This checklist is for anyone about to put a card into Canva: a freelancer moving from Free to Pro, a marketing lead choosing between Pro and Business, or an office manager asked to buy seats for a team. Each item comes from Canva's own pricing page, help centre or terms, read for the US market on 9 October 2026. Work down the list before the trial starts, not after.
1. Count the people, not the projects
Pro is for one person. "Only one person can use a Canva Pro account." [2] The moment a second person needs their own login, the plan is Business, priced per person. Inviting a team member from Pro prompts the upgrade [17]. Write down how many people need to edit, not only to view. A share link set to "anyone with the link" lets people view a design, or edit it if you choose [47], but every member of a Business team uses one paid seat [19].
Cancel two days before the trial end date.
On team plans only owners and administrators can cancel [16]. Make the account owner a role, not a person who might leave: a shared admin mailbox for billing, and at least two admins. Invitations go to email addresses, and the invitee must have a Canva account with that same address [19]; settle which address each person will use before you send invitations, or you will pay for seats that sit unaccepted.
2. Price the team in a straight line
Business is US$250 per person a year or US$25 a month, with no seat minimum and no published volume discount below Enterprise [2]. Five people cost US$1,250 a year at list price; ten cost US$2,500. If the number is approaching what an Enterprise quote might look like, ask sales before you commit, but expect a conversation rather than a price list.
Buy on the web, not through an app store, if you want Canva's billing tools.
Two people who each need their own login can buy two separate Pro subscriptions, US$288 a year in total, or one two-person Business team at US$500. Our arithmetic. The US$212 difference buys a shared team workspace, team Brand Kits with approvals, ad insights, and the higher AI allowance. If the two of you rarely work on the same files, two Pro plans are the cheaper route.
2b. Watch for the true-up email
On a yearly Business plan, Canva emails the admin before charging for members added mid-term and allows a notice period to change the team size [2]. That email is your chance to remove seats before they are billed. After the charge, the terms rule out refunds for removed seats [10].
Cancelling legacy Teams is permanent.
On 9 October 2026 the US pricing page showed Pro at US$144 a year; the archived page from 5 August showed US$180 [85]. Monthly Pro was US$18 in both. Screenshot the price you are offered, with the date, and check that it is the figure on your first invoice.
4. Decide how much AI you need
Each plan has a monthly AI allowance: up to 20 Standard or Premium uses on Free, up to 200 Premium or 20 Ultra on Pro, up to 400 Premium or 40 Ultra on Business [4]. Standard tools are unlimited on paid plans. If your work runs through image or video generation every day, price AI Pass now: it is US$100 per person per month [5].
Plans bought from unauthorised resellers are not refunded.
Standard AI tools, such as Translate and Magic Write, do not draw from the allowance on paid plans other than Pro Lite; Premium and Ultra tools do [4]. List the three or four AI tools you expect to use weekly and look up their tier in the help centre before choosing a plan. A team that mostly resizes and translates will rarely touch its allowance; a team generating images and video every day will.
5. Know that allowances are personal
"Allowances aren't shared or pooled across the team or organization." [4] A team of five on Business does not get one pool of 2,000 Premium uses; each person gets up to 400. If one person does most of the generation, that person may need AI Pass or top-ups while colleagues leave allowance unused.
6. Do not judge the AI from the trial
"Canva Pro and Canva Business free trials include the same size allowance as Canva Free." [11] The trial shows you the editor, the templates and the team tools at full strength. It does not show you the paid plan's AI. If AI is the reason you are buying, you can end the trial early from Billing and start paying, which unlocks the full allowance immediately; remaining trial days are lost.
6a. Decide who buys AI Pass
On Teams and Business, only owners and admins can buy AI Pass, for themselves or for a named member from the People page [5]. Members cannot buy it alone. On a monthly plan AI Pass is billed monthly. On a yearly plan it can be monthly or yearly, and a yearly add-on is charged pro rata for the rest of your plan year [5]. Agree a rule before the first request arrives. Otherwise the admin becomes the AI budget.
6b. Test the team during the trial
During a Business trial you can invite team members, and you are not billed for them while the trial lasts [2]. Invite the real team. A trial run alone tells you little about approvals, shared Brand Kits or the admin tools.
7. One trial per card
The trial is available "once per Canva account and once per payment method" [11]. A second account with the same card will not get a second trial. If several colleagues plan to test Canva separately, agree whose trial counts.
8. Mind the clock on the last day
"Our billing system runs on UTC (Coordinated Universal Time)." [13] In US time zones a trial can convert to a paid plan a day earlier than the date you had in mind. Cancel at least two days before the end date shown in Billing if you do not want to be charged.
8a. Look for a second account before you pay
Signing in with Google, Microsoft or Apple and with an email address can create separate Canva accounts, each able to hold its own subscription [22]. Before buying, check Billing in every account you may have used. Banks can keep a subscription alive after a card expires, and a failed payment can go through after several attempts [22]. If a charge looks wrong, those are the first three things to rule out.
9. Assume no refund
"In most cases, Canva subscriptions aren’t refundable, as outlined in our Terms of Use." [12] Every request is reviewed and some are granted, but the default answer is no. The Terms of Use add that when you cancel, the plan ends at the end of the billing cycle and "you will not be entitled to a refund of any fees already paid" except where the law requires [10]. Choose monthly billing first if you are unsure.
9a. Know how charges will appear
Canva charges appear as Canva, as Canva with an invoice number, or as an Apple or Google charge for app-store subscriptions [15]. Tell whoever reconciles your card statement which descriptor to expect. Business teams can also receive quarterly bills when members are added or removed, so a second Canva line in a quarter is not necessarily an error [22].
