Avoma bills per recorder seat per month, and only the people who record their own meetings need a seat. Startup costs $19 per recorder seat per month billed annually or $29 per recorder seat per month billed monthly, for up to 25 recorders.[1] Organization costs $29 per recorder seat per month billed annually or $39 per recorder seat per month billed monthly, for up to 100 recorders. Viewers who watch recordings, read notes and comment pay nothing. That split decides most of the bill.

Enterprise costs $39 per recorder seat per month, billed annually only, with a minimum of 10 recorder seats, so the smallest Enterprise purchase comes to $4,680 a year for 10 recorder seats billed annually, by our arithmetic. Three add-ons sit on top, each priced per seat per month and bought only for the people who use them. Our read: annual Startup is the cheapest way in for a small team that mostly wants notes and 1:1 booking links, while revenue teams that need an API, custom templates or group and round-robin scheduling without the Lead Router add-on will land on Organization plus add-ons for a few people.

About these prices

Prices shown are what Avoma lists for visitors in the United States, in US dollars. Your price can differ by country, currency and local taxes such as VAT.

Plan Billed annually Billed monthly Recorder seats
Startup $19 per recorder seat per month, billed annually $29 per recorder seat per month, billed monthly Up to 25
Organization $29 per recorder seat per month, billed annually $39 per recorder seat per month, billed monthly Up to 100
Enterprise $39 per recorder seat per month, billed annually only Not offered Minimum 10

A recorder seat is the paid license for anyone who records, transcribes and analyzes their own meetings. Everyone else on the account, such as a manager reviewing calls or a product lead skimming notes, joins as a free user who can listen, read transcripts, comment and share, but cannot record. Avoma's help center adds the rule that shapes every quote: all recorders must sit on the same plan, while add-ons are assigned person by person.[2] You cannot mix plans.

The caps bite at the edges. Startup stops at 25 recorders and Organization at 100, and above a cap you need the next plan. Nothing upgrades on its own: once every purchased seat is taken, new people join as viewers until an admin buys more seats, and at the cap only a higher plan adds recorders. Payment runs by credit card, ACH bank transfer or invoice, with card customers billed in advance, and the pricing FAQ says there are no setup fees or minimum platform fees. Avoma has no free recording plan, though: the 14-day trial of Organization with all add-ons needs no card, and afterwards the account becomes a viewer that keeps past recordings but cannot record (see is Avoma free).

⚠️
Watch out
Seat caps do not upgrade you

When all purchased Avoma recorder seats are taken, new people join as viewers until an admin buys more seats; at the cap (25 on Startup, 100 on Organization) only a higher plan adds recorders.

Where Startup runs out and Organization begins

Organization costs $10 more per recorder seat per month than Startup on either billing term, which is $120 more per recorder seat a year by our arithmetic. The step buys group, round-robin and embedded scheduling (which the cheaper plan gets only through the Lead Router add-on), custom note templates and custom Smart Topics, translation, custom vocabulary, Custom Trends, Smart Playlists (also part of the Conversation Intelligence add-on), API access, webhooks and the MCP connector. AI notes can be regenerated 4 times per meeting instead of 2. Uploads rise from 5 to 10 files per user per month. Usage dashboards keep 30 days of history instead of 7.

Service changes too. Startup charges an optional $1,000 one-time fee for onboarding with an Avoma expert, while Organization includes onboarding, a shared customer success manager and a dedicated Slack channel. Security reviews are the other trigger. Avoma says it holds a SOC 2 Type II certification; its plan matrix shows the SOC II Compliance row only on Organization and Enterprise, not on Startup, so buyers who need SOC 2 evidence in a contract should plan on one of those two.

Enterprise adds mainly control rather than AI. At $39 per recorder seat per month billed annually only, it brings SSO through SAML or OIDC, SCIM provisioning, mutually signed DPAs and custom data retention policies. Avoma says it supports HIPAA compliance on Enterprise through a BAA. The plan also carries a designated success manager, quarterly business reviews, 20 uploads per user per month, unlimited dashboard history and the stricter consent modes. You reach it through a demo, not a checkout page.

Toolkit tip
Assign add-ons to a few people

Avoma add-ons are bought per seat and assigned per user, so a manager who scores calls can hold Conversation Intelligence while the reps being scored do not.

Add-ons: the line that grows fastest

The Conversation Intelligence add-on costs $29 per seat per month billed annually or $35 per seat per month billed monthly. It brings AI call scoring with custom scorecards, AI coaching recommendations, the Live Answer Assistant and Global Ask Avoma across every conversation. Revenue Intelligence also costs $29 per seat per month billed annually or $35 per seat per month billed monthly, and covers forecasting, deal risk and deal health, win-loss analysis, the Dealboard, deal-level Ask Avoma, 2-way CRM field updates and native email sync.

