For a small business with five to fifty support agents, Freshdesk works best as an email-first help desk, and the real decision is Growth versus Pro. Freshdesk's pricing page lists Growth at $19 per agent per month billed annually ($23 per agent per month billed monthly) and Pro at $55 per agent per month billed annually ($66 per agent per month billed monthly) [1]. Billing is per agent, and every agent on an account sits on the same plan; our Freshdesk pricing guide covers every add-on. Growth fits teams that assign tickets by hand under one response target. Pro earns its premium once routing, several SLAs or outside helpers enter the day.
Growth or Pro: the gates that decide it
Freshworks positions Freshdesk for businesses of roughly 50 to 500 employees, which usually means a support team of a handful to a few dozen agents. At that size the plan gates matter more than the price gap. Growth covers the core. It includes custom ticket fields, scenario automations, hourly triggers, webhooks in automations, several support mailboxes, marketplace apps and the Email AI Agent. What it leaves out is the machinery that coordinates a bigger team, and the table shows where each piece starts.
| What your team needs | Growth | Pro | Enterprise |
|---|---|---|---|
| Automatic assignment (round-robin, load-based) | No | Yes | Yes |
| Skill-based routing | No | No | Yes (up to 180 skills) |
| SLA policies | One default policy | Multiple, with reminders and escalations | Multiple, with reminders and escalations |
| Business hours | One set | Multiple, per group and time zone | Multiple, per group and time zone |
| Custom roles | No (default roles) | Yes | Yes |
| Collaborators | No | Up to 5,000 | Up to 5,000 |
| Custom dashboards | No | Up to 15 | Up to 15 |
| Multilingual help desk | No | Yes | Yes |
| API calls per minute, account-wide | 100 | 400 | 700 |
| Sandbox, audit log, HIPAA BAA | No | No | Yes |
The routing row decides most of these calls, so it deserves a closer look. On Growth, an automation rule that sends a new ticket to a group only notifies that group, and the ticket stays unassigned until someone picks it up. On Pro, round-robin hands each ticket to the available agent who has gone longest without one and skips anyone at capacity [2]. Load-based assignment fills the least busy agent first instead. Only tickets with a running SLA timer count toward that load.
A day on Growth with five agents
Picture a five-agent team working in one time zone. Customer emails from two or three support addresses land as tickets in one shared queue. A team lead assigns them by hand each morning, or agents claim them from custom ticket views. Scenario automations apply a set of field changes in one click, and agent collision warns when two people open the same ticket. Every ticket runs against one default SLA policy and one set of business hours. That is often enough. Nobody misses routing logic for a queue this size.
The Email AI Agent is part of Growth as well. It answers new tickets from your mailboxes, portal and web forms using published knowledge base articles, and shadow mode lets it draft private notes before it ever sends a reply. The account gets 500 sessions once, not every month, and an email session covers a 72-hour window; after that, each pack of 100 sessions costs $49 and is added to the current billing cycle. Unused purchased sessions do not carry over, and at zero the AI agent stops answering. Growth's limits show up in management first. There are no custom dashboards, and SLA reminder and violation alerts start only on Pro.
The 14-day trial runs on Enterprise features, so list the ones your team relied on and check which plan each needs before you buy.
When Pro pays for itself at 10 to 20 agents
By our arithmetic, Pro costs $36 more per agent per month than Growth on annual billing, or $43 more on monthly billing. For five agents billed annually, Growth comes to $1,140 a year and Pro to $3,300 a year. At ten agents the yearly totals are $2,280 and $6,600; at twenty, $4,560 and $13,200. The step up therefore adds $2,160, $4,320 or $8,640 a year at those team sizes. Whether that is worth it depends on how many hours a supervisor spends doing by hand what Pro does by rule.
Three situations tip the balance. The first is a queue too busy to hand-assign, where round-robin and load-based routing remove the morning triage. The second is customers with different promises: Pro allows multiple SLA policies, policies per company, reminders before a breach and escalations after one. The third is a team spread across shifts or time zones, where multiple business hours keep each group's SLA clock on its own calendar and holidays. Custom roles then let you give a team lead analytics access without handing over full admin rights.
Pro also unlocks Freddy AI Copilot, sold per chosen agent at $29 per agent per month billed annually or $35 per agent per month billed monthly. For ten agents that adds $3,480 a year on annual billing, by our arithmetic. Watch the licenses you leave idle. Freshdesk never buys extra licenses on its own, but it can assign unassigned ones to all eligible full-time agents after an in-product notice, unless you contact support before the date. Enterprise matters near twenty agents only if you need skill-based routing, a sandbox, audit logs, IP restrictions or a HIPAA BAA; twenty agents on it billed annually come to $21,360 a year (our arithmetic).
