## What you would actually be replacing

Before any list, write down which of these you use. Most Keap accounts use three or four.

The CRM itself, with contacts, companies, tags, lists, tasks, notes, lead scoring and automation history. The marketing engine: broadcast email, automated sequences, landing pages, forms, newsletters. The sales layer: pipeline, appointment scheduler, quotes that become invoices, recurring invoices. The commerce layer: checkout forms, order bumps, promotion codes and a native payment processor. And the text and voice layer, with a dedicated business number[2].

A product that replaces the first one is a CRM. A product that replaces all five is another suite, and there are very few. Count yours first.

Read the unit column carefully. It is the whole story. Every alternative is priced per seat. Keap is priced per account with two licences included.

Which one, by what you need

If you need a CRM and nothing else: Pipedrive. It is the cleanest pipeline in the category, it scores 3.67 against Keap's 2.74, and five seats on its growth tier cost $195 a month against $345 for Keap's entry plan. It has no marketing engine, no invoicing and no payments. That gap is the trade. We measured one quirk worth knowing: its add-ons are charged on the cheap tiers and included on the dear ones, so a loaded growth seat can cost more than a premium one.

If you need a CRM plus most of the marketing: HubSpot. This is the closest thing on the list to a like-for-like swap, and it is the one most Keap leavers end up on. The professional tier at $90 a seat carries real marketing automation and far better reporting. Two warnings. The step from the starter tier to professional is thirteen times the price, and professional carries mandatory onboarding at fifteen hundred dollars, so it is not the cheap option it looks like at the top of the pricing page.

If you want the widest product for the least money: Zoho CRM. At $14 and $23 a seat on annual billing it is the gentlest ladder we have measured in this category, with no contracts and every tier available monthly. The suite around it covers invoicing, campaigns and more. It is not as coherent as Keap in one account, and the assembly work is real. Budget for that work.

If your team lives on the telephone: Close. It scores highest of the seven at 3.69 and $9 a seat on annual billing is the cheapest serious entry here. Calling is built in rather than bolted on. There is no marketing automation worth the name.

If you are growing into something complicated: Salesforce. It is dearer per seat than everything else on this list and the only one that will still fit in five years if your business changes shape. At five users the core tier is $975 a month against Keap's $345, so the premium is real.

If Keap is nearly right but too expensive: Freshsales. At $9 and $39 a seat it includes a phone, a chat widget and a chatbot. We rate it 3.25, just above Keap. Read our measurement of it first: its free plan is the exact intersection of its paid plans, and support is identical on every tier.

## The marketing automation suites, which we have not measured

Honesty matters more here than completeness. The products that genuinely compete with Keap on breadth are marketing automation platforms with a CRM attached rather than CRMs with marketing attached. ActiveCampaign, Mailchimp and Brevo are the obvious names, and all three sit in our catalogue.

We have not measured any of them. No eight-axis score, no verified pricing ladder, nothing we would stand behind. So we are not going to put numbers next to them. A number we have not checked is worse than none. Treat the names as a research direction rather than a recommendation, and check whether each one carries a CRM you could actually run a pipeline in.

What we can say from the Keap side is what to look for. Ask whether contacts are metered and how. Ask whether a contact that stops opening your email stays billable. Ask how the contract ends. Those three questions are the ones Keap answers badly, and they are the ones worth asking of any replacement.

If you are leaving Keap, the sequence matters

This is the part most alternatives articles skip, and it is the part that costs money.

Export first, and check the file. A free self-service contact export exists and is documented[9]. Notes and tags are not included in it, and tags are where most Keap accounts keep their segmentation, so plan to rebuild that by hand or through the API. The download link is valid for twenty-four hours. One trap the vendor publishes: an account unable to send marketing or transactional email may also be prevented from receiving its export download link. Export while the account is healthy. Do it in month one.

Know what the catalogue charges if you need more than contacts. A data export is three hundred and ninety-nine dollars, an email history export nine hundred and ninety-nine, a file attachment export five hundred and ninety-nine, a single table export ninety-nine[2]. None of those prices appears on a customer-facing page.

