What Setmore connects to, and what it costs

Setmore lists more than 40 native integrations across payments, calendars, video, websites, marketing and CRM, plus thousands more through Zapier [1]. The hub sorts them into payments, websites, calendars, marketing, CRM, business apps and Google tools. Most of them are free on both plans. The pricing grid puts Square, Stripe, PayPal and LawPay, Google Analytics, Mailchimp, HubSpot, the website widget and Zapier on Free, along with Reserve with Google and the Facebook and Instagram buttons [2]. Only a short list waits for Pro: 2-way calendar sync, video appointments and API access.

The catch is depth. Many connectors push new contacts one way and stop there. For a small salon or clinic that mainly needs payments, a calendar link and a booking button on Google and Instagram, that coverage is more than enough. Also note that some tools on the hub are Zapier recipes, not native links: Drip, Trustpilot, Twilio, Klaviyo, Agile CRM and Google Contacts among them. A Zapier recipe adds Zapier's own plan and its limits.

Connect marketing tools early

Mailchimp, Constant Contact and most CRMs only send contacts added after you connect them. Switch them on before customers start arriving, or plan a one-off CSV export.

Calendar sync: where Free stops and Pro starts

Google Calendar, one way or two

On Free, 1-way sync adds a staff member's Setmore appointments to a chosen Google Calendar. The synced appointments are visible there but not editable. Google events do not flow back, so they do not block your Booking Page. That is the gap that causes double bookings. Pro's 2-way sync exports Setmore appointments and imports Google events in real time [3]. Appointments, classes and recurring appointments export, but Setmore events do not, while Google events, recurring events and multi-day events all import. Setup runs per staff member, after matching time zones.

Two-way sync is what keeps a stylist's dentist appointment in Google from showing up as a free slot on the Booking Page. A team whose staff keep personal events in Google will usually need Pro before double bookings start. When they do, the Google Calendar page adds that Google events can be deleted from Setmore and Setmore appointments rescheduled from Google. One setup mistake is worth avoiding. Linking several staff to the same Google account blocks shared rooms, so give each person their own Google calendar.

How far the sync reaches

The Google Calendar integration page says sync covers the past two months and up to two years ahead. Only appointments booked after activation export to Google, though. That window lets a business turn on sync without flooding Google with old history, and still see bookings far enough ahead to plan staff holidays and seasonal hours. Plan the switch-on before a busy season, not during it.

Office 365 and Apple

Free exports a staff member's calendar to Office 365 one way, and the data can take eight hours or longer to show up. Pro's 2-way Office 365 sync imports events too, but skips class sessions, Setmore events, and recurring or multi-day Office 365 events. Apple sync is one way only: Setmore events go into the Mac or iPhone calendar, but Mac and iPhone events cannot be exported into Setmore, and the iPhone sync starts with one staff calendar. Any other calendar can still receive appointments through the .ics attachments in staff emails.

💡
Toolkit tip
Sync each staff member separately

Turn on 2-way Google sync per staff member, after matching time zones, and give each person their own Google calendar so shared rooms keep working.

Video calls after Teleport

Setmore's own video tool, Teleport, is gone. Its links stopped working after 30 September 2026, recurring appointments had to be updated by hand, and recordings must be downloaded from the Teleport website. The retirement note says Google Meet is now free, with Zoom on Pro. The pages do not fully agree, though. The Google Meet help page still calls Meet a Pro feature, so confirm it on your own account before you promise video calls on Free.

Google Meet links go out in confirmation emails as soon as an appointment is added, and Meet must be connected per team member. Links are generated for one-on-one appointments only, and sessions allow up to 100 participants. Zoom needs Pro and is a one-way integration, with one Zoom user ID per staff profile and a cap of 100 create or update requests a day per Zoom user. Only a Zoom admin can authorize it. Deactivating Zoom removes links from booked appointments. And Setmore says Zoom is not HIPAA compliant.

Taking payments: four processors on Free

Square, and its readers

Square is available on all plans in the US, UK, Canada and Australia, and needs identity verification before taking cards. The Booking Page then accepts Apple Pay and Google Pay through Square. New Square sellers who sign up through Setmore get $5,000 of fee-free processing in selected countries. That makes Square an easy first test. Square Terminal payments start from the Setmore calendar, so bookings and payments stay in sync, and terminal payments work in every Square country except Japan. Square's merchant fees apply unchanged.

