Appointment reminder software sends confirmations, reminders and follow-ups for every booking on its own, by email and often by text, so clients remember the slot and can move it instead of skipping it. The tool alone is not the whole fix. A complete setup has five parts: a reminder sequence, a text channel, a reschedule link, a policy the client accepts, and money at stake for slots that hurt to lose. Pick the tool by the parts you need. Free plans cover some parts: basic reminder emails, a reschedule link or a policy checkbox, and on Cal.com even a held card. Texts need a paid plan.
What a complete no-show fix needs
Reminders have the strongest evidence. A meta-analysis of randomized trials in clinics found that patients who got text notifications were 25% less likely to miss, with no-show rates of 15% against 21%, and that several notifications beat a single one [1]. So the first part is a sequence, not one message: a confirmation at booking, a reminder the day before and a short one a few hours before.
The other four parts close the gaps reminders leave. A reschedule link in every message turns a skipped slot into a late change you can still fill. A text channel reaches clients who never open email. A policy shown at booking sets the rule before the day. A deposit or a card on file gives the client a reason to show up or cancel in time. Last, someone has to mark no-shows, or repeat offenders stay invisible.
| Part of the solution | What the software does |
|---|---|
| Reminder sequence | Sends confirmation, reminders and follow-ups at set times |
| Text channel | Sends SMS reminders, usually on a higher plan |
| Reschedule link | Lets the client move or cancel from the message |
| Policy | Shows terms or a checkbox the client accepts at booking |
| Deposit or card | Charges part or all of the price, or holds a card |
| Tracking | Marks no-shows so you can act on repeats |
If you want the full method first, our guide on how to reduce no-shows walks through each part without any software.
Send a full reminder the day before with the reschedule link and a short one a few hours before. Several touches work better than one.
Automated appointment reminders on a free plan
Most free plans either send nothing or send a fixed message you cannot edit. That still beats nothing, because the reminder goes out on every booking without anyone remembering to send it. The split between free plans is sharp, so check it before you pick.
Setmore Free sends one email reminder per appointment, and you choose the timing, from minutes to months ahead. Staff reminders are always free. Clients accept your booking and cancellation policy with a checkbox on both plans, and you can label each appointment from Confirmed to No-Show. Here is how to set up Setmore from first service to paid bookings, reminders included.
Sends an email reminder for every appointment automatically, at the timing you set, and asks clients to accept your cancellation policy with a checkbox at booking.
- Set the reminder timing
- Add your cancellation policy
- Label missed visits No-Show
TidyCal sends reminder emails one day and one hour before on every plan, including Free. Paid plans let you pick two custom reminder times, from 15 minutes to a week before, with your own email templates. Cal.com Free sends its default reminder email only, with no customization. Calendly Free and YouCanBookMe Free send no automated reminders at all.
Emails every booker one day and one hour before on all plans; paid plans let you set your own two reminder times and charge one flat cancellation or no-show fee on a Stripe booking type.
Free reminders hit a ceiling fast. The wording is often fixed. You get one or two touches. Nothing arrives by text. Once misses cost you real money, the next step is SMS on a paid plan and a deposit or held card, which Cal.com offers even on Free.
SMS appointment reminders: who sends texts, and on which plan
A text is the reminder clients actually see, which is why SMS sits on paid plans almost everywhere. Every tool here limits or bills SMS separately, so read the plan before you promise texts to clients. Always collect a phone number at booking if you plan to text.
Acuity Scheduling fits service businesses that want reminders and payments in one place. It sends email confirmations, reminders and follow-ups: one on Starter, up to six on Standard and higher. Text reminders start on Standard. Clients can pay a deposit or the full price at booking, or leave a valid card you charge later. A checkbox intake question makes them accept your cancellation policy. Note that the trial sends no emails or texts, so test the sequence after you subscribe. See how to use Acuity Scheduling from first service to paid bookings.
Sends confirmation, reminder and follow-up emails on its own, adds text reminders on higher plans, and takes a deposit, full payment or a card on file at booking.
Setmore Pro adds a second email reminder and one text per appointment, sent up to 30 days ahead. Texts carry no links and do not reach several countries, such as Germany, France and India, where the email reminder goes instead. Pro also adds deposits, payment links and blocking customers who keep missing.
Cal.com splits the job. Payments and no-show fees work on Free: Stripe or PayPal per event type, with upfront payment or a held card you charge if the client misses. Custom reminder text, SMS and WhatsApp messages need Teams, through workflows that can also fire when a no-show is recorded. When SMS credits run out, messages fall back to email.
Takes upfront payment or holds a card through Stripe or PayPal and captures a no-show fee if the client misses; workflows send custom email, SMS or WhatsApp reminders.
TidyCal sends SMS reminders only on Agency Lifetime and Pro, and only to US and Canadian numbers. YouCanBookMe sends text reminders from Individual, paid pay-as-you-go with credits bought in advance on every plan.
Reminders for calls and meetings, not appointments
Coaches, consultants and salespeople book calls rather than chairs. Their no-show problem is the same, but the tools differ.
