Why workspaces, not seats, drive an agency's bill

Many social media tools charge an agency for every person who logs in, so a new designer adds cost before adding a client. Sendible flips it. Its agency page says cost scales with workspaces, not people, that each client gets its own workspace, and that users are unlimited on every plan [1]. Account managers, interns and each client's marketing contact can all be invited without the price moving. The plan choice becomes a count of clients.

A workspace is a dedicated area for one client, brand or location, with its own content, calendar, messages, reports and queues. Each one bundles 6 social profiles, and the agency page says those profiles can be spread across your workspaces however suits your roster. A client with nine profiles and a client with three can therefore share two workspaces between them. Sendible's own best practice is to connect a profile once and share it wherever it is needed. One feature deserves a note on day one. A workspace can pause all publishing, and paused posts then show as sent inside Sendible even though they never went out.

There is a transition to keep in mind. Sendible announced workspaces on August 18, 2026 and is rolling them out progressively, so some help pages still describe the older plans and their per-user allocations. If your account predates the change, confirm which model your subscription runs on before planning a roster around it. Everything below describes the current workspace plans.

⚠️
Watch out
Prepaid plans are not refunded

Sendible gives no refunds for prepayment or proration, so a yearly plan bought for a larger roster stays paid if clients leave.

Monday: bringing a new client in with Client Connect

The week starts with a signed contract and a client who must hand over access. Client Connect handles that without passwords. It is a widget you embed on a page of your agency website, and the client signs in to each network there and adds the profiles to a workspace directly. Sendible's comparison pages describe it as included on every plan. Since the summer of 2025 it also covers TikTok, Threads and Bluesky, and it emails clients a reconnection link when a connection expires, sent to the address entered when the profile was added, which cannot be changed, so ask each client for a durable address.

Three details catch new users out. Profiles added through Client Connect always land on the main admin user first, even when another user generated the widget, so someone must share them into the client's workspace before scheduling. Instagram reminder profiles and WordPress profiles cannot be added this way at all. And Sendible supplies only the widget code, with no support for installing it on your site. For Facebook, the help center notes that a Page belongs to one Business Suite and that agencies should ask for Partner access rather than People access. Our guide to Sendible Client Connect walks through the full setup.

Toolkit tip
Share profiles into workspaces

Client Connect drops new profiles on the main admin user. Share them into the client's workspace before scheduling the first post.

Which plan fits 5, 12 or 25 clients

Every Sendible price is per plan, and the only thing that grows with your roster is the number of workspaces. Nobody pays for a login. Yearly billing takes 15% off, and extra workspaces of six profiles each can be added or removed at any time in the subscription settings [2]. Here is the grid we read on the pricing page.

Plan Workspaces (profiles) Billed monthly Billed yearly Extra workspace, monthly
Core 1 (6) $35 a month $29.75 a month $35 a month
Plus 3 (18) $99 a month $84.15 a month $30 a month
Premium 7 (42) $199 a month $169.15 a month $25 a month
Elite 15 (90) $299 a month $254.15 a month $20 a month
Enterprise 50 (300) $750 a month $637.50 a month $15 a month

The cases below assume one workspace per client, which holds as long as each client stays at six profiles or fewer; a client with eight profiles borrows from another workspace or needs a second one. They also assume monthly billing unless we say otherwise. All totals are ours, not the vendor's. Every figure in them comes from the grid above.

Five clients

The cheapest fit is three included workspaces plus two extras. That comes to $99 + $60 = $159 a month billed monthly, by our arithmetic, or $84.15 + $51 = $135.15 a month on yearly billing. The step above costs $199 a month billed monthly and includes seven workspaces, so two more clients fit without another purchase. The $40 a month between them buys content libraries, campaigns, branded reports and multi-step approvals. If clients expect a branded monthly report, the bigger plan is the honest choice. If they only want posts approved and a quick report, stay small.

Twelve clients

Here the arithmetic flips. Seven workspaces plus five extras cost $199 + $125 = $324 a month billed monthly. Fifteen included workspaces cost $299 a month on their own. The two routes cost the same at eleven clients, and from there the larger plan wins on price while adding dynamic fields, advanced role-based permissions and a third Report Hub report per workspace. On yearly billing the gap holds: $169.15 + $106.25 = $275.40 a month against $254.15 a month. Move up at eleven.

