Zoho Desk's AI comes in four layers, and your edition decides which ones you get. Zia's own generative model starts on Professional, at $35 per agent per month billed monthly or $23 per agent per month billed annually. Every agent sits on the same edition, so that step applies to the whole team; our pricing guide has the totals. Express and Standard get the same drafting tools only through your own OpenAI key, and OpenAI sends that bill. Answer Bot and sentiment analysis start on Standard. Zia actions, Guided Conversations and the two pre-built AI agents are Enterprise only, run only in the US and IN data centers and are enabled for selected users on request. That is the second filter. Your data center can switch features off even on the top edition.

Which edition unlocks which Zia layer

Edition Generative AI Bots and predictions Automation and agents
Free None (content analysis only) None None
Express Your own OpenAI key only None None
Standard Your own OpenAI key only Answer Bot, sentiment, auto tags, thread keywords None
Professional Native Zia or your own key Adds field and anomaly predictions None
Enterprise Native Zia, your own key or Azure OpenAI Adds bot thresholds, bots in ASAP and messaging Zia actions, Guided Conversations, pre-built agents (US, IN, on request)

Every row also depends on your data center. Native Zia runs only in the US, IN, AU, EU, JP and CA data centers, Zia actions only in the US, AU, EU, CA and IN data centers, and in the China data center the own-key route is DeepSeek, not OpenAI. Your region is fixed at sign-up, so confirm it before you compare editions; a Professional account outside those six data centers gets no native Zia at all.

Read the table as three jumps [1]. Free gets content analysis only, a spelling, grammar and readability check on drafts, with no generative AI. Express adds writing assistance and reply assistance, plus ticket summaries, insights and content generation, with the generative parts running once an admin pastes in a key from a paid, pay-as-you-go OpenAI account. Reply Assistance that drafts from your articles needs Answer Bot enabled for the department, so in practice that use starts on Standard, along with sentiment, auto tags and thread keywords. The jump that matters most is Professional. Zia's native model arrives there, and nobody needs an outside AI account. Enterprise is the automation tier.

⚠️
Watch out
Check your data center before buying

The pre-built Zia agents run only in the US and IN data centers, and native Zia only in the US, IN, AU, EU, JP and CA data centers, whatever edition you pay for.

Native Zia or your own key: one engine per account

On Professional and Enterprise, generative Zia runs on Qwen 30B, Zoho's default model since November 2025, hosted by Zoho in your region at no extra charge [2]. That native model runs only in the US, IN, AU, EU, JP and CA data centers, and its answers come only from your knowledge base articles. Bring-your-own-key works on every edition from Express: OpenAI in the US, EU, AU, IN, JP, CA and UAE data centers, and DeepSeek in the China data center, where you need your own DeepSeek account and key. Your region is set at sign-up. Moving it is a request to Zoho.

Professional and Enterprise can choose either route, but only one generative service can be active per organization: Zia, ChatGPT or Azure OpenAI. Azure OpenAI, added in October 2026, is Enterprise only and runs from your own Azure deployment, billed through Azure, in the EU, JP, CN, IN, CA, AU and US data centers. Zia actions in workflows do not work with it. The OpenAI route has one real advantage. An admin can let Reply Assistance answer from the knowledge base first and then from OpenAI's open domain, or from either source alone. Native Zia sticks to your articles.

Answer Bot and Guided Conversations are two different bots

Answer Bot is the AI bot. From Standard up, it trains on your published knowledge base articles and answers agents in the ticket view and customers in the help center [3]. Zoho recommends at least 30 articles per department, although the bot can work with a single trained one. Articles under 100 characters fail training, the bot retrains on new articles every 30 minutes, and by default it reads only articles visible to all users. You can run one bot per department or one for the whole account. It is not available in the China data center.

Several Answer Bot controls sit on Enterprise. Putting the bot inside the ASAP widget and on messaging channels such as WhatsApp, Instagram and Business Messaging is Enterprise. So is the confidence threshold, where an admin picks Exact, Confident or Possible to trade accuracy for coverage. Reply Assistance in the agent's composer also depends on the bot being enabled for that department, which is why a thin knowledge base weakens three features at once. Our knowledge base guide covers how to structure articles for it.

💡
Toolkit tip
Write the knowledge base first

Answer Bot, Reply Assistance and the Support Specialist agent all draft from your articles. Zoho recommends at least 30 per department, published to all users.

Guided Conversations is the other bot, and it is mostly not AI. It is an Enterprise-only, low-code builder for rule-based flows: questions, choices, ticket creation and handoff to a department. Limits are 25 flows per department and 500 blocks per flow. Zoho's customer story for Flow Global says the firm built more than 450 blocks and names 500 as the ceiling. The optional Zia generative AI block answers from the prompt and context you configure, not from your knowledge base. Use Answer Bot for open questions. Use flows for fixed processes.

Predictions and Zia actions: AI inside your rules

The predictive layer needs ticket history before it does anything. Sentiment analysis (Standard and higher) reads the latest incoming thread and labels it positive, neutral or negative; sentiment on non-English text uses the 2026 model, which is Enterprise only and absent from the SA and UAE data centers. Auto tags (Standard and higher, English text only) need at least 3,000 tickets in a department from email, help center, forums, community or social. Chat and phone tickets do not count toward that training. Both can feed workflow criteria, such as routing fraud tickets to one team.

Field predictions start on Professional and work on English text only. Zia needs at least 500 tickets in the department, fills picklists and the ticket owner, and Zoho recommends a confidence score of 70 or higher before auto-updates. New tickets are not learned automatically; someone has to add them to retrain the model. A ready-to-use model that needs no training arrived in October 2026 for Enterprise. Anomaly predictions (Professional and higher) compare today's traffic with the last 30 days and send alerts. They change nothing.

