Wistia webinars come as two plans layered on top of Business. Webinars costs $429 a month billed annually ($537 billed monthly) for events of up to 500 attendees and 90 minutes, and Webinars Plus costs $829 a month billed annually ($1,037 billed monthly) for 1,000 attendees and 3 hours.[1] Both include Signals, so registrations and attendance flow into HubSpot, Marketo or Pardot. Go over a limit and the event keeps running. You pay later. The real traps sit elsewhere: a registration form you cannot change, hosts tied to desktop Chromium browsers, and a recording that stops at 4.5 hours.

How a Wistia webinar runs, from setup to replay

Every webinar starts as one of three types. A Live event runs from the browser, with hosts on camera and sharing screens. A Pre-recorded event streams one existing Wistia video at a set time, with chat, Q&A and polls still live, but slides, layout changes and simulcasting are disabled. An External studio event takes an RTMP feed from OBS or another encoder, and that type is a Webinars Plus feature. Account Owners, Managers and Standard Users can all create webinars. Wistia sets no cap on how many an account runs.

On stage, up to nine people appear at once, with a tenth slot kept for screen shares, slides, questions or polls; the number of hosts and panelists you invite is unlimited. The roles differ. Hosts log in to the Wistia account and each needs a login of their own, because two people sharing one host login breaks the event. Panelists join from a link with no login. Audience members need no camera or microphone and take part through chat, written Q&A and polls, which are single-choice with up to ten options.

Both plans include everything in Business: three users, 250 GB of storage, 5,000 credits a month, CTAs, forms, heatmaps and the Signals marketing-automation sync. Recordings save automatically to the library and count toward that storage. Extra users cost $25 a month each on annual billing or $31.25 on monthly billing. That matters here. Every presenting host needs a login, so a team of four hosts already pays for one extra user. Embedding has its own setup steps, covered in our embed guide.

Annual billing saves 20%. Over twelve months, the smaller plan totals $5,148 billed annually against $6,444 billed monthly, and the larger one $9,948 against $12,444, by our arithmetic. Monthly billing stays cheaper only if you stop within nine months; from the tenth month, annual wins on either tier. So a pilot quarter belongs on monthly billing. There are no refunds for cancellations, downgrades or unused time, and storage beyond the plan is billed monthly even on annual terms, as our pricing guide explains.

When an event runs bigger or longer than the plan

The attendee and duration limits are soft. Wistia counts people who join, not people who register, so registration is uncapped and you cannot set a hard attendee ceiling. Nothing stops the stream or turns viewers away, and no warning appears during the webinar. After the event, overage is billed at $0.20 per extra attendee and $2.00 per extra minute.[2] The event room shows your duration limit and per-minute rate. Events expecting more than 2,500 attendees need a conversation with Wistia first.

The per-minute rate is the one that bites. A 600-person, two-hour session on the 500-attendee tier adds 100 attendees at $0.20 and 30 minutes at $2.00, so $20 plus $60, or $80 for that event, by our arithmetic. A full 1,000-person, three-hour event on the same tier adds $100 plus $180, or $280. The gap between the two tiers is $400 a month on annual billing and $500 on monthly billing. One maximum-size event a month is still cheaper as overage. Two are not.

One limit is not soft. Every webinar ends automatically at 4 hours 30 minutes, and the recording stops with it, whatever the plan. A webinar also ends when a host ends it, or when no host or panelist has been in the room for about five minutes. A refresh or dropped connection survives if the host rejoins within that window. Plan around it. Split a half-day summit into sessions; on Webinars Plus, a series gives them one registration page, as long as no two overlap.

The registration form decision you cannot undo

Each webinar takes either a Wistia registration form or a form from HubSpot, Marketo or Pardot, and the choice locks once saved. Switching later means building a new webinar.[3] The Wistia form is the complete option. First name, last name and email are required; phone, company, job title and country are optional; custom text, dropdown and checkbox questions sync to the connected platform. It also powers one-click registration for returning visitors, though one-click registration never carries custom fields.