Twenty-five clients

Fifteen workspaces plus ten extras come to $299 + $200 = $499 a month billed monthly, or $254.15 + $170 = $424.15 a month on yearly billing. The top plan costs $750 a month billed monthly for fifty workspaces. Adding extras at $20 a month stays cheaper than that up to 37 workspaces ($299 + $440 = $739 a month, by our arithmetic). So at twenty-five clients, the top plan is not a price decision. It is about single sign-on and custom integration; the pricing page's plan cards already list a dedicated account manager from Premium. Buy it for those, not for capacity.

Count workspaces at eleven clients

Around eleven one-workspace clients, the plan with fifteen included workspaces costs no more than seven workspaces plus extras. Recheck the plan whenever you sign a new client.

Tuesday: building a month of content in bulk

Content day is where the plan gates bite. Profile lists let you post to up to 50 profiles in one go, which suits a promotion across several clients. They come with limits. A profile list is for posting only, it shows no post previews, it cannot carry PDFs or tags, and it cannot produce reports for the posts sent to it. X also allows only one account per post or profile list, because the network blocks the same content on several profiles. Bulk import takes a CSV file or posts built in the bulk compose box, but only images; videos cannot be uploaded in bulk.

Dynamic fields are the agency tool for personalizing one post across many profiles. The pricing page describes email-style placeholders for names, cities and services, and the field types include text, list, date, URL and numeric values. They start on Elite. Each workspace keeps its own set, they cannot be added to profiles shared with you, and a blank value simply leaves a gap in the post. Content libraries and campaigns start on Premium. Daily send limits are set per workspace: 100, 200, 300, 500 and 500 sends from the entry plan to the top one. Smart queues for evergreen posts run 10, 30 and 70 by plan, unlimited from Elite.

AI Assist writes captions and post ideas in the main Compose box. It is built on OpenAI, text only and unlimited. It is missing from the bulk importer, the content library and the inbox. Bulk days stay manual. One customer quoted on Sendible's site says a month of content across four platforms for one client took 35 minutes to load. That is the vendor's claim, not ours.

Wednesday: approvals by email, and when you need multi-step

Sendible gates approvals by plan. Core has no approvals. Plus adds assignment and simple approvals: a workspace can have a post approver who must sign off every post before it is sent. The client gets a notification on their dashboard and an email request, and reviewers can approve by email without logging in. Client users see only their own dashboard, where they preview and approve their own posts. Since June 2026, the tasks view also plays video, so a client can watch a Reel before saying yes.

Premium adds custom multi-step approval workflows. The pricing page says they can force approval on any post a junior user schedules, and the agency page says approvals route to the right client contact with an audit trail. An intern drafts, a lead edits, the client signs off. Two rules belong in every client welcome email. Marking a task as done does not approve it; the post goes out only after approval. And approving a task whose scheduled time has already passed sends the post immediately. Advanced role-based permissions, for finer control over who sees what, start on Elite.

Thursday: the inbox, and what it leaves out

Community management is the weakest part of the agency week in Sendible. Know why before promising response times. The Priority Inbox gathers comments and messages with sentiment for Facebook Pages, Instagram and LinkedIn pages. Because each message is analyzed for sentiment, it can lag one to two hours, and it pulls comments only for recent posts, typically about four days old. Facebook messages can be answered within 24 hours. Items can be assigned to colleagues and archived.

The exclusions matter more for agencies than for single brands. The Priority Inbox leaves out X, TikTok, Google Business Profile and personal LinkedIn profiles. On Instagram direct messages, Sendible's own pages disagree, so confirm before you sell DM handling to a client. Social Feeds show activity in real time per profile, but without sentiment. Brand mentions reach Sendible only through the inbox on supported networks; no current listening product page exists. A TikTok-heavy client will need its comments handled elsewhere.

⚠️
Watch out
The inbox skips key networks

Priority Inbox leaves out X, TikTok, Google Business Profile and personal LinkedIn, and lags one to two hours. Do not promise TikTok comment response times from Sendible alone.

Friday: branded reports and the Report Hub ceiling

Reporting closes the week. It often keeps the retainer alive. Every plan includes pre-built quick reports, which cover one to ten profiles on a platform. Branded custom reports start on Premium. They are built with a drag-and-drop builder of up to 30 modules, include Google Analytics 4 modules, carry your logo in PDF, and can be emailed once or on a daily, weekly or monthly schedule, or shared by URL. One agency CEO quoted on Sendible's analytics page credits the reports with helping to win five clients.

