Of the thirteen industries Keap names, consulting is the one its own product most resembles. The vendor's consultant page aims at HR, education, IT and immigration consultants, independent or in a firm, and says its CRM helps them close more contracts[6]. The marketplace puts business consulting and coaching first in its industry filter[15].
That alignment is real, and it comes with one piece of arithmetic that decides everything: consultants are usually one, two or three people, and Keap prices the account.
OUR TAKE: The capability fit for a consultancy is the best of any vertical we looked at. Every piece of what you do is in the box: enquiry capture, nurture, scheduling, proposals, invoices, recurring retainers and payments. The problem is that a solo consultant pays $299 a month for a product that includes two licences, which is the worst price per person in the category. Somewhere around three or four people the fit and the price finally agree.
Walk through a consultancy's year and the product keeps matching.
An enquiry arrives from your site, a referral or a talk you gave. A form captures it and triggers a sequence, so the follow-up happens whether or not you remember. A discovery call books through the scheduler, synced to your calendar. A proposal goes out as a quote that the client accepts with a click, and converts to an invoice in a couple more[2]. A retainer goes out as a recurring invoice. Payment arrives through the native processor rather than a separate integration you had to wire up. The engagement ends, and the client enters a long nurture sequence because consulting work recurs.
Then the part consultants underrate: the texts. The product includes a dedicated business number with five hundred messages and a hundred voice minutes on every plan, which keeps client conversations off your personal mobile[2]. Check the geography, because there are three footprints and text marketing is United States only.
Nothing in that paragraph needs a second vendor. For a consultancy currently paying for a CRM, an email tool, a scheduler, a proposal tool and an invoicing tool, that is the whole case for Keap in one sentence.
Count the subscriptions you will cancel on day one. Four or five makes the price defensible at two people; one makes it indefensible at any size.
Keap includes two user licences and charges thirty-nine dollars a month for each one after that[2]. The plan price does not fall for a smaller team.

A solo consultant pays two hundred and ninety-nine dollars a month and uses half of what is included. Against that, a per-seat CRM at thirty to fifty dollars plus a separate email tool and a scheduler will cost well under a hundred, and we rate several of those products a full point higher than Keap.
Add the required implementation package, a thousand dollars at the entry plan in the catalogue or a promotional five hundred on the implementation page[2][7]. A solo consultant's first year is four thousand five hundred and eighty-eight dollars at the catalogue figure.
So the honest line is this. One or two people: the price is hard to defend unless you are genuinely retiring four other subscriptions. Three or more: it starts working, and by five it is competitive for what it covers.
The rule that bites consultancies specifically
Consulting has long gaps. A client engages, the work ends, and the next conversation is eighteen months later. Keap's automated list management is built for a different rhythm.
A contact with no open, click or form submission for four months gets a warning status; at six months it moves to an unengaged, non-marketable status and, in the vendor's words, is not eligible to receive your broadcast emails or automation emails[10]. It is on by default, and a customer cannot manually reactivate such a contact on any edition.
For a consultancy, the people this affects are your past clients and your referral network, who are precisely the list that generates work. The quarterly insight email you send to everyone you have ever worked with is the email this rule stops.
Two mitigations, both real. An engagement signal is not only an email open: a click or a form submission counts, so an email that asks for one interaction can keep a contact marketable. And the thresholds can be adjusted on one edition of the product and not another, so find out which edition your quote is for before you sign.
Most independent consultancies never pass the 1,500 included contacts, which means the plan's weakest feature, expensive included capacity, never bites.
Consultancies have small lists, which is good news here, because Keap's included contacts are its most expensive contacts.
The entry plan carries 1,500 contacts. Most independent consultancies never pass that, and if you do, the first add-on band of a thousand further contacts is thirty-six dollars a month, which is three and a half cents each against just under twenty cents each inside the plan[2].
One rule to respect from the first day. Going over your allowance raises your subscription at the next billing date automatically, and deleting contacts does not bring it back down, because Keap will not remove additional contacts from a subscription automatically[11]. For a business importing a conference list once a year, that matters: deduplicate first.