Part-time helpers: day passes and collaborators
Small businesses rarely run support with full-timers alone. The owner takes escalations, a warehouse lead checks shipping questions, an accountant handles invoice disputes. Occasional agents cover them with day passes: each pass covers one calendar day of logins and expires at 23:59 [3], and replying to notification emails uses none. Passes cost $2 on Growth, $7 on Pro and $12 on Enterprise, and every plan includes 3 free passes. There is no cap on the number of occasional agents.
The break-even against a seat is simple arithmetic, before the 3 free passes. Against a seat billed annually, a seat becomes cheaper from 10 login days a month on Growth ($20 in passes against $19) and from 8 days on Pro ($56 against $55). Against a seat billed monthly, a seat becomes cheaper from 12 days on Growth and from 10 days on Pro. On an annual plan, though, a seat added mid-term is billed until the term ends, so for one busy month day passes usually win.
Collaborators start on Pro. An account can invite up to 5,000 of them [4], and they do not take an agent seat. A collaborator sees the ticket and the customer details and answers through private notes, so your agent still writes the public reply. Collaborators cannot be the primary assignee, edit solution articles or build dashboards, and SLA policies do not apply to them. For a team that pulls in finance, warehouse or engineering staff every week, collaborators can replace a long list of day-pass users.
Converting a departing agent to an occasional agent with a placeholder email frees the paid seat and keeps their ticket records.
Email-first Freshdesk or Omni: the channels you get
Standalone Freshdesk is built around email. New accounts get support mailboxes, a customer portal with a knowledge base, a help widget that offers articles and web forms, Facebook from Growth up, and phone through Freshcaller or a telephony app. There is no live chat, WhatsApp, Instagram or SMS in standalone Freshdesk for new accounts, and no Chat AI Agent. Those sit in Freshdesk Omni, which adds web chat, messaging channels, chatbots and a Voice add-on in one workspace. Freshworks itself says teams that run almost entirely on email may be better served by plain Freshdesk.
Freshdesk Omni has its own prices: Omni Growth is $29 per agent per month billed annually ($35 billed monthly), and Omni Pro is $79 per agent per month billed annually ($95 billed monthly). On annual billing, Omni costs $10 more per agent per month than standalone Freshdesk on Growth and $24 more on Pro, by our arithmetic. Decide before you sign. If chat or WhatsApp will matter within a year, read our Freshdesk Omni guide first, because an annual term cannot be shrunk halfway.
Billing terms to check before you sign
Annual billing cuts the yearly cost by about 17% on each plan, by our arithmetic. Short horizons favor monthly billing. Ten months of a Growth seat at $23 per agent per month billed monthly come to $230, against $228 per agent a year billed annually, so the annual plan pays off only if you keep the account at least ten months. Pro breaks even at exactly ten months: $660 per agent either way (ten months billed monthly or one year billed annually). The 14-day trial runs on Enterprise features with no card, and the account is suspended when it ends unless you pick a plan.
The terms cut one way. Adding agents or upgrading is charged pro rata and applies at once, but removing agents or moving to a lower plan takes effect only after the current billing cycle, and you must delete or deactivate the extra agents first. Payments are non-refundable. Plans renew automatically for the same term, seats and add-ons unless your written notice arrives at least 30 days before expiry, and Freshworks may raise fees at renewal with 30 days' notice. The day you buy, set a reminder 45 to 60 days before renewal.
When the trial ends without a plan the account is suspended, and Freshworks' terms let it permanently delete trial data that was not exported.
Frequently asked questions
Is there a free Freshdesk plan for a small team?+
Not as a self-serve option: new buyers get a 14-day trial with Enterprise features and no card. After the trial, Freshdesk can move a small account into its Free program, up to 2 agents with email ticketing only, through Customer Success; the help center says it is free for 6 months.
Can Freshdesk replace our CRM?+
No. Freshdesk keeps contacts and companies for support and pulls sales data from a CRM such as Freshsales, Salesforce, Zoho CRM or HubSpot through integrations.
Where is our Freshdesk data stored?+
You choose a data center at sign-up: US, EU, India, Australia or the Middle East. Moving it later requires a support ticket.
What vendor support comes with a paid plan?+
All paid Freshdesk plans include 24/5 support and complimentary onboarding.
The bottom line
For a small business, Freshdesk is a sound email-first help desk whose cost is easy to model: seats times plan, with day passes for occasional helpers. Growth suits teams that assign tickets by hand, work in one time zone and promise one response target. Pro is the plan to budget for once automatic routing, several SLAs, outside collaborators or Copilot enter the picture, at nearly three times Growth's per-agent price. Choose Omni instead only if chat or messaging is a real channel for your customers.