Stripe and PayPal

Stripe charges 2.9% plus 30 cents in the US with nothing added by Setmore. On an $80 online booking, Stripe keeps $2.62, by our arithmetic. Stripe also brings Tap to Pay, payment links, saved cards and Instant Payouts, so one processor covers online and counter payments. European customers may be asked for extra SCA verification, and manual card entry is not allowed there. PayPal needs a Business account and takes PayPal, Venmo for US businesses, cards, Apple Pay and Google Pay on the Booking Page. It cannot take in-person payments from the calendar. Integrations set up before 13 June 2024 must be resynced.

LawPay and QuickBooks

LawPay is available to US users on Free, Pro and Team at 2.95% plus $0.20 per card transaction, and prepayment can be optional or mandatory. Setmore's LawPay page says payments can be routed to IOLTA trust accounts in line with ABA rules. On a $300 consultation, LawPay keeps $9.05, our arithmetic, which suits firms that collect retainers through the Booking Page. The QuickBooks link sends cash and card payment details, including Booking Page payments, to QuickBooks Online. It does not work with QuickBooks Self-Employed. It is also one way, so QuickBooks data does not sync back.

Getting found: Google, social and your website

Reserve with Google and tracking

Reserve with Google adds a Book button to your Business Profile in Search and Maps in more than 80 countries. Setup confirms your address, services and Google verification, then submits to Google. It is on Free and Pro, but retail cannot use it and Android cannot set it up. For walk-in businesses such as barbers and nail salons, that button can be a busy channel, since people searching nearby book straight from the listing.

To measure it, paste a Google Analytics measurement ID to track Booking Page visitors, time on site, bounce rate, traffic sources and the share of visits that became bookings. Data starts within 24 hours and only after enabling, and it does not cover your main website. Google Tag Manager is free and connects with your container ID, and Setmore says it tracks views, clicks and scroll activity. Use it to fire ad conversion tags on completed bookings.

Facebook and Instagram

A Book Now button on your Facebook page lets customers book and pay from the page or posts. Confirmations can go to Messenger, with a reminder an hour before. Featured Services shows up to ten services and can be edited only once, so choose them carefully and lead with what people book from social media, not your full menu. Facebook Pixel tracks Booking Page conversions, which shows which ads fill your calendar.

An Instagram business profile linked to a Facebook business page gets a booking button, and paid promo posts can carry one too. Video links go out automatically for Instagram bookings of video services. Instagram photos can also stream into the Booking Page gallery, filtered by hashtag, from a Business or Creator account. On Free the hashtag is fixed to #bookwithsetmore. Pro lets you choose.

Website builders and Gmail

The WordPress plugin embeds a Book Now button through the [setmore] snippet. Wix uses HTML Embed tools, Weebly opens the page in a lightbox or a new tab, and Jimdo gets generated button code. Squarespace and Square Online take embed code, while Shopify needs code pasted into a Custom liquid section of the theme. Joomla, Drupal and Muse work the same way. No site at all? A Gmail add-on books appointments from the inbox, and a Book Now image in your signature links to the Booking Page. Our Booking Page guide covers what visitors see once they click.

CRM and email marketing: mostly one-way feeds

Email tools

Each new customer from the calendar, Booking Page or mobile app is added to a chosen Mailchimp list. Only contacts added after connecting are sent, and only default fields such as name, email and phone, not custom fields. Existing customers need a one-off CSV export. Constant Contact works the same way on Free and Pro: new customers only, with fields matched before activation. MailerLite connects natively with an API key and sends contacts to a subscriber group, while Klaviyo and Drip run through Zapier, where new Setmore customers become Klaviyo profiles in real time.

CRMs, from HubSpot down

HubSpot is the deepest CRM link. The help article describes a two-way contact sync: new Setmore contacts export to HubSpot, new HubSpot contacts import into Setmore, and updates sync both ways. First name and email are required, and deleting a contact in one app does not delete it in the other. Zoho CRM exports new Setmore contacts, with an optional two-way sync for new Zoho contacts, but its integration page says only contacts created after activation are pushed and edits in Setmore are not mirrored. The two pages describe the sync differently. Test it.

Salesforce receives new Setmore contacts one way, with fields mapped during setup. It does not support the Enterprise edition of Salesforce, and appointments are not synced as activities in the help article we read. Larger sales teams should check their edition. Keap receives new contacts one way, Insightly connects with an API key, and Serviceminder takes new contacts into target lists. Clio receives new contacts one way too, and appointments do not appear in Clio. So a phone number corrected in Setmore will not reach these tools on its own. Expect some manual tidying.

