Keap aims at agencies explicitly. Its agency page describes a CRM for advertising, marketing and web design agencies that automates repetitive tasks so agencies can focus on creative work and scaling the business[5], and agencies sit among the thirteen industries the vendor names[3].

There is a second thing happening here, and no honest article about Keap for agencies can skip it. For an agency, Keap is not only a tool. It is also a channel.

OUR TAKE: The question for an agency is which of two businesses you are in. If you want to run your own agency on Keap, the product is capable and the economics work from about five people. If you want to implement Keap for clients, the marketplace's 255 experts against 88 applications tells you that is the larger ecosystem, and a partner certification exists at no cost in the vendor's catalogue. Decide which one you are doing before you price anything, because the answers diverge.

The Toolkit take
255 against 88
Experts against applications in Keap's own marketplace. The ecosystem is people who configure it, not software that connects to it.
$61 a head
Keap's cost per person for a ten-person agency, covering five categories of software.
1 account
The level at which contacts, the email ratio and list management all apply. Client work in one account shares all three.
$299
The early termination fee on an annual contract, which your client will telephone you about rather than the vendor.
## Running your own agency on it

Start with the fit, which is good. An agency's own operations map unusually well onto what Keap bundles.

New business enquiries arrive through forms on your site and go straight into the CRM with a follow-up sequence attached. Proposals go out as quotes that convert to invoices in a couple of clicks. Retainers go out as recurring invoices. Payment comes through the native processor rather than a separate integration. Discovery calls book through the scheduler. And the pipeline tracks pitches rather than deals, which is the same shape.

That is five tools in one account: CRM, email marketing, proposals and invoicing, payments, and scheduling. For an agency that currently pays for four of those separately, the comparison is not about the CRM line at all.

The entry plan is $299 a month billed monthly or $249 on annual billing, with 1,500 contacts and two user licences[2]. Additional licences are thirty-nine dollars a month each with no published ceiling.

Agency size Keap per month, in dollars Per person
2 people 299 150
5 people 416 83
10 people 611 61
20 people 1,001 50

The curve is the reason this vertical is one of the better ones for Keap. An agency of ten pays sixty-one dollars a head for five categories of software.

Toolkit tip

Settle the client-separation question before pricing anything. One account per client means one required implementation package per client.

## The question we could not answer, and you must

Here is the gap, and it is the first thing to settle.

Agencies often want to run work for clients inside their own tool: separate lists, separate automations, separate reporting, with no chance of one client's contacts receiving another client's email. We looked for Keap's published position on multiple client accounts, sub-accounts or tenant separation, and we did not find one.

We are not going to infer it either way. What we can tell you is what the rules we did find imply. Contacts are metered per account and a contact is defined as a single person recorded in your account[2], which means the same person across two clients is probably two contacts, billed twice. The email ceiling is a ratio of ten emails per recipient across the account[13], which means your clients share one allowance. And automated list management applies to the account, so a contact that has gone quiet for one client is non-marketable for all of them[10].

If you intend to run client work in one Keap account, those three implications are the questions. If you intend one Keap account per client, price that properly: each account is a separate subscription with its own required implementation package.

Being a Keap partner, which is the other business

The marketplace tells the story plainly. Counted with the vendor's own tab filters it carries 88 applications and 255 experts[15]. Nearly three consultants for every integration, and the first listing is an automation agency rather than a piece of software.

That ratio is what happens when a product requires configuration. The vendor requires an implementation package on every plan and explains in its own pricing FAQ why, and its industry index describes matching a customer with a strategist who will identify and implement three automations[3][7]. Somebody does that work.

The catalogue carries a partner certification at no cost[2]. The vendor runs a partner programme, certified partners, a partner portal and a find-a-partner directory. For an agency whose clients are small businesses with messy operations, that is a service line, and it is a service line with less competition than the HubSpot or Salesforce ecosystems where thousands of agencies already sit.

Two cautions. The product's published exit terms are hard, and if you put a client into a contract they struggle to leave, that lands on your relationship rather than the vendor's. And Keap has belonged to Thryv since late 2024, with the acquisition FAQ putting continuity as, for now, all the Keap products and services you know and love will remain the same. Building a practice on a product means reading that sentence as written.

Toolkit tip

Keap's partner ecosystem is less crowded than HubSpot's or Salesforce's, and the certification costs nothing in the vendor's catalogue.

## What agencies should check about the stack

Agencies integrate more than most businesses, and 88 applications is a small marketplace. Check by name: your project management tool, your time tracking, your accounting, your reporting dashboard and whatever your largest client mandates.

The API is the fallback and it is strong: fifteen hundred calls a minute and a hundred and fifty thousand a day per key and secret pair, ten a second for a personal access token, a per-application ceiling of ten thousand a minute from June 2026, a documented spike allowance and a 429 with retry guidance[2]. What is not published is a per-plan monthly entitlement, while the catalogue sells five hundred thousand calls a month for two hundred dollars. An agency building client-facing integrations should get that base figure in writing.

The money, past the subscription

Three ladders sit above the software price, and an agency will meet all three[2].

Implementation is required, at a thousand, two thousand or three thousand dollars matched to the three plans, or a promotional five hundred on the implementation page. Monthly service packages run from fifty-four dollars to three thousand two hundred and ninety-seven, and they are optional; confirm that in writing. Data work is priced separately, with imports at a hundred and ninety-nine, nine hundred and ninety-nine or one thousand nine hundred and ninety-nine dollars and hourly data services at a hundred and fifty.

