This checklist is for the person who signs the Figma order: a design lead, an operations manager, or a founder buying for a product team. Each item is something to confirm before checkout, with the page where Figma says it. Prices are US list prices read on 9 October 2026, before tax [2].

1. Count editors, builders and watchers

List every person who will use Figma, then sort them. People who edit designs need a Full seat. Engineers who inspect and build need a Dev seat. People who only work in FigJam or Slides need a Collab seat. Everyone else can have a free View seat [92].

This sort decides the bill more than the plan does. Figma keeps seats and file permissions apart: a seat decides which products someone can use, and permissions decide which files they can open or edit [128]. By our arithmetic, two designers, three engineers and five reviewers cost US$996 a year on annual Professional, against US$1,920 if all ten held Full seats.

## 2. Choose the plan by structure, not by features

One team? Professional. Several teams that share libraries and fonts? Organization [93]. Workspaces, SCIM and billing groups across departments? Enterprise [127].

Professional is "a single upgraded Figma team" [90]. If you already run three teams, you are an Organization buyer whether you want to be or not. If you are not sure what you have now, the file browser sidebar tells you: All folders means Starter, Education or Professional; All teams means Organization or Enterprise; All workspaces means Enterprise [139].

3. Price both billing cycles

On Professional, compare US$20 monthly with US$16 annual per Full seat [2]. Our arithmetic: annual saves 20% on Full and Dev seats and 40% on Collab seats. Organization and Enterprise are annual only [2].

If your headcount will change within the year, read item 6 before choosing annual. Monthly Professional has no renewal window at all: you can change seats at any time, and unassigned seats are not renewed for the next month [90].

## 4. Check what free covers before upgrading

Starter allows one folder with three Design or Sites files, three FigJam files and three Slides files [129]. Version history is 30 days and there is no Dev Mode [129].

On Starter you can invite collaborators to drafts only with view access [129]. A team that goes over the limits shows a Locked label until files are moved or removed [153]. For a student or teacher, the Education plan is free with Professional features [3]. Apply before you buy.

5. Set seat approvals before inviting anyone

Admins choose one of three approval settings per seat type: manual, manual unless a seat is available (the default), or auto-approve [138]. Auto-approve purchases a new seat whenever none is free [138].

Set manual approval on day one. Then invite. While a request waits, the person can use the requested seat for up to three days [5]. If you do choose auto-approve, switch on the daily or weekly email digest that lists new paid seats [131]. Several Trustpilot reviewers describe seats assigned without their noticing [167].

Organization plans bought online can only be cancelled by email in the last 30 days of the term.

## 6. Understand mid-term additions

On annual Professional, seats added during the year go on a separate monthly subscription at the monthly price [90]. On Organization and Enterprise they are prorated to the end of the term and invoiced quarterly [91].

To stop paying the monthly rate, add the same number of annual seats; Figma converts the monthly seats and charges a prorated fee on the next invoice [90]. Calendar a quarterly seat review. It costs nothing and catches drift.

7. Know that removals are not refunds

Moving a person to a View seat frees their paid seat for someone else but refunds nothing [138]. Seats are reduced only at renewal [92].

Downgrading someone to View also has a file cost: draft files owned by that person stop being accessible to other collaborators unless they are moved to a shared folder or transferred first [92]. Move the drafts, then move the seat. Order matters.

## 8. Mark the renewal window

Thirty days before an annual renewal, a banner opens a seat-review window [92]. For order-form customers the banner appears 60 days ahead, and reductions may need a new order form before the 30-day period [91].

Renewing fewer annual seats than you have assigned does not remove anyone: on Professional the remainder are billed monthly until you move those people to View seats [90]. Put the window and the review in a calendar on the day you buy.

9. Read the cancellation path for your plan

Professional: cancel in admin settings; access runs to the end of the period [137]. Organization bought online: cancel only in the 30 days before the term ends, by email to support [59]. Order forms: the order form decides [3].

Not renewing an annual Professional plan is not the same as canceling; the FAQ says the seats would then be paid monthly [3].