9b. Upgraded by mistake? Ask fast
The help centre says that a Teams customer who upgraded to Business by mistake should contact support to return to the previous plan [18]. It does not promise the outcome. Ask on the same day. Keep the confirmation email.
10. Buy in the right place
Subscriptions bought through Apple or Google are cancelled and refunded through those stores, not by Canva [12]. AI Pass cannot be added to an app-store subscription [5]. Buy on the web if you want Canva's billing tools, and avoid third-party sellers altogether: Canva will not refund plans bought from unauthorised resellers [21].
10a. Choose your billing period on the web
Switching between monthly and yearly billing is available only for plans bought in a web browser with a saved payment method, not in the mobile apps [15]. If you expect to start monthly and move to yearly once you are sure, start on the web.
11. Read the price-change clause
The Pricing Promise says Canva will give at least 60 days' notice of a price change [9]. The Terms of Use say an increase "will not apply until your next renewal or thirty (30) days after notice, whichever is later" [10]. Plan around the contract. Canva's prices have moved twice in a year: Business from US$20 to US$25 a month per person [8], and Pro's yearly figure between captures.
12. Check the licence against your business model
If you sell designs on merchandise, or design for clients, Canva's licence allows it. If you want to sell templates, those containing Pro content can be sold only as Canva template links [42]. Pro content is licensed for a single design [43], and IP indemnity is an Enterprise feature [2]. If you resell stock-heavy designs at volume, read the content licence end to end.
12a. Check print delivery before promising a date
Canva Print delivers within the same country, or within the same region in Europe; shipping between regions is not available, and the United States also offers in-store pickup at select stores [76]. Delivery takes longer for photo books, banners and yard signs, and for rural addresses [75]. If clients receive printed material in several countries, plan an order per country.
12b. Turn on Brand Controls if consistency matters
A Brand Kit stores logos, colors and fonts; Brand Controls restrict members to the kit's colors and fonts [40]. Without controls, a kit is a suggestion. If your reason for buying Business is brand consistency, switch controls on as part of setup.
12c. Selling templates? Mind the file type
Canva separates templates from finished products. A wedding invitation the buyer fills in is a template; an e-book is not [42]. Templates you sell must be original designs. If they contain Pro content, you can sell them only as Canva template links: "You can’t sell templates with Pro Content as a PDF or other file types, whether flattened or not." [42] Selling your own stock content made from Canva elements is not allowed either. A pixel limit applies to Pro content inside e-books [42]. If you sell on a marketplace that requires a downloadable file, build those templates from free content or your own work.
13. Switch off AI training on client work
Canva's privacy policy allows it to use your content to train its models, with an opt-out in your privacy settings [47]. Education accounts are excluded. If you upload client files, logos or unpublished material, turn the setting off before the first upload and keep a screenshot for your records.
13a. Regulated data needs Enterprise
If your organisation must keep data in a region, check the plan first. Data residency is available only on Enterprise, Campus and District plans, only for the US and EU, and the setting locks for 30 days after any change [71]. SSO with SAML 2.0 is also an Enterprise setup [70]. Pro and Business have neither.
13b. Know the Trash window
Deleted designs stay in Trash for 30 days. After Trash is emptied, support may restore items if contacted within 14 days [93]. That is the whole safety net. Export finished client work to your own storage.
14. Know what happens when you leave
Cancelling stops future payments and keeps paid features until the end of the billing period. Designs stay accessible on Free, and Affinity stays free [13]. A cancelled Business team moves to the free plan with its designs and Brand Kit content retained [13]. Pausing is an alternative: Pro, Teams and Business plans can be paused for up to three months without charges [13]. If you are on legacy Teams pricing, note that cancelling is permanent and the old price cannot be recovered.
14a. Pause instead of cancelling, if you will be back
Pro, Teams and Business plans can be paused for three months with no charges, then resume automatically [14]. On a yearly plan the pause is available only in the last two months before renewal, and it is not available for iOS App Store subscriptions [14].
14b. Leaving Business does not restore Pro
If you upgraded from Pro to Business and later cancel Business, your Pro plan is not reinstated; you buy Pro again at the current price [17]. Designs made inside the team workspace stay in it, so download what you need before removing members [17].
14c. Check whether your organisation can remove you
If your employer manages Canva accounts on your company domain, it can remove you from external teams you joined on your own, with up to 30 days' notice and up to 30 days to copy content across [20]. Freelancers using a client's domain email should keep their own work in a personal account.
15. Check the free routes first
If you teach at an eligible K-12 school, Canva Education is free [25]. If you work for a registered nonprofit, one team of up to 50 people gets Pro features free [23]. Both routes require verification, so apply before you pay for a plan you may not need.
15a. Nonprofit verification, step by step
Canva for Nonprofits is meant for registered nonprofits, charities, and qualifying social-impact or public-health organisations [23]. You apply from Billing, choose the right category, and upload a document accepted in your country. Canva answers by email, in most cases within 72 hours [23]. Rejections usually come from the wrong category or weak proof of affiliation; the fix is a signed letter of affiliation or another document showing your name, role and organisation [23]. Use an email address on the organisation's domain where you can.
15b. Education eligibility, step by step
Canva Education is for certified K-12 teachers in a currently teaching position, school librarians, learning support staff, curriculum specialists and teachers at technical or vocational schools serving K-12 students [25]. Students join through a teacher's invitation. Universities are not covered; they use Canva Campus, priced on Enterprise terms [29]. If you are a university lecturer, plan for Pro or Business.