Lead Router costs $19 per seat per month billed annually or $25 per seat per month billed monthly, for routing rules, inbound form qualification and SDR-to-AE hand-off. It is also the only route to group and round-robin scheduling for a team that stays on the cheapest plan. Add-ons follow the base plan's cycle, so an annual account cannot try one month to month. Avoma's help center also says bundling trims add-on fees by 10% for any two and 15% for all three, never on the base plan.[3]

By our arithmetic, with that bundle discount the two intelligence add-ons together come to $52.20 per seat per month billed annually ($626.40 per seat a year), and all three to $65.45 per seat per month billed annually ($785.40 per seat a year), before the recorder seat itself. That is why per-user assignment matters. A manager who scores calls needs Conversation Intelligence; the reps being scored may not. Every paid plan already includes single-meeting Ask Avoma, AI follow-up emails, notes saved automatically to the CRM and unlimited 1:1 scheduling links.

⚠️
Watch out
Removed seats are not refunded

On Avoma, removals and downgrades take effect at the next billing cycle, and Avoma typically gives no credits or refunds for unused seats mid-subscription.

Monthly or annual: the seven-month rule

Billed annually, Startup and Organization each cost $10 less per recorder seat per month than billed monthly, and the add-ons cost $6 less per seat per month. Monthly billing wins only if you leave early. By our arithmetic, one Startup recorder seat billed monthly costs $203 after 7 months against $228 per recorder seat for a full year billed annually, but $232 after 8 months. On Organization, 8 months billed monthly cost $312 per recorder seat against $348 per recorder seat for a year billed annually, and the ninth month pushes it to $351, again by our arithmetic.

So monthly billing is cheaper only if you stop within 7 months on Startup or 8 months on Organization. Enterprise has no monthly option. The commitment cuts one way. Added seats and upgrades are prorated and billed at once, but removals and downgrades wait for the next billing cycle, and Avoma typically gives no credits or refunds for unused seats mid-subscription.[4] Under the Terms, canceling for convenience needs 30 days' written notice and takes effect at the end of the current term.

💡
Toolkit tip
Pay monthly only for short pilots

Avoma's monthly billing costs less than a year billed annually only if you stop within 7 months on Startup or 8 months on Organization; past that, annual wins.

What real teams pay, by our arithmetic

Take five recorders and twenty viewers. By our arithmetic, that team pays $1,140 a year on Startup billed annually or $1,740 a year billed monthly, and $1,740 a year on Organization billed annually or $2,340 billed monthly. The viewers add $0 in every case. Now scale to ten recorders, with Conversation Intelligence for five of them. Billed annually, Organization comes to $3,480 for the ten recorder seats plus $1,740 for the five add-on seats, or $5,220 a year by our arithmetic; billed monthly, the same team pays $6,780 a year.

On Startup, the identical team pays $4,020 a year billed annually or $5,580 billed monthly, by our arithmetic. That saving comes without the API, webhooks and custom templates of the higher plan. An Enterprise team of ten recorders costs $4,680 a year billed annually by our arithmetic, before any add-on. Gong works differently. Gong publishes no prices; its pricing page says licenses are priced per user plus a platform fee based on the number of users, quoted on request.

Against note takers that bill every member

Seat-only rivals look cheaper until everyone who reviews calls is added to the workspace. Fireflies Business costs $19 per seat per month billed annually or $29 per seat per month billed monthly, and Fireflies counts every teammate added to the workspace as a seat. Every Read AI Workspace member needs a license as well, and Krisp treats every teammate as a seat. For a revenue team that wants many reviewers inside the workspace but few recorders, that difference outweighs the per-seat rate.

By our arithmetic, five recorders and twenty viewers billed annually cost $1,140 a year on Avoma Startup, against $3,000 a year on Fireflies Pro if all 25 people join the workspace. Krisp Core would come to $2,400 a year billed annually for those 25 members by our arithmetic, and Read AI Pro to $4,500. The picture flips when everyone records. By our arithmetic, five users billed annually cost $600 a year on Fireflies Pro and $1,140 a year on Avoma Startup (see Fireflies pricing).

Frequently asked questions

Can I get a longer Avoma trial?+

Avoma's pricing FAQ says you can email help@avoma.com to ask for a longer trial. When the 14-day trial ends there is no automatic charge; you are asked then whether to buy seats.

Does Avoma meter transcription minutes or storage?+

No. Avoma's pricing matrix lists unlimited transcription minutes and unlimited recording storage duration on every paid plan; only uploads of pre-recorded files are capped, at 5, 10 or 20 per user per month on Startup, Organization and Enterprise.

What happens to a removed user's recordings on Avoma?+

Deactivating a user frees their recorder license. Their recordings stay with the organization, and an admin can reassign them.

Can Avoma raise prices on an existing contract?+

Avoma's Terms of Use let it change plans and fees with at least 30 days' notice, and the change takes effect at renewal.

The bottom line

Avoma's price fits one shape of team: a handful of people who record, a wider circle who only read and review, and add-ons bought for the few who coach or forecast. Annual Startup is the cheapest entry, with 1:1 scheduling links included. Organization is where group and round-robin scheduling (also on Startup through the Lead Router add-on), the API and custom templates live. Enterprise is a 10-seat annual commitment bought mainly for identity and compliance controls. Run the trial, count recorders rather than people, and pay monthly only if you might leave within seven months on Startup or eight on Organization.
