The verdict, in one line

Setmore is the rare scheduler whose free plan is a working product rather than a sample. Up to four users get unlimited appointments, payments through four processors and round-the-clock human support without paying anything. Pro costs $5 a user a month on annual billing, or $12 month to month, and adds text reminders, 2-way calendar sync, deposits and the API [1]. The catch sits elsewhere. There is no AI, no waitlist, and no packages or memberships, and older help pages contradict the pricing page often enough that you should confirm plan limits with support. Small teams will forgive a lot for that.

Who it's for — and who should skip it

Setmore is at its best for small appointment businesses with one to a dozen staff that want customers to book and pay on their own: salons, barbers, clinics, tutors, trainers and law offices. It especially suits owners who would rather phone a person than read a forum, because human support by chat, email and phone comes with every plan, Free among them. A four-person studio can run on Free with payments switched on, and a larger team gets cheap annual seats on Pro. Two regulated niches are served unusually well, with LawPay for legal practices and Setmore Health for clinics.

Where it is the wrong fit has to do with what you sell and how you route work. Teams that pass sales leads around in rotation will not find round robin; an Any Team Member option assigns whoever is first available in your staff ranking instead. Studios that sell class packages or memberships, businesses that need a waitlist, and anyone who wants AI booking help should look elsewhere, because we found none of these on the pricing page, in the help center or on the feature pages. Intake forms arrive through Jotform rather than a built-in builder. And businesses with many idle staff calendars will pay more than they expect.

Toolkit tip
Count calendars, not people

Every staff calendar is billed as a user on Pro, even a room or chair with no login. Add them up before you upgrade.

What you pay: Free, Pro and two extras

Setmore publishes two plans, and the vendor writes plainly that larger organizations go on custom Enterprise plans. Live Receptionist is sold on top [1]:

Plan Price Users Main additions
Free $0 Up to 4 Booking Page, payments, email reminders
Pro $5 a user a month billed annually, $12 monthly Unlimited SMS, 2-way sync, deposits, API
Live Receptionist $99 a month Add-on, US only Human call answering
Enterprise By quote Custom Account manager, tailored setup

Why every calendar is billed as a person

Pro is priced per user, and the pricing page defines a user in Setmore's favor: "Each staff calendar counts as a user even if the owner/assignee does not have login permission." A treatment room or a shared chair set up as its own calendar is therefore billed like a person. Count calendars, not people. A salon with five stylists and a shared room calendar pays for six Pro users, $360 a year on annual billing by our arithmetic, rather than for the five people who work there. On Free the same rule means the fourth calendar is the last one before Setmore asks you to upgrade.

What Free covers, and what Pro unlocks

Free is genuinely free with no time limit, and sign-up needs no card. It includes unlimited appointments, four users with their own login, calendar and Booking Page, services and group classes, payments online, in person and by Tap to Pay, email reminders, Reserve with Google, Book Now buttons, team permissions and customer profiles. Pro unlocks SMS reminders, a second reminder per appointment, 2-way sync with Google and Office 365, recurring appointments, Zoom and Google Meet video, payment links, branding removal, Google review requests, blocking customers, custom service availability and API access. It also carries Setmore Health with a signed BAA, plus priority support.

The extras, the real cost and refunds

Live Receptionist puts trained people on your phone line around the clock, in English or Spanish, to answer questions, route calls and book into the calendar. It costs $99 a month for US businesses, with extra minutes at $2.25 each and no contract. Enterprise brings a key account manager, one bill regardless of staff count and single sign-on across locations. In practice, a solo practitioner stays on Free or pays $60 a year for Pro's texts, and a four-person studio pays $0 or $240 a year on annual billing. A seven-calendar spa pays $420 a year on annual Pro, or $1,008 if billed monthly, all our arithmetic.

Upgrade on the web. New Pro members who upgraded there get a 30-day money-back guarantee if they downgrade and ask within 30 days; outside it, payments are generally non-refundable and reviewed case by case. Annual plans are refunded only when requested in the same month as the upgrade or renewal, and App Store or Google Play purchases must be refunded by the store, not by Setmore. Use a browser.

⚠️
Watch out
Texts skip much of Europe

SMS reminders are blocked in many countries, including Germany, France, Spain, Italy and Ireland, where customers get the email reminder instead.

Getting booked: the page, the channels and the rules

The Booking Page and where it shows up

The Booking Page shows services, availability, team and prices, gets a custom URL and can stand alone as a small website. Brand controls cover logo, images, colors and business details; only removing the Setmore name is held back for Pro. Free customers can also save the page to their home screen so it behaves like the business's own app, the cheapest loyalty tool in the plan. Booking reaches Instagram, Facebook, a website button or widget, and Google Search and Maps. Reserve with Google adds a Book button to a Google Business Profile in more than 80 countries, though retail businesses cannot enable it and Android cannot connect it.