10. Plan the downgrade before you need it

Before downgrading to Starter, files must fit within its limits or the team is locked; published Sites are unpublished and custom domains on Make apps are removed [137]. Download invoices first [137].

Downgrading or canceling does not delete the account [137]. To delete a Professional team, you must cancel the subscription first [137].

11. Budget AI as a separate line

Included credits: 3,000 a month per Professional Full seat, 3,500 on Organization, 4,250 on Enterprise, 500 on other seats [94]. Figma describes seat credits as room to try and explore AI features [96].

Extra credits come by subscription or pay-as-you-go, priced only in the admin dashboard [96]. Subscription tiers do not stack; a higher tier replaces the old one [95]. Ask sales for the rate in writing. Then decide.

12. Set per-person AI limits

Admins can give each person full access to paid credits, a custom monthly limit, or none [143]. On Enterprise, credits can be set aside per billing group [95].

The default matters: every user starts with full access to the plan's paid credits [143]. Start with a limit for everyone and raise it for the people who ship with Make.

13. Cap pay-as-you-go

Pay-as-you-go has a monthly spending limit, and changes take effect immediately [95]. Credits already used are billed even if you lower the limit afterwards [95].

Figma's example: a team with a US$500 limit has used US$450 when the admin lowers it to US$300; usage stops, and the US$450 still appears on the next invoice [95].

14. Test the cost of a real prompt

You cannot see what a Make or agent prompt costs before it runs; you can see it afterwards by hovering over the credit icon [94]. Failed or undone actions are not refunded [94].

Plan mode in Make generates a plan before any code, and the build after it consumes credits separately; Auto fix and Fix for me do not use extra credits [94]. Run three typical tasks in a trial file and record the credits. That number is your budget unit. Measure, then budget.

15. Decide on content training

Content training is on by default for Starter and Professional, off for Organization and Enterprise [99]. Turning it off affects new content and edits only [56].

If you hold client work under NDA on Professional, switch it off before the first upload. Figma for Government switches it off automatically [133].

16. Check MCP limits for developers

If engineers will use the MCP server with coding agents, check their seats. View and Collab seats get 20 tool calls a month; Dev and Full seats get 200 a day on Professional, rising to 600 on Enterprise [155].

Only clients listed in Figma's MCP catalog can connect [155]. Education plans get the Professional Dev and Full limits [155].

17. Confirm the support channel you will get

Starter and Education support runs through the community forum; paid plans get email support, with no phone or live chat [152]. Support works Monday to Friday [152].

Email support is offered in English, Japanese, Spanish, Portuguese, Korean, French and German [152]. Open cases while signed in to the paid account, or the request is routed as a free-plan question [152].

18. Check security paperwork

Ask for the SOC 2 Type 2 report and ISO 27001 certificate [37]. SSO and domain capture start on Organization, as does SCIM provisioning; setting seat types through SCIM is Enterprise only [125]. EU file hosting exists [84].

Governance+, the Enterprise add-on, adds IP allowlisting, network restrictions and enforced two-factor authentication [37].

19. Check tax and currency

Prices on Figma's website exclude sales tax and VAT [141]. In the US, sales tax is added only in the states Figma lists; tax-exempt companies can send a signed certificate to support [141].

New plans can be billed in US dollars, euros, pounds, Canadian dollars or yen [140]. Pick the currency your finance team reports in before the first invoice.

20. Know the payment-failure rules

Figma retries a failed payment for up to 21 days; continued failure can lock the account to view-only [142]. Keep a backup card on file for annual renewals. Renewals fail quietly.

Paying the Stripe invoice directly with a new card makes that card the default for future charges [142].

21. Screenshot the page you bought from

Figma's pages disagree in places. A billing example charges US$15 for a monthly Full seat priced at US$20 [90], and the Education term differs between the FAQ and the help center [98]. Save the pricing page and FAQ with the date of purchase.

22. Look at the reviews by topic, not by star

Trustpilot shows 2.0 from 241 reviews [167]. In our 100-review sample, 32 concern billing, seats or cancellation; positive reviews mostly praise the product and dock it for price [167]. App stores show 4.6 on iOS [168].