Then start the clock, because it is longer than you think. Cancellation must be initiated verbally through a Keap representative, and the vendor's billing policy states that emailed cancellation requests are not acceptable[4]. Keap's pages ask for ten days before the billing date. The governing agreement asks for thirty days before the end of the current period and makes termination effective at the expiry of the following period[6]. An annual contract carries a $299 early termination fee[2].

Expect to still be paying for a while. Read that termination clause once more. Notice served correctly ends the contract one full period later, not at the end of the period you are in.

Ask about your data afterwards. The agreement allows the vendor to retain account data for up to thirteen months after termination to provide transition services, and reserves the right to delete it immediately at its sole discretion[6]. Both halves of that sentence are the vendor's. Read them together.

## What the reviews suggest about where people go

We read a hundred Keap reviews in full. Cancellation appears in 57% of the one and two-star reviews and in none of the four and five-star ones; interface and complexity together account for under five per cent at either end[15]. Support is the leading theme of the positive reviews, at 63%.

The pattern says something specific about switching. People do not leave Keap because the software disappointed them. They leave because of what the relationship costs and how it ends, which means a replacement needs to match the capability rather than merely be nicer. That is why the stack answer keeps appearing in this piece. It is also why a straight downgrade to a cheap CRM leaves most leavers short of two or three things they were using.

The stack you would build instead, in the order it breaks

If you leave Keap for a cheaper CRM, here is what you discover, roughly in this sequence.

Week one: the email. Your CRM sends transactional email and not much else. Broadcast campaigns, automated sequences and newsletters need a marketing platform, and the list has to stay in sync with the CRM both ways or your segmentation rots.

Week two: the forms and pages. Keap's forms wrote into the CRM and triggered automations directly. A separate form tool writes somewhere else, and the automation that used to fire now needs a connector.

Week three: the money. Quotes, invoices, recurring billing, a checkout and the payment processor are four things Keap did in one account. Your replacement will do none of them, and the integration between your invoicing tool and your CRM is the one people underestimate.

Week four: the texts. If you were using Keap Business Line with a dedicated number, that is a separate purchase with separate compliance and a separate number.

None of that is an argument against leaving. It is an argument for pricing the whole thing before you start, because the monthly saving on the CRM line is usually smaller than the four lines you add. Price the stack, not the swap.

## What to check in any replacement, learned from Keap's failure modes

Whatever you look at next, take these four questions with you. Each one exists because Keap answers it badly, and because most buyers never think to ask until it has cost them something.

Is my list metered, and what counts? Keap meters contacts and defines one as any person recorded in the account, with no published exclusion for duplicates, unsubscribes or bounces[2].

Does the bill go down as easily as it goes up? On Keap it does not. Exceeding the allowance raises the subscription automatically at the next billing date; deleting contacts does not reverse it[8].

Can a contact become unusable while remaining billable? On Keap, six months without an open, click or form submission makes a contact non-marketable and unreactivable by you[7]. Whether it still counts toward what you pay for is unpublished.

How does the contract end, in writing? Ask this one first.

How do I cancel Keap and move to something else?+

Export your contacts first and check the file, because notes and tags are excluded. Then cancel verbally through a Keap representative, since the vendor's billing policy states emailed requests are not acceptable. Allow for ten days' notice on Keap's pages, thirty in the governing agreement, a $299 early termination fee on annual contracts, and termination effective at the expiry of the following period.

Measured on a hundred reviews read in full: cancellation appears in 57% of the one and two-star reviews and in none of the four and five-star ones, with contracts at 41% and billing at 39%. Interface and complexity together account for under five per cent at either end.

## The one case for staying

If you have ten or more people, an established list, and you are using the marketing engine, the invoicing and the payments, then leaving Keap means buying three products and wiring them together, and the arithmetic may not favour you. Keap's three-year cost at five users is thirteen thousand four hundred and twenty dollars including implementation. An assembled stack is not obviously cheaper once you count the integration work.

Price the replacement properly before you start the clock on the exit. The two decisions are separate, and only one of them has a telephone call attached. Do them in that order.