Your email ceiling is a ratio rather than a volume. Overage starts only after both two hundred and fifty thousand emails sent and an average above ten emails per recipient, which on a list of fifteen hundred means fifteen thousand emails[13]. Invoices, quotes and reminders count toward it alongside campaigns, and for a consultancy that invoices monthly, those add up faster than the campaigns do.
Support, which suits a one-person business
This is where Keap scores better than its reputation, and it matters most to the smallest buyers.
Published phone support runs Monday to Friday from six in the morning to six in the evening Mountain time, chat is available around the clock inside the application, and a Customer Success Manager is included on every plan including the entry one[14]. For a consultant with no technical staff, twelve hours of daily telephone cover is worth real money.
We checked that against the reviews rather than taking the vendor's word. Support appears in 63% of Keap's four and five-star reviews against 42% of its one and two-star ones, and the positive ones name a person and describe a problem that got solved.
Two qualifications. The success manager carries no response time or service level in the governing agreement, so it is a marketing commitment[9]. And the same telephone line is the only way to close the account, which is a different thing.
A past client or referral contact goes non-marketable after six months of silence, and you cannot reactivate it on any edition.
Count the subscriptions you will cancel on the day Keap goes live. If the list is four or five items, the price is defensible at two people and good at four. If it is one item, it is not defensible at any size.
Then settle four things in writing. Which edition you are quoted, and whether its engagement thresholds can be adjusted[10]. Whether unengaged and unsubscribed contacts still count toward your billed allowance, which is published nowhere. Whether the text tier the footnote calls included is really a three-month trial, as the same page's payload says. And the cancellation procedure, which must be verbal, because the vendor's billing policy states that emailed cancellation requests are not acceptable, with a $299 fee for leaving an annual contract early[8].
What to compare it against, honestly
A consultancy weighing Keap is really weighing one account against four or five subscriptions. Here is the shape of the alternative.
A per-seat CRM covers the contacts and the pipeline. Two of the products we rate above Keap start at $9 a seat on annual billing, and the mid-tiers of the cheapest serious options are $23 to $39 a seat. Then an email marketing platform, a scheduler, a proposal tool and an invoicing or payments tool, each at its own entry price.
For one or two people, that assembled stack is cheaper than Keap and we would not pretend otherwise. For three or more it gets closer, and at five the single account is usually ahead once you count the integration work and the four extra renewal dates.
What the stack keeps, and what the suite gives up, is optionality. Every piece of an assembled stack can be replaced or cancelled in writing. Keap cannot: cancellation must be initiated verbally, and the vendor's billing policy states that emailed cancellation requests are not acceptable[8]. That is a real cost and it belongs in the comparison, not in a footnote.

If you do buy it, the order of operations matters more than the configuration. Six steps.
Deduplicate before the import. Nothing in Keap's billing rewards cleaning up later, because deleting contacts does not reduce the subscription by itself[11].
Use the mapping session on the engagement rule, not on the pipeline. The pipeline configures itself in an afternoon. The four and six-month engagement thresholds are the thing that will quietly break your referral marketing, and the session is where to settle them[10].
Build the proposal-to-invoice path first. It is the piece with the clearest return: a quote the client accepts with a click, converting to an invoice in a couple more, paid through the native processor[2].
Then the nurture sequence for past clients, designed around a click. An engagement signal is not only an open, so build in one interaction people will actually make.
Export in week one and read the file. Notes and tags are not in a contact export, and tags are where your segmentation lives[12].
Record the cancellation procedure while nothing is urgent. Ten days' notice on the vendor's pages, thirty in the governing agreement, verbal only, $299 to leave an annual contract early[8][9].
Six steps, and three of them are about limits rather than features. That is a fair description of owning this product.
The verdict
For a consultancy of three or more that wants one system instead of five, Keap is the best fit of the three verticals we examined, and we would say so plainly. The product does exactly what a consulting business does.
For a solo consultant, the same product at the same price is the hardest sell in this category, and the honest advice is to wait until there are three of you or to assemble the stack. The capability is not the problem. The second licence you are paying for and not using is.
The Customer Success Manager included on every plan carries no response time or service level in the governing agreement.