Calendly handles it with automations from Standard: email and SMS reminders before the meeting and thank-you or follow-up messages after. Free accounts get confirmations and calendar invites, but no reminders. You can mark an invitee as a no-show, and on Standard an automation can email them to rebook. Calendly shows your cancellation policy in the confirmation email but does not enforce it. Our walkthrough of Calendly reminder and follow-up automations shows the templates.
Automations send email and SMS reminders before each meeting and follow-ups after it, and can email an invitee marked as a no-show to rebook.
SavvyCal sends email reminders and follow-ups through workflows on Basic, at five points from booking to after the meeting. It has no native SMS; texting runs through Zapier. A per-link lock stops bookers from rescheduling or canceling from 15 minutes up to a week before the start. Paid bookings through Stripe need Premium.
Workflows email reminders and follow-ups at five points around the meeting, and a per-link lock stops last-minute rescheduling or canceling.
YouCanBookMe starts reminder emails and texts on Individual, with reschedule and cancel links in every confirmation even on Free. No-show tracking and follow-up workflows sit on Professional. It takes Stripe payments but has no deposit feature.
Sends customizable reminder emails and texts, with reschedule and cancel links in every confirmation so clients move a slot instead of skipping it.
Acuity's trial sends no emails or texts, and a Calendly account that drops back to Free turns its automations off. Test the full sequence on the plan you will keep.
Patient appointment reminders and the BAA question
Clinics, therapists and other covered practices need more than reminders. They need a signed business associate agreement (BAA) before patient details go into the tool. Keep reminders lean: date, time, place and a reschedule link, no reason for the visit.
Three tools here offer a BAA, each on a specific plan. Acuity signs one on Premium only, and a HIPAA-enabled account loses Zapier, Reserve with Google and several calendar syncs. Setmore offers a BAA on Pro through Setmore Health, chosen at sign-up; it drops cancel and reschedule links from notifications. Cal.com includes one on Enterprise and on Organizations with 15 or more users, and sells it as an add-on on Teams and smaller Organizations. Calendly, SavvyCal, TidyCal and YouCanBookMe are not for patient health information. Check the BAA before you import a single patient.
Combinations that cover more of the problem
No single plan has to carry every part. Mixing a free step with a paid one often covers more ground.
- Free reminders now, payments later. Start on TidyCal Free for its two fixed reminder emails. Move to Individual Lifetime when you need a no-show fee: one flat fee on a Stripe booking type, charged at most once.
- Cal.com payments plus your own texts. Use Cal.com Free for held cards and no-show fees, and send a manual text from your phone for high-value slots. Upgrade to Teams once you want custom reminders and SMS at scale.
- SavvyCal plus Zapier. Email workflows run inside SavvyCal; a Zapier step texts the phone number the booking link collected.
- Start by hand. If you book only a few clients a week, a written template and your calendar app do the job. Our appointment reminder template has the wording and timing.
Make the phone field required on your booking page before you switch on text reminders. A text cannot go to a number you never collected.
How to choose appointment reminder software
Start from the part that costs you most. Then match the tool.
- Mostly forgetting, few bookings, no budget: Setmore Free or TidyCal Free.
- Clients ignore email: a plan with SMS. Acuity Standard, Setmore Pro, Cal.com Teams, or TidyCal Agency Lifetime and Pro for US and Canadian clients.
- Long services, repeat no-shows: a deposit or held card. Acuity from Starter, Setmore Pro, Cal.com Free.
- Calls and demos, not appointments: Calendly Standard or SavvyCal Basic, with YouCanBookMe Individual for email and text reminders with reschedule links.
- Patients: only a tool that signs a BAA on your plan.
Whatever you choose, measure your no-show rate for a month before and after. If it barely moves, the missing part is usually the policy or the deposit, not another reminder.
Frequently asked questions
What is the best app for appointment reminders with SMS?+
Pick by your plan and your clients' country. Acuity sends texts from Standard, Setmore from Pro, Calendly from Standard, Cal.com from Teams, and TidyCal on Agency Lifetime and Pro for US and Canadian numbers; YouCanBookMe sells SMS pay-as-you-go.
Are automated appointment reminders enough to stop no-shows?+
They cut most misses caused by forgetting. Clients who simply do not value the slot respond better to a policy they accept at booking and a deposit or card on file.
Can I send patient appointment reminders with any scheduling tool?+
No. A practice handling patient information needs a signed BAA: Acuity offers one on Premium, Setmore on Pro through Setmore Health, and Cal.com on Enterprise and larger Organizations or as a paid add-on.
Do free plans send SMS appointment reminders?+
Not in the tools compared here. Free plans send email at most, and Calendly Free and YouCanBookMe Free send no reminders at all.
The bottom line
Appointment reminder software fixes the forgetting, which is most of the problem, but a full solution also needs a reschedule link, a policy, money on the slots that matter and someone tracking repeats. Free plans from Setmore, TidyCal and Cal.com send basic reminders. Texts sit on paid plans, deposits mostly do too (Cal.com Free is the exception), and patient data needs a signed BAA. Choose by the part you are missing.
