads at 15 minutes until you verify your Google Account, with a code by text message or voice call. After that the maximum is 256 GB or 12 hours, whichever comes first, and a video uploaded before verification must be uploaded again.[3] A daily upload limit applies per channel across desktop, mobile and the API, and audio files must first be turned into video by adding an image. Unlisted videos can still collect comments; private ones cannot.[4]
Wistia's limits are about storage and bandwidth. Free allows 25 GB of storage and 200 GB of bandwidth a month, and once that bandwidth is used up, embeds stop playing a few days later until the monthly reset; Business includes 1 TB of bandwidth a month. Videos can be password-protected wherever they are linked or embedded, and by default only Owners and Managers can download files. Two absences matter for some buyers. Wistia says it is not compliant with HIPAA and signs no BAAs, and it has no paywall or way to sell videos; it points course sellers to tools such as MemberMouse. If you are weighing a third option, our Vimeo vs YouTube comparison covers it.
Publish a short public version on YouTube for reach and keep the full, gated version on Wistia where the form sits.
Frequently asked questions
Can I move my existing YouTube videos into Wistia?+
Yes, but on your own: Wistia's assisted migration covers only Vimeo, Vidyard and Brightcove, so a YouTube library moves self-serve through the Upload API. Wistia also lets you import a video by pasting its URL.
Can Wistia publish videos to my YouTube channel?+
Wistia's Publish to Social feature, announced in 2018, publishes to a connected YouTube channel or Facebook Page, with the title and description editable first. The account owner connects the networks; check that the option still appears in your account.
Can I host a podcast on either platform?+
YouTube does not accept audio files directly; you convert the audio to video by adding an image. Wistia Channels double as podcast feeds, though plays in Apple Podcasts or Spotify produce no Wistia heatmap.
Is Wistia suitable for patient or health videos?+
Wistia says it is not compliant with HIPAA and signs no BAAs, and its Privacy Mode does not meet HIPAA standards.
The bottom line
Choose YouTube when new viewers are the goal and you can live with ads and its rules on your content. Choose Wistia when video sits on your own pages and has to produce leads: Business buys the ad-free branded player, forms, calls to action and per-viewer heatmaps, while syncing that data into a marketing-automation platform takes Business + Signals. For most B2B teams the answer is both: a public cut on YouTube for reach, the full gated version on Wistia where the buyer actually converts.