For an agency, the data ladder is the one to watch. Migrating a client's messy list is exactly the work those prices describe.

⚠️
Watch out

We found no published vendor position on multiple client accounts or tenant separation, and we are not inferring one. Ask for it in writing.

## Exit terms, which agencies should read on a client's behalf

Cancellation must be initiated verbally through a Keap representative, and the vendor's billing policy states that emailed cancellation requests are not acceptable, with ten days' notice required before the billing date[8]. The governing agreement, reached by a redirect from Keap's own terms address, asks for thirty days before the end of the current period and makes termination effective at the expiry of the following one, confines refunds to three days from purchase, and permits fee increases at any renewal[9]. An annual contract carries a $299 early termination fee.

Exports are better than those terms suggest. A free self-service contact export is documented, it omits notes and tags, the link is valid for twenty-four hours, and an account unable to send email may be prevented from receiving it[12]. Tags are where agency segmentation lives, so plan to rebuild that through the API.

Pricing a client engagement, if you implement Keap for others

If you are going to take this on as a service line, the vendor's own catalogue is your price list for the scope of work. It is worth reading as a competitor as well as a partner.

The required implementation package covers a business mapping session, two automations launched for the client, a basic data import, up to fifteen hours of migration, weekly calls in month one, monthly in months two to six, quarterly in months seven to twelve, and up to two third-party tools integrated[7]. The vendor sells that between five hundred and three thousand dollars.

Note the inconsistency, because a client will notice it too. The implementation page says two automations are launched for you. The vendor's industry index says a strategist will identify and implement three automations that address your biggest opportunities right now[3][7]. Two vendor pages, two numbers, same package.

Above that, the ongoing service ladder runs from fifty-four to three thousand two hundred and ninety-seven dollars a month, and the data ladder prices imports at a hundred and ninety-nine, nine hundred and ninety-nine or one thousand nine hundred and ninety-nine dollars with hourly work at a hundred and fifty[2]. Those are the rates you are pricing against.

The gap an agency can fill is visible in the review evidence. Across a hundred reviews we read, support is the dominant theme of the positive ones, at 63% against 42% of the negative ones, and the positive reviews name a person who fixed something. Meanwhile cancellation appears in 57% of the low reviews and in none of the high ones. What customers value is somebody who knows the product and answers. That is a service, and it is the one you would be selling.

⚠️
Watch out

Automated list management applies to the account, so a contact gone quiet for one client becomes non-marketable for all of them.

## What to tell a client before you put them on it

Three things, in writing, every time. It protects them and it protects you.

The first year costs more than the monthly price, because the implementation package is required and is not on the pricing page. The second is that capacity moves one way by itself: exceeding the contact allowance raises the subscription automatically at the next billing date, and deleting contacts does not lower it[11]. The third is the exit: cancellation must be initiated verbally, emailed requests are not acceptable in the vendor's own words, and an annual contract carries a $299 early termination fee[8].

Say all three before the client signs. The alternative is saying them afterwards, which is a different conversation.

The verdict for an agency

As your own system: good from about five people, strong from ten, and the right comparison is against four products rather than one. Resolve the client-separation question first, because it decides whether this is one subscription or several.

As a practice: the better opportunity, and the ecosystem numbers say so. Just go in knowing that you will be the person your client calls about the ten-day cancellation window.

⚠️
Watch out

Data migration is a priced ladder: imports at a hundred and ninety-nine, nine hundred and ninety-nine or one thousand nine hundred and ninety-nine dollars, plus hourly data work.

Frequently asked questions

Is Keap good for agencies?+

For running your own agency, yes from about five people: it replaces a CRM, email marketing, proposals, invoicing, payments and scheduling for around sixty to eighty dollars a head. For managing client accounts, the vendor publishes no position on client separation that we could find, so ask before committing.

Can I manage multiple clients in one Keap account?+

We found no published vendor answer. What the published rules imply is that contacts are metered per account, the email ceiling of ten per recipient applies across the account, and list management applies to the account, so clients would share all three. Get the vendor's position in writing.

How much does Keap cost for an agency?+

Two people pay $299 a month, five pay four hundred and sixteen, ten pay six hundred and eleven, twenty pay one thousand and one. A required implementation package is charged on top, priced between five hundred and three thousand dollars depending which vendor page you read.

Is becoming a Keap partner worthwhile?+

The marketplace carries 255 experts against 88 applications, and the catalogue lists a partner certification at no cost. For an agency serving small businesses, that is a service line with less competition than the HubSpot or Salesforce ecosystems.

## One last thing about the owner

Keap has belonged to Thryv since late 2024, and for an agency building a practice that matters more than it does for a single customer. The traces are in Keap's own properties: the terms-of-service address redirects to the acquirer, the help centre redirects to the acquirer's knowledge base front page rather than to the matching article, the support FAQ offers the acquirer's training academy, and the marketplace login runs on the acquirer's domain.

That last one is worth a moment. The marketplace where your listing would sit, and where your clients would find you, already authenticates against the new owner's identity system.

The vendor's acquisition FAQ puts continuity as, for now, all the Keap products and services you know and love will remain the same. Read it as written, and ask your partner manager what the roadmap commitment actually is before you train three people on the certification.
