The short answer
Setmore and Calendly both put a booking link in front of your clients, but they are built for different bookings. Pick Setmore if you run a service business that takes payment at booking and wants several staff on a free plan. Pick Calendly if you schedule meetings and need routing, round robin and a CRM sync. The free plans show the gap at once: Setmore Free covers four users, while Calendly Free covers one event type. On annual billing Setmore also costs half as much per head. Calendly answers with depth. It does meetings with better integrations, real team routing and AI help, and that is why it scores higher overall.
Two tools built for two different jobs
Setmore calls itself scheduling and booking software for service-based businesses, not a meeting-only scheduler. Calendly sells meeting scheduling, and its Teams plans are built around routing leads to the right rep. Picture the two working days. A salon books a chair, takes a deposit and rings up a tip at the counter. A sales team books a call, hands it to the right rep and logs it to Salesforce. Each tool is shaped by its job, and almost every row in the table below follows from that split.
A paid service at a counter favors Setmore; a sales call that needs routing and a CRM favors Calendly.
| Setmore | Calendly | |
|---|---|---|
| Free plan | 4 users, unlimited appointments | 1 event type, 1 calendar |
| Entry paid price, annual | $5 a user a month | $10 a seat a month |
| Entry paid price, monthly | $12 a user | $12 a seat |
| Round robin | No | Teams and up |
| Payment processors | Square, Stripe, PayPal, LawPay | Stripe, PayPal |
| HIPAA | BAA through Setmore Health | Not compliant |
| Phone support | Every plan | Enterprise only |
| Built-in AI | None | Notetaker and Callie on Plus tiers |
Free plans: four users against one event type
Both tools have permanent free plans, but they free up different things. Setmore Free gives four users their own logins, calendars and Booking Pages, with unlimited appointments and payments on four processors. A four-chair barber shop could run on it indefinitely: online booking, card payments, Tap to Pay, one email reminder per appointment and phone support at any hour. What it cannot do is send texts, take deposits or sync personal Google events back into Setmore. Those wait for Pro.
Calendly Free gives one person one event type and one calendar connection. That suits a freelancer who offers one kind of call, say a 30-minute discovery meeting. A second meeting type needs Standard, and so do payments at booking and Workflows, Calendly's automations. Free support is email only. For one consultant, the two free plans are close. For a team, Setmore wins. A four-person studio could run its whole booking and payment flow on Setmore Free for nothing, while the same team on four Calendly Standard seats would pay $480 a year on annual billing, by our arithmetic.
Any Team Member assigns the first available person in your staff ranking, so bookings pile up at the top of the list instead of being shared evenly.
What you pay, and why the billing period matters
Plans and how each tool counts heads
Setmore has one paid plan, Pro, at $5 a user a month billed annually or $12 billed monthly [1]. Calendly has four self-serve tiers per seat a month: Standard at $10 annual or $12 monthly, Standard Plus at $18 or $24, Teams at $16 or $20 and Teams Plus at $24 or $32 [2]. Calendly Enterprise starts at $15,000 a year and 50 seats, while Setmore Enterprise has no published price. Both charge per head, but they count heads differently, and that matters as much as the sticker price.
On Setmore, every staff calendar counts as a user, even when the person behind it has no login permission, so a spa with six treatment rooms modeled as calendars pays for six users. Calendly bills seats for hosts who connect calendars and host meetings, not for invitees, so a coordinator who only books for others needs no seat. A therapy practice with three therapists and a receptionist would pay for three Setmore users plus any room calendars. On Calendly, the receptionist could book into the therapists' pages without a host seat. Count before you compare.
The billing period is the real price difference
Here is the surprise. On monthly billing the two cost the same: $12 a user on Setmore Pro and $12 a seat on Calendly Standard. On annual billing, Setmore drops to $5 and Calendly to $10. Setmore's annual discount works out to about 58% by our arithmetic, while Calendly advertises savings of up to 20%. So a four-person team on monthly billing pays $576 a year on either tool, but moving both to annual billing leaves Setmore at $240 and Calendly at $480. If that team needs round robin, Calendly Teams costs $768 a year.
| Per year | Setmore Pro | Calendly Standard | Calendly Teams |
|---|---|---|---|
| One person, annual billing | $60 | $120 | |
| One person, monthly billing | $144 | $144 | |
| Four people, annual billing | $240 | $480 | $768 |
| Ten people, annual billing | $600 | $1,200 | $1,920 |
| Ten people, monthly billing | $1,440 | $1,440 |
Every figure in the table is our arithmetic from the published per-head prices. Keep the free row in mind as well. On Setmore Free, the same four people pay nothing at all for booking, payments and email reminders. Pay annually if you go to Pro. Our Setmore pricing guide covers the plans in more detail.