Zia actions put generative AI inside Enterprise workflow rules, in the US, AU, EU, CA and IN data centers, on English text only. There are four: field extraction (up to five values per rule), field prediction with no training, generate content, and auto email reply. Auto reply fires once, on email tickets, for the first response, and needs a trained Answer Bot in the same department. It and content generation roll out in phases and are switched on by Zoho support. All four work in the Tickets module only. Our automation guide covers the rules around them.

⚠️
Watch out
Zia actions stop without warning

On Enterprise, Zia actions are capped at 1,000 runs per organization per day; once the cap is hit they stop for the rest of the day with no admin alert, while normal workflow actions keep firing, and wrong extracted values are not rolled back.

Zia agents: two pre-built, Enterprise, US and IN only

The pre-built agents are the narrowest layer. Support Specialist drafts replies from your knowledge base, works on email tickets only, answers only the latest incoming thread with a valid customer email, and needs Answer Bot enabled. When no article matches, it leaves a private comment and unassigns itself, so the ticket returns to your human queue. Resolution Expert reads a closed ticket on any channel and writes the issue, root cause and fix into the resolution tab. Both are Enterprise only, in the US and IN data centers, for selected users on request [4].

Agents are an admin decision with lasting effects. Only an Admin profile can enable them, that admin becomes their owner, and enabling creates matching profiles in Agent Studio and Zoho Directory. Once enabled, they can be disabled but not deleted. They read ticket text only, never images or attachments. After a downgrade below Enterprise they stay assigned and keep receiving tickets, yet stop working, so pull them out of assignment rules first. Zoho lists two more agents, Sentiment Analyst and Quality Manager, as coming soon.

Custom agents are a different product. Zoho's pricing page lists AI agents (access to pre-built agents in its Agent Store and up to 30M free tokens a month) among its edition features. Those Agent Store agents come from Agent Studio, Zoho's own agent builder, which runs in the EU, JP, CN, IN, CA and US data centers; they are not the two Desk agents above, which stay Enterprise only, US and IN, on request.

Zoho's use-case page for a sleep-aid wellness brand shows a careful pattern. The team built one custom agent with two tools, triggered by workflows on new tickets and replies, and it writes only email drafts for a human to review. It cannot send emails, approve returns or process refunds. Zoho's own engineers implemented it. That guardrail design is worth copying.

What the AI costs, and where your ticket text goes

Native Zia carries no charge on Professional and Enterprise in the US, IN, AU, EU, JP and CA data centers, the only ones where it runs. With your own key, OpenAI bills per token for every generation, including Zia actions that call ChatGPT. Standard costs $14 per agent per month billed annually, or $20 per agent per month billed monthly. Professional costs $23 per agent per month billed annually, or $35 per agent per month billed monthly.

The gap is $9 per agent per month on annual billing and $15 on monthly billing, by our arithmetic. Every agent needs a license on the same edition, so the gap grows with headcount; see our pricing guide. For 10 agents on annual billing that comes to $90 a month, or $1,080 a year. Below that gap in OpenAI spend per agent, Standard with your own key costs less; above it, Professional wins and adds predictions and telephony.

💡
Toolkit tip
Measure your OpenAI bill first

On Standard with your own key, track a month of OpenAI charges per agent. If they exceed the per-agent price gap to Professional ($9 per agent per month billed annually, $15 billed monthly), native Zia on Professional costs less, in the US, IN, AU, EU, JP and CA data centers where it runs.

Data use comes in layers. Zoho's privacy policy limits AI and machine-learning use of service data to anonymized crops that improve algorithm accuracy and to models specific to your organization. Within that privacy-policy limit, Desk's Zia pages say Zoho does not use customer data to train or fine-tune its models, and native Zia does not store customer data. With your own key, ticket content goes to OpenAI, Azure or DeepSeek under that provider's terms. Before data reaches ChatGPT, Zoho masks IP addresses, emails, contact names, phone numbers and bank or card numbers. A Social Security number typed into a thread is not masked. Attachments are never sent to OpenAI.

Frequently asked questions

Does Zoho Desk's AI work in languages other than English?+

Partly. Answer Bot (Standard and higher, not in the China data center) replies in the customer's language once it is trained on articles in that language and the help center is multilingual, which needs Professional or higher. Sentiment on non-English text uses the 2026 model, Enterprise only and not in the SA or UAE data centers. Zia actions, field predictions, auto tags and thread keywords work on English text only.

Is Ask Zia part of Zoho Desk?+

No. Ask Zia is Zoho's answer engine over its own Zoho Desk help documentation, not a feature inside your help desk.

Can an outside AI agent work with Zoho Desk through MCP?+

Yes, through Zoho MCP, a Zoho-wide MCP server builder included for all Zoho users at no charge, using OAuth and user-level permissions. Its actions count against your Desk API credits.

Who can change the OpenAI key once it is set?+

Only the admin who configured the key can edit it; anyone else has to contact Zoho support. Generative AI can be switched off and back on without re-entering the key.

The bottom line

Zoho Desk's AI is real but gated twice, by edition and by data center. On Standard with your own OpenAI key, you get drafting tools plus Answer Bot, enough for a team with a solid knowledge base and modest OpenAI usage. Professional is where Zia's native engine and predictions arrive without an outside bill, in the US, IN, AU, EU, JP and CA data centers. Enterprise adds Zia actions, Guided Conversations and the pre-built agents, which need a US or IN account and are granted to selected users on request. Write the 30 articles first. Then pick the edition.
