This is the widest price gap in our CRM comparisons and the narrowest overlap in purpose. Pipedrive is a sales pipeline that stays out of your way. Keap is an operating system for a small business that expects to be configured. Comparing them on price alone produces a silly answer, so we will do the arithmetic first and then explain why it does not settle anything.
OUR TAKE: Pipedrive is the cheapest serious CRM we measure and Keap never catches it at any headcount a small business will have. But they are not substitutes. Pipedrive does not send your marketing, take your payments or raise your invoices, and Keap does all three. Buy Pipedrive if you have a sales team and other software. Buy Keap if you have a list and no other software, and read the exit terms before you do.
Pipedrive prices the seat, across four tiers. Keap prices the account[17][2].
| Monthly cost in dollars, annual billing | Keap entry plan | Pipedrive Lite | Pipedrive Growth | Pipedrive Premium |
|---|---|---|---|---|
| 2 users | 249 | 28 | 78 | 118 |
| 5 users | 345 | 70 | 195 | 295 |
| 10 users | 505 | 140 | 390 | 590 |
| 20 users | 825 | 280 | 780 | 1,180 |
Pipedrive's annual rates are $14, $39 and $59 per seat per month for its first three tiers[17]. Keap's column is the entry plan at $249 plus licences beyond two at three hundred and eighty-four dollars a year, which is thirty-two a month[2].
Keap crosses Pipedrive's premium tier at around ten users and crosses nothing else; even at twenty people the growth tier is still cheaper. At five users, which is the commonest size we see in this category, Keap costs about a fifth more than Pipedrive's premium tier and nearly five times its lite tier.
Then add the part that only one of them has: a required implementation package, a thousand dollars at the entry plan in the catalogue[3]. A first year for five users is five thousand one hundred and forty dollars on Keap against two thousand three hundred and forty on Pipedrive's growth tier.
On Pipedrive, check which add-ons you need before choosing a tier: they are charged on the cheaper tiers and included on the dearer ones, so a loaded growth seat can cost more than a premium one.
Because the columns buy different things.
Pipedrive's growth tier buys a pipeline, email sync, workflow automation and reporting. Marketing email, landing pages, invoicing and payments are either add-ons or other people's products. We measured something unusual about those add-ons when we looked at Pipedrive properly: they are charged on the cheaper tiers and included on the dearer ones, which means a growth seat carrying two add-ons can cost more than a premium seat that includes them[17]. Check that before you build a stack on the cheap tier.
Keap's entry plan buys all of it in one account: marketing automation, broadcast and one-to-one email, text messaging with a dedicated line, landing pages, forms, quotes, invoices, recurring billing, a checkout and a native payment processor[2]. That is the trade. You are paying five times as much per seat for a product that replaces four purchases instead of one.
Where each one is genuinely better
Pipedrive is better at the thing it does. The pipeline is cleaner, the product is faster to learn, and nothing about it requires a consultant. We rate it 3.67 against Keap's 2.74, and the gap is mostly value for money and integrations.
Keap is better at breadth, and it is not close. It is also better at support than its reputation suggests: published phone hours run Monday to Friday, six in the morning to six in the evening Mountain time, with chat around the clock inside the application[11], and support is the dominant theme of its positive reviews, appearing in 63% of the four and five-star ones against 42% of the one and two-star ones[14].
On Keap, count the products you will actually retire. The price is defensible as a replacement for four tools and indefensible as a CRM alone.
Both products have a review pattern worth knowing, and they are not the same pattern.
When we read Pipedrive's reviews, 46% of the five-star ones named a specific person rather than the product[17]. When we read a hundred of Keap's, the split was between topics rather than subjects: cancellation appears in 57% of the one and two-star reviews and in none of the four and five-star ones, while interface and complexity together account for under five per cent at either end[14].
So Keap's low scores are not about the software. Trustpilot displays 1.1 from 498 reviews, while that platform's own distribution table shows 62% five-star and 20% one-star, which averages 3.9; the difference is recency weighting, and the page discloses that the company has not recently invited customers[14]. One Gartner Digital Markets pool, served identically by three properties, gives 4.1 from 1,299[15].
Leaving, which is the asymmetry that should decide a close call
Pipedrive is a monthly or annual subscription you can stop. Keap is not, and the terms are published rather than hidden.
Cancellation must be initiated verbally through a Keap representative, and the vendor's billing policy states that emailed cancellation requests are not acceptable[4]. Ten days' notice is required before the billing date on Keap's pages; the governing agreement asks for thirty days before the end of the period and makes termination effective at the expiry of the next one, with refunds confined to three days from purchase[4][6]. The annual contract carries a $299 early termination fee.
Adding capacity runs through the same channel. Both of the vendor's FAQ answers about adding contacts and adding users say to reach out to a Customer Success Manager or support[2]. You cannot raise your own limits from inside the product.
A free contact export exists and is documented, which is worth saying. It omits notes and tags, and an account unable to send marketing or transactional email may be prevented from receiving its export link[9].
Keap's capacity cannot be raised from inside the product. Both vendor FAQ answers about adding contacts and users say to contact a Customer Success Manager or support.
If Keap is replacing four products, the honest test is to price the four. We cannot price your specific stack, so here is the structure rather than the total.
Around Pipedrive you would add a marketing email platform, a landing page builder, a scheduler and a payment or invoicing integration. Pipedrive's growth tier for five users is $195 a month. The four additions, at the entry tiers typical of each, generally land somewhere between a hundred and three hundred dollars a month combined, which puts an assembled stack in the same region as Keap's entry plan at three hundred and forty-five.