Booking pages, classes and team scheduling
Setmore gives each business a Booking Page with services, staff, prices and a custom URL that can stand alone as a website, plus a page for each team member. Calendly gives each user a customizable booking page with their event types. Setmore's page looks like a shop front. Calendly's looks like a calendar invite. A Setmore service carries its price, duration and assigned staff, so the price flows straight into checkout. Setmore also runs group classes with a seat limit on both plans and books recurring appointments on Pro, which suits weekly therapy and tutoring. The Calendly pages we read do not describe a recurring booking feature, so test it before relying on it.
Walk-in businesses get extras that Calendly does not list. Setmore puts a Book button on Google Search and Maps through Reserve with Google, plus Book Now buttons on Facebook and Instagram, all on Free. On Pro it asks every customer for a Google review after the visit, and the Calendly pages we read describe no customer review features. Calendly's booking links can be shared anywhere, and its group, collective and other shared meeting formats are unlimited on Standard, so a webinar host can use either tool.
Round robin is Calendly's strongest ground
Calendly Teams adds centrally managed event types and Salesforce, and from Teams up it distributes meetings across teammates by round robin and routes leads based on your setup. Setmore has no round robin. Its Any Team Member option lets customers skip choosing a person, and Setmore then assigns whoever is first available in the order you rank your staff. That fills the top of the list first rather than sharing bookings evenly. Spreading new clients across staff means reordering the ranking or reassigning bookings by hand. That is manageable for a three-chair salon. It does not work for a sales floor.
Reminders and text messages
Setmore sends one reminder email on Free and two on Pro. Calendly's reminders run through Workflows, which are available on all paid plans but not on Free. So a business that wants automatic email reminders at no cost has them on Setmore Free and not on Calendly Free. Setmore texts are a Pro feature, with 500 SMS credits per team member a month and one text per appointment. Either way, automated reminders beyond Setmore's single free email cost a paid seat, so the comparison comes down to price per head.
Check where your texts will land before you pay. Setmore's SMS fair-use policy lists many blocked countries, including Germany, France, Spain, Italy, India, Mexico and Ireland, and no links are allowed in reminders. Businesses outside the US, UK, Canada and Australia should send a test text to their own customers' numbers before paying for either tool. A reminder that never arrives does nothing for no-shows.
Setmore's SMS policy blocks many countries and allows no links in reminders. Outside the US, UK, Canada and Australia, send a test text before you pay.
Payments: where Setmore pulls clearly ahead
Both take payment when the customer books, but on different plans. Setmore does it on every plan, including Free, and connects Square, Stripe, PayPal and LawPay with no Setmore cut. Calendly collects upfront payments through Stripe or PayPal on paid plans. A yoga teacher selling $20 drop-in classes through Stripe on Setmore Free would keep $19.12 of each after Stripe's 2.9% plus 30 cents, by our arithmetic, whereas the same flow on Calendly would first need a paid seat. Setmore Pro also takes deposits as a fixed amount or a percentage, though one setting covers every service. The Calendly pricing page we read does not describe partial deposits.
In person, the gap widens. Setmore handles Tap to Pay through Stripe, Square readers and a cash register for cash, on both plans. A barber who takes a card at the chair, a tip on Tap to Pay and cash from a regular can log all three against the same appointment, so the day's takings land in one payment history. The Calendly pages we read describe online payment at booking only. For a business with a front desk, this alone settles it.
Calendars, integrations and AI
Setmore Free exports appointments one way to Google, Office 365 or Apple calendars, and Pro adds 2-way sync. Calendly checks connected calendars for conflicts: one on Free, six on Standard and Teams. For a solo user with personal events, Calendly Free's conflict check beats Setmore Free. On video, Setmore adds Zoom or Google Meet links, with Zoom on Pro, but its help says Google Meet is now free while the pricing grid lists video appointments as Pro. Check what your plan supports.
On CRMs, Calendly Teams syncs meetings to Salesforce, and HubSpot sits on Standard. Setmore pushes new contacts to Salesforce, HubSpot, Zoho CRM, Keap and Insightly, mostly one way, so sales teams that need meeting activity in their CRM should choose Calendly. Zapier is messier. Setmore's pricing grid lists it on both plans, but its help article puts appointment triggers on Pro and excludes class bookings, and Calendly lists Zapier from Standard upward. For appointment automations, both need a paid seat. Setmore's API needs Pro, is granted by email and has no sandbox, so every call hits a live account; developers will find Calendly's documented platform easier to start with.
