Softr can serve a small charity well, and the money question has a plain answer: Softr gives 50% off its self-serve plans to non-profits and education institutions, claimed through a form on its site [1]. The list prices being halved are per workspace, never per person: Basic is $25 per month billed monthly or $19 per month billed annually, Pro with its 50 AI credits a month is $119 per month billed monthly or $99 per month billed annually, and Business is $395 per month billed monthly or $329 per month billed annually.
The plan fee is rarely the problem. The headcount is. Volunteers and donors who sign in with Gmail count as Client users, and every self-serve plan caps them. A lean team with a modest roster of logged-in volunteers fits comfortably; a mission with thousands of sign-ins needs to check first, because extra users on Pro and Business can be added only up to a per-plan limit, past which new users stay deactivated; Enterprise limits are custom.
Claiming the half-price rate, and what you still pay for
The discount sits in the FAQ of Softr's pricing page, which points to a short application form. The form page says the reduction covers self-serve plans for non-profit and education institutions and is applied through that same form. It is not automatic. At list price, Softr's toggle advertises two months off for yearly billing; by our arithmetic, annual payment saves $72 a year on Basic, $240 a year on Pro and $792 a year on Business compared with twelve monthly payments.
A finance volunteer will ask about paperwork next. Basic, Pro and Business are paid by credit card, while payment by invoice, purchase order, wire or ACH is reserved for Enterprise [2]. Tax is worked out at checkout from your billing country and whether you buy as a company or an individual. The yearly plan is charged upfront for twelve months. Refunds exist only in a short window after the very first payment, so read the terms in our Softr pricing breakdown before a board approves the spend.
Staff, volunteers and donors: how each one is counted
Softr separates the people who build from the people who log in. Builders work in Softr Studio; app users sign in to what you publish. App users then split by email address. Anyone sharing the business email domain of a builder in your workspace is a Team user, so your program manager at the charity's own domain lands there. Everyone else is a Client user, and Gmail and other free-domain addresses always land in the Client column, whoever holds them. Volunteers who use personal inboxes therefore sit on the Client side. Plan for that.
| Plan (per workspace) | Team users included | Client users included | Extra app users |
|---|---|---|---|
| Free | 5 in total, no split | (shared with Team) | not available |
| Basic | 5 | 5 | not available |
| Pro | 10 | 50 | $3 per Team user, $1 per Client user, per month, billed monthly |
| Business | 30 | 100 | $5 per Team user, $2 per Client user, per month, billed monthly |
Basic cannot add a single user beyond its allowance, so a program whose sixth volunteer on a personal email address needs a login has already outgrown it. Extra users on Pro and Business are billed every month even when the plan itself is paid yearly, and only after a 7-day grace period once the daily count shows you over the allowance [3]. If that payment keeps failing, every user beyond the included allowance is deactivated until payment is resolved. Counting runs on unique emails across all your published apps. A person signed in to both your volunteer hub and your donor portal counts once.
Softr does not count deactivated users toward your plan's allowance, so switch off volunteers who are not active and reactivate them when the next season starts.
Three more rules help a tight budget. Deactivated users do not count, so volunteers who finish a season can be switched off and reactivated later. Builders added as app users stay outside the allowance too. Visitors are never limited: a public donation page or event listing costs nothing in users until someone actually signs in. That makes the choice of which pages sit behind a login a budget decision as much as a privacy one.
Templates for gifts, volunteers and programs
Softr's template gallery filters by industry, and the non-profit shelf covers the three jobs most small charities juggle. The free Donation Tracker runs fundraising campaigns, logs one-time gifts and keeps donor records, with donors seeing only their own giving history. Staff get a campaign dashboard and a donation review screen filtered by campaign, donor, date or status, with receipt status and payment references tracked per gift. A Google Sheets edition pairs a built-in Softr Database with a live Sheets connection for teams that keep their ledger in a spreadsheet.
Volunteer work has its own starting points. The Volunteer Management template publishes event listings to the public, takes applications, gives volunteers a login and hands coordinators approval and assignment tools behind a protected, role-based dashboard. A separate Volunteer Form collects emergency contacts and a signed agreement checkbox, and connects natively to Airtable, Google Sheets and Notion. For service delivery, the Non-Profit Program Management template tracks programs, participant profiles, enrollment and rosters, with a staff sign-in.
Using a template is free and the sign-up asks for no card. One limit shapes the order of work: a template cannot be applied to an app that already exists. Pick first. Build second. Note also that the donor portal turns every donor who logs in into a Client user, so check the per-plan Client allowance in the table above before you invite donors.
Gifts, grants and thank-you notes on autopilot
Donations can flow straight into the app. Softr's Stripe blocks run on your own Stripe keys, PayPal appears among the payment integrations, and Softr's blog describes a workflow that emails a thank-you note or receipt the moment a donation record is created. Grant-heavy organizations can lean on the DocuSign integration for award letters, and Softr describes grant management as a fit for non-profits and foundations, with custom user groups giving reviewers and admins different views.