Then the differences stop being about money. An assembled stack has four vendors, four renewal dates, four support queues and the integration work between them, and every one of those can be cancelled in writing. A single account has one invoice, one place to look and one configuration, and the way out is a telephone call.
We are not going to pretend the arithmetic settles this. It does not. It tells you that the stack and the suite cost roughly the same, and that the real choice is about what you want to manage.
The flat ceiling, which only one of them has
Pipedrive's tiers add features the whole way up: automation, reporting, projects, permissions. Keap's do not. Its three plans carry identical functionality and differ only in contacts, user licences and prebuilt automations[2].
The consequence is simple. On Pipedrive, something missing today may be two tiers away. On Keap, something missing today is missing permanently. Evaluate accordingly: a Keap trial on the entry plan shows you the entire product you will ever have.
Keap's free contact export omits notes and tags, and an account blocked from sending email may be prevented from receiving its export link.
The contact allowance is a one-way ratchet. Exceed it and the vendor raises your subscription at the next billing date and bills the increase; delete contacts and nothing reverses, because Keap will not remove additional contacts from a subscription automatically[8].
And a contact inactive for six months becomes non-marketable, cannot receive broadcast or automation email, and cannot be reactivated by the customer on any edition[7]. It is on by default, with a warning status at four months. Whether those contacts still count toward the allowance you pay for is unpublished.
Pipedrive charges for seats. It does not meter your list, so neither rule has an equivalent there.
Migration, which is a real cost on one side
Keap prices data work: imports at a hundred and ninety-nine, nine hundred and ninety-nine or one thousand nine hundred and ninety-nine dollars by complexity, hourly data services at a hundred and fifty[2]. That is on top of the required implementation package.
Pipedrive's import is self-service and free. If your data is messy, that difference is larger than it looks on a price page.
Keap's annual contract carries a $299 early termination fee and cancellation cannot be submitted in writing.
Keap has belonged to Thryv since late 2024. The traces are in Keap's own properties: the terms address redirects to the acquirer, the help centre redirects to the acquirer's knowledge base front page rather than to the matching article, and the marketplace login runs on the acquirer's domain[5][13]. The vendor's acquisition FAQ says that for now, all the Keap products and services you know and love will remain the same[12].
Pipedrive's ownership has been stable through our measurements of it. For a buyer signing an annual term, that is worth something.
The decision, stated as simply as we can
If you have a sales team and you already own marketing software, Pipedrive is cheaper, faster to adopt, easier to leave, and better at the specific job. This is not a close call and we will not pretend it is.
If you have an established list, no marketing platform, no payment integration and no scheduler, and you are about to buy three products and wire them together, then Keap is a real answer and its price starts making sense somewhere around ten people. Price the first year including the required package, settle the four unpublished questions in writing, and go in knowing that the way out is a telephone call.
The scores, and the one axis that goes against the grain
Pipedrive takes 3.67 on our scale and Keap 2.74. Almost the whole gap is two axes: value for money, where Keap earns the lowest mark we have given any CRM, and integrations, where 88 applications is simply a small number.
One axis runs the other way, and we want to be fair about it. Keap scores higher than Pipedrive on capability breadth, because it genuinely does four jobs instead of one. It also scores higher on support, at 3.3, which is the highest support mark we have given in this category. That is not sentiment; it is the published offer of twelve hours of daily phone cover plus around-the-clock chat, matched against a review corpus where support is the leading theme of the positive reviews[11][14].
Keap's documentation mark is low for an unusual reason. The articles themselves are better than most, publishing the exact overage behaviour, the engagement thresholds and what an export omits. They have also been moved onto the acquirer's domain, where every old help address now lands on a front page instead of the article it promised.
Frequently asked questions
Is Keap better than Pipedrive?+
Not at being a CRM. Pipedrive scores 3.67 against Keap's 2.74, is cheaper at every realistic headcount, and is far easier to adopt and to leave. Keap is better at breadth, including marketing automation, text, invoicing and payments that Pipedrive does not do natively.
How much cheaper is Pipedrive than Keap?+
At five users on annual billing, Pipedrive's growth tier is $195 a month against $345 for Keap's entry plan, before Keap's required implementation package. Including it, a first year is two thousand three hundred and forty dollars against five thousand one hundred and forty.
Can Pipedrive do marketing automation like Keap?+
Not in the same way. Pipedrive has workflow automation and sells email marketing separately; Keap includes broadcast email, automated sequences, landing pages, forms and text messaging in its base plan, plus a checkout and a payment processor.
Which should a five-person business choose?+
Pipedrive, unless that business is also about to buy marketing software, a payment integration and a scheduler. Keap's economics only start working around ten people, and only when it replaces several products rather than one.
What is my first-year total, including setup? Pipedrive will answer with twelve months of seats. Keap's answer must include the required implementation package, which is priced in the catalogue and not on the pricing page.
Which of my current tools does this replace? Write the list down. If it is one tool, Pipedrive wins on price by a factor of five. If it is four, the comparison is genuinely open.
How do I leave? Pipedrive answers with a cancellation setting. Keap's billing policy answers that cancellations must be initiated verbally and that emailed requests are not acceptable[4]. Ask that question before the demo, not after the contract.
One last practical note, because it costs nothing and saves arguments later. Whichever of these you choose, run a full data export in your first month while the account is healthy, and open the file. On Pipedrive you are checking completeness. On Keap you are checking two specific things: that notes and tags are missing, which the vendor documents, and that the download link arrives at all, which the vendor warns may not happen for an account blocked from sending email[9]. A test export is the cheapest insurance in this category.