AI is a one-sided row
Calendly sells AI. Notetaker summarizes meetings and Callie coordinates scheduling over email, both on the Plus tiers and both in English only. Setmore has no built-in AI and markets human support instead. A consultant who wants every client call transcribed and summarized would pay $18 a seat a month on Calendly Standard Plus, billed annually. Setmore offers nothing comparable at any price, so this row is decided by features rather than by cost. Our Calendly review covers that layer in full.
Support, refunds and healthcare
This is the difference small businesses notice first. Setmore answers the phone on every plan, including Free, and Setmore Free also gets chat and email at any hour, with no chatbot in front [3]. Calendly Free gets email support only. Its paid plans add live chat, Teams includes 24/7 live chat, and phone support is listed only on Enterprise. For a one-person business whose booking page stops taking payments on a Saturday night, an email queue against a phone line answered by a person can mean a whole weekend of lost bookings.
Refunds lean the same way. Setmore gives new Pro members a 30-day money-back guarantee on web upgrades, and its Free plan stands in for a trial. Calendly offers a 14-day trial of paid features, after which the account drops to Free and paid features such as Automations switch off. Calendly also says payments are generally non-refundable, with special cases reviewed by support. Only Setmore promises money back.
Calendly says it "does not currently comply with HIPAA, GLBA, or similar health and financial regulations." [4] Setmore offers Setmore Health with a standard Business Associate Agreement on Pro, chosen at account creation, so a clinic moving from Calendly should open a Setmore Health account from the start rather than converting later. Setmore's Terms of Use still carry a HIPAA disclaimer. Get the BAA in writing. One more caution: many older Setmore pages contradict the pricing page on plan limits and processors, so confirm limits with support before relying on any other page.
Both products hold high scores on the review platforms, so sentiment is not the thing to choose on. Setmore's Trustpilot page stands out for tone: 98 of the last 100 reviews there gave five stars, which fits its pitch of human help on every plan. Read that as a signal about support rather than a verdict on features.
Which one fits your business
A six-chair salon wants a Booking Page, deposits, texts, Reserve with Google, Tap to Pay and reviews. Setmore Pro covers all of them for $360 a year on annual billing, while Calendly would leave it without in-person payments or Google bookings. A small clinic gets a BAA on Setmore Health, with notifications stripped of personal details, and three providers cost $180 a year on annual billing. A solo lawyer can take paid consultations through LawPay on Setmore Free and send new contacts to Clio. A tutor with weekly students gets recurring bookings on Pro for $60 a year. All of these are our arithmetic.
Calendly owns the other side. A sales team that routes inbound leads by round robin and logs meetings in Salesforce needs Calendly Teams, and recruiters coordinating panel interviews benefit from its shared meeting formats and team controls. A consultant booking calls with a CRM and a video link fits Calendly Standard, though one who takes payment and wants phone support pays half as much on Setmore Pro. Some businesses run both, Calendly for sales and Setmore for paid appointments. Two sellers and four therapists would pay $240 a year to each on annual billing, with Pro's 2-way sync keeping calendars aligned. Most will be better served by choosing one.
Our scores side by side
We score both tools on the same eight axes, each on its own evidence, and weight them by our scheduling profile, where ease of use and integrations carry the most weight. That weighting is why the totals look closer than the feature fights above might suggest. Setmore wins on value, support and sentiment, while Calendly wins the rows that count most.
| Axis | Setmore | Calendly |
|---|---|---|
| Ease of use | 4.4 | 4.5 |
| Integrations | 3.6 | 4.5 |
| Capability & depth | 3.6 | 4.3 |
| Value for money | 4.6 | 3.4 |
| Support & reliability | 4.6 | 3.8 |
| User sentiment | 4.7 | 4.5 |
| Docs & learning resources | 3.3 | 3.8 |
| AI | 1.5 | 3.9 |
| Composite | 4.00 | 4.20 |
Setmore's composite of 4.01 sits below Calendly's 4.21 mainly because of those weights. Calendly leads on integrations by nearly a full point, while Setmore's clear wins on value and support carry less weight in the formula. That does not make Calendly the better buy for a salon. It makes it the stronger product at the job it was built for.