The ceiling is the Report Hub: 2 automated branded reports per workspace on Premium and 3 on Elite and Enterprise. That is enough for a monthly summary and a campaign report per client, but not for a report per channel. Data is kept for 90 days as standard; longer history needs exports. There is no reporting for Google Business Profile or personal LinkedIn, X reports were removed in late 2023, and Bluesky has no reporting yet. Local-business clients will need another source for Google numbers.

White label: selling Sendible as your own platform

White label is a paid option on Elite and Enterprise only. Per the pricing FAQ, Elite with white label costs from $349 a month in total and Enterprise with white label from $800 a month in total, and the help center says it is arranged through a demo call rather than self-serve. The white-label page also mentions a possible onboarding fee for setup. Branding covers colors, tabs, support pages, email notifications and a web domain, and approval emails reach clients from your own domain. Our Sendible white label guide covers the setup step by step.

Setup and the fine print

The domain work is short but strict. You need a registered company domain and two CNAME records pointing to Sendible's hosts, both on the same subdomain, with a 30-minute TTL; the first becomes the login address of your dashboard. You can change the logo, company name, email and website. Custom CSS can break after a Sendible release, and you must fix it without advance warning [3]. The live chat link is visible only to administrators, so your agency becomes the support desk. AI Assist is off by default on white-label accounts until the owner turns it on, and SSO is the only API-based integration supported.

Client trials and tiered packages

White label lets prospects start their own trial, set to 7, 14 or 30 days. Sendible's white-label help page, written for the older per-user plans, says each trial account counts toward your user allocation and is charged, so confirm how trial accounts are billed on workspace plans. Upgrading a trial user to a standard user cannot be undone. On higher plans (Sendible does not say which), permission groups let you show or hide reports, content libraries and engagement tools per client, which supports a self-service tier beside a fully managed one. Sendible's agency page credits white label with helping VOIMA grow to more than 16 clients and 480 monthly posts, and with saving Social Reach half its time. Those are vendor case studies.

Billing rules to read before you sign

Rosters change. Sendible's billing rules barely bend. Payment is by credit card; the help center says debit and prepaid cards are not accepted. Paying by invoice or purchase order needs at least three months paid upfront, with 15-day payment terms. There are no refunds for prepayment or proration, and a cancelled plan keeps working until the day before the paid period ends. Downgrades earn only a non-refundable credit toward future payments. A yearly plan bought for twelve clients stays paid if four of them leave in spring.

Late payment has teeth. A declined payment gets a seven-day grace period with daily retries; after that the account is suspended and admins can only update payment details [4]. The Terms add that a subscription suspended for more than a month is terminated and its data is lost, which for an agency means every client's queue at once. A subscription can be paused, but it cancels itself if not reinstated within three months. The 14-day trial needs no card to start; the pricing FAQ says a card is requested at the end and a card added during the trial is billed automatically when it ends. Extra users or profiles cannot be added to the subscription during the trial.

How rival tools price agency work

Per-seat tools look very different at agency scale. Hootsuite charges per user: Standard is $99 a month billed annually, Professional $199 and Advanced $399, with content approvals on Advanced. Sprout Social also prices per seat: Essentials costs $99 a month or $79 billed annually, and Advanced costs $499 or $399. Agorapulse is per user too. Its Standard plan costs $79 a month billed annually or $99 monthly, with 10 social profiles per plan, multi-step approvals on its Custom plan, a Profile Connector for client access and white-label reporting. Every new teammate raises those bills. On Sendible, it does not.

Two catalog rivals price by brands or workspaces instead. SocialBee sells agency plans: Pro50 at $179 a month billed monthly with 10 workspaces, Pro100 at $329 with 20 and Pro150 at $449 with 30, each with 5 users per workspace. It offers no white label. Metricool covers 5 brands on Starter for $25 a month billed monthly ($20 billed annually), and its Advanced plan covers 15 brands for $67 a month billed monthly ($53 billed annually), before VAT. Team features such as unlimited users, approvals and a client connection link sit on Advanced and Custom, and its white label is sold only on Custom. Sendible's edge is unlimited users on every plan, from Core, and white label on a published plan. See our Sendible pricing breakdown for the full cost picture.

The bottom line

Sendible is built around the way agencies actually grow: one workspace per client, unlimited users and a price that moves only when the roster does. By our arithmetic, five clients fit the smaller plans for well under $200 a month, twelve clients point to Elite, and twenty-five stay on Elite with extra workspaces. Client Connect, email approvals and branded reports cover the core routine, and white label serves resellers. Check the inbox limits and the no-refund billing rules before you commit, and confirm that your account has moved to workspaces.