⚠️
Watch out
One-way feeds do not follow edits

Salesforce, Keap, Clio, Mailchimp and Constant Contact receive new contacts only. A phone number corrected in Setmore will not reach them on its own.

Help desks, Slack and phone answering

Slack posts alerts for new, updated or deleted appointments and customers to one chosen channel. It is a one-way feed. The Zendesk app shows the Booking Page in a sidebar so reps can book while resolving tickets, and bookings update the Setmore calendar instantly. Freshdesk agents book from their dashboard through a plugin set up with a Setmore API key. In Intercom Messenger, a booking button lets visitors pick a service and time and pay in the chat. It shows only on desktop devices.

For phone bookings, AnswerConnect and AnswerForce call agents book directly into the Setmore calendar, and AnswerForce bookings trigger reminders automatically. LEX Reception provides 24/7 legal receptionists who answer calls, qualify leads and book into Setmore, on Free and Pro. Setmore's own Live Receptionist, at $99 a month for US businesses, answers calls and books into the calendar with call notes, tags and CRM syncing, and it includes Pro.

Zapier and the API: filling the gaps

Zapier links Setmore to thousands of apps. Using appointments as a trigger needs Pro, and the integration handles service appointments, not class bookings. Actions can create Setmore contacts and appointments, and an Appointment Deleted trigger fires on cancellations. That trigger is the closest thing Setmore has to a cancellation webhook, so a business that wants a spreadsheet, a chat channel or a CRM updated when a customer cancels will usually build it in Zapier. Help articles cover recipes for Google Sheets, ClickUp, Asana, Trello, ActiveCampaign, Twilio and more. A Twilio recipe can text every new booking.

Read those articles carefully. Several of them, for ClickUp, Monday.com, Drip, Discord and Gemini, describe syncing to Google Sheets, a copy error in the help center. The REST API is Pro only, granted by email, with ten endpoints for staff, services, slots, customers and appointments and no webhooks [4]. It suits custom booking front ends. For most integrations, the native connectors and Zapier are faster. Our Setmore API guide goes endpoint by endpoint.

Health accounts, Enterprise and new requests

Setmore Health accounts switch off classes and reviews and simplify notifications. Zoom is not HIPAA compliant per Setmore, and multiple locations are not supported for HIPAA accounts. Check every connector against your BAA before sending patient data. At the other end, Enterprise accounts get custom integrations for larger teams, with a dedicated account manager. A chain with its own CRM or data warehouse should ask for them before building on the public API.

If a tool you need is missing, integration requests go to moreintegrations@setmore.com, and Setmore also runs beta sessions where customers try new features and integrations first. Keep in mind that the help center is not always consistent. Older pages put Stripe and PayPal on Pro, while the pricing grid lists them on Free. When a feature you depend on appears on Pro in one place and Free in another, test it on a Free account and ask support in writing.

Setmore next to Calendly and Acuity

Calendly Teams syncs meeting activity to Salesforce, and Calendly Standard connects HubSpot, Mailchimp, Zapier, Google Analytics and Meta Pixel. Calendly's API offers webhooks. Setmore offers payment processors and website builders that Calendly lacks, but its CRM links are shallower. Acuity's developer API is signed with webhooks for scheduling, rescheduling and cancellations, which Setmore lacks. Setmore's Free plan, however, connects four payment processors and Reserve with Google at no cost, while Acuity has no free plan. The trade is simple. Setmore wins on free coverage, its rivals on depth.

What to connect first

Connect a payment processor first, then calendar sync, then Reserve with Google and the Book Now buttons on your website and social pages. Add Mailchimp or HubSpot once customers start arriving, since most connectors only send new contacts. That order matters. The first bookings flow straight into your calendar and your bank account, and the marketing tools receive customers from day one instead of missing everyone who booked earlier. For what each plan costs once you add Pro, see our Setmore pricing guide.

The bottom line

Setmore covers the integrations a service business needs most, payments, calendars, video, website buttons and Google booking, and most of them cost nothing on Free. Its CRM and marketing links are mostly one-way contact feeds, HubSpot aside, and its API has no webhooks. Zapier fills the gaps on Pro. If your staff keep personal events in Google or Outlook, budget for Pro early. If you mainly need to take payments and get booked from Google and Instagram, Free will carry you a long way.