Each step a workflow runs counts toward a monthly allowance: 500 actions on Free, 2,500 on Basic, 10,000 on Pro and 25,000 on Business. Triggers and flow-control steps such as Wait or Branch are free, but every action inside a loop runs once per item. A year-end receipt batch that loops over your whole donor file therefore spends at least one action per donor for each step it contains, and Softr says email steps may use more than one execution. When the allowance runs out, workflows pause until the month renews or you upgrade. Our guide to Softr workflows walks through triggers, AI steps and the webhook trigger, available from Pro.
Every action inside a workflow loop runs once per item, so a receipt run over your donor file spends actions per donor; check your plan's monthly allowance before you launch it.
What other charities say they built
Customer stories give the clearest picture of fit, and every figure in them belongs to the organization. Minerva Network, an Australian not-for-profit, built a CRM and portal on Softr, Airtable and Zapier that it says serves 2,000+ app users; it reports a 70% cut in administrative workload and 50% more athlete registrations. Its portal handles sign-on, registration, networking, surveys, learning content and monthly reporting for admins. Selfless Fiji reports 2,400+ volunteers across 27 projects and a 200% rise in volunteers, using multi-step conditional signup forms and per-project capacity limits that shut sign-ups automatically.
Child's Play Charity, a six-person team, had an agency move 4,000+ records off Airtable into Softr Databases in three weeks [4]. The charity names Airtable's limit of 5 requests per second and its record caps as the limits it kept hitting, and reports roughly 50% lower software costs. Hospital and foundation users, about 880 of them, sign in by magic link or one-time code on the charity's own subdomain, and DocuSign grant agreements run inside Softr Workflows. Child's Play says it served 193 hospitals in the year, up from 162, and cut Equipment Grant scoring from three weeks to one.
Smaller builds show range. ESA / LOVE Inc. says its community resource app took under three months at about a tenth of a traditional development quote, serves three user groups and reaches Spanish speakers through Weglot. Skylight Ventures, a UK micro-credit fund for refugee entrepreneurs, lets several judges score applicants in its portal and has raised over 150,000 GBP. Virtuous appears in Softr's list too, but it sells fundraising software to non-profits rather than being one.
Where the fit runs out for a mission-driven team
Role separation costs a plan step. Keeping fundraising, finance and program staff in separate views needs custom user groups, and Softr's comparison table lists 3 on Pro and 10 on Business, with none on Free or Basic. Google sign-in and email one-time codes for app users also begin on Pro. Two-factor authentication for app users, signup limited to your own email domain and global search are Business features, and single sign-on is Enterprise only.
Field work exposes the mobile gap. Softr apps are responsive web apps; the installable version is a PWA available on Business or higher, there are no App Store or Google Play apps on any plan, and the PWA needs an internet connection. A food bank volunteer in a basement with no signal will see nothing. Branding matters for donor trust as well: Free shows a Softr badge, Basic a lighter mark, and Pro removes it, while a custom domain starts on Basic. Health-adjacent charities should know Softr ties HIPAA questions to the data source you connect. Softr also exports no code, so the app lives on Softr.
Volunteers on Gmail or other personal addresses are Client users. Basic includes 5 Team and 5 Client users and cannot buy extra users; extra users exist only on Pro and Business, billed monthly even on annual plans.
Frequently asked questions
Do donors need an account to give through a Softr app?+
No. Softr limits only logged-in users per plan; visitors are not limited, and Softr's comparison table lists forms and submissions as unlimited on every plan. A donor becomes a Client user only when they sign in, for example to a donor portal.
Can a Softr app serve Spanish-speaking volunteers?+
Softr has no native translation; multilingual apps run through its Weglot integration, which ESA / LOVE Inc. says it uses for Spanish-speaking users.
Can we move an existing Airtable base into Softr?+
Yes. Since October 2026 Softr can import a whole Airtable base into a Softr Database, with Airtable automations arriving as draft workflows; the import uses your Airtable plan's API calls and the original base is left untouched.
Where does Softr keep a charity's data?+
Softr says it hosts data in the EU (Germany) by default, and Softr Databases run in the AWS EU Region. Data in a connected source such as Airtable stays with that source.
The bottom line
For a small charity whose staff share an email domain and whose volunteer logins number in the dozens, Softr is a sensible buy once the 50% form is approved: the donation, volunteer and program templates cover the daily work, and Workflows handle receipts and grant paperwork. Choose Pro the moment you need more than five volunteer logins on personal email addresses or separate staff roles, and Business when you need the installable app, app-user 2FA, domain-restricted signup, global search or more included users. Organizations with thousands of volunteers who must each sign in should know that extra users stop at a per-plan limit, past which new users stay deactivated, and talk to Softr about Enterprise before committing.