Services, policies and classes

Services carry their own length, price and assigned staff, and a service only becomes bookable once someone is assigned to it. Booking and cancellation policies are custom on both plans, and a terms checkbox lets customers accept your rules before they confirm. Pro adds availability set separately for each service, handy when a long treatment only runs on certain days. Group classes come free. They run at fixed times with several seats each, but SMS reminders for classes reach only Pro customers in the US, Australia, the UK and Canada, and the Zapier integration ignores class bookings.

Recurring appointments need Pro. Payments on a series are logged one appointment at a time, through Square, Stripe or the cash register, and editing asks whether a change applies to one visit or the whole chain. For weekly clients that is workable, but there is no way to charge a series upfront as a package. Studios built on prepaid bundles will feel that gap.

Running the day: team, calendar and reminders

Staff, apps and locations

Free supports up to four team profiles, and Pro on the web adds as many members as needed, each billed separately. Every member can get a login with an access level, from full admin to a standard role that sees only its own calendar, or no access at all. The iOS and Android apps cover the calendar, payments and notifications, but reports are generated only in the browser, and free Windows and macOS desktop apps show every team schedule at once for a front desk. Multiple locations are still early: a Pro feature in early release that support has to switch on, with separate data and billing per branch.

Emails, texts and where SMS stops

Every plan sends email confirmations and updates for new, rescheduled and canceled appointments, and customers can reschedule or cancel from those emails. Free sends one reminder email per booking and Pro sends two. Texts are the main upgrade. Automated SMS reminders are Pro only, and Pro team members get 500 SMS credits monthly, with more available to purchase in the app. Each appointment triggers a single text, sent up to 30 days ahead, and links are not allowed because of Setmore's SMS provider, Twilio. Oddly, the fair-use policy says there is no fixed SMS limit at all.

Much of Europe is excluded. Texts may only be used as appointment reminders, never for marketing, and many countries are blocked, including Germany, France, Spain, Italy, India, Mexico and Ireland; customers in those countries receive the email reminder instead [2]. For a US business this rarely matters. For a European clinic, Pro's main upgrade largely disappears, so check the list against where your clients actually live.

Upgrade on the web

New Pro members who upgrade on the web get a 30-day money-back guarantee. App Store and Google Play purchases must be refunded by the store.

Getting paid, with no Setmore cut

Four processors, on Free as well as Pro

Square, Stripe, PayPal and LawPay can all be connected, and Setmore takes no share of the money; only the processor's standard fee applies. The pricing grid lists all four, plus online and in-person payments, Tap to Pay and the cash register, on Free as well as Pro. Stripe in the US charges 2.9% plus 30 cents a transaction, turns a phone into a contactless terminal and offers Instant Payouts in as little as 30 minutes for 1.5%. PayPal adds Venmo for US businesses but cannot take in-person payments from the calendar. LawPay, aimed at legal practices, is open to US users at 2.95% plus $0.20 a transaction for Mastercard, Visa and Discover.

Deposits, links and buy now, pay later

Deposits need Pro. They can be a fixed amount or a percentage, but one deposit setting covers every service on the Booking Page, so a $20 haircut and a $300 color treatment cannot carry different deposits. Setmore also does not refund deposits automatically after a cancellation. Payment links need Pro and a connected Stripe account, with one active link per appointment, and promo codes are Pro too, limited to one per booking. Since September 2026, Stripe users can offer Klarna, Affirm, Afterpay or Clearpay at online checkout, for an extra Stripe fee, with the lender carrying the collection risk. Subscriptions and recurring payments, however, are not available on Setmore yet.

Customers, sync and integrations

Records, reviews and exports

Customer profiles hold appointment history, notes and labels on both plans, and blocking a customer is reserved for Pro. An export produces a CSV sent to the owner's email. Staff or service data is a different matter: exporting it takes an email request to the privacy team, a step worth knowing before you commit years of records. Setmore's own reviews are switched on at sign-up, and owners can unpublish offensive or misleading ones. Google reviews can sit beside them, though they cannot be moderated inside Setmore, and automatic Google review requests need Pro.

Calendar sync and video

Free exports appointments one way to Google, Office 365 or Apple calendars. Pro's 2-way sync with Google also imports Google events in real time, but only appointments booked after activation export, and both sides must share a time zone. Office 365 2-way sync skips class sessions and recurring or multi-day events. Video changed this year. Setmore retired its own video tool, Teleport, whose links stopped working after September 30, 2026. The retirement notice presents Google Meet as free, with Zoom on Pro, while the pricing grid still marks video appointments as Pro only. Confirm before relying on Free.