A marketing-platform form looks tidier inside an existing funnel, but it strips most of the webinar machinery. Registrant data lives only in that platform, so Wistia sends no confirmation, reminder or follow-up emails, shows no registration analytics and cannot sync attendance back. One-click registration, webinar series and domain restrictions stop working too. HubSpot has a partial fix: a form automation workflow registers people in Wistia, but it passes only name and email and still needs a Wistia form enabled on the webinar. Pick deliberately.

Toolkit tip
Choose the registration form first

The form type locks once saved, so pick the Wistia form unless you accept losing Wistia emails, attendance sync and one-click registration.

The Wistia form has gaps of its own. It has no CAPTCHA, no manual approval and no blocking of free email domains, although the Audience page can block or allow specific domains. Hosted registration pages accept no Meta Pixel or Google Tag Manager scripts, and the GA4 integration does not track webinars at all. Country values can fail to sync to HubSpot, which expects United States where Wistia sends United States of America. Removing a registrant also blocks them.

Hosting the event: browser, network and stage rules

Hosts and panelists must join from a desktop or laptop in a Chromium browser such as Chrome, Edge, Brave or Arc.[4] Safari, Firefox, phones and tablets are out for anyone on stage. Audience members can watch in any HTML5 browser, on mobile too, but viewers on weak networks or unsupported browsers drop to HLS delivery with a delay of 5 to 20 seconds. That lag matters for live polls. Give late voters a few extra seconds before you close a poll.

Corporate networks are the next failure point. Hosts need outbound access to LiveKit, 100ms.live, mux.com and effectssdk.ai, while attendees on locked-down networks usually still watch. On macOS, sharing the entire screen carries no system audio, so share a browser tab with tab audio for clips. Slides go up as PDF only, never PowerPoint. Presenting a Wistia video mutes every host and panelist until it ends, and its captions do not reach attendees, so talk over footage by screen sharing instead. Plug laptops in.

💡
Toolkit tip
Rehearse on the real machine

Run a test from each host's own desktop Chromium browser, on the office network, plugged in, so blocked domains and lag show up before the audience does.

After the webinar: data, emails and the replay

Attendee data takes up to an hour to compile, and figures are final only once the recording finishes rendering. With a Wistia form and the webinar data box ticked on the integration, attendance and engagement sync to the connected platform about an hour after the end. Past webinars cannot be backfilled, so tick that box before the first event. In HubSpot, replay views do not sync and there is no no-show activity. Chat and Q&A downloads disappear after 30 days. Export early.

Wistia's webinar emails are fixed in shape. Only the subject line and preview text are editable; the body is generated, the sender address is Wistia's, and opens and clicks are not tracked. Reminders can go 1 day, 1 hour or 15 minutes before the start. The follow-up leaves 90 minutes after the host ends the event, to every registrant, whether they attended or not. Teams wanting separate thank-you and missed-it emails send them from HubSpot, Marketo or Pardot, with personalized links that still require the Wistia form.

⚠️
Watch out
Export chat and Q&A within 30 days

Chat and Q&A downloads are unavailable after 30 days, and the follow-up email goes to every registrant whether they attended or not.

Frequently asked questions

Is there a free trial of Wistia webinars?+

Yes. The webinar trial lasts 14 days, needs no credit card, and gives full access to the Business plan plus the webinar features of the plan you choose.

Can I run two Wistia webinars at the same time?+

Wistia sets no limit on simultaneous webinars, but each should be hosted from its own computer. Webinars inside one series cannot overlap.

Do Wistia webinars support live captions?+

Wistia lists live closed captions, keyboard accessibility and screen-reader support for webinars. Captions on a video presented on stage do not reach attendees, because it plays as part of the live stream.

Can a webinar appear in a Wistia Channel?+

Yes. Each webinar can sit in one Channel, and completed webinars stay there labeled On-Demand; if on-demand viewing is off, viewers see a registration page saying the event is closed.

The bottom line

Wistia's webinars fit best for a marketing team that already hosts video on Wistia and feeds HubSpot, Marketo or Pardot, because Signals comes bundled and every recording lands next to the rest of the library. Start on the smaller plan with the native registration form and rehearse every host in a desktop Chromium browser such as Chrome or Edge. Move up only for embedding, simulcast, series or RTMP ingest, or once monthly overage passes the $400 gap between tiers. Teams running occasional events without a marketing platform pay for machinery they will not use.