23. Price the alternatives honestly

Penpot is open source and free in its hosted Professional plan, with a paid tier at US$7 per editor capped at US$175 a month [171]. Sketch's Standard plan is US$12 per editor a month billed yearly [172]. Canva is simpler for non-designers [170].

None matches Figma's mix of design, handoff and collaboration. Price them only if that mix is more than you need.

24. Agree who owns the admin role

Professional allows as many team admins as you need [3]. Name two, so renewals and seat requests never wait on one person's holiday.

25. Decide who may publish websites and apps

Figma Sites and Figma Make can publish live sites and apps. Organization and Enterprise admins get a setting to turn website and app publishing on or off [3]. Professional plans can connect 10 custom domains, shared between Sites and Make [101].

Decide before someone publishes a client prototype to a public address. Public means public.

26. Check what usage reporting you will get

Admins on every paid plan see current AI credit use per person [95]. Historic usage and CSV exports are for Organization and Enterprise only, and reporting by feature is not available [95]. Enterprise adds an AI Usage API with up to a year of per-user, per-day data [95].

27. Know where drafts live

Since 9 October 2025 every draft belongs to a team; Figma moved any remaining loose drafts into a team, and created a free Starter team for people without one [153]. On Starter, drafts can be shared with unlimited viewers but not co-edited [153].

28. If students are involved, read the Education rules

Education verification runs through SheerID [98]. Education users get 3,000 AI credits a month and cannot buy more [97]. Free Education members and paid members cannot share one Professional team [97].

29. If you are an agency, plan for guests

On Organization, people with email addresses from other companies become guests [137]. In 2024 Figma announced Connected Projects to let freelancers and agencies co-edit with clients on existing seats [5]. Confirm with sales how your client work will be billed.

30. Check version history needs

Starter keeps 30 days of version history; every paid plan keeps it without limit [93]. If you need an audit trail of design changes, that alone justifies a paid plan.

31. Match design-system needs to the plan

Design-system teams should check three lines in the plan comparison. Variable modes run to 10 per collection on Professional, 20 on Organization and unlimited on Enterprise through extended collections [93]. Code Connect, which links design components to production code, starts on Organization [93]. Branching and merging, shared fonts and private plugins also start on Organization [93].

If your theming needs more than ten modes, Professional is not the plan, whatever the team size.

32. Know which products are still in beta

The pricing page marks Figma Motion and Figma Sites as betas available on Full seats, and Figma Buzz as a beta on all seats [2]. Buzz is free while in beta [3]. The FAQ says Figma will decide with the community when Sites and Buzz are ready for general availability [3].

Beta terms can change. Do not build a client deliverable on a beta product's current limits without a fallback.

33. Plan a move from Professional to Organization

If you expect to outgrow Professional within the year, read the upgrade rules now. Figma credits the unused part of Professional subscriptions to the first Organization invoice, monthly or annual [137]. The upgrade needs a work email address, turns outside collaborators into guests, and makes the teams unavailable while they move [137].

Annual Professional is therefore not a trap if you upgrade, but it is if you shrink.

34. Check what free viewers can already do

Before buying a seat for a stakeholder, check whether View is enough. A View seat can view and comment on files it has access to, export files and see redlines [3]. Viewers can also inspect from view-only design mode: measurements, property values, CSS, iOS and Android code, and asset exports [3].

Engineers who only need to measure and export may not need a Dev seat at all. Those who need statuses, change comparison or the MCP server at full limits do [118].

35. Know that AI can be switched off

If AI is a compliance problem rather than a budget one, admins can disable AI for the whole plan; users then cannot run Figma Make or the image tools [94]. Enabling AI features and allowing content training are separate settings [99].

Write down which of the two your policy requires before the first designer opens Make.

36. Check how you can pay

The upgrade guide says new Professional upgrades accept credit cards only, and that PayPal, ACH and wire transfer are not available [137]. The pricing FAQ lists credit cards, debit cards and SEPA direct debits, and says invoicing may be possible on Organization [3].

If your finance team pays by invoice or bank transfer, that points to Organization or a sales order, not Professional.