CRM, Zapier and the API

New customers flow to Mailchimp, Constant Contact, HubSpot, Salesforce, Zoho CRM, Keap, Insightly and Clio, but most of these pushes run one way and send only new contacts. Keap and Salesforce contacts never come back into Setmore, and only default fields reach Mailchimp. Treat them as feeds, not syncs. Zapier links Setmore to thousands of apps, but appointment triggers need Pro. The REST API needs Pro and is granted by emailing the team with your use case. It covers staff, services, available slots, customers and creating appointments, with no endpoint to reschedule or cancel, no webhooks and no sandbox, so every call hits a live account.

Healthcare and the HIPAA question

Healthcare practices use Setmore Health, which needs Pro, comes with a standard Business Associate Agreement and must be chosen when the account is created; an existing account cannot be converted. It switches off classes and customer reviews, strips personal details from notifications and removes cancel and reschedule links. Zoom, by Setmore's own account, is not HIPAA compliant. So far, so normal for a clinic product.

Read the next part twice. The Terms of Use state that Setmore is "not currently HIPAA compliant" and leave HIPAA duties to the user [3], while the pricing page sells HIPAA compliance with a signed BAA through Setmore Health. The Health article itself notes that signing the BAA does not make a provider fully compliant on its own. A practice should get the BAA and its scope in writing before booking patients. Our Setmore for healthcare guide covers the clinic side in more depth.

Support around the clock, and no AI at all

Setmore's strongest promise is support. Chat, email and phone run at any hour, 365 days a year, holidays included, staffed by people with no chatbot in front [4]. Pro moves requests up the queue on every channel and adds setup assistance, account optimization, one-to-one growth and SEO calls, and an in-app button that starts a live video call with support. Free accounts keep the same 24/7 human channels, only without the priority. For most small teams, that is already above what rivals offer.

AI is the opposite story. There is none. We found no AI feature for owners or customers on the product pages, the pricing page or in the help center. Setmore leans the other way, citing a figure that 79% of people prefer a real person to AI, and it sells human receptionists instead. The closest thing is a Zapier recipe that sends booking details to Google Gemini for summaries. If you want an assistant that books after hours, look elsewhere.

The documentation is the weak spot. Many older pages still describe a Pro plan for one or two users and a Team plan above it, while the pricing page and llms.txt list only Free and Pro with unlimited Pro users. The FAQ page shows Pro at $9 a month, against $12 on the pricing page, and several industry pages limit Free to Square while the pricing grid lists all four processors. Even the mission page calls the tree pledge 1% of revenue in one place and 1% of profits in another. When pages disagree, trust the pricing page.

Users rate Setmore very highly across the review platforms, and the pattern fits the pitch. In the 100 most recent Trustpilot reviews we sampled, 98 were five-star, one four-star and one one-star. Support came up in 32 of them, and login or account topics in six. People rate the humans who answered them as much as the software they used, which is exactly what Setmore sells.

Setmore next to Calendly, Acuity and Square

Calendly is built for meetings and sales teams, Setmore for appointments and payments at a counter. Four Calendly Standard seats cost $480 a year on annual billing against $240 for four Setmore Pro users, our arithmetic, but Calendly offers round-robin routing on Teams. Acuity Scheduling prices per account by calendars, from $16 a month billed annually for one calendar to $49 for 36, and has no free plan for new accounts. It offers the packages, memberships, gift certificates and waitlist that Setmore lacks. Six Setmore Pro users cost $360 a year against $324 for Acuity Standard, our arithmetic.

Square Appointments charges per location rather than per person, at $0 on Free, $49 a month on Plus and $149 on Premium, with unlimited staff calendars. It ties you to Square's processing, where Setmore lets you choose among four processors. A ten-person salon on one site pays less on Square Plus than on Setmore Pro, $588 against $600 a year. Other free schedulers such as Zoho Bookings and Cal.com fit a single person on their free tiers, so none lets four staff take payments for free. Our Setmore alternatives guide goes through the field.

How we score Setmore

On October 13, 2026 we read, from a US connection, Setmore's pricing page, its llms.txt and llm-info pages, 464 English marketing pages and 214 help-center articles, plus the pricing pages of eleven rivals. We did not buy Pro. In the scheduling profile, ease of use and integrations carry the most weight, then capability and value for money, with support and sentiment next and AI and documentation lightest. The reasoning for each axis sits on the card below.

That lands Setmore at 4.0/5: excellent on value, support and ease of use, held back by thin capability, one-way integrations, no AI at all and documentation that often contradicts itself.
